Executive Summary Cutting-Edge Web Content Management Systems from Immediacy, an established, consistent and reference-able CMS provider, will provide you with the ease of use required to enable all your website editors to get to work and produce quality websites quickly.

The Ellesmere Port and Neston Borough Council Requirement At Immediacy we know that the management of the content for your website is vital to your success. And with so much business critical information residing in your organisations back office systems, we want to give you the tools to ensure that this information is professionally managed and presented on your website in order to appeal directly to your market. With the ever-increasing reliance upon information and the ever-growing mountains of information organisations need to function, we understand that this becomes more costly and highly resource-intensive. The solution we are going to offer you to meet this need is the Immediacy Content Management System (CMS). Immediacy‘s CMS will transform your information stores into a well-kept, quality-checked and versioned document environment where our workflow processes will ensure everyone will know what they are supposed to be doing and when. Immediacy Web Content Management (WCM) is powerful enough to satisfy the most innovative web developer, yet so simple to use, that anyone can create, publish and manage their own content.

The Benefits of the Immediacy CMS Immediacy is arguably the easiest to use Web Content Management Software product, yet offers developers the scope, power and flexibility to extend the range of the product to accommodate any future needs. Immediacy CMS helps you achieve your content management goals in the following ways:

Look and feel - The software has a familiar Microsoft Office-like interface and intuitive operation, which makes it quick and easy for your users and web/intranet administrators to develop, revise and manage your content.

Accessibility - Based on our extensive work with public sector organisations, the software includes innovative accessibility features to help your editors and contributors to create content to W3C accessibility standards and, crucially, to maintain these standards over time.

Compliance - A sharp focus on standards compliance, both W3C and strict XHTML, improves accessibility for both users and search engines. Your marketers can get your website to the top of the search results list, and create multiple sites and landing pages to improve conversion rates for Pay-Per-Click (PPC)-generated web traffic.

Plug-in functionality - Immediacy CMS plug-in architecture makes the software popular with developers. Plug-ins are coded ‗objects‘ that can be inserted within a content area or template to automate, add or extend system functionality. A wide range of standard and premium plug-ins is available to enhance interactive and transactional web elements, such as form building and FAQ databases – and developers can also create their own to customise the functionality of Immediacy to work with your own internal systems and practices. The BBC, for example, created around 80 of its own Immediacy plug-ins to construct a powerful, customised intranet tool. Anyone on your team with a good understanding of JavaScript, ASP.NET and C# or VB.NET, SQL Server, XHTML, CSS and HTML can write their own plug-ins.

.NET 2/3 compatibility - .NET 2/3 compatibility enables you to build .ascx templates for Immediacy sites via Visual Studio.

Search engine optimisation - Immediacy websites are highly visible to search engines such as Google and Yahoo because our software creates the XHTML 1.0 strict-validated code that search engines prefer. Very effective organic search results can be achieved when this is combined with search engine marketing techniques such as keyword optimisation, friendly URLs and meta-rich page content. Immediacy CMS will enable you to do with straight out-of-the-box.

Social computing - Immediacy CMS, complemented by other components in the Web Content Management Suite, enables you to exploit social computing in the workplace to increase the scope and appeal of collaborative working. Immediacy has a successful business track record and is backed by an expert

support and professional services team. We were an early adopter of the AJAX technologies that drive the new-style, rich internet applications (RIAs) – and have continued to build on this to create even more intuitive and effective web-based interfaces

Company Profile

Company History Founded in 1996, Immediacy was one of the first software companies to pioneer a completely browser-based web content management (WCM) system. Our first software release featured a full in-context ‗What You See is What You Get‘ (WYSIWYG) software interface and combining it with sophisticated tools to empower both technical and non-technical users alike. Our software also featured AJAX technologies throughout, even though it wasn‘t called that back then. In June 2007, Immediacy was acquired by Mediasurface Group. Mediasurface is a software company, headquartered in the United Kingdom, with offices in the UK, USA, Benelux, Nordics, India and Asia Pacific. Also founded in 1996, Mediasurface has built up a wealth of knowledge in high-end Web Content Management centering on Oracle and Java technologies. Immediacy complements Mediasurface with its Microsoft technology know-how as well as offering WCM software that fits into their existing product range. Immediacy now has a global support platform and is expanding to provide local support and consultancy in all Mediasurface locations. Immediacy and Mediasurface have created an organisation that is now the clear market leader of Web Content Management in Europe. Due to the scalability of the product, Immediacy has been incredibly successful with a broad range of enterprises, public and private sector, of varying sizes, from the local to international; including: the BBC, the British Museum, DSG International, Knauf Insulation, NEC Electronics Corporation, ntl:Telewest, OKI Europe, Sage, North Staffordshire University Hospital NHS Trust, London Borough of Redbridge etc.

Culture Since acquisition we have been very keen to keep our energetic and innovative culture alive and now six months on we are pleased to confirm that the Mediasurface culture is very similar to our own and we see our new organisation really standing out as friendly, innovative, and honest. Many of our staff engage in weekly sports (football and rock climbing) and social activities, together with a hard working, achievement-led philosophy during office hours.

Products and Services Immediacy provides a full end-to-end service across the web content management landscape. We offer comprehensive, web content management solutions utilising the following key products:

• Immediacy Content Management System (CMS)

• Immediacy Web Asset Manager (WAM)

• Immediacy Taxonomy and Categorisation Manager (TCM)

• Immediacy SharePoint Connector (SPC)

• Immediacy Deployment Server (DS)

To support these products Immediacy offers a wide range of plug-ins to meet the technological expectation of today‘s discerning customer. Coupled with this the Immediacy CMS comes with a built in Accessibility Checker and intuitive browser based interface, to name but a few of the software features. Immediacy has its own dedicated teams of in-house developers and Professional Services team. To ensure our technology is at the bleeding edge and to ensure the smooth running of contracts and custom development works.

Innovation Innovation is at the heart of our business, and although we have been around since the commercial birth of the Internet (1996), we combine deep understanding of web technologies and business acumen with a young and vibrant community culture. Immediacy invests in its staff in a number of ways. We provide a fantastic working environment akin to a family run business.

Business Strategy Our ongoing strategy is simple; to be the leading supplier of innovative Web Content Management software across all market segments and at a price that represents great value.

Page 9: Immediacy Response to Ellesmere Port and Neston Borough ... · new-style, rich internet applications (RIAs) – and have continued to build on this to create even more intuitive and

Immediacy‘s strategic roadmap is now stronger than ever with an aggressive development program that underpins our global expansion program. Twenty-eight new customers have signed up for Immediacy‘s Web Content Management since March breaking all previous records. Immediacy now employs 75 people.

Development Agile development methodology (SCRUM) enables Immediacy to move faster and to refine major developments as they arise. Our aim here is clear – we believe that in order to give customers the very best from the web space, you have to be able to respond to a rapidly changing landscape. All Immediacy developers enjoy ‗research liberty‘ days. Every Wednesday developers are free to conduct research into any area that they choose. Each month Immediacy Senior Managers review output that the developers choose to show in a ‗dragons den‘ type environment. Successful developments taken forward into any of the Immediacy products attract a bonus made payable directly to the staff involved.

Networks Immediacy made radical changes across the Immediacy organisation in 2006 following an independent review of our business which led to dedicated account managers for all customers, a Gold Partner program design to increase Partner quality for customers choosing to work indirectly, and an ongoing commitment to ITIL accreditation for all support staff. Our 50+ strong partner channel extends our services into areas outside of WCM. We have promoted openness with our partners and customers through our extranet forum community. Blogging within Immediacy has become a major communication channel which is active in all business departments.

Ease of use With very little technical know-how, your editors can soon be creating, managing and controlling content just the way they want to. Immediacy is intuitive and interacts with users through a familiar, MS Word/Outlook-style user interface. So you can get started right away. Using familiar tools Word or Excel, it is easy to move content around and place it just where it‘s wanted. It is even possible to add content using drag and drop.

