1. You mention that the “blog format is outdated” can you elaborate?

We feel the blog is static and doesn’t integrate in the rest of the site well. Ideally our blog is more dynamic and connects events, initiatives, and resources so we can help tell better stories.

2. Are you looking for a vendor to complete the branding piece of this web update? Would you like us to include this work in our proposal? We will be posting our branding RFP next week. Please do not include this in your proposal, since it will be a separate project.

3. Can you elaborate on "Event and membership registration is not robust.” What is missing?

Nothing is really missing, but we would like to allow our members a quicker and easier way to register for events utilizing our CRM capabilities. We do not wish to keep credit card info on file, but would simply like to make the registration process as simple as possible. We also hope to optimize our CRM fields and backend to increase speed and reliability.

4. Integration section. When you mention including the other sites GBA operates, are you suggesting that the content on each of those sites be searchable via one interface, or are you just saying it would be beneficial to have links out to these other web properties so that they are aligned with GBA? This is a tricky one. Reference links out would be a good way to help people learn about the information on our other sites, but we’re not looking for full integration. A search function would be cool, but have no idea what that would look like.

5. Can you elaborate on: “a new user and administrativeinterface needs built to better facilitate our communications and connections with members and web visitors.” I assume this line is voicing the same concern: "GBA member user experience is not ideal” Correct. We just would like our site to better organized and allow users to have a better, smoother, more immersive experience.

6. If we stay with CiviCRM, what are the areas in which this software isn’t meeting GBA's needs? CiviCRM is great. It really does 95 percent of what we want to do fairly well. We’re confident that with some front and back end work, we can get to where all our needs would be met. It’s a bit ugly, but it’s not a deal breaker for us. Again, it just comes down to a better front end user experience.

1. The RFP states that GBA is undergoing a branding update, including logo, colours fonts and other elements. Will the chosen website vendor be relying on the branding guide to create a design that fits with this new vision, or is the branding provider also directly involved in the website design? If the latter, would the chosen vendor have direct access to the designer to coordinate efforts?

The website vendor may also submit a branding proposal based on the RFP to be released 5/18. The branding provider will not be directly in the website design, but rather the new logo and brand standard will be incorporated into the new site design. Should the timing of the two projects warrant direct contact with both the brand and website team, arrangements will be made to accommodate the process.

2. Just to clarify, would you like the additional websites integrated directly into the content of the main site as sub-content, each with their own unique sections and style/brand? Please describe how you envision these sites being integrated. Really, The only site that we would like to support with CiviCRM is inspirespeakersseries.org for event registration purposes. Greenandhealhtyschoolsacademy.org will most likely become part of the new GBA site or simply stays as a stand-alone site. However, we understand that these may be outside of the current scope.

3. When integrating with various social media platforms, do you wish to automatically push new content from the site to these properties? Are you also wanting to display your full social media feeds on the site? We would like to control how our content gets shared socially, so an automated system/process is not needed. We would like to consider integrating our social media feeds more prominently on the site, but are not sure what that would look like.

4. With the Project Directory, would your site be pulling in content from GBIG.org, or do you intend on providing an API for GBIG.org to connect to GBA’s content? Are you hoping for a temporary directory until the API is established? Our hope is that GBIG will provide an API for deployment on our site. If a temporary directory is a possibility under the budget, we would happily reinstate the directory until a more permanent solution is found.

5. Given our familiarity with some of the data integrity issues GBA has been experiencing over the last number of years, are we correct in assuming that we are starting groups, memberships, event set up, etc...from scratch? We just want to ensure that historical data issues can be avoided moving forward.

a. Will you be looking for assistance in the data cleanup and migration of the current CiviCRM content? b. Do you have a sense of how you want to archive the older data?

We’ve made huge gains in cleaning up our data in CiviCRM over the past few month, so we do not anticipate in starting a new CiviCRM information from scratch. We will not need to clean up the data at this point, but may need to migrate the data if a different CMS is selected. We have no idea how best to archive the past data, but look forward to learning about ways to do this. 6. How will content be provided during the build process? Will GBA staff be entering the content into the site, or will it be provided to the development team to enter? A majority of the content for the site will be rewritten, and manually entered by GBA staff as it is developed during the redesign. Information such as event descriptions, blogs, and general site language should be transferred/entered by the firm.

7. We have extensive experience with CiviCRM and our first recommendation is to always suggest a Drupal CMS as it is the only CMS that has a true integration with Civi. For example, directories, event registrations, and memberships could be linked without manual effort. We know that GBA was previously on Drupal 6 and that it (the CMS) was not favored. Drupal 7 is much more user-friendly, but it is a different interface than WordPress. All that being said, we can work at a more integrated set up between WordPress and Civi, but that may require some custom coding that complicates updates. Could you please let us know how strong your preference is for staying with WordPress? Our preference is for wordpress, but we realize that drupal may be the best way to go given our need for reliability and better integration with CiviCRM. That being said our main needs are in Civi, so we are very open to moving to Drupal.

