Executive summary

The dissemination plans details its objectives and provide a detailed plan of dissemination activities foreseen in the projects.

This includes a plan for dissemination activities detailing the foreseen actions in time. It explains which representatives of target groups will be the focus of dissemination efforts and how they will be addressed by the project. The target groups range from the automotive and ITS industry to local authorities and the research community.

The dissemination plan list the publications in which information about the project will be published and at what time this is foreseen what is the foreseen timetable for some specific dissemination activities such as the newsletters and a details list of events at which the project is expected to be presented and in which format.

Finally the document proposes a calendar and identifies clearly activities related to the establishment and the coordination of the exploitation group. This is fully coordinated with other dissemination activities as it also benefits from dissemination, complement it and to a large extent strengthens it as exploitation guarantees that the project results are used beyond the project partnership and the duration of the project. It is therefore a specific aspect of dissemination activities.

Unlike deliverable 7.1, this dissemination plan is not a static document and should be updated annually. It is expected to be updated as the calendar of activities may evolve depending on a number of factors such as the arising of new dissemination opportunities, new events, or the disappearance of opportunities at events currently seen as promising ones for the project.

1 Dissemination Plan objectives

The dissemination plan lists dissemination tasks and actions identifying the responsible partners for their implementation, together with a calendar for their implementation. By nature, it is expected to be revised regularly during the project.

Table 1 summarizes the ICT-Emissions main dissemination tasks, their brief description and lead participant.

7.1 Dissemination and Exploitation Strategy

This task’s main goal is to identify the most efficient ways to guarantee maximum exploitation and dissemination of the project results. The strategy defines the target groups to be addressed, the planned dissemination tools and sets an exploitation strategy which will lead to the final exploitation plan.

7.2 Website The project website is the project’s main point of reference for the actors of the sector and the public to obtain detailed information. Visitors to the website will find information on project objectives, activities, consortium members and other relevant projects/activities, as well as access to public deliverables.

7.3 Dissemination Material

This task will create the dissemination tools that are required to raise awareness of the project among a wide audience. The tools include:

the ICT-Emissions logo and corporate identity;

the ICT-Emissions leaflet (in English; 500 copies will be printed);

electronic newsletters;

the publication of 2-3 articles in the general and specialized press;

a standard project powerpoint presentation.

7.4 Organization and Participation on Validation Dissemination Events

ICT-Emissions will participate and demonstrate its results at various events in the ITS and Transport fields. In addition, the consortium will organize a final workshop where the project’s results, methodology and developed expertise will be presented to a wide audience (70 to 100 participants).

7.5 Exploitation of the Project Results

The exploitation of the projects work and results will be done through the progressive establishment and facilitation of an ICT–Emissions exploitation group gathering potential users, comprising transport planners in urban authorities and in private practice, for whom ICT-Emissions will offer a valuable methodology and tools specifically aimed at energy efficiency and CO2 emission reduction. It will define an exploitation plan through consultation of the different exploitation target groups, which will identify specific opportunities and actions by group of users.

2.2. LIST OF PUBLICATIONS

The description of work strategy foresees the publication of 2-3 articles in the specialised and general press. Tentative calendar for the publication of these articles:

Opportunities for more references in the media will be sought for, in November 2014 and at the time of the final event.

2.5. EXPLOITATION GROUP COORDINATION AND MEETINGS

2.5.1. CREATION OF AN INFORMATION SHEET FOR LOCAL AUTHORITIES

To support the exploitation of ICT-Emissions a clear description of the requirements is necessary for cities wishing to provide data to the project in exchange of an assessment of the impact of ICT on CO2 emissions for some systems on their network (see Annex 2).

This information sheet as been released and distributed at the Polis conference 2012.

2.5.2. EXPLOITATION GROUP MEETINGS

The first meeting of the exploitation group for local authorities is organized in Amsterdam on October 17th. The meeting is meant to present the ICT-Emissions project and its methodology to cities. It also aims at engaging them in a dialogue with the project and at assessing the interest of local authorities in exchanging information with ICT Emissions to assess CO2 emissions for their local ITS measures.

A second meeting has met on March 7th 2013 in Brussels and saw participation of Toyota Motor Europe, Bosch, Aimsum (TSS-Transport Simulation Systems), PTV, TNO, Magneti Marelli, and Nokia, including city of Zurich and Rotterdam. These organisations serve in the ICT-Emissions Advisory Group which is established to advise the ICT-Emissions project progress and exploitation of results.