Immediacy Toolbar

Immediacy is a page based content management system (CMS). This means that it is extremely easy to use for non-technical content contributors. In the simplest implementation, there is a direct one-to-one relationship between the view of the site seen by CMS editors and the view of the site seen by website visitors. All views are in context and in both the Editor and Admin views there are ―page preview‖ buttons to ensure the direct relationship between interface and page is maintained. In the Edit interface, the site structure is represented by a Windows Explorer-style tree view. Each node in the tree represents a page on the website. The organisation of the pages in the tree view will be exactly the same as the automatically generated sitemap seen by website visitors. For each page on the website that you want to create or edit, simply select that item in the site explorer view. An editable version of that page will then be loaded into the edit application in WYSIWYG editing mode. The direct one-to-one relationship can then be made more complex and powerful in a number of ways:

Built-in capabilities of the CMS make it possible to apply membership rules to pages. Website visitos without the correct access rights do not see that page.

Built-in capabilities of the CMS make it possible to apply embargo and expiry date rules to pages. Website

visitors do not see that page outside of the specified date range. Immediacy plug-ins for navigation and search automatically manage these RELATIONSHIPS such that the search results, menus, sitemap, dynamic bullet lists, dynamic article listings, etc. will always automatically show/hide links to pages according to embargo/expiry or membership rules. These capabilities make many worries typically associated with website management redundant:

When I move or rename my page, what will happen to menu/sitemap/content links to it? When a page is password protected, does it show up in everybody‘s search results? When a page expires from the site, do I have to republish the whole site to rebuild all the menu structure?

Pages can be easily copied and pasted if you want to quickly create a new page that is similar to a page that already exists. Or you can create new menu items that link directly to an existing page. Or you can use content sharing plug-ins to aggregate content from other pages and display it in a new location, automatically reformatting the content using the correct template and CSS. Or you can use powerful metadata-driven Immediacy plug-ins to aggregate content into ―Latest News‖, or ―Monthly Newsletter‖, or ―All Vacancies in this department‖, etc. Pages are typically treated as single units, but can be subdivided further by the editable area within the page, and pages are frequently ―built‖ by aggregating numerous content types and objects – which can be managed independently.

Compliant - This can be a combination of both. Immediacy is completely template based, and stylesheet driven to support consistent design and branding, and to enforce the consistent use of formatting style. Immediacy templates are very easy to create and modify, being essentially standard HTML with several extra custom tags to define the editable areas, and plug-ins. Full design training is available to train your web designers to create new templates, and a full set of Immediacy sample templates and stylesheets are provided, upon which you can base your own site designs.

To supply options and guidance for the design of the website. This will include the branding of the site, the navigation, website usability, accessibility and compliance.

The Council‟s representative will require full control of the design templates, colour schemes and navigation schemes.

x x Compliant - Immediacy will undertake a discovery phase (see e-Consultancy part of Pricing Schedule) incorporating a design workshop. During this phase we would discuss the look and feel of the site, branding and navigation and fulfilling your accessibility requirements. Immediacy is provided with a number of navigation tools so that once the site is maintained by you this will be easily managed. All menus‘ provided with the Immediacy system dynamically update. The following menu plug-ins are supplied with Immediacy: Site map The site map is a simple, yet effective implementation of the Tree Menu that provides a hierarchical at-a-glance navigation of your web site. Tree Menu The Tree Menu creates a hierarchical WC3 compliant multi-level menu from a specified starting point in the website structure. Depending on the CSS styles applied, this menu could be used to generate a site map or animated "drop down" or "fly-out" menus. Examples and CSS code are provided. We use this menu on our site for the "drop down" menu at the top of this page. List Menu List Menu creates a simple single level WC3 compliant menu. Menus can be horizontal or vertical (or even curved if you

really like). We have used this plug-in to create the "utility" navigation links at the top and bottom of this page. Expanding Menu This is a sophisticated (yet easy to configure) menu which we use for navigation within sections of the site. As the user "drills" deeper into the site, lower levels of content are revealed. The menu helps to "orientate" users within the site by showing them the context of the current page. Breadcrumb Menu This menu shows the user the path to the current page from the home page of the web site. Development standards Immediacy delivers fully compliant XHTML 1.0 code as standard, and includes a code compliance checking report. The ability to tailor templates for multiple browsers and platforms is also supported as standard. Web accessibility compliance Immediacy offers tools to help you achieve the highest standards of accessible output, straight out of the box, including helpful checking tools and advice for inexperienced authors. The screenshot below illustrates the use of the new accessibility checking tool on a sample website. You can see that there are no errors (red triangles), but numerous warnings (yellow triangles). Warnings are items that must be manually verified by the author, because automated checking cannot test it – for example, the automated test can verify that a hyperlink features the required link title, but cannot (obviously) verify if the text actually makes sense. As the author hovers the mouse over each message, the content in the page is highlighted (in yellow in this screenshot), to show what the test is referring to. Clicking on the expand (plus sign) button will bring up a brief explanation of the test result and a link to a longer explanation of how to fix a problem.

The Immediacy Accessibility check report

CSS stylesheets are fully enforced across the entire site, so it is not possible for individual authors to deviate from the agreed standards of formatting in place.

Accessibility of authored content With a set of helpful accessibility tools, Immediacy enables you to create AAA accessible websites. A great deal of the effort necessary to achieve high accessibility must be done at the template design stage. The template controls a great deal of the final page content, and must be designed carefully, and with accessibility in mind. Immediacy provides highly accessible sample templates as part of the sample public sector website in our Public Sector Solution. Once the templates and stylesheets have been designed, the content must also be made accessible. The Immediacy editor features an accessibility ―rule‖ which administrators can set, that prevents site contributors from breaking the basic rules of accessibility: Alt text for images. Summary information for tables. Title text for hyperlinks Keywords and description for each page New to the latest version of Immediacy CMS, and evidence of our commitment to accessibility, is the accessibility checker. This ―wizard‖ can scan your pages against the accessibility level that you specify, and find and highlight areas of non-compliance and provide an explanation of why the page has failed. Not to be confused with accessibility compliance, Immediacy also offers class-leading code compliance with the XHTML standard.

Access for those with older technology is also supported fully by Immediacy, much of the key effort that must be done to ensure full access needs to be addressed at the template design stage. Output templates must be designed and tested with a variety of browsers and platforms and screen resolutions in mind, Immediacy server components are then able to detect browser and deliver the appropriate format. To meet the needs of site visitors with slow internet connections, Immediacy keeps page downloads light and fast, and helps you to enforce a limit on the maximum image size that editors can insert into their content.

5.2 Content Creation

4.2.1 Ability for non-technical users to complete all content tasks using a simple browser based interface.

x Compliant - Immediacy is 100% browser based and features a true WYSIWYG. With an XML based content storage system, a powerful and true WYSIWYG content editor, drag and drop document importing, comprehensive administration control, and a facility for developers to write plug-ins to enhance both the editing and server functionality, Immediacy delivers advanced and extensible control that will grow with any organisation.

Immediacy’s true WYSIWYG Editor

4.2.2 Ability to create, manage and maintain directories and databases, with a built-in search engine capable of searching on keywords.

x Part compliant (incurs additional cost for WAM product) In order to create, manage and maintain directories this would require the Web Asset Manager (WAM). We have not quoted for this in your pricing schedule as this is the only requirement where it is required. The list price for the WAM is £9,995.00. If you choose to go ahead with the purchase of the CMS from Immediacy we we would be willing to offer the WAM at £5,000.00 The Immediacy search is able to search

5.2.4 Ability to import content from

standard office tools such as MS Word, MS Excel, PDF, email or reports from proprietary databases. The content that is produced in these formats should be able to be imported into the CMS without reformatting.

x Compliant - This is supported as standard and can be achieved by copy and paste and drag and drop.

Ability to import information from the councils‟ existing CMS systems?

x Compliant - We would advise manual migration by the Local Authority: the advantages of manual content migration are:

A purge of existing pages can help to make the new site more relevant and useful for site visitors

A redesign of information architecture – i.e. the ease of use of navigation can be improved and made more logical.

Excellent training for CMS editors.

CMS editors will become extremely familiar with the new site structure.

Migration would be a simple process of copying and pasting the information into the Immediacy Editor.

Ability to export information from the proposed CMS system?

x Compliant - The Immediacy framework is Web Service based and therefore leverages XML, SOAP and Web Services natively. Using content syndication, Immediacy can access and display content from XML data sources from any provider whether local or remote on the web. Immediacy supports XML output from any page allowing content to be syndicated to other sites.

