    IntroductionInstructional Goal: Teachers will learn the basics of creating, exporting, and importing

    spreadsheets to and from Google Docs and how to organize and keep track of student

    reading data in a Google Spreadsheet that is shared among teachers.

    Goal Analysis: To accomplish this goal, teachers must:

    - Log into Warren Local Gmail

    - Create a new Google Spreadsheet

    - Share Documents with others

    - Find an existing spreadsheet in Google Docs

    - Enter Student Information into spreadsheet

    - Group students by QPS level

    Required Materials and Equipment

    - Computer with monitor, keyboard, and mouse

    - Computer operating system- XP or higher

    - Internet Browser

    - Students' QPS data

    - Students' Star Reading scores

    Entry Level Knowledge and Skills

    1. The ability to use a mouse to interact with a computer running Microsoft Windows XP

    operating system.

    2. The ability to use a computer keyboard

    3. The ability to open a web browser

    4. Knowledge of school email username and password

    5. The ability to perform the QPS test on students

    6. The ability to give students the STAR Reading Test

    7. The ability to analyze data from those tests.

    Objective 1Log In to Warren Local Gmail

    Step 1: Turn on your computer

    Step 2: Log in to the computer with your username and password. (*Note: if you do not

    remember your username or password please contact Mr.Elzey or your Building Tech. to get

    your information)

    Step 3: Open up either Internet Explorer, Mozilla Firefox, OR Google Chrome.

    Step 4: Type in the URL:mail.warrenlocal.org

    Step 5: Type in your username and password in the appropriate areas. (*Note: if you do not

    remember your username or password please contact Mr.Elzey or your Building Tech. to get

    your information)

    Step 6: Press the enter key to access your Warren Local Gmail account.

    Objective 2Create a New Google Spreadsheet

    Step 1: Locate and click on the Documents (or Drive) link while in Warren Local Schools

    Gmail.

    Step 2: Click on the Create button.

    Step 3: Click on the Spreadsheet button to create a new

    Google Spreadsheet.

    Step 4: Click and hold the mouse on the line between the rows and then move up and down

    to make them taller and shorter.

    Step 5: Click and hold on the line between the columns and then move back and forth to

    make them wider and narrower.

    Step 6: Enter your name into Column A, Row A

    Step 7: Enter two of your favorite foods into Column B, Row A and Column C, Row A.

    Step 8: Click on the title of the document. Then, change the title of the document to

    something that includes your last name.

    Objective 3

    Share Created Google Doc

    Step 1: Locate and click on the Share button while in your Google Spreadsheet.

    Step2: Note the different sharing options available after clicking on the Share button:

    Step 3: For this lesson and for the real Reading Data Spreadsheet, please select Private.

    Step 4: Enter the email addresses for two teachers in the box labeled Add People. (*Note:

    Just as if you were to create a new email, you may start typing in the persons name and not

    their email address. Their name will be added after you press Enter)

    Step 5: Be sure that you give other users the power to edit your spreadsheet, not just view.

    Step 6: Be sure that the box labeled Notify people via email is checked.

    Step 7: Click on Share & Save.

    Objective 4Find an Existing Google Doc

    Step 1: Click on the Mail tab to get back to the Warren Local Schools Gmail.

    Step 2: Click on the Refresh button to search for new emails.

    Step 3: Locate an email from another teacher where they have shared a document with youand click on the email to open it.

    Step 4: Click on the title of the document to open the document.

    Objective 5Find Shared Reading Data Template

    Step 1: Locate and click on the Documents (or Drive) link while in Warren Local SchoolsGmail.

    Step 2: Locate the email the was sent to you that shows where the Google Doc BV 3rd

    Grade

    Reading Progress 11-12 was shared with you and click on it.

    Step 3: Open the shared Google Doc by clicking on the title of the document.

    Objective 6Enter Information into Spreadsheet*Use Appendix A (fake student data) to complete following steps*

    Step 1: Locate the column that is titled Sample Student.

    Step 2: Double-click on the cell below (6B) the title Sample Student.

    Step 3: Enter the first students name in cell 6B.

    Step 4: Continue to enter students names in Column B.

    Step 5: Click on Column B so that the entire row is highlighted.

    Step 6: Click on the Align button and justify the entire column to the right.

    Step 7: Select the entire Column F.

    Step 8: Click on the Format tab.

    Step 9: Click on Conditional Formatting (toward the bottom of the list)

    Step 10: In the left column, select

    Greater than.

    Step 11: Type in the number 399

    (because a score of 400 is a

    proficient score)

    Step 12: Check the Background

    box.

    Step 13: Select a color that is light and will stand out.

    Step 14: Click on Save rules.

    Step 15: Enter students OAT Reading scores. A test with a score of 400 or

    above should automatically change color to the one that you selected.

    Step 16: To enter the students STAR Reading score, find the row the

    corresponds with a student. Starting in column K, highlight the number of rows

    that corresponds with the students STAR Reading score.

    *this example shows a girl whos STAR Reading score is 1.1. Notice that columns K through P

    are highlighted.

    Step 17: Select the change background color button and change the background color to the

    following rules:

    Red- Beginning of year

    Yellow- Middle of year

    Blue- End of year

    Step 18: Put the date that the test was taken in the last colored box.

    Objective 7Group Students by QPS Level

    Step 1: Grab the number of the row that corresponds with a student.

    Step 2: Drag the row up or down to group students together.

    Step 3: Students should be grouped chronologically by QPS level.