More workshops and meetings than initially foreseen in the exploitation group will be organised to enable a stronger feedback from group members towards the consortium and to better support the exploitation of the project results.

2.5.3. ESTABLISHING AN ADVISORY GROUP TO SUPPORT THE EXPLOITATION ACTIVITIES

It is proposed, in the framework of the exploitation activities, to create inside the exploitation group a specific advisory group made of individuals representing organisations and companies expected to support exploitation but also committing to provide feedback on the project progresses and approach. This group will bring together key experts with the role of:

Advising on the content and methodology of the project;

Support exploitation through their advice and their personal ability to reach out a very large group of potentially interested parties.

A draft letter of invitation for this group is prepared (see Annex 1).

The budget allocated to the exploitation group will also support the travel expenses of the members of the advisory group, in particular the cities. It is expected by engaging with the project, members of the advisory group will also be at the core of the exploitation activities as they will recognise themselves in project results that will have contributed to shape.

Members of the advisory group are representing each group which is expected to apply a critical role in the exploitation of the projects results, excepted potentially transport users.

Annex 1 - Draft letter of invitation to the participants to the advisory group

Dear ….,

I have the pleasure to invite you to become a member of the ICT-Emissions advisory group.

ICT-Emissions is a European funded project which aims at developing a novel methodology to quantify the impact of ICT- measures on energy consumption and CO2 emissions of individual vehicle s and vehicle fleets at the local scale, in order to promote the wider application of the most appropriate ICT/ITS measures (for more information please visit http://www.ict-emissions.eu).

Based on the expected results, the project will issue recommendations and implementation guidelines that can lead to significant energy and CO2 reductions from road transport.

The methodology is being developed at two levels:

A micro-level, where the impact of ICT measures is modeled at single vehicle level. The micro-level is specifically developed for passenger cars, as they dominate CO2 emissions in passenger transport in Europe (>80% of total land passenger transport). The micro-level takes into account the effect of ICT measures on driving pattern and driver behaviour. This is combined with an instantaneous emission model, taking into account the effect of different vehicle technologies, specifically designed to be coupled to the micro traffic model.

Then, results of this microsimulation are extrapolated to the macro level. Total CO2 emissions from road transport are then calculated for all vehicles using traffic situation and/or average speed specific emission factors for other road transport vehicles. The methodology allows translation of a local ICT measure (e.g. street level) on CO2 emissions over a wider area (e.g. urban level), with a representative level of detail at both the local and the wider level.

In the framework of the project, an advisory group is being created. It will have the following tasks:

Advise on the progresses of the project, the definition of the methodology and its use for specific ITS measures;

Advise on the exploitation of the methodologies and of the project results.

The ICT-Emissions advisory group will meet about once a year during the next two years, starting in the first semester of 2013.

Annex 2 - Joint ICT-Emissions exploitation activities to better assess the impact of ITS on CO2 emissions

The project ICT-Emissions aims at developing a novel methodology to evaluate the impact of ICT-related measures on mobility, vehicle energy consumption and CO2 emissions of vehicle fleets at the local scale, in order to promote the wider application of the most appropriate ICT/ITS measures.

The project offers the possibility to apply its work and methodology to new cities which would be interested.

For this purpose:

1. We are looking for existing case studies where ITS (Intelligent Transport Systems) measures have been implemented. Any study, in which traffic, and if possible driving profiles, has been analysed before and after the implementation of the ITS measure, would be useful.

2. In addition and in more detail, ICT-Emissions sets up advanced tools for the evaluation of CO2 emissions in simulated environments. This includes a run time interface of Aimsun traffic simulator with the AVL Cruise model which allows for detailed simulation of vehicle dynamics and pollutant emissions.

We therefore also look for existing “before-after” simulation studies, made with Aimsun traffic simulator, which could be rephrased with the new ICT-Emissions methodology in order to provide more reliable estimates of the CO2 emissions for the specific application.

To join such exercise a full Aimsun model must have already been implemented for the case study. This means the availability of calibrated inputs like (time varying) Origin Destination matrices, measurements used for calibration/validation like detector counts, time mean speeds, travel times, FCD, etc. for both before and after scenarios must be available.