5.2.5 Ability to effectively control page design and updates through the use of templates and clear administration rights

x Compliant - Immediacy is completely template based, and stylesheet driven to support consistent design and branding, and to enforce the consistent use of formatting style. Content is fully separated from design, allowing the site to be visually updated at any time, with changes taking effect immediately, and no re-keying of data

necessary.

Comprehensive security permissions may be applied for both individual users and groups to any page or set of pages across the site. Permissions can be defined against a username and it is that username which belongs or can belong to a group or groups. These usernames work in conjunction with passwords, so once a user logs on to the system their permissions are pre-defined. The ―global administrator‖ will set user and group permissions. The permissions also detail precisely what a user may do or not do on any given page. Once set these permissions may be cascaded down to all pages below a particular node, or applied on a page-by-page basis. This provides industrial strength administrative control. In addition to the fine-grain control allowed on a per-editor basis, by using a web-browser interface, the role of contributor may be devolved down to any person physically located inside or outside the organisation. Uniquely Immediacy provides an extremely rich user interface despite being browser based. This makes the system very easy and intuitive to use and users may start using the system with a minimum of training. Immediacy fully supports the deployment of role-based profiles allow groups with specific roles to be created, added to or adapted. In this manner various profiles, e.g. Senior Management Team, Admin Team, Sections Teams, Technical Teams, Administrators, etc, could be deployed very easily. Within Immediacy, editor users may be assigned the following permissions;

No access Read only

Edit Head (for power users to edit the

HTML <HEAD> section of a page)

5.2.6 Timed submissions – to set expiry/publication dates for content to allow for more effective management of site information including warning of expiry date

x Compliant - Page Expiry allows pages to be hidden from a website before a start date and after an end date. After right clicking on a page in the site explorer and selecting Properties from the pop-up menu, the user clicks on the Live Date tab to display the dialog. By default no start or end dates are enabled and the page will ―go live‖ whenever it is approved. The editor can select appropriate dates and choose to hide the content when the expiry date is reached or leave it visible. This allows the date and publishing times to be controlled. When content approaches expiry the system automatically notifies the author and those in the workflow, by e-mail, that the page is about to expire. The time interval is configurable by an administrator.

5.2.7 Ability to develop and host additional public facing Websites without the need to purchase additional licences

x Compliant - With the Immediacy you can have unlimited numbers of sites running off your Immediacy CMS at no extra cost.

5.2.8 Ability to setup thumbnails for photos, images and graphic

For example, import a high res image as a press resource, and the system will automatically create 3 variations of sizes that the administrators have preconfigured; e.g. thumbnail size, small and medium (in addition to the original of course).

5.2.9 Ability to gather extensive metadata and metadata hierarchy for content tagging and e-Gif support

x Compliant - Immediacy is committed to ongoing e-GIF compliance and implements both Dublin Core metadata and E-GMS meta data. Standard taxonomies available include LGCL, GCL, APLAWS, LAWS, and the new (April 2005) IPSV.

5.2.10

Ability to provide a standard search engine that can index site or document content, integrating with current software i.e. Open Objects

x Compliant - Immediacy has created several search solutions during the lifecycle of its products so far, including a proprietary solution and use of Index Server. For the Content Suite, Immediacy has chosen to integrate with an open source, and widely respected, solution called Lucene. This has provided more powerful search capabilities to be implemented, such as search term highlighting and summary abstraction, and also for integrated web content and document retrieval. This capability is ideal in knowledge base scenarios where accurate retrieval from a wider source of information is required in order to answer questions effectively, either directly from a website or via an intermediary, such as a call centre operator. CMS, WAM and TCM search functions integrate in the following ways:

Combined CMS/WAM search returns

Metadata/category based searches Immediacy offers two powerful search plug-in options for the CMS as standard:

standard search Index Server Search

These two options both provide the same powerful, yet easy to use interface to site visitors, including the ability to select advanced search options such as date range, and limit search by category. The difference between the two is that Index Server Search extends the search capabilities using the power of Microsoft Index Server Search catalogues on the web server to allow the search to find results inside linked to files and documents. Index Server provides fuzzy query support, where the system can generate words that are similar to the ones the user enters. The system supports simple MS DOS-like wildcards and UNIX-like regular expression, matching against textual properties. Content queries support simple prefix matching, meaning that typing in the word "dog*" will return "dogmatic" and "doghouse." The system also provides linguistic stemming support that matches the various tenses of query words. So the word "swim" will expand to include "swimming," "swam," "swum," and other related words—this process is called inflection. Index Server performs this linguistic analysis of the words that are entered, as well as the reverse operation, called stemming. Fuzzy queries and stemming are available in all supported languages. Both search options are included as standard.

The Immediacy Site Search page in the sample public sector website Breadth of search The Immediacy Index Server Search option is configurable to search outside of the CMS managed site and its associated resources, simply by including the additional sites/content you wish to be searchable within the search catalogue. External search engines Immediacy is fully compatible with external search engine technology. Search engine friendly URLs is fully supported, as are meaningful and valid page titles, and full support for customisable mandatory and optional metadata, including standard taxonomies, e.g. Dublin Core, IPSV, and bespoke taxonomies. Search Engine Optimisation (SEO) Immediacy generates sites that are Search Engine friendly. This starts with creating search engine friendly URLs, providing the capabilities and prompting for metadata completion and creating navigation that helps search engine crawlers find their way to relevant content. Beyond this, high ratings are dependant on the choice of keywords, density of those keywords in titles, links and page content and, increasingly, the popularity of your site as determined by links to and from it. Note that keywords and page description metadata can be made mandatory, and additional metadata can be embedded (e.g. Dublin Core, IPSV, etc.) on a page by page, or section (template) basis. The latter elements described above are much more to do with how the site is implemented as opposed to the content management software.

Facility to provide user polls – to allow creation of user polls for immediate polling of users on specific subjects

5.2.13

Ability to accept customer subscriptions to notify of page updates.

x Compliant - Immediacy is provided as standard with a Subscription Plug-in. This allows site visitors to subscribe to a page. When a visitor subscribes to a page, his or her email address is recorded in the Immediacy database. When a significant change to the page is approved, an email is sent to the subscriber informing him/her of the change, so that he/she can visit the updated page. Subscription lists are always maintained on the live (or single) server and a corresponding email sender plug-in must be set up on the live server.

5.2.14

Ability to generate email notification, through MS Exchange email system, of certain events

x Compliant - This should pose no problem. Email notifications which the CMS generates will work through Exchange as they are just normal emails. As for newsletters and other subscription plug-ins which require email use etc, the Immediacy plug-ins are fairly generic and will work with most email readers as will the email features of the CMS.

5.2.15

Ability to publish material to multiple sites via a single publishing action

x Compliant - Immediacy offers several methods for sharing and syndicating content: Standard navigation structures allow for multiple links to a content item both in the

menus and sitemap, and in alternate navigation (metadata-driven directories, related links lists etc.) – so a page can be created and maintained in one place, and referred to and used in many locations. Cross-page bookmarking also makes it easy to refer to a specific place within a longer content piece (e.g. a terms and conditions page). The Shared Content plug-in can pull content from a specified region of a specified page within the website, and display it in multiple other locations on the same website. The content is formatted using the template and CSS appropriate to each output destination. The Cross-site Shared Content plug-in allows content authors to 'embed' content from a page on another Immediacy website into the current page. The content is only editable in the "source" website but is automatically updated on the "target" website if the source page is changed. This plug-in uses XML so that websites can share content across the internet or safely through firewalls (subject to appropriate firewall configuration). The RSS plug-in allows your Immediacy website to consume and export multiple RSS feeds. It is easy for non-technical content authors to "consume" an RSS feed from say the BBC or Yahoo by simply pasting a URL to the feed into the RSS graphical front end. Exporting content as an RSS feed is straight forward, but does require a system administrator to copy and edit a simple configuration file. Embed Application allows a content author to embed an external web page or web application into an Immediacy content page. This plug-in is fantastic for quickly integrating disparate applications into a corporate intranet. A technical level, the plug-in uses a dynamically resized IFRAME to embed content from a URL. The Global Terms plug-in allows content authors to select from a pre-defined list of common terms (such as contact telephone numbers, postal addresses etc) and insert them into the content. The term can then be changed once (by a site administrator) and the change will be reflected across all the entire web site.

