Abstract: The purpose of this document is to detail the strategy of the Helix Nebula outreach

plan to engage e-infrastructures’ constituency, scientific communities, and policy makers.

1. Introduction As described in the Communication Plan (D2.1 Communication Plan), one of the specific goals of the Helix Nebula Communication and Dissemination Strategy is to encourage target users to see Helix Nebula as a first choice working environment. The first year of the project has been fundamental:

• To create awareness about the Helix Nebula initiative and objectives, gaining high visibility through several media channels and relevant events.

• To develop and test the first three user-flagships. • To refine the technical architecture of Helix Nebula. • To identify the most suitable business models.

After a full year of activity, Helix Nebula has succeeded in moving from a pilot phase towards a service environment. The test phase of the three first flagships will end in 2013, the deployment of new flagships will start at the end of 2013 and 2014 will mark the start of the production phase. These important changes need to be accompanied and driven by an appropriate communication, dissemination and engagement strategy for the uptake of a range of Helix Nebula services and maximize their impact. This document gives an overview of the engagement process, coordinated by WP2, which will be implemented/operated by the Helix Nebula consortium. The main objectives of the plan are the following:

Promote a series of user friendly services ready by early 2014 & deliver as a fact sheet? Identify and prioritize potential users (Pilot list of users) Identify a set of actions to engage and educate potential users on the benefits of using

HN Services rather than other existing cloud services The plan covers the period from September 2013 to May 2014 (8 months).

2. Helix Nebula Services & related engagement strategies The main objective of the Helix Nebula initiative for the next eight months is to promote the following three lines of services:

1. Helix Nebula Generic Cloud Computing Services: Helix Nebula can provide on-demand network access to a shared pool of configurable computing resources: high-bandwidth network connectivity, large sets of commodity servers, federated storage with secure data layers, easy to deploy cloud software appliances for user applications, infrastructure management and monitoring services.

2. Helix Nebula Information as a Service (InfoaaS): The sale of aggregated and analyzed data in the cloud.

3. Helix Nebula best practices: Helix Nebula can provide a series of Cloud Computing best practices (SLAs, flagships results) fundamental for the European and International cloud computing uptake.

The three lines of services differ extensively. The first two services are related to the technical development of the Helix Nebula infrastructure: the generic cloud computing services have matured and will go into production in 2014 (they were thoroughly tested in the first year); the InfoaaS is at an early stage of development and won’t be operational before the end of the EC project (May 2014). The third service: the provision of HN best practices is a service aspect from which the entire European and international community can benefit and is mostly related to the documentation of results and the dissemination of the Helix Nebula expertise. Three different communication, dissemination and engagement strategies will be adopted for the above mentioned services.

Objectives of the Helix Nebula Generic Cloud Computing Services engagement strategy:

Provide detailed information about the set of services through a website revamp and targeted communication (newsletter, press releases, etc.)

Identify and engage a first set of potential users who can test and use the Helix Nebula services (starting from the new user flagships)

Provide trial access to the services in order to enlarge as much as possible the user database and boost the infrastructure uptake (by early 2014).

Objectives of the Helix Nebula Information as a Service (InfoaaS) engagement

strategy: as these services are at the stage of development, the objective for the next eight months is to start promoting them so as to create awareness and interest about this future offer (website revamp & targeted communication starting with the January 2014 press release).

Objectives of the Helix Nebula cloud computing best practices engagement strategy:

the main objective is to spread the Helix Nebula results and knowledge to the wider public and policy makers in order to maximize the initiative political and social impact (through again the website revamp, publications of success stories, and the final public event in May 2014).

4. Detailed engagement plan The table below describes specific actions to engage target stakeholders identified for the promotion and uptake of the generic cloud computing services and best practices. For each stakeholder, the value added for Helix Nebula has been identified. Many of these stakeholders could be of interest to Helix Nebula and since many others could be singled out in the following months, we have decided to prioritize the list as to clarify the engagement plan. By December 2013 the focus will be put on the engagement of “High priority” stakeholders. Stakeholders with “Medium priority” will be addressed by May 2014 while for “Low priority” stakeholders only general dissemination actions are foreseen given the high amount of activities scheduled in the period.

recommendations in line with the available efforts. The final roadmap together with the implementation progress and the activities to be performed in future projects will be documented in the Helix Nebula D6.2.

• Contribution to preparation of EGI.eu- Helix Nebula marketplace (HNX) MoU for the transition to service production phase.

• Engagement of EGI.eu with one or more Helix Nebula research institutions (ESA and CERN) to develop a plan to demonstrate interoperability between the EGI Federated Cloud and the Helix Nebula suppliers. This activity will include the run of one or more of the Helix Nebula flagship applications on the EGI Federated Cloud with the aim to also run a more advanced test within a hybrid scenario also integrating Helix Nebula’s Blue Box operated by commercial cloud providers. In particular, the deployment of the CERN flagship application will focus on the hybrid model where new capabilities expected for the production phase of Helix Nebula will be tested.

• Enhancement of synergy and consistency in

the communication actions between Helix Nebula and EGI-InSPIRE project concerning common activities in the area of cloud and interoperability. The goal is achieving higher effectiveness in dissemination actions towards respective communities and stakeholders and policy makers by keeping each other party informed on respective activities in areas with a potential for cooperation.
