Introduction About this Guide

1 Introduction

This document is intended for users of myPortal web and describes its operation

in detail.

myPortal web can be used with the following communication systems:

• HiPath 3300/3350/3500/3550 as of V8R4

• HiPath 500 as of V8R4

myPortal web is a web-based solution that was optimized for presentation on

 Apple' s iPhone,

 but is basically also compatible with other mobile phones such as Symbian OS

Smartphones (e.g., the Nokia E Series). Please note, however, that this may

result in deviations to the description provided here. Due to the numerous

operating systems and web browser variants available on the market, it is not

possible to guarantee the proper functioning of myPortal web on all mobilephones.

You can also use the OpenStage 60/80 to change your Presence status.

In addition, myPortal web can also be operated with an installed Internet browser

on a PC.

IMPORTANT: In order to use myPortal web, Javascript must be

enabled in the mobile web browser.

IMPORTANT: To access the full scope of myPortal web, you need

myPortal entry.

See the User Guide for myPortal entry for details.

Overview

When operating PC programs with a mouse, the following assumptions are made

for the mouse configuration:

• Primary mouse key: "Click on ..."

• Secondary mouse key: "Right-click on ..."

1.2 Overview

myPortal web provides you with a unified messaging solution with optimized

performance for mobile use.

IMPORTANT: If you want to use a mailbox function when using

myPortal web, deactivate your GSM mailbox on the mobile phone

and use the EVM of the communication system instead.

The myPortal entry Web Services allow you to quickly access the phone numbers

of employees, colleagues and external contacts from your mobile phone. Several

different directories are provided by the Web Services for this purpose.

The system directory contains all the speed dial destinations of the

telecommunications system. The internal directory contains all internal users,including their current presence status. The personal phone directory contains

your individually created contacts and offers you the option of importing your

Outlook contacts. The recursive search function across directories allows you to

quickly find the desired contact.

myPortal web supports you in using your phone with the following features:

• Call control for inbound and outbound calls

• Status-based call forwarding

• Personal directory/contacts

First Steps

If configured accordingly, you will need to change your personal password before

using myPortal web for the first time. Your system administrator has the required

data.

You will also learn how to start and stop myPortal web here.

1.4.1 How to Change the Password

Pre requ is it es : •  Login Name (your station number) and Initial Password (identical to the login

name by default).

•  IP address of the myPortal entry Web Services Assistant.

Step by Step: 1. Open an Internet browser and enter either of the following URLs http://

<admin IP address>:8801/admin or http://<admin IP

address>:8802/admin  in its URL line. Then confirm your entry. <admin

IP address> refers to the IP address of the myPortal entry Web Services

 Assistant.

2. Enter your phone number in the Name field and the initial password (which is

identical to the user name by default) in the Password field, and click Login.

3. Enter a new password that is only known to you in the Password and

Confirm Password fields. If required (ask your system administrator), the

password must contain a minimum of eight and a maximum of 16 charactersand consist of a combination of uppercase and lowercase letters, digits and

special characters. The valid special characters are:

!"§$%=?‘{}´*+~’#|^;:<>& .

4. Click Save and log out from the myPortal entry Web Services Assistant.

Next steps:  If you are using myPortal entry, you have to use the new password there as well

(see the myPortal entry User Guide).

Prerequ is it es : •  myPortal web is saved as a Favorite/Bookmark named myPortal on the Start

page of the phone.

Step by Step: 1. Click on the myPortal symbol on the Start page.

2. Enter your user name and password in the User Name and Password fields.

If configured (ask your system administrator), the access data at the first login

will be saved as a cookie on your mobile phone and thus speed up the login

process for subsequent restarts.

3. Click Login.

myPortal web offers you not only the call control functions for your mobile phone,

but also many convenient functions in various directories (phonebooks).

2.1 Call Number Formats

Call numbers can be specified in different formats.

2.2 Call Functions

You can use myPortal web for call control functions on your mobile phone, e.g.,

to make calls. To make calls, you can dial phone numbers directly from your

personal contacts, the list of internal phone numbers or the system directory.

 A separate dial pad is available to enter phone numbers manually. It is

recommended that you only use this dial pad to enter a phone number manually.