5.2.1

of all pages that are replaced or deleted. As a new version of a page is approved and published, the version that it replaces is automatically moved into the archive and assigned a version number. Only administrators with the highest level of access rights are able to review the archive, from where they can look at previous page versions and choose to roll back the site to that version, or even delete an archive item completely.

The Immediacy page archive

Immediacy provides a number of industry-strength audit trail tools, and workflow e-mails keep everybody up to date with what they are supposed to be doing.

The page archive stores all changed and deleted pages

The audit trail report stores all user activity

The management report provides a high level overview of activity between two dates in print friendly format.

5.2.17

Ability to support requirements to translate content to multiple languages e.g. Urdu, Polish etc

x Compliant - The Immediacy CMS supports editing sites in multiple languages. The default mode of character encoding is Unicode which uses 16 bit (double-byte) character storage. This will support almost any known language including far eastern character sets. Currently the software uses the English and Dutch languages for the Editor and Admin interfaces and help files and further languages may be added but at a cost. Output can be in any language with 20 languages being supported by the spell checker. The search functions of the CMS are not compromised by multilingual sites as the search is fully multi-lingual compliant. One of our customers ElanIT uses Immediacy to manage sites in around 9 languages. A selection of URLs are listed here:

Deep linking The ability to establish meaningful URL‟s around key pages to permit deep linking to and at the same time provide the ability to establish multiple web sites, with their own identities for community groups and others. provide a tool for managing both internal and external links on the website

x Compliant - Immediacy websites are highly visible to search engines such as Google and Yahoo because our software creates XHTML validated code that search engines prefer. Very effective free search results can be achieved when this is combined with search engine marketing techniques such as keyword optimisation, friendly URLs and meta-rich page content. All of this Immediacy CMS enables out of the box. Whenever anyone searches on any of your criteria, your site will be one of the first on the list. Use the friendly URLs function to create direct response pages within large sites ideally suited to marketing campaigns. Friendly URLs also allow editors to create shorter navigation links and can assist search engine penetration by encouraging crawlers to index deeper into a website. Immediacy websites have friendly URLs so that search engines can penetrate deeper into content and get your visitors straight to the content they want. Immediacy is also compatible with web analytic tools such as WebTrends.

Friendly URLs controls in Immediacy Editor Utilising the 'Title' for the page title tag, with a 'Menu Title' for the navigation allows you to create pages optimised for search engines, while making sure the navigation remains usable. Friendly URLs also allow marketers to create direct response pages within large sites. Short titles are automatically generated from the long titles to assist Editors. The friendly URL is constructed as follows: http://yoursitename/section name/page name.aspx where section name is the menu title of the parent page, and page name is the menu title of the page, e.g. http://www.immediacy.net/customers/customer_comments.aspx

6 Technical Requirements

6.1 Compliance with industry &

government Standards

XML Compliant x Compliant - A unique feature of Immediacy is its ability to allow users to drag and drop Rich Text, Word documents and Excel spreadsheets (Office 2000/XP/2003) into the system. This process allows Word to be a content-entry point for the CMS. The import automatically removes unnecessary HTML/Office code and creates clean XML compliant HTML. Copy and paste from Word or Excel is also supported. When copied and pasted, content is similarly "cleaned" and saved as validated XHTML. In either case the system maps the standard document styles to those defined in the CSS style sheets applied. Word and Excel 97, 2000, XP and 2003 are supported. Linking to the original document (and optionally opening in a new window) is also supported.

The template controls a great deal of the final page content, and must be designed carefully, and with accessibility in mind. Immediacy provides highly accessible sample templates as part of the sample public sector website in our Public Sector Solution. Once the templates and stylesheets have been designed, the content must also be made accessible. 6.10 Security Suppliers should indicate how security for sensitive data can be maintained, and where appropriate, how different levels of security can apply to different classes of user.

x Compliant - Comprehensive security permissions may be applied for both individual users and groups to any page or set of pages across the site. Permissions can be defined against a username and it is that username which belongs or can belong to a group or groups. These usernames work in conjunction with passwords, so once a user logs on to the system their permissions are pre-defined. The ―global administrator‖ will set user and group permissions. The permissions also detail precisely what a user may do or not do on any given page. Once set these permissions may be cascaded down to all pages below a particular node, or applied on a page-by-page basis. Within Immediacy, editor users may be assigned the following permissions:

No access Read only Edit Head (for power users to edit the

HTML <HEAD> section of a page)

Page properties (basic metadata, membership, embargo & expiry dates)

Extended page properties (extended metadata)

Change style Change template Approve Create new page Delete Administrator (all of the above)

The permissions allow the extent of the modifications to be controlled depending on the page or section of the site. At its most basic level, each content change must be approved by someone with appropriate authority to do so, before it gets published to the live site. The permissions matrix may be configured such that:

A person may approve their own work.

A person may not approve their own work (someone else must do that).

A person may edit the whole site. A person may only edit certain

sections or pages of the site.

A person may not even view secret content on the site (e.g. council member meetings minutes).

A person may approve content for any part of the site.

A person may approve content only for certain sections of the site. A person may not approve content at all.

A person may be a member of a group, which defines their permissions en masse.

A person may be a member of multiple groups, or none. A group may have all the same kinds of permissions as a person.

A person may have some editing rights, but not all (e.g. the ability to change the template a page uses may be disallowed, but simple content edits are allowed). A person may be an Immediacy ―global administrator‖, with the power to do everything, including change the permissions of other persons..

A person may be part of a workflow chain, whereby their approval alone is not sufficient to authorise a page to be published.

6.11 Does the system comply with ISO27001, if yes, to what level?

x Not compliant - Immediacy has not been tested in relation to ISO27001.

6.12 The ability for administrative/editorial functions to be performed from any PC

x Compliant - Immediacy is 100% browser based and by the time your project is live any computer with and internet connection and the following browsers will be about to use our CMS: IE6+ Firefox 2+ Opera 9+ Safari 2+

6.13 The ability to integrate with Active Directory Services and network directory services (Lightweight Directory Access Protocol - LDAP)

x Compliant - Immediacy supports the .Net2 role provider model, allowing for a mapping from AD groups to CMS roles through – for example – AzMan. Immediacy CMS has two standard authentication methods; a built-in users and groups database, or LDAP authentication. LDAP users are authenticated by their log-on to the operating system, and do not require an additional username or password. Logged on LDAP users do not have to enter a separate username and password to authenticate themselves to the CMS, providing single sign-on functionality. If the built-in users and groups database is used then all users will be required to log-on via username and password every time the CMS is used.

6.14 The system to provide a full audit trail

x Compliant - Immediacy provides a number of industry-strength audit trail tools, and workflow e-mails keep everybody up to date with what they are supposed to be doing.

The page archive stores all changed and deleted pages

The audit trail report stores all user activity

The management report provides a high level overview of activity between two dates, in print friendly format

The Immediacy Administrator Audit Log Report

6.15 The system to comply with DISC PD0012 (Data Protection Guide to managing databases)

x Compliant - This is not relevant to our area of expertise as this is a records management specification rather than a content management specification.

6.16 Integration Any bespoke web development to be based on Microsoft .NET technology.

x Compliant - Supported as standard. You can write your own Immediacy Plug-ins or share them for free with other Immediacy users on our customer forum. Immediacy CMS plug-in architecture makes the software popular with developers. Anyone on your team with a good understanding of JavaScript, ASP.NET and C# or VB.NET, SQL Server, XHTML, CSS and HTML can write their own plug-ins.

implementations. Teams within your

organisation can compile WSS List data and

Immediacy-driven sites.

Immediacy SharePoint Connector

Immediacy's architecture is completely open. This allows developers to integrate with any ODBC or ADO data source and use industry-standard ASP.Net scripting via plug-ins to integrate and extend the Immediacy CMS platform. Therefore virtually any system that allows interaction with external systems can be integrated with Immediacy. Data may be integrated from multiple sources such as databases, CRM, Knowledge Management and Document Management systems. This may be via XML or OLEDB/ODBC or web services. These are industry standard mechanisms for exchanging and integrating information.

