1. Introduction
1.1 Introduction to GigaCentral
GigaCentral is a first of kind wireless appliance with desktop sync agents and mobile clients
for end users to securely sync and backup documents to cloud. Its innovative placeholder
technology on desktop agent empower both Windows and Mac end users to have virtually
unlimited local files. No more hassle of housekeeping or managing multiple external disks. All
documents are 256bit AES encrypted with your own private key and stored in a secure cloud
of over 99.9% SLA.
System Requirements
Ensure you have the following information and equipment ready as these are required for
using GigaCentral Desktop:
• Laptop or desktop running Windows 7/ 8 / 8.1 /10
• Minimum Intel Core 2 Processor
• Minimum 2GB RAM
• At least 2 GB of available free disk space
• GigaCentral account
• GigaCentral Desktop installer
1.2 Overview
This document serves as a basic functional user guide for end users using the personal
computer on Windows operating system to access GigaCentral. It is assumed that the
GigaCentral Desktop application has been installed in your desktop computer, otherwise,
please contact your administrator to install it for you.

2. Getting Started
2.1 Installation
1. Double click GigaCentral Desktop installer file to begin the installation.
2. Follow the installation wizard instructions.
Then it will ask you to restart.

2.2 Activation
1. Launch GigaCentral from your start menu
2. Input Connect to – GigaCentral URL (example: https://gigacentral.com/esws )
3. Input Username and Password.
4. Click Login.
5. You need to choose between “Setup and Download Latest Files” which is the normal
download all files or “Setup and Create Placeholders” which is an option to create
Placeholders.

3. Settings and Features
3.1 Menu Tray Features
Right click on GigaCentral Sync Manager located on your system tray.
Schedule
Allow you to set the time
interval to perform Sync.
Sync Now
Allows you to override
GigaCentral sync intervals by
manually triggering
GigaCentral to perform
synchronization.

3.2 GigaCentral Settings
1. Right click on GigaCentral Sync Manager located on your system tray. Select
GigaCentral settings.
2. You may wish to change the following under the settings tab:

4. Sync
4.1 Sync Options
1. Right click on the GigaCentral Sync Manager on your system tray.
2. You will see the following features.
3. If you wish to validate and correct sync issue, click on GigaCentral settings.
4. Navigate to Sync Tab.
5. The last updated date and time will be shown.
6. Click on Sync Now to do a full sync.
7. Click on Stop Sync to stop synchronization.

4.2 Schedule Sync
1. Right click on the GigaCentral Sync Manager on your system tray.
2. Click on Schedule.
3. A window will pop out.
4.2.1 Always Sync Function
By selecting “Always Sync”, GCE Desktop will sync and retrieve the latest files every second.
4.2.2 Sync Between Function
You can determine the time and the time interval to perform the sync.
1. Click on Sync Between option.
2. Select the time period you wish to perform sync.
3. To determine the time interval to perform the sync. Right click on the GigaCentral
Sync Manager on your system tray.

6. Click on the dropdown of Sync Interval to choose the sync time interval.

Conflict Management happen when GigaCentral detects differences on both the local and
server copy on the same file. Typically, this happens if the drive is shared or you have more
than one GigaCentral desktop sync running concurrently. To resolve conflict, user should
select copy of file to keep.
1. Right click on GigaCentral Sync Manager located on your system tray.
2. Select Conflict management.
3. Select action:
Take server copy – Server copy will replace current local file.
Take local copy– Server copy will be replaced by current local file.
Keep both – Local copy will be renamed and both files will be kept.

Restore server copy – Server copy (version that was last checked in) will be
restored or a deleted file will be restored
Delete server copy – To confirm the deletion of server copy eventually

5. File Operations
5.1 Add File
5.1.1 Drag & Drop
1. Move files by dragging from your local disk drives into GigaCentral storage folders.
2. Note that files will be moved permanently from your local disk drives.
3. Allow the application to sync. (it may take time depending on the file size and
bandwidth of network).
4. A green tick icon will be shown if the file is successfully synced.
5.1.2 Make a copy
1. Select the file/folder you wish to copy.
2. Right click and select copy. Alternatively, you can apply Ctrl-C using keyboard
shortcuts.
3. Navigate to GigaCentral storage folders.
4. Right click and paste. Alternative, you can apply Ctrl-V using keyboard shortcuts.
5. Allow the application to sync.
6. A green tick icon will be shown if the file is successfully synced.

