Simple items that most of us don’t think twice about… unless you’re one of millions of Americans coping with homelessness, poverty, or the effects of a natural disaster. World Vision Hygiene Kits help meet basic needs, while carrying a message of hope to those struggling through life’s difficult days.

Involve your colleagues, church members, family, and friends in a fun and meaningful community service project.

Grow closer together as you work to touch the lives of families in need right here in the U.S.

You can send your assembled Hygiene Kits to a local World Vision office for distribution, especially in light of a disaster.

OR

Your group can organize your own distribution of Hygiene Kits to individuals and families in need right in your local community.

Families in need can face another day with your help.

A Hygiene Kit event is fun and rewarding for everyone who participates.

We’ve provided the following information to help you host a successful event from start to finish.

Planning your Hygiene Kit assembly event

•Getapprovalfromyourgroup’sdecisionmakers.

•Setadate. We recommend allowing 8-12 weeks from the time you start planning to the completion of your event. NOTE: If your event is in response to a disaster situation, we recognize that the time frame likely will be much quicker.

•Registeryoureventatwww.worldvision.org/hygienekits. You’ll need to provide an estimated number of kits and a proposed date when you register.

•Secureyourvenue. Ensure that your event location is scheduled for the delivery of your Hygiene Kit supplies.

•Recruityoureventplanningteam. Hygiene Kit events are more enjoyable when responsibilities are shared by a team of volunteers (see sidebar).

•DecidehowmanyHygieneKitsyouwanttoorderandassemble. Your World Vision event specialist can help you determine this, based on the number of participants you expect, the funds you hope to raise, and the size of your venue.

•OrderyourHygieneKitsupplies.You will need to confirm the delivery date and location. please allow three weeks for delivery and make appropriate arrangements for receiving them at your venue. You can order Hygiene Kit supplies from World Vision by calling 1.800.478.5481 or by visiting us online at www.worldvision.org/hygienekits

•Gatherneededsuppliesandresources (see a list of suggested supplies on page 13).

STEp 2:

Getting Organized

As you plan your event, recruit people to carry out these responsibilities:

Logistics. Arrange a suitable venue, organize event layout, procure supplies and coordinate product delivery and pick up of assembled kits with World Vision, if applicable.

Finance. Budget or fundraise for the purchase of Hygiene Kit contents through World Vision, and any other event costs (ifany).

publicity. Coordinate all pre-event communications and promotion.

Set-up/clean-up. Set up tables and product for assembly station(s) and boxing station(s), and clean up after the event.

Event management. On event day, oversee the assembly of Hygiene Kits and organize your day-of-event volunteers.

•PromoteyoureventusingtheresourcesprovidedbyWorldVision. These resources will help your group understand the needs of families living in poverty or affected by disaster and how they can make a difference.

•Signupparticipantsinadvancesoyoucanplanforanefficientandenjoyableevent.

•Setupassemblystations.Diagrams and “best practices” suggestions are available from World Vision and can be found at www.worldvision.org/hygienekits.

•ShowtheHygieneKitsvideotoyourparticipants. This helps all of your participants understand the value and importance of your event.

•ExplaintoparticipantshowtheywillassembletheHygieneKitsandpackthemforshipping. (A list of ways that participants can help can be found on page 14 of this Leader’s Guide).

•Prepareyourcompletedkitsforshipping. (Detailed packing and shipping instructions are located on page 15 of this Leader’s Guide).

•Thankeveryone–participants and volunteers –for the gift of their time and energy.

Hosting Your Event Day

•Tables. We recommend three 8-foot tables or four 6-foot tables for each assembly station. We recommend one station for every 25-35 participants at your event.

•Writingtablesandchairs. Round tables are ideal for writing the notes of encouragement that go into each Hygiene Kit. The number needed depends on your space and the number of participants.

•Pens.Be sure to have plenty of pens on hand for writing the notes of encouragement.

•Boxcutters. Be sure to have plenty on hand.

Suggested Supplies and ResourcesYou will need to have the following supplies and resources on hand for your Hygiene Kits event:

•Packingtapeandtapeguns. Amount needed depends on the size of your event.

•Dolly(s)/wheeledcart(s). For moving boxes.

•Shippingpallets. If World Vision is picking up your assembled kits, one pallet will be required for every 430 kits you assemble. If you assemble fewer than 430 kits, no pallets are required.

•Shrinkwrap (if needed). Used to secure boxes onto a pallet.

•Palletjack (if needed). Available at most equipment rental outlets.

•RegistrationandWelcomeHosts. The number of these volunteers depends on the size of your event.

•AssemblyStationCaptains.One captain recommended for each assembly station to coordinate the product layout and replenishment.

•AssemblyStationVolunteers. Working under the direction of the assembly station captains, these volunteers help with the initial product layout and replenishment (two per assembly station recommended).

•BoxingStationVolunteers. The volunteers box, seal and stack the completed Hygiene Kits. The number needed depends on the size of your event.

•GeneralSet-upandClean-up. The number of volunteers depends on the size of your event.

Roles for Volunteers on the Event DayThere are many ways for members of your group to get involved in your Hygiene Kits event. We suggest the following roles:

IfyourgroupisdistributingyourHygieneKitsdirectly:

Followthroughontheplansyouhaveinplacetodistributethekitstothefamilieswhoneedtheminyourcommunity.

PackingandShippingInstructionsAllcompletedHygieneKitsshouldbepackedinthewhiteWorldVisionboxesprovided.Eachboxholds12kitsandweighsapproximately30pounds.

•Askforfeedback. Distribute the participant questionnaire (available online). please mail the completed questionnaires to your World Vision Event Specialist.

•Shortlyafteryourevent,WorldVisionwillsendastatement outlining the donation amount needed to cover the cost of your Hygiene Kits and where you can send your check.

•Celebratethedifferenceyou’vemadeinthelivesoffamiliesinneed!

Caregiver Kits are filled with supplies like soap, latex gloves, and basic medications. These kits equip volunteers caring for families affected by AIDS and other diseases.

Promise Packs include school supplies, hygiene items, a warm blanket, and personal notes of encouragement. These backpacks help children living in vulnerable circumstances due to poverty.