2.2.1 How to Answer a Call

Step by Step: 1.  Accept the call as usual with the pick up call button.

2.2.2 How to Make Calls by Entering a Number Manually

Step by Step: 1. Click on Dial Manually.

2. Enter the phone number in dialable format via the dial pad.

3. Click on the green handset button.

2.2.3 How to Call from a DirectoryStep by Step: 1. Click Directories.

2. Select one of the directories

3. Click on the desired subscriber.

4. Click on the desired phone number.

Symbol Function

Transfers the respective digit 1 to 9, * or # into

the input field.

Deletes the last entered character from the inputfield.

Dials the entered phone number.

2.2.4 How to Redial

The last ten phone numbers dialed (with or without a connection) are displayed in

the Redial list. Identical numbers appear only once in the list.

Step by Step: 1. Click Redial.

2. Select a number from the list.

3. Click Dial. Clicking Delete removes the previously dialed number from the list.

2.2.5 How to End a Call

Pre requ is it es : •  You are conducting a call.

Step by Step: 1. End the call as usual with the hang up call button.

Next steps:  On some smartphones, you will need to bring myPortal web back to the

foreground manually after a call in order to continue working with it.

2.3 Directories

You can access the following directories or phonebooks from your mobile device:

For each subscriber, up to three different phone numbers can be entered into the

personal contacts:

The Search symbol can be used to search in every directory by name.

Details of the List View

The list view of a directory shows the following details:

• Presence status (internal directory only)

• Name

• Station number 

• Symbol for origin of entry

Step by Step: 1. Click Directories.

2. Click on the Search symbol next to the directory to be searched.

3. Enter a search term in the Name or first letter  field.

4. Click Search.

Next steps:  Click on an entry in the search results to dial this phone number.

Presence Status

3 Controlling Availability

To control your availability, you can use the Presence functions of myPortal web.

3.1 Presence Status

The Presence status controls different call forwarding destinations and the Do Not

Disturb mode. The call forwarding destinations are configurable. The Presence

status is visible to all myPortal web subscribers in the internal directory.

It is also displayed in myPortal entry and can be alternatively set via myPortal

entry.

3.3 Presence Status at the OpenStage Telephone

 As with the display on the iPhone, you can also optionally display and edit your

Presence status when using an OpenStage telephone.

3.3.1 How to Start the Presence Application for the First Time

Pre requ is it es : •  An OpenStage 60/80 with the myPorta l for Openstage  installed; see the

 Administration Guide for the telephone.

Step by Step: 1. Press the sensor keyv as often as needed until the Applications tab

appears.

2. Use the option f to select the myPorta l for Openstage  application and

confirm this withi.

3. Enter your personal password and confirm this with ok. The initial password(if not subsequently modified) corresponds to your station number.

Next steps:  You will see the myPorta l for Openstage  application with your selected status

as an icon. You can now change your presence status.

3.3.2 How to Change the Presence Status

4 Voicemail

myPortal web enables you to conveniently manage voice messages in your

voicemail. You can listen to your voicemails, for example, and delete voicemessages. In order to access voicemail from within myPortal web, voicemail must

be set up in the communication system and subsequently configured and enabled

in Manager E and myPortal web.

Symbols

The interface for voice messages contains the following symbols to control the

voicemail:

Displaying Voicemail Messages

New messages are indicated in the idle display of myPortal web as a red

exclamation mark. In addition, the number of all new and old messages is shown

in the Voicemail menu. During the retrieval, the date, time and, if present, the

caller' s phone number are displayed.

Calling the Sender of a Voice Message

If the caller' s phone number is available, you can call the sender of a voicemail.

4.1 How to Listen to a Voice Message

Step by Step: 1. Click Voicemail.

2. Click Connect.3. Click Play voicemail.

Next steps:  Click on Next Voicemail to listen to further messages. After using the voicemail,

you may need to return to the myPortal web interface, depending on which mobile

phone and browser you are using (iPhone: turn on loudspeaker if no headset is

connected, close the phone interface, reopen the safari browser).

4.2 How to Delete a Voicemail

Step by Step: 1. Click Voicemail.