6.18 Printing Ability to provide a “printer-

friendly” conversion of web pages X

Compliant - Templates are the mechanism by which output to alternative formats for different browsers and devices is supported. Immediacy automatically includes text only and printer friendly templates, as well as standard templates that should be compatible with the majority of web browsers, and browser detection code that allows the server to detect automatically the type of device requesting the page, and deliver the appropriately formatted output.

Link Checker Audit Log Archiving Audit Log Report

Awaiting Approval Index Report Management Report XHTML Report

Link Checker The Immediacy Admin interface features a thorough link checking report that can check all hyperlinks on the site, and navigate the administrator straight to the problem. Audit Log Archive The Audit Log Archiving Report allows the user to archive the Immediacy audit trail to a zip file. Each time the Audit button is pressed a new zip file is created. The archive will contain all information since the last time the Audit button was pressed. Audit Log Report The follow actions generate audit entries: Editor – Login, Logout, Page Save, Page Submit, Delete, Undelete Admin – Login, page approval Others – The scheduled service logs information, warning and errors to the audit train, as does the upload. Awaiting Approval This report will show which pages are waiting for approval and how long they have been waiting. Index Report The index report is broken into three sections, the first is ―Awaiting Index‖, the next is ―Awaiting Retry‖ and finally there is ―Failed Indexing‖. Awaiting indexing – This shows the number of pages that are awaiting indexing (ie the number of entries in the Index Table in the Immediacy Database) Awaiting Retry – This shows the number of pages that are waiting to be re-submitted to the Indexing service. The number of retires allowed is set as a parameter of the Indexing Option (a sub-page of Configuration) Failed Indexing – Shows the number of pages that failed the Indexing process after

all the permitted retries. XHTML Report This reports checks for XHTML compliance and/or Accessibility Faults (separate from the Accessibility Checker) The Management Report – This report can be searched by date and includes the following information: Total number of pages contained in the website Number of pages currently being edited (in draft state) Number of new pages approved during the specified time period Number of pages edited and approved during the specified time period The report will also list all of the users in the system and how many pages that user has updated. Web Statistics – Full records of site visits and clicks are stored in the log files generated by IIS; any suitable analysis tool (e.g. Nedstat, WebTrends, Funnel Web Analyzer, etc.) can be employed to investigate the most popular pages – which can then be made more prominent in the site navigation if required. Additionally, if the Index Server Search plug-in is used in place of the standard search plug-in, then 4 reports per month are available, detailing search terms used by site visitors.

9 Testing To ensure that the solution is tested at application and system level

x Compliant - Immediacy will comfortably support hundreds of concurrent editing users. It has been designed to support large number of users and has been both tested and deployed in relatively high volume situations. Internal testing has included automated stress testing which indicates that a single standard server machine running Immediacy can support in excess of 1 million hits per day. System performance is dependent on a variety of influences, including the complexity of the processes being run, the operating system, the database engine used and the performance of the underlying hardware.

13 Pricing Capital and revenue costs to be included, up to and including year 3.

x Compliant – £32,295.00 for one off costs. £7,200.00 for 3 years hosting (shared server) £14,10.00 for 3 years maintenance and support for both the CMS and e-forms

14 Specific Requirements

Our live air quality information is currently generated as a series of information bulletins that give residents the level of pollutant and the relevant health implication. These bulletins are currently hosted by an external provider. The external provider calculates the worst case scenario and appropriate health implication from the data generated by our server, and this is then published to the web. The information is automatically updated throughout the day.

x Compliant - We would be able to integrate with this.

14.1 Page plug-ins The CMS should have the ability to allow the creation of custom content plug-ins where a solution is not provided by the supplier, e.g. an RSS feed viewer, view onto a back office system etc. This would be a way of solving the live air quality information requirement (4.3.18). In addition to plug-ins we need an environment that would allow us to host custom websites or web applications that have the look and feel of the main site but provide dedicated functionality, e.g. the Chester What's On: http://www.chester.gov.uk/Whats

x Compliant - Immediacy plug-ins are essentially ASP.NET controls. We've added a few optional additional features to plug-ins to make them more user friendly than standard .NET controls. In Immediacy, ASP.NET server or user controls can be used seamlessly to access databases, XML web services or any other functionality that is possible with ASP.NET. Off the shelf .NET controls can be used within Immediacy or bespoke plug-ins can be developed in any programming language supported by .NET. An Immediacy extension to standard .NET controls allows developers to attach a graphical user interface (GUI) to a plug-in.

On/ This interface can be presented to content authors in the Immediacy editor allowing developers to build advanced custom functionality that can be leveraged by non-technical authors. The power and simplicity of plug-in development has always been a strong selling point with Immediacy and one of the reasons we have achieved so many successful implementations. Immediacy is provided with a range of plug-ins. The RSS Feed plug-in has the functionality required. Full details of Immediacy Plug-ins are included with this proposal. Immediacy CMS makes handling microsites easy. With the Immediacy you can have unlimited numbers of microsites running off your Immediacy CMS at no extra cost. Choosing which site you wish to work on is simply performed by selecting the site from a drop down list as shown in the diagram below:

Multi-site log-in

Because Immediacy uses templates and CSS, content is separated from design and with the use of our content sharing plug-ins, you can use the same content across the different sites whilst still maintaining the separate look and feel, as determined by the stylesheet. Alternatively you could also have the same look and feel and have separate functionality used within the site. Immediacy is a very flexible product.

Product Overview

Immediacy Web Content System (“CMS”) Since the launch of the first version of our content management system in 1997, Immediacy has focused on making the process of creating, publishing and managing content online, simple and intuitive for non-technical users. Many other content management software developers have jumped on the bandwagon of ‗simplicity‘ in recent years but the Immediacy Content Management Solutions continue to be chosen above others because users feel instantly comfortable with the interface and can understand what to do very quickly. The best way to evaluate Immediacy CMS against your requirement is to have a product demonstration with one of our product specialists.

Browser-based WYSIWYG editing Immediacy has focused on making its browser interface rich, intuitive and functional so that users with just basic knowledge of word-processing and spreadsheet tools can be productive almost immediately. Similar to most Office software, Immediacy CMS features a true in-context WYSIWYG editor allowing both technical and non-technical users to quickly become familiar with the system. Our approach to content management clearly distinguished us from our competitors and is the key difference between user adopting and rejection.

Online branding and design templates In Immediacy, the layout of content is controlled by templates and style-sheets. The templates determine where users can add and manage content and the style-sheets determine what the content looks like. This includes things like the typefaces used, the size and colour of headings and the amount of space between lines. Brand managers, marketers and non-technical designers find Immediacy CMS a flexible and easy to use tool for controlling an organisations brand(s) across both centralised and decentralised structures.

Accessibility compliance Immediacy CMS generates content 'out-of-the-box' that achieves compliance with W3C level triple-A. The software uses style sheets by default and does not allow users to diverge from the agreed styles. It allows for the use of percentage widths where relevant. The Immediacy content management system empowers non-technical users to achieve sustained website compliance.

Permissions and workflow Immediacy provides powerful workflow and permissions capabilities. You can configure the CMS to make sure that nothing gets published by those without the permission to do so. You can also construct a workflow process quickly and easily if others need to be involved in approving content.

Accountability When content is published in the Immediacy CMS, it is date and time stamped, a version created and a wide range of metadata applied to it automatically. This metadata can also be configured to an industry or sector standard, such as Dublin Core or the IPSV (Integrated Public Sector Vocabulary) issued by the UK Government under the e-Government Metadata Standard (e-GMS). So, by having a CMS that automatically stores information about who has created the content, when it was created and updated, as well as specific details about what the content relates to, you are on the way to managing content to the standards that are becoming expected and increasingly required by law.