8. One of the current complaints you have with your site surrounds its slow speed. Would you be open to a new hosting set up and willing to change providers? This is a tough one. We’ve spent a lot of energy and to get all our web hosting and domains under one roof. We have great service from Pair and we find it very affordable for what we do. If we moved hosting, we would have to make sure that it is affordable, fast and the reliable. We suspect that our site’s slowness is a matter of the way it was built and not a by-product of the host service.

1. We need to understand how events are organized in order to evaluate a shopping cart experience. How common is it for participants to register for multiple events? Can you tell us more about the kind of user who registers for multiple events at one time? What kinds of events would this user be adding to the cart? Perhaps we can design an easier experience for them. Currently we have three types of events in Modern Tribe; GBA Events, Community Events, and Industry Events. Only GBA events have a registration page through our CiviCRM. We cannot say how common it is for users to register for multiple events at one time since we don’t currently have the ability, but we have hundreds of members who attend 3 or more event a year, so it we estimate that a few hundred members would use a cart to register for related events in advance. Ideally, when a user registers for one event, our site would suggest similar/upcoming events to add to their cart and the ability to add guests as well.

2. Based on what we see on the current website, it doesn't seem as if your Membership Directory is generated from CiviCRM -- is this correct? Implementing a robust Membership Directory requires that members be able to update their CiviCRM profile information using a web front-end interface (not the CiviCRM dashboard). Is this what GBA intends/envisions? Our Membership Directory IS populated through CiviCRM and users have limited access to their profiles in CiviCRM. This access includes contact information, event history and membership history with the ability to renew membership as well. We intend to keep this functionality, but improve the general performance.

3. What types of data need to be collected and displayed for the Project Directory and who collects and publishes it (staff? members?) How and where is this information currently stored -- the error messages on the website seem to indicate this information is not kept in CiviCRM. The Project Directory was a separate database that we no longer support. The hope is that we are able to work with GBIG.org to create an API sometime in the next year that will populate this geo-centric building information. We have information on this directory that we will use to create a limited project section (under 50) of the site that highlights a few past projects.

4. When is the the outside designer delivering brand guidelines, logos, stylesheets, etc? We would need those elements BEFORE we can deliver wireframes or mockups. We anticipate the branding portion to be complete by mid-August.

5. While a redesign for the additional websites would fall outside the scope of our proposal, it pays to keep future integration in mind while working on the current GBA project. During the discovery phase we would start asking the questions that would determine whether GBA is a good candidate for

WordPress Multisite with CiviCRM Multisite enabled, for example, what if any CRMs are used on the other sites; what level of access does staff have to each site, etc. So the question here is, does GBA anticipate having additional budget for "add-on" projects of this type? Currently, the other sites do not support any type of registration. Registration links on these sites point to go-gba.org to complete the process. Only a few staff members have admin access to these sites. We understand that additional projects not covered by this scope may come out of the redesign process, but an additional for would only be approved for some time in 2019. “Add-on” projects not covered by this scope should be clearly outlined in the firm’s RFP response.

6. Another budget-related question: does GBA have a budget for upkeep and maintenance of the website? CiviCRM and WordPress do require attention to keep things running smoothly (security patches, bug fixes, feature updates, etc.)? Yes. We will ask for a maintenance and support contract once the shortlisted firms are named.

7. Lastly, will you be sharing all vendors' questions with everybody else? We find that very helpful, but we know not everybody does. Yes. An addendum will be issued on 5/17/18 with answers to queries and other updates.

1. You presently have no budget for paid activities and marketing, are you planning to add it at later stage or when the yearly budget revise?

a. We do not pay for social or advertising. We do have a maintenance budget that will include subscriptions, plugins and other web applications to keep the functioning smoothly

2. Since payment part involved in website, would you like to perform security checks, vulnerability assessment and penetration testing?

a. We do not hold credit card information on our site, but if your proposal thinks this should be included in site assessment, then please reference this in your submission,

3. To improve website performance, are you open to use any caching mechanism or load balancing? a. Yes. We’ve used WP supercache, but have had issues with it on our current site.

4. There is a section for members, sponsors and donators – does it integrated inside CiviCRM?

a. Yes.

