HR & Payroll Officer
The role
Reporting to and working closely with the Bursar, this is a senior support staff role with day to day responsibility
for Human Resources and Payroll at the school. This is an opportunity to join a successful girls’ school
committed to innovation, development and the provision of an excellent, all round education in a warm,
stimulating and supportive environment. The role covers the recruitment process for all new staff (and
associated compliance requirements), management of the monthly payroll, administration of the pension
schemes and dealing with HR matters or issues as they arise. The role requires keen attention to detail and
excellent administrative skills and, for the right candidate, it will be a challenging and rewarding position.
Job description
Whilst the below list is necessarily not exhaustive, duties will include:
Manage the recruitment process in accordance with the Independent School Standards Regulations
and with ‘Keeping Children Safe in Education’
Administer all aspects of the recruitment process: place advertisements, send and receive
applications, arrange interviews, seek employment references, apply for DBS and Barred list checks,
run prohibition order checks, apply for overseas checks, check eligibility to work check, issue medical
questionnaires, issue disqualification from childcare forms, produce offer letters and contracts
Manage the new joiner process from offer letter through to joining instructions and induction and
administer the probationary review periods for all staff
Maintain and continue to review staff contracts and the Staff Employment Handbook, updating as
required, according to any changes in policy or legislation
Administer all aspects of payroll, including the preparation of monthly pay amendments for an
outsourced payroll
Liaison with staff to ensure timesheets are correctly completed, authorised and received in a timely
manner
Management of processing and administration of monthly payrolls including management reporting
and statutory filings (P14/P60, P11D, PAYE settlement, P45, P46)
Prepare monthly statutory returns e.g. PAYE, pensions, statistical returns
Undertaking monthly and year end reconciliations (payroll, pensions, PAYE, NIC, auditor’s schedule)
and month end journals
Administration of the school’s obligations under the terms of the Teachers’ Pensions Scheme, e.g.
starters, leavers, changes, periodic returns
Administration of the stakeholder pension
Handle maternity, paternity, adoption and parental leave processes and queries
Maintain all staff records both manual and electronic
Advise on and assist in carrying out pregnancy related risk assessments in conjunction with the
relevant Line Manager to ensure compliance with relevant legislation.
Administer procedures for staff that are leaving and retirements such that a planned approach is
adopted in relation to staffing matters
Ensure all staff are kept up to date with developments regarding their pension provision, arranging
information sessions and providing guidance as appropriate.
Monitor and assist in the management of staff procedures relating to induction, sickness absence
and attendance
Ensure all staff are kept up to date with developments regarding their pension provision, arranging
information sessions and providing guidance as appropriate.
Advise on and assist in carrying out pregnancy related risk assessments in conjunction with the
relevant Line Manager to ensure compliance with relevant legislation.
Administer procedures for staff that are leaving and retirements such that a planned approach is

Monitor staff procedures relating to equal opportunities
Provide support in investigations for disciplinary and grievance procedures
Provide advice, guidance and support to all staff on all aspects of personnel policies e.g. annual leave,
pay, maternity leave, paternity leave, equal opportunities, etc. ensuring an objective, professional
and confidential service
Provide the Headmistress and Bursar with any relevant information as required.
Advice and guidance on changes to legislation and potential impact on the school
If required, manage TUPE transfers in association with the Bursar
Undertake other tasks as reasonably required by the Bursar
Person specification
Educated to degree level
Previous experience of payroll management desirable
Prior experience in a school advantageous but not essential
Highly organised with a keen eye for detail
A strong communicator – approachable and articulate
Strong numeracy skills
Highly motivated with a ‘can do’ attitude
Terms & Conditions
Salary: £38,000 – 40,000 per annum FTE
Normal working hours: 9:00am – 4:00pm Monday to Friday including 1 hour unpaid lunch break – 30 hours
per week total. Term time (37 weeks a year) plus 5 weeks during the school holidays
Pension: Employer contributions to a defined contribution pension scheme
Notice: Probationary period of 6 months. Thereafter two months’ notice for employee and employer
Lunch is available free of charge whilst the school is in session