5.1.3 Add Folder to GigaCentral Sync
When a personal drive is provided, you may want to back up your files by allowing them to
be sync automatically to the server by “Add Folder to GigaCentral Sync”.
1. Right click on the folder you wish to add into GigaCentral
2. Select Add Folder to GigaCentral Sync
3. Files will be deposited at the root folder of the selected storage.
4. Allow the application to sync.
5. A green tick icon will be shown if the file is successfully synced.

6.1 Internal Share
Internal Share allows you to share file/folder(s) to other GigaCentral account users.
1. Select the folders/files in GigaCentral file explorer that you want to share.
You may select multiple files.
2. Right click and select GigaCentral -> Share to internal.
3. Click on file name to view the list of files/folders being shared.
4. Select the Expiration checkbox if you wish to set validity of the file. Set the date and
time.
5. Search contacts from your company’s address book. You can select recipients from
AD users, group and distribution lists respectively. Enter a name and click ‘Search’. A
list of names will be populated.
6. Click on the icon to add recipients
Note: Sharing of files is not applicable to storage folders that were created with ‘Alternate
Authentication’ enabled.
1. This feature may also be controlled by your central administration system. If you are
unable to enable or disable, it may be due to your organisation policy settings.

7. To remove recipients from the sending list, click on the icon.

6.2 Edit/Remove Share
1. Right click on GigaCentral Sync Manager and click View Shared Files.
2. Go to Shared Out tab.
3. Click on the user.
4. Click on the file that you would like to edit share.
5. Click on the Edit Share icon.
6. Click on Edit Files/Folders to edit documents.
7. Change the Validity of the file. Select an absolute date and time.
8. You can edit share to selected recipients by checking/unchecking selected recipients.
9. Click Update to submit your changes.

6.3 Resend Email
1. Select the item.
2. Click on the email icon to resend email.
6.4 External Share
External Share allows you to share file/folder(s) to external users ie users outside of
GigaCentral.
1. Select the folders/files in GigaCentral file explorer that you want to share.
You may select multiple files.
2. Right click and select GigaCentral -> Share to External.

7. Access shared files
7.1 Access files via Email Notification
7.1.1 Shared files
Recipients may click on the link to access the shared file. Usually you will be directed to the
web portal via the link to view the files.

7.2 Access files via ‘View shared files’ feature
7.2.1 Shared in
Shared in: Contains folder/files shared to you by GigaCentral users. By default, the files will
not be downloaded until you have selected the file and click on Download.
1. Right click on GigaCentral Sync Manager and click View Shared Files.
2. Click on Shared In tab.
3. Click on the user you wish to see what files he/she has shared to you.
4. Click on the files you want to download.
5. Click the download button.
6. After the file(s) have been downloaded, click Go to folder to view the file that has been
shared.
7.2.2 Shared out
Shared Out: Contains folder/files shared out to other GigaCentral users (Recipients).
1. Right click on GigaCentral Sync Manager and click View Shared Files.
2. Click on Shared Out tab.
3. Click on the user to view the list of files which you have shared to him/her.
4. Click Go to folder to view the file that has been shared.

8. Check in/Check Out File
8.1 Check Out
1. Select the file you would like to check out.
2. Right click on the file. Select GigaCentral and click on Check Out.
3. A check out success message will appear in a new window.
4. Click Ok.
5. Once synced, a Lock Icon will appear on the file.
6. By checking out the file, a new version will be created temporarily. This version is only
visible to you.
a. If you discard check out, the file will restore to the original version before
check out.
b. Other users will only see the change in new version after you have checked in.

7. When other users try to delete, move, copy, edit or overwrite the file that has been
checked out, they have to resolve this under Conflict Management. They will also see
a conflict indicator overlay on the file after syncing.
8.2 Check In
1. Right click on the file that has been checked out.
2. Select GigaCentral and click on Check in.
3. A check in success message will appear.
4. If you wish to retain the checkout after checking in, please tick the box.
5. You can enter some comments about the file.
6. Click check in.
7. A success message will appear and click on ok.

8. Once synced, the lock icon will disappear.
9. By checking in the file, the new version created during check out will be recorded.
This version will be visible to all users.
10. Other users would be able to perform all the file actions or make a decision over the
conflict management to “Take local copy” or “Take server copy” (which is your
checked in version) if they have made any changes when you checked out the file.
8.3 Discard Check Out
1. Right click on the file that has been checked out.
2. Select GigaCentral and click on Discard Check Out.