5. Can you please brief us about all three profiles from their functional point of view? All member profiles are essentially the same on the front end. Ideally, corporate members would have a way to manage employees as members. Anyone with a subsciber WP login can see their event history, contact information and have the ability to renew their individual membership in CiviCRM. Sponsors usually include a corporate membership and have the same access/functionality described above. In addition they get logos or a company name on the site, per the sponsorship agreement.

a. Donors simply exist in our system as a financial contribution if they are not already a member.

6. How the advertisement section works currently? We use adsense to serve our ads, but will remove these on the new site.

7. Would you like to manage the advertisement same way as it is being handled currently? No ads will be present on the new site.

8. Are you planning to amend the event calendar function? Yes. We seek to improve all site functions with this redesign. However, it the current calendar app is deemed the best solution, we would like to make it more graphically integrated with the new site.

9. For email / notifications, we believe you are using MailChimp, you want to continue using that? Yes. We would like to continue to use MailChimp as our newsletter service.

10. You mentioned about contributions from guest bloggers, do we need to monitor content of authors? Or

there are certain rules need to implement to restrict the content? Guest bloggers should have limited access to the site. All edits and publishing will be done by a GBA site admin.

Event Calendar What do you like about Modern Tribe's calendar? We like the clean and modern interface, the ability to add graphic elements, the category option, and being able to add upcoming/featured events in widgets around the site. We also host a lot of community/industry events that do not have registration links through civi. Have you tried using CiviCRM’s calendar? If you have, what did you like/not like about it? We have not tried it beyond basic testing a few years ago. It’s definitely an extension we would consider if we could do most of the above, since we would like to eliminate creating two separate event and registration pages. Member Directory/Memberships Can you elaborate on the current member portal? The member portal is the same for both corporate members and individual members. They both give some access to the same individual profile once the additional corporate members are identified and entered manually. We would like to see a better system for managing corporate members. What does the current member portal look like? It’s simply a civi dashboard embedded in wordpress. What kind of functionality currently exists? Basically the member portal allows members to change contact information, see past event attendance history, past memberships with the ability to renew

Company profiles have anywhere between 4-50 individual accounts associated with them depending on the level. But once a corporate member has an account created it acts an individual account on the front end. The biggest issue we have is corporate member not able to register with their existing company since the field is an open text field and creates issues with duplicate company/orgs on the backend. We have installed an auto-populating feature to help eliminate this, but a pick list would be ideal since they can still could enter a new organization each time they register for an event. Do each member of a company have their own user accounts? Yes. Resources What version of CiviCRM are you currently running? CiviCRM 4.6.31 Are there any CiviCRM extensions installed? If so, which ones?

Is the early fall deadline a dealbreaker? Based on the scope/our experience with similar projects, a 6-month timeframe will allow for a better final product. No. The fall deadline is not a deal-breaker. If your process/approach gives us a better site, we will consider extending the project timeline. How many decision-makers are on the GBA team? 4 total. The three team members listed in the RFP, plus our Executive Director. Other in-house stakeholders will have input as well, but will not be decision makers. How many firms are submitting proposals? Currently about 12-18

The RFP mentions “news aggregators” under social. Do you mean that GBA uses its social channels to post the most current news, announcements, etc.? Or is there some type of news aggregation software that we would need to take into consideration when developing the new site? We use our social channels to promote our own events and content. However, the majority of our social posts are current news and feature, so it would be nice to have this information dynamically displayed on our site. Is there a single platform that’s currently handling all of the directories? Or are them all a part of/managed through the CMS? Here’s what they may look like on the new site:

• Membership – displays a listing individuals and organization dynamically on our site from our CRM. Ideally, sponsor logos and profiles may be displayed as part of this system, but may have to be handled separately.

• Projects – We will keep some projects and distribute them to another archive portion of our site. New projects will be entered as blog posts with their own category. In addition, we hope is to integrate the new GBIG API as a complete directory resource.

• Products – We are dismantling this completely and giving sponsors the option to display their products and services through a sponsor profile page (or similar interface)

• Certifications- This section will be turned into a static resource page. Project Directory (currently disabled): Are you looking to make it functional as part of the redesign? Or are you OK to wait till the GBIG.org database is ready in 2019? Where is https://www.go-gba.org/projects/ pulling info from right now? Projects – We will keep some projects and distribute them to another archive portion of our site. New projects will be entered as blog posts with their own category. In addition, we hope is to integrate the new GBIG API as a complete directory resource. This was pulling from a customized database that is now broken. Do you have the exact requirement for events registration (must-have fields, desired functionality, etc.)? The events registration should have all the fields currently, but aim to improve the overall process and speed of registration through current best practices. Ideally, registered site members would not have to enter personal information (since we have it on file already) and skip straight to a credit card check out page. We do not wish to keep credit card information on file. New registrant information will include basic name. company, email, phone and address. 1.Do we need to develop the website from scratch or should we work only the design aspect and keep the current functionalities same and do the enhancements as and when needed? The site should be completely redesigned with the major focus on the sections outlined in the RFP - mainly the event, membership, initiative, and blog sections.