2. Click Connect.

3. Select the desired message.

4. Click Delete voicemail.

4.3 How to Call the Sender of the Voicemail

5 Configuration

You can configure myPortal web in accordance with your requirements.

The Dial mode is used to define how outbound calls are to be conducted.

The settings for Dial mode and Language can also be changed by using the

myPortal entry Web Services Assistant; see How to Select the User Language and How to Select the Dial Mode.

INFO: When you make multiple changes under Settings, it is

sufficient to simply click Set just once at the end.

Callback preferred The connection is set up through a callback from the

communication system.

You are using the ONS (One Number Service).

The immediate acceptance of a call by the mobile phone mailbox

must be disabled.

GSM preferred Calls are conducted via a direct mobile connection without any

involvement of the communication system.

Connection option when neither ONS nor DISA are available.

Only applicable for manual dialing and personal contacts. Thisrequires the phone number in the personal contacts to be in

canonical format, (e.g., +49(89)7…

DISA Call-Through The connection is set up through the communication system via the

DISA (Direct Inward System Access) phone number.

You are using the ONS (One Number Service) and have a fast call

setup.

This option makes sense if you have a mobile phone contract with

a flat rate for calls into the fixed network.

If more than the selected number of entries exist, you can scroll to the next or

2. Select a value of between 4 and 50 entries in the Directory entries per

screen list.

3. Click Set.

5.4 How to Set the Refresh Cycle Time

 An automatic refresh regularly updates the screen contents such as the display

of new voicemails, for example. However, activating the Auto Refresh feature can

significantly increase the data traffic. Consequently, you are advised to enable

this option only if you have a mobile phone contract with a flat rate for data

transfers. Off  disables the auto refresh.

Step by Step: 1. Click Settings.

2. Select a time in seconds in the Auto Refresh list.

3. Click Set.

5.5 How to Change the Display Resolution

You can set the resolution of the myPortal web pages to suit that of your mobile

phone. You can choose between resolutions of 320 x 480 (HVGA) and 240 x 320 

(QVGA) pixels. For mobile phones with other resolutions, please choose thesetting that is closest to the actual horizontal  resolution. Desktop stands for

usage on a PC screen.

Step by Step: 1. Click Settings.

2. Select a display resolution in the Display resolution list.

3. Click Set.

5.6 How to Enable or Disable the Touchscreen Function

You can define whether or not your mobile phone for myPortal web shouldsupport the touchscreen function.

2. Under Touchpad, select either Yes or No.

myPortal entry Web Services Assistant is a web-based configuration tool with

which you can customize your personal settings and display information.

The user interface of the myPortal entry Web Services Assistant has been

designed for use with a PC browser. It can, however, also be called from the

browser of a mobile phone, but with reduced ease of use.

Menu

The menu contains the following areas:

• User Management

Used to set up your user data. Some data cannot be changed and is only

displayed here.

• Information

Displays version information on the myPortal entry Web Services Assistant.

How to Open the Web Interface

User Management

The Password is required for accessing myPortal web and myPortal entry on the

WebServices PC.

IMPORTANT: If you change the password here, you will also

need to use the same password for logging into myPortal web as

well; see How to Start myPortal web. If you are using myPortal

entry, you have to use the new password there too (see the

myPortal entry User Guide).

The Language and Dial mode settings as well as all device settings can also be

changed by using myPortal web; see:

6.1 How to Open the Web Interface

Pre requ is it es : •  Login Name (your station number) and your personal password

•  IP address of the myPortal entry Web Services Assistant.

Step by Step: 1. Open an Internet browser and enter either of the following URLs http://

<admin IP address>:8801/admin or http://<admin IP

address>:8802/admin  in its URL line. Then confirm your entry. <admin

IP address> refers to the IP address of the myPortal entry Web Services

 Assistant.

2. Enter your phone number in the Name field and your personal password in

the Password field and click Login.

6.2 How to Change the Password

Pre requ is it es : •  The myPortal entry Web Services Assistant has been started; see How to

Open the Web Interface.

Step by Step: 1. Click User Management.

2. Enter a new password that is only known to you in the Password and

Confirm Password fields.

3. Click Save.