3. A discard check out confirmation message will appear in a new window.
4. Click Yes.
5. A discard check out success message will appear in a new window.
6. Click ok.
7. Once synced, the lock icon will disappear.
8. By discarding the check out, the version will also be restored to the previous version.
Any edits made during the check out, will be discarded.
9. After discarding check out, other users would be able to perform all file actions.

9. Versioning
GigaCentral allows you to edit files, view and restore those files to previous versions. This
feature is only available if versioning or check in/check out feature is turned on by your
central administrator.
9.1 Create version
1. Open a file that you would like to change/edit
2. Make the changes where necessary
3. Right click GigaCentral Sync Manager and click Sync Now.
4. After finish syncing, the new version will be created.
9.2 View version
1. Right click on the file that you would like to view the version
2. Select GigaCentral and click on Versions
3. A window will appear with a list of versions of files that was created after you
edited the files.
4. To view a particular version of the file, select the version and click on Download.
5. Select the location of the file that will be downloaded.
6. Click on save to download the file.

9.3 Restore previous version
1. Right click on the file that you would like to view the version
2. Select GigaCentral and click on Versions
3. A window will appear with a list of versions of files that was created after you
edited the files.
4. To restore a particular version of the file, select the version.
5. Click on Restore.
6. You will be prompted. Click OK to restore the selected version.

10. Place Holder
10.1 Remove file/folder from Local Drive
1. Right Click on the file/ folder that you would like to remove from the local drive.
2. Click on the Archive now.
3. An icon of cloud will replace the tick icon after the file/folder is removed from the PC
successfully.

10.2 Adding file/folder back to Local Drive
1. Right Click on the file/ folder that you would like to download back to the local
drive
2. Click on the Retrieve now
3. An icon of tick will replace the cloud icon after successfully downloading the file/
folder
4. Alternatively, you can click on GigaCentral icon at the bottom right hand corner of
the desktop to monitor the downloading process

11. AutoArchive
To set all files become placeholder automatically you can use autoarchive feature.
1. Go to Settings tab .
2. Tick Enable Auto Archive.
3. Choose Archive files older than x days that you want.
4. Choose the time you want to run for AutoArchive.
5. Choose File type restriction
a. Allow all except: Means set all files become placeholder except the extension
you set.
b. Block all except: Only certain file extension you set to become placeholders.
6. Put the files extension that you want on Restricted Extensions area.
7. Click Save or apply to run it.
You can see here all of the files except .docx was set to placeholders.

12. File Backup (Delta and ShadowCopy)
1. Right click on GigaCentral Sync Manager located on your system tray.
2. Select GigaCentral settings.
3. Click on Backup tab.
4. To choose files that you want to backup, click Add File.
5. When you click on button to add files, a windows file directory will pop out.
Choose the files that you want to back up.
6. You can also set a time to run daily back up.
7. Click Backup Now
8. You will see percentage of the backup process.

12.1 Restore Backup (Delta and ShadowCopy)
1. Right click on GigaCentral Sync Manager located on your system tray.
2. Select GigaCentral settings.
3. Click on Recovery tab.
4. Choose files you want to Recover.
5. Click Recover.

6. You will get a pop up Recovery windows with 2 option, to recover the latest backup
files or back up files before a date.
7. Click Recover Now.
8. You will get a new pop up windows to choose a location where you want to save files
that you will recover.

13. Troubleshooting Logs Location
1. Right click on the GigaCentral Sync Manager on your system tray.
2. If you wish to locate the troubleshooting logs, click on GigaCentral settings.
3. Navigate to About Tab
4. Click on View Logs to open the folder containing the Log sheet.

14. GigaCentral Enterprise Desktop Update
14.1.1 Manual Update
1. Search for GigaCentral Enterprise Desktop Update in your windows and run it.
2. If there is a new update, details of the new update will be shown in the window.
3. Click on download to download the latest GCE Desktop.

14.1.2 Automatic Update
There is a scheduled task to check for the latest update of GigaCentral Enterprise Desktop
automatically.
1. Search for Task Scheduler in your windows and run it.
2. Click on Task Schedule Library.
3. You are able to see the scheduled task for GCE Desktop Update.
Note: This scheduled task can only be seen in Windows 10 operating system.
