WELCOME TO IFAP

Welcome and thank you for choosing IFAP for your training needs.

Please take the time to read the information in this booklet as it is provided to ensure that your time with us is enjoyable, productive and of course, that your safety and health is protected.

What to bring:

Correct Footwear must be smart and clean. Flip-flops/thongs (including fashion / dress footwear of a similar style) are not acceptable for participants at any location. Participants that are walking in practical training areas at any IFAP facility, must adhere to all safety footwear requirements as indicated on signage, including the requirement that footwear must be enclosed in these areas.

Personal Protective Equipment (PPE) may be required for your course (long sleeve shirt, long trousers, safety boots, hard hat and/or gloves). Please check with your Course Facilitator on day one of your course.

Proof of Identification (Photo ID) may be needed for some courses. Please ensure you have checked your course enrolment details regarding what may be required.

EMERGENCY EVACUATION PROCEDURES

In the event of an emergency at IFAP please refer to an IFAP Warden or your Course Facilitator for direction.

The primary role of an IFAP Warden in the event of an emergency situation is to ensure the safety of visitors and course participants during an emergency or threat.

IFAP CODE OF PRACTICE AS A TRAINING PROVIDER

IFAP is a Registered Training Organisation (#1907) and was registered under the Training Accreditation Council in 1998. From 1 July 2011, IFAP has been regulated by the National Regulator for Vocational Education and Training (VET) – Australian Skills Quality Authority (ASQA). This status recognises IFAP’s commitment to provide quality vocational education and training to industry and clients.

PURPOSEThis Code of Practice provides information on IFAP’s practices and procedures as a Registered Training Organisation. It outlines the way in which IFAP operates and the principles upon which our training services are provided. It also supports IFAP’s Mission Statement.

CODE OF PRACTICE STATEMENTIFAP is committed to integrating Access and Equity principles within all the services that are provided to our clients. All staff recognise the rights of participants and provide information, advice and support that is consistent with our Mission and this Code of Practice.

Regardless of cultural background, gender, sexuality, disability or age, IFAP employees and clients have the right to an environment that is free from discrimination and harassment and to be treated in a fair and considerate manner.

If, at any time, you feel that IFAP is not abiding by the Code of Practice, please report your complaint or appeal to your Course Facilitator. If your Course Facilitator cannot resolve the issue promptly, it will be escalated to the respective Management Representative for resolution. If you do not feel satisfied with the outcome, then you will be asked to complete a Complaints and Appeals Form (available on our website or by request).

COURSE PROMOTIONIFAP will market and promote courses with honesty, accuracy and integrity and will not mislead or misrepresent the qualification or outcomes which may be achievable.

IFAP will not knowingly make misleading or false comparisons with any other course or provider.

COURSE INFORMATIONSpecific course brochures and flyers have been developed for all of the courses within our current scope of registration.

EDUCATIONAL STANDARDSIFAP is committed to providing high quality training courses which utilise:• Up-to-date information• Specialised, knowledgeable and trained facilitators• High quality training materials and equipment• Training equipment which is illustrative of common use in industry• Practice facilities of the highest standard• Appropriate equipment and venues where training is not carried out at IFAP’s premises• Post course support

IFAP GUARANTEE POLICYIFAP does not guarantee that any participant or client will achieve a successful outcome, however, IFAP will make reasonable efforts to assist all participants in achieving the outcomes.

ENROLMENT & REGISTRATION As many participants are booked by their employer, IFAP can only be accountable to the employer’s representative for the suitability of the course and appropriate dissemination of any pre-course materials or information. In any dispute in this circumstance, IFAP will refer the participant to the employer. Speak to your Course Facilitator if you feel the course is not suitable to your needs.

Where a participant is enrolled and the course paid for by their employer, IFAP may be asked to verify course status, attendance and outcomes by an employer representative. At registration, participants sign a declaration allowing IFAP to disclose information regarding course outcomes to participants’ employers. Participants who do not wish to have information disclosed to employers, must inform IFAP at the time of registration.