redesigning the current pages on the website. For any enhancements Please confirm We’re not sure how to answer this. More information is needed

Here there can be two approaches:

1. We take the current website as a reference for the features and develop a new website by choosing the new theme and integrate the same plugins again in theme to achieve the functionality as we have in the current website. Through this approach we will be redesigning and developing the website. This would be more time taking process as we would have to redesign and develop the website from scratch.

2. The other approach is we just do the design changes in the current word press installation . This would be less time consuming process as here we would just redesign the website pages and integrate them with current word press installation and the functionality will remain as it as of now

We defer to you to make the best decision based on the current website and budget. Since we have some amount of customization for our CRM and directories, we are not sure which path would lead to a more stable and robust website. We suggest you proceed with which ever option will give us the best website possible.

2.In addition, we would like to explore an automated system or process that helps reduce the need for our “inquiry form” by providing quicker and easier ways for visitors’ green building and sustainable community-related questions to be answered without direct staff involvement. ---> For this do we need to consider a form builder here ( e.ghttps://wordpress.org/plugins/visual-form-builder/) or there is some other expectation here. Currently, we use Ninja Forms for creating forms and would prefer to stay with this plugin for forms not integrated into the site architecture through our CRM.

3. What are the features provided to the users once they become the Members( Is auto renewal of the membership considered or the user has to renew it explicitly, If the member doesn't renew its membership is there any grace period to be considered. What features will be disabled if the user do sent renew the membership. Can the user cancel the membership and get the refund) Users are able to access contact information, event history, and renew their membership once logged in. As we transition to iATS (from FirstData) on the new site, we hope to take advantage of a recurring payment option for members. We have a 30 day grace period before we remove user access from the site. Refunds are done manually on an as needed basis.

b. Become a Sponsors( Please elaborate on the sponsor features. Are there any refunds to be considered)

Sponsorships are very rare and we only offer the option to pay online should the organization prefer paying online. Normally, sponsorships details, terms, and payment arrangements are worked out with our Relationship & Development Director and generally not solicited online. That being said, an improved sponsorship page experience should be considered.

c. Donate.

An improved donor page experience should be considered.

d. Submit an Event request( Does this go through an approval process. Is so please define the workflow considered here.)

We only get a few requests a year and are entered manually if they fulfill our requirements for local and sustainable events.

Is there any profile created for all these user types and a CRm entry done for them and all the historic/transnational data is showcased to them in their account.

Yes. We have basic records for both our members and attendees (not registered site users) including general contact information, event attendance history, and membership records if any. We do not keep credit card information on file.

4. GBA’s current website uses Wordpress for CMS and CiviCRM for data management and integration: For the Integration standpoint is there only a push to the CiviCRM when the form submission is done via the platform or there are integration points considered for the pulling information to showcase on the website. We lack the technical knowledge o answer this completely, but registration are done directly in CiviCRM pages.

5. Once the user registers for an event is the option to cancel the registration also provided. Are there any refunds to be taken care in this scenario? All refunds are issued manually through our payment processor via an email or phone call from the user to us. No online cancellation option is needed.

6. Integration: GBA also operates InspireSpeakersSeries.com, PittsburghGreenStory.com , and GreenandHealthySchoolsAcademy.org. A solution that integrates these sites while considering their unique identities and audiences may be considered as an option. GBA also updates 2030districts.org/pittsburgh and, while there is not a way to integrate GBA.org with this external website, we do have cross-branding and content opportunities with it. : Is this currently handled? For the integration what should be considered is there some same content that has to be published in GBA to be published/accessible on all the other websites or there are some features that should seamlessly happen across all the website. Project Directory (currently disabled) – This needs updated and overhauled to make it an easily searchable resource for Western Pennsylvania green buildings and sustainable communities, with the ability to add project data and images simply. We are discussing the possibility of creating an API to integrate with the http://www.gbig.org/ database to help update this feature, which may not be ready until 2019. : Is this to be done in the current scope of work. Would need more inputs here to arrive at the scope of work.

While this RFP does not include the redesign of these sites, we are open to approaches that create microsites based on the main GBA site. The Inspire Speakers Series site is the only one that would benefit from our CRM system being able to accept registrations directly rather than linking back to the main site. : For the microsite we can suggest some themes on the branding guidelines and a microsite can be spinned off from it.