Whenever, wherever, whoever Immediacy CMS separates content from presentation meaning that when content enters the system it is stored in a raw, un-styled format within a database. It is only when that raw content is combined with a template and style-sheet that the look of it will be established. Separating content from presentation enables content to be presented in appropriate formats such as:

Screen reader and audio browser users Also, if your organisation has large scale publishing needs it could utilise the CMS for collaboration, where others can contribute and comment, before outputting it to the relevant document creation tools (e.g. QuarkXpress) for print production. Another advantage of separating content from presentation is that it can be personalised. When a content item is entered into Immediacy for example, various pre-determined metadata categories can be selected which will control how and where the content will be displayed. These capabilities also allow content to be re-used in different locations on a site, thereby reducing duplication of effort and making sure that when the master version of that information is updated all other views of it are automatically updated too.

Features and functionality Immediacy has a wide range of plug-in modules that quickly and easily extend the functionality of the core Web Content Management System. These are developed with the ‗power user‘ in mind such as content contributors, managers and administrators who have experience and a good understanding of IT systems but do not have the technical knowledge of a developer.

CMS features The Immediacy CMS is a Web Content Management System developed to help non-technical users to produce, maintain and control a complex website in a simple manner. It is acknowledged for outstanding ease-of-use and the resulting high levels of user adoption. Immediacy was the first UK based supplier to launch a .NET Content Management System and had over 50 implementations in the first six months of its release. Analysts and industry commentators have been supporting the move to .NET content management systems because they are up to 5 times faster, more secure, easier and quicker to deploy and develop and, most significantly, can be scaled up to fit the needs of the most demanding organisations. Immediacy has gained extensive experience in developing its .NET content management system and working with its partners and customers to implement it effectively in organisations of all shapes and sizes. This includes using the capabilities provided by the .NET platform to integrate the CMS with other applications and data sources. Content creation

Standard encryption technology support CMS benefits For both the organisation and its customers, the Immediacy Content Management System (CMS) brings significant benefits. Listed below are some of the product benefits. Also see organisational benefits and technology benefits. Improved User Experience Good content management ensures valid, consistent, and up-to-date communication. This in turn improves customer satisfaction and customer retention. Better Participation The intuitive nature of Immediacy CMS Editor makes it easy for anyone who has used standard office applications. Experience has shown that most users need little or no technical skill or training with the product to be able to create great pages. This encourages participation and use, leading in turn to better quality information. Better Control With comprehensive configurable administration, and permission properties, management is as detailed as the setting requires. The approval process allows administrators and coordinators to retain precise control over more critical areas of content. Consistent Look and Feel The use of templates allows contributors to create and enter new content directly into designed template pages. The process provides the editor with a complete WYSIWYG editing environment, but protects areas of the page that are not for general editing. This creates the right balance between editorial control and design coherence. It ensures that the final output conforms to agreed design principles.

Rapid delivery Using the Immediacy CMS it is quite feasible to modify or add new content, have it approved, and publish it, all within a few minutes. This delivers cost effective communication and means that the business objectives for the site can be more easily achieved. Cost Effective Rather than requiring specialist skills Immediacy makes authoring available to everyone. The originator of the material can enter the information directly, inheriting the default design, placing images, tables and information without outside involvement. The approval process is streamlined and built into the system. Final publishing, including to remote sites, is a single button process. Besides being much faster, this is a much more cost-effective approach to content management. CMS Architecture Integration The Immediacy framework is web service based and therefore leverages XML, SOAP and web services natively. Using plug-ins, Immediacy can access and display content from XML data sources from any provider whether local or remote on the web. Extensibility Immediacy server plug-ins allow developers to make full use of the power of ASP and ActiveX to add functionality to the publish process. Extensions for syndication, xml feeds, forums and access to third party databases are common. Immediacy client plug-ins have access to an internal API. Client plug-ins can be used to allow editors to configure server side plug-ins or to render content for a given page. Admin add-ins, much like server plug-ins offer the full power of ASP and ActiveX to build powerful management extensions into the Immediacy system. Server configuration The most common architecture for Immediacy is the separate Staging server/Live server model. This requires two separate servers, the staging server generally within the corporate firewall and the live server outside and accessible to the public Internet. The required SQL database may be shared by both, or completely separate. However another standard model is to have both staging and live servers on one computer.

Immediacy Web Asset Manager (“WAM”) The Immediacy WAM primary purpose is to provide a document repository to the Immediacy CMS and allows documents of varying file types to be created and managed through ‗library services‘, such as check in/out and version control, before being displayed via Immediacy driven websites. The system can also be a good fit for organisations looking to simplify and address wider document management needs. It is a viable and effective way to get documents moved out of inefficient ‗shared drive‘ silos and providing a single, controlled source of documented information. The Immediacy WAM has been designed to provide what is becoming known in the industry as Basic Content Services (BCS). The term applies to more affordable, simpler, easy-to-use document management, often integrated with some web editing features, that is suitable for mass deployment in both large and small organizations. The Basic Content Services provided by the Immediacy WAM include document version control, file check-in/check-out, comments and alerts. Workflow of varying complexities can be achieved in the Immediacy WAM through an established and proven integration with leading provider, Skelta. However, it is apparent that simple routing and approving is what knowledge workers need most of the time. A capability for capturing paper documents via a printer/scanner connector, is provided through Immediacy‘s partner agreements with eCopy. The Immediacy WAM could, if relevant, provide complete lifecycle management of your paper and electronic documents. From a technical perspective, a standard protocol called WebDAV (Web-based Distributed Authoring and Versioning) at the core of the Immediacy WAM and provides flexibility in the way documents can be accessed. For example, users can choose to use the familiar Windows Explorer interface or the specially designed Immediacy WAM one.

Immediacy SharePoint Connector (“SPC”) Windows SharePoint Services (WSS) has created a de facto industry-standard platform for deploying collaborative, networked applications and is increasingly being made available at low or no cost within server infrastructure. SPC enables you to exploit these capabilities through an Immediacy solution, without having to invest in extra Microsoft server and client access licences as your SharePoint deployments expand.

Combines the Microsoft Office/Exchange integration and collaborative capabilities of SharePoint with the sophisticated web content management capabilities of Immediacy

Exploits the List functions of the WSS platform and other SharePoint implementations. Teams within your organisation can compile WSS List data and then display it in the relevant format on Immediacy-driven sites. SharePoint Lists are essentially a non-technical interface for accessing data in SQL databases that enable you to create templated lists or basic applications for handling a wide range of data - from sales leads, holiday requests and product comparison data to marketing campaign tracking, inventory lists and contact directories

Ongoing development will deliver similar capabilities for Library and Web Part integration, as well as specific services such as accessibility checking, image editing and auto-categorisation to add functionality to wider SharePoint implementations.

Immediacy Taxonomy and Categorisation Manager (“TCM”) Developed in cooperation with public sector customers, the Immediacy TCM enables you to apply complex, industry-specific taxonomies, such as the local authority IPSV, in intuitive and cost-effective ways. Website managers and content owners can create, manage and enforce any appropriate taxonomy and classification scheme for web content and documents.

Provides a discipline for structuring, managing and retaining information according to industry and government guidelines, regulation and legislation

Automatically categories information at the point of creation, making information easier to manage, track, search for and retrieve

Comes pre-configured with the mandated, local authority IPSV taxonomy

Includes the option to add or create an industry- or business-specific taxonomy or classification scheme

Improves the quality and relevance of search results through a combination of smart algorithms and user input

- Users are not required create metadata, keywords and descriptions from scratch, every time content is uploaded.

- Users will find it easier to edit and extract, rather than originate, such information, they will be more likely to properly participate in categorising and describing the information they create and manage.

How it works

Smart algorithms automatically extract keywords and a summary description from any given content (web pages or documents) and categorises it against a pre-defined taxonomy or classification scheme. An extensive range of basic metadata, as determined by schemes such as eGMS and Dublin Core, and including items such as title, creation date and author, is automatically saved as part of the process

You can either accept what has been generated, or filter and enhance it further. Slider controls can be used to widen or narrow the keyword and description creation to make it more specific or relevant.

Immediacy Deployment Server (DS) This is the glue that unites the elements of the Immediacy Web Content Management Suite and enables integration with other solutions such as SharePoint. The Immediacy DS speeds up and simplifies the transfer of content from a staging or development server to a final ‗live‘ or production server. It makes it easy for you to build, deploy and manage much larger websites – and provides excellent disaster recovery and swift and simple upgrades with little or no downtime. Immediacy DS will enable you to:

Transfer and synchronise content between two servers, or support one-to many server configurations Provide capacity on demand in virtualised environments and add extra resilience to your web server

infrastructure Upload and synchronise content across servers in different parts of the country or the world

Hardware and Software Specification

Configuring Immediacy An Immediacy solution typically consists of three parts: The Immediacy software One or more website folders (mapped to an IIS website or virtual directory) One or more website databases (Microsoft SQL Server).