COMMUNICATION WITH PARTICIPANTSPlease be aware that IFAP’s preferred method of interaction is via email. Participants are expected to keep IFAP updated with their most current, applicable email address for the duration of their enrolment.

IFAP PRIVACY POLICYIFAP will ensure all participants’ information and records gathered during the enrolment, training and assessment process remain confidential.

All records are kept in accordance with IFAP’s Privacy Policy and ASQA’s record keeping guidelines.

Personal information held by IFAP is relevant, accurate and stored securely with restricted access. The IFAP Privacy Policy can be accessed via your Course Facilitator or IFAP’s website for further information required.

CONTINUOUS IMPROVEMENTIFAP constantly seeks feedback against the services and products we deliver. Please assist us by completing course evaluation forms after your course. IFAP will monitor participant feedback and initiate action to ensure that any inadequacies are corrected, if practicable.

FEES & CHARGESPayments for each course must be made in full, prior to the course commencement. Some courses have optional assessment(s) offered as part of the course, which if taken, incur additional fees. Please refer to the individual course details for additional information. Information on fees and charges are clearly documented in our marketing material.

REFUNDS & CANCELLATION POLICYAll cancellations or variations to course bookings must be received in writing three working days prior to the course commencement.

No refunds will be given for cancellation of a booking received less than three working days of course commencement.

A change to another course date may be made at no additional charge, if more than three working days notice is given. Any changes made in less than three working days will incur an Administration Fee of 30% of the course fee.

If a participant is withdrawn from the course for disciplinary reasons, no refund will be provided.

CANCELLATION BY IFAPIFAP reserves the right to cancel courses without notice. IFAP will refund in full any payments received for any course that it cancels. IFAP will not be liable for any claims arising from course cancellation.

Mitigating circumstances warranting the waiving of this policy are individually judged on merit and any such reconsideration shall be at the full discretion of IFAP.

PROVISION FOR LANGUAGE, LITERACY & NUMERACY ASSISTANCEIFAP makes provisions for language, literacy and numeracy assistance on request. Participants should make the Course Facilitator aware, at the commencement of the course, if they have any specific needs.

All participants enrolling in courses resulting in a WorkSafe Licence, must demonstrate the use of the English language at a high level that enables the safe performance of high risk work as specified in the competency standard.

WELFARE & GUIDANCE SERVICESIFAP will endeavour to provide welfare and guidance to all participants. This includes learning pathways and possible Recognition of Prior Learning (RPL) opportunities, provision for special learning needs, provision for special cultural and religious needs and provision for special dietary needs.

PARTICIPANT SUPPORTIFAP offers participant support by RPL, options in learning, guidance via our Safety Coaches, one-on-one tutoring, pre-course interviews, training needs analysis, research facilities and information on our website.

REASONABLE ADJUSTMENTIFAP, where applicable, is able to make provisions for assessment methods to assist meeting the needs of a participant, providing the nature and range of the adjustment to an assessment tool or assessment ensures a valid and reliable collection, and delivers on the necessary course outcomes.

Participants should alert Course Facilitators at the commencement of the course, if they believe they may need consideration of adjustment.

STAFF RESPONSIBILITIES FOR ACCESS & EQUALITY ISSUESThe National Skills Framework has a strong focus on providing opportunities for everyone to access and participate in learning and to achieve their learning outcomes. Our Senior Management Team is accountable for ensuring all staff act in accordance with our Code of Practice and all participants/clients are made aware of their rights and responsibilities.

MAXIMISE YOUR LEARNING OPPORTUNITIESTo ensure all participants receive equal opportunities and gain the maximum from their time with us, rules apply to all people that attend any of our sessions. Any person(s) displaying fitness for work issues, dysfunctional or disruptive behaviour, may be asked to leave the session and/or the course.

DISCIPLINARY PROCEDUREIFAP reserves the right to counsel, terminate, suspend or reprimand participants who do not adhere to acceptable standards of behaviour, at any stage of their enrolment.