Server configuration Immediacy is typically installed in one of two primary configurations (other configurations are possible). The first is to use two servers, one as a staging server and the other as a live server. Two server licences are issued by default to allow this set up. The second approach is to use one server as a combined staging and live server. There are no hard and fast rules as to which configuration you should choose. The first approach, however, is usually implemented to host internet sites, where content is uploaded from the staging server to an external live server outside a firewall. The second is more commonly used as an intranet solution. To manage the movement of content between the staging and live environments, the fully managed Deployment Server can be manually initiated at any time, or scheduled at regular intervals. These approaches are illustrated below:

Immediacy 5 Combined Database Servers

Typically, for a staging/live combined server, the software and website folder resides on the same single dedicated server. The database component may also reside on this server, or be deployed on a dedicated database server. Immediacy CMS uses ASP.net. Users can use code-behind in C#, VB or any other supported .net language, which can then be compiled into cohesive dlls. Immediacy WAM is also an ASP.net application. Versions 1.0 & 1.1 are .net 1.1 and version 2.0 is .net 2.0. This means that WAMversion 2 will only run in a .net 2.0 environment.

Configuring Immediacy CMS Immediacy CMS is a browser-based application, which means it can be accessed and used with Internet Explorer 6/7. The browser communicates with the application server just as it does with a live website, using IIS on the server. Therefore standard web protocols are used over port 80. If a separate database server is used then the application server must be able to contact the database server via the configured SQL Server port (1433 by default). The table in section xx illustrates the necessary connections.

Configuring Immediacy WAM As well as the requirements for configuring CMS, Immediacy WAM also requires that WebDAV to be configured, WebDAV must run in its own separate website so that all requests can be routed to .net. There are three ways of doing this: A separate port A separate host header A separate IP address.

Configuring Immediacy DS Immediacy DS also communicates exclusively by HTTP, which means (typically) that standard web protocols are used over port 80.

Page 58: Immediacy Response to Ellesmere Port and Neston Borough ... · new-style, rich internet applications (RIAs) – and have continued to build on this to create even more intuitive and

Port configuration The following table shows the required connections: Connection between Port 80 (HTTP) Port 1433 (SQL Server) IIS Server and Immediacy users yes IIS Server and SQL yes Staging IIS Server and Live IIS Server yes * Firewalls may be configured as required as long as the connections specified above are enabled. With regard to bandwidth requirements, Immediacy can be run using a 56k dial-up connection and upwards. A slower connection will, however, deliver a less-responsive user interface rather. We therefore recommended that you use a faster connection, deployed, for example, on a workplace LAN. The Immediacy CMS is hosted on one or two Windows 2000 or Windows Server 2003 based servers (depending on whether or not the staging to live model is used). To use Immediacy CMS you need Internet Explorer 6 or 7 installed on your local machine, plus Microsoft Office 2000 (or later) to use the Microsoft Office integration features. Note that currently the WAM browser interface only supports IE6. Apple Mac and thin client access can be provided through an application server connection such as Citrix. Other browsers, such as Firefox, are not currently supported for editing, although this capability is included in the Immediacy development roadmap.

Hardware requirements The configuration and specification of the recommended server(s) will depend on the anticipated volume of website traffic. The specification listed below will provide adequate capacity to handle around 300,000 hits per day. Internal Server External website host Minimum CPU: 1x Intel Pentium D

RAM: 1Gb HDD: 72GB OS: Windows 2000 Server.

CPU: 1x Intel Pentium D RAM: 1Gb HDD: 72GB OS: Windows 2000 Server

Recommended CPU: 2x Intel Xeon 3.06Ghz RAM: 4Gb ECC Registered DDR HDD: 2x 136GB SCSI drives in RAID 1+0 OS: Windows 2003 Standard.

CPU: 2x Intel Xeon 3.06Ghz RAM: 4Gb ECC Registered DDR HDD: 2x 136GB SCSI drives in RAID 1+0 OS: Windows 2003 Standard.

Database: Microsoft SQL2000/2005 (with all service packs and security updates). This may be shared by both staging and live servers.

Immediacy server applications The Immediacy Editor and Immediacy Manager web applications, together with any associated administrative tools, reside on the application server. These are accessed directly on the server from the Immediacy Management Console, which simplifies the use of Immediacy tools used to carry out one-off or occasional set up tasks such as installing a website, configuring scheduled tasks, altering website settings and importing LDAP users into Immediacy.

Installation A standalone Installshield set-up installs the software and configures settings on the application server, automatically creating virtual directories, attaching the website database and configuring settings files.

Scalability Immediacy will comfortably support hundreds of concurrent editing users.

Page 59: Immediacy Response to Ellesmere Port and Neston Borough ... · new-style, rich internet applications (RIAs) – and have continued to build on this to create even more intuitive and

Higher performance can usually be achieved by scaling upwards by progressively migrating more powerful machines. Alternatively you could scale outwards by running the system on load-balanced clusters. When correctly sized and configured, this option increase both performance and resilience, since there is no single point of failure. Both approaches have been successfully applied to Immediacy customer installations. Configurations currently in use range from a single server to clustered web servers with attached clustered database servers. Immediacy employs page and template caching and query optimisation techniques to ensure very fast page delivery when using the dynamic server. Immediacy can reside in a multi-server, high bandwidth environment and will scale comfortably to manage above 4 million hits per day.

Database size The main data held in the database that will influence the overall database size are the page content and the archived versions of page content. Clearly these will vary depending on the number of pages being archived, but the figures below provide some guidance. Approximate average page size 30k (inc. content, permissions and metadata) Approximate database file sizes 1000 pages, no archives 60Mb 1000 pages, 50 pages archived per week – after 6 months 150Mb The SQL Server creates a log file for transactional purposes and the size of this can become much bigger than the main data file. This file can be shrunk to virtually nothing on an ad-hoc basis by using supplied stored procedures. Page Size Immediacy does not check or limit the total page size, however, the system enforces a list of allowed file types that editors may link to as resources. In addition, the maximum image file size and linked-to resource file size are enforced by the editor.

Change and Issue Management Immediacy Professional Services have a defined change management and control process which supports and manages the various level of change that every project experiences (both client and Immediacy initiated). These processes (which also include exception reporting and management) are provided to the customer at the project planning stage, but can be modified to incorporate any client specific change management processes which may be in place. Being PRINCE 2 in foundation our change management processes are built around a workflow which enables each change request to follow an structured and controlled identification, definition and agreement path that ensures the

Page 62: Immediacy Response to Ellesmere Port and Neston Borough ... · new-style, rich internet applications (RIAs) – and have continued to build on this to create even more intuitive and

Company Confidential Page 62 of 82

concurrence of both the client and Immediacy in respect of the requests, their classification (in/out of scope)and the delivered outcome. The management of issues that arise throughout projects also has a defined process and series of controls that are provided to and agreed with the client at the inception of the project, these again are built around a workflow which ensures the full involvement of the respective responsible resources within the project to ensure conformity. These controls in addition to our risk management process – which utilises a best practice matrix based identifier as the base foundation of risk assessment and control, enable Professional Services and the client to both have a clear and controlled view of the critical project tasks that decree whether a project can be defined as successful.