Reasons for exclusion may include:• Continuous interruptions to the Facilitator whilst delivering the course content• Being disrespectful of other participants• Being disrespectful of IFAP staff• Harassment by using offensive language• Sexual harassment• Acting in an unsafe manner that places themselves and/or others at risk• Smoking in non-smoking areas• Refusing to participate when required in group activities• Continued absence at required times• Being under the influence of legal or illegal substances that could affect their

safety or the safety of others• Refusing to complete assessment requirements• Not adhering to course requirements

For a participant booked onto a course and paid for by a company, the company will be contacted and advised that the participant was asked to leave the course and the reason for the action.

Any person who is asked to leave a session or course has the right of appeal through our Complaints and Appeals process.

RECOGNITION OF PRIOR LEARNING (RPL)RPL is the recognition of skills and knowledge obtained through previous work, training and life experience.

IFAP offers all clients and individuals prior to enrolment, the option to discuss and review each circumstance and the opportunity for RPL assessment (where applicable for the course). NATIONAL RECOGNITIONNational Recognition is a feature of the Australian Qualifications Framework (AQF) and unique to the Vocational Education and Training system. Under this agreement, IFAP will recognise qualifications and statements of attainment issued by any other registered training organisation in Australia. This allows a participant to gain credit for units of competency that they have successfully completed with another registered training organisation. Participants should discuss recognition needs prior to course commencement.

ASSESSMENT PROCESSFor courses with a post course assessment, your Course Facilitator will outline specific requirements.

IFAP encourages participants to have completed the assessments within 12 months of the course date. If participants have not commenced work on their assessment work-books after 12 months of course commencement, IFAP may withdraw the participant from the course through non-completion of course requirements.

Whilst enrolled in the course, but not yet complete, participants must remain ‘active’. Active participants are those who regularly (at least every 10 weeks) submit assessment material.

All assessment work must be authentic to the participant and signed by the participant. Participants must keep a copy of their assessments prior to submission, as IFAP takes no responsibility for assessments being lost in the post.

Assessments submitted to IFAP for marking may have a turnaround time of 4-6 weeks. Participants will be notified of their assessment outcomes in writing via email.

IFAP is required to keep student records of assessment decisions, for at least 6 months after the completion of the course criteria. A sample of participants work, may also be kept for validation and moderation purposes.

Upon enrolment, participants accept that IFAP may retain samples of work for these purposes.

RE-ISSUING CERTIFICATESIFAP is required to retain records in accordance with the Standards for NVR Registered Training Organisations. Training outcome records are accessible for a period of 30 years from course completion.

All requests for training records replacement must be made in writing, accompanied by a non-refundable fee of $55.00 for this service. Turnaround times for re-issue may vary, depending on the records requested.

COMPLAINTS & APPEALS PROCEDURESIFAP has a documented procedure that covers any complaints or appeals. All complaints are taken seriously and every attempt is made to resolve the issue as soon as possible.

Verbal grievances are discussed with the applicable party and an attempt made to resolve them at the time. Complaints may be verbally expressed or made in a written form.

Written grievances should be completed using IFAP’s “Complaints and Appeals” procedure, a copy of which is available via www.ifap.asn.au or through request from your Course Facilitator.

APPEAL AGAINST AN ASSESSMENT JUDGEMENTAll participants have the right to appeal a decision made about an assessment judgement. All appeals must be sent to the Organisational Learning and Development Manager, who will review the assessment judgement in collaboration with the course owner. The Organisational Learning and Development Manager may obtain assistance from any other person. All appeals will be dealt with fairly, promptly, impartially, confidentially and in a timely manner. Types of Membership and Pricing Corporate

Any body corporate which is registered in accordance with the Law and has full capacity and power to become a Member may apply for membership as a Corporate Member of IFAP. Membership only covers entities falling under one ABN, subsidiaries under a seperate ABN will be required to apply for membership in their own right. Associate

Any body corporate which is registered as a not-for-profit organisation in accordance with the Law and subscribes to similar objects as IFAP may apply for Associate membership of IFAP. Individual

Any individual who is over 18 years of age at the date of application may apply for membership as an Individual Member of IFAP.