Testing Criteria Testing obviously forms a major part of the success of the project, and as such, dedicated Testing resources are provided within Professional Services. A full testing technical environment is in place within Immediacy not just for core product development but also for each individual project and its development. Each project receives its own test plan which is structured around the respective development strategy of the project (i.e. a phased and structured programme of work). However, within the life cycle of each project, the solution is ‗built‘ in a test-ready environment (on a daily basis the development – source code, integration requirements, technical framework) and is automatically tested against pre-defined quality criteria – either provided by the test team, the client or in many cases the market development and software standards. This approach enables us to identify test failures and areas for further development on a very granular, individual and ongoing basis, in addition to this our test team take the following approach to further tests and fault finding/control. At the end of each project phase the following tests are completed as a minimum;

Full code compliance

Systems integration (where needed)

HTML, XHTML, SiteMorse testing

The tests are completed within the ‗build‘ environment referred to earlier. A full test report and audit records (including fault reporting) are provided to the client at this stage. The client can also have input into this testing phase and can complete some initial UAT. Prior to providing these to the client these reports are reviewed and approved by the respective Project Manager and Lead developer. To further explain our approach to testing we outline the way we deploy:- Once this initial testing phase has been completed, and subject to Immediacy and client agreement, the tested environment is deployed to a ‗sandpit‘ site on the respective server within the client environment. There further testing based on previous ‗build‘ experience is completed by Immediacy to ensure compatibility and continued compliance, with full test reports also provided at this stage. This ‗sandpit‘ site is then left for the client to complete their own UAT and any additional testing needed, with the agreed communication and issue reporting/fixing process followed during this phase. Once the client has completed this UAT successfully, Immediacy then copy the sandpit site into the live environment. This approach enables Immediacy and the client to efficiently record and fix any issues that have been identified throughout not only the testing processes but also through the very controlled build and deployment environments and processes in place within Professional Services. These environments add real practical and proven value to our already very rigorous testing process and provide clients with assurance that the solutions being built are constantly tested, maintained and managed from the very start of development through to live deployment. Quality Assurance is at the very heart of our service portfolio, with previous experience in large organisations Local Government, Media and Financial sectors in addition to the technology sector our controls and processes are proven within not only our own, but other organisations, and will fit within and meet the clients own QA approach.

Data Asset Management Images are handled by the Immediacy Image Library component, which stores web-safe images (.gif, .jpg, .png) and allows them to be catalogued, modified, have metadata attached etc. An intuitive interface allows authors to add/change images to content areas without special technical skills. When an image is replaced, the system warns if the new image is of different dimensions, and offers the ability to modify the new image to fit the space if desired. Authors are also assisted with warnings and prompts to prevent inaccessible content from being added (e.g. an image without alt text).

System administrators can easily configure websites such that editors are prevented from adding images of their own. The CMS contains a categorised, searchable library of images that can be maintained by website administrators. Images can be deleted (after a scan of the website checks that they are not in use on any pages), manipulated to create variations, and metadata can be managed:

Images can be manipulated (resize, crop, brightness, contrast and sharpen) to create variations.

Modifying an image does not alter the original image, instead a ―variation‖ is created. Variations are stored with the original, and even be automatically created on image upload. For example, import a high res image as a press resource, and the system will automatically create 3 variations of sizes that the administrators have preconfigured; e.g. thumbnail size, small and medium (in addition to the original of course).

Non web-safe media Structured (e.g. relational database-driven) content, and unstructured (e.g. file system) content are both easily handled by Immediacy CMS. Core content is of course held within the core Immediacy database (SQL Server 2000/2005), whilst .Net plug-ins can easily be used to display (and even update) structured content from elsewhere. Unstructured content is simply linked-to, whereupon it is automatically and invisibly uploaded by Immediacy CMS into the asset subfolders in the webroot. You may also consider taking advantage of the most advanced new capabilities Immediacy is able to offer for managing unstructured content: Immediacy DMS repository for CMS. This powerful backend system effectively brings almost all of the features of enterprise DMS to website asset management, at a fraction of the price of traditional ―full blown‖ Document Management.

Linking to a digital asset The ability to link to files of any type is supported. Links are created using a simple interface within the edit application, and no technical skills are needed. Files can be located on a local PC, or network drive and linked to – which automatically uploads the file to the webserver in the background. Files already on the webserver are categorised by file type and can be easily linked to (as in the above screen shot). Finally, links can be created to assets held in the Immediacy DMS repository for CMS (or another asset repository if a connector has been created). Immediacy administrators can set restrictions on the types of file and max file size that are permitted.

Multi-media The optional Immediacy Media plug-in provides functionality for embedding video, audio and flash animations within an Immediacy page.

The trainer will bring a powerful laptop running Immediacy on Windows Server 2003 for use during the training session. The customer should provide a suitably lit training room with a computer projector capable of 1024/768 resolution or higher, a suitable projection surface (screen or reflective wall), tables for the trainer and each delegate arranged so that the delegates can face the trainer and projection surface. The trainer can provide individual standalone laptops for each delegate. These will have a Microsoft Windows 98 SP2, Windows2000 or Windows XP OS installed (Windows XP Professional SP2 is recommended), and Internet Explorer 6. A network hub with enough ports for one each for the trainee computers and the server computer, plus networking cables should also be available. It is useful if each client PC can be configured such that trainees may install software (a single downloadable ActiveX control is required). In order to set up the local network it may be necessary for the trainer to manually configure fixed IP addresses for each machine (assistance from your IT support staff is appreciated), and the administrative privileges to do this may be required. Additionally, the demonstration of the import of documents from Microsoft Office requires that the client PC‘s have Microsoft Office 2000/XP/2003 installed.

Access Keys Allows pages to be navigated by the visitor using a key-press combination. This plug-in increases the accessibility of the website by enabling users to view a selection of frequently used pages, such as FAQ or site map, across the website without using the mouse. The plug-in has three working modes: list-keys, skip-nav and make-keys. In list-keys mode, the plug-in lists all the access keys available to use on the page. In the make-keys mode, it generates all the links to enable the key-combination access. In the skip-nav mode, it simply enables users to skip any menu and jump directly to the content area of the page.

Alternating Content Switches content from a list of pages on a random, daily or sequential basis. This is useful for making homepages appear more dynamic and for "thought for the day" type applications.

Article Index The article index plug-in displays a title and a summary for each page (article) in a group of pages, with links to those pages. It can also be configured to show a picture and/or date for each article. These articles can either be all pages with a particular metadata type (or types) or restricted to the child pages of a particular parent page with a particular metadata type (or types).

A-Z This plug-in is particularly useful when you have a significant number of pages to describe your services and want the user to be able to find a page by the first letter of its title.

Blog1 Includes RSS, Aggregate blogs, Feedburner (Feedburners allow blog owners and podcasters the ability to manage their RSS feeds and track usage of their subscribers), Staging/Production Support, full Workflow (approval required) for posts and comments.

Breadcrumb Provides a path reference to the site visitor's current location in the website. This version uses no JavaScript and is accessibility friendly.

Bullet Menu Displays a set of bulleted links to pages on your site. The pages can be the child pages of a single parent page, or the pages in a specified metadata category. Note that the Bullet Menu does not expand to show grandchild pages or show pages hidden from the menu.

Cross Site Shared Content Allows web content from a specified area in a separate Immediacy CMS website to be displayed on a page in the current Immediacy CMS website, even if the separate site is on a different server.

EGMS and Dublin Core Metadata Categorisation

Generates eGMS 3.0 <meta> tags in the <head> section of pages. It is normally inserted into the <head> section of a template. The plug-in has been designed to use as many defaults as possible to minimise the amount of work for users in adding and maintaining the data. The defaults are set up using the options configuration add-in but can also be overridden on a page by page basis. In most cases, pages will not require any additional categorisation by users: a combination of the defaults and information automatically extracted from Immediacy is usually sufficient. To be compliant with the newest eGMS standard (eGMS 3.0), this plug-in supersedes the eGMS 2.0 plug-in. eGMS 3.0 uses Dublin Core as its main part while there are some other keywords added and APLAWS is not used any more. The plug-in in Immediacy 5.1 will output according to the newest standard.

Embedsite Allows a content author to embed a third party web site or web application within a page (in an IFRAME). For down-level browsers that don't support IFRAMEs, such as Netscape 4, the embedded site automatically opens up in a new window instead.

Expanding Menu Generates a vertical expanding menu. This standard Immediacy menu is usually customised to provide the exactly functionality required by the site design.

Flash Object2 Provides an easy way of inserting an existing flash file into an Immediacy page.

Form Builder Allows administrators to build data input forms, which content editors can insert into a page. When a site visitor visits the page, enters information and presses the submit button, the fields in the form can be sent as an email, stored as records in the Immediacy Database, or both. Form results stored in the Immediacy Database can be displayed on a password-protected web page or output to .csv format, using the Form Results Report.

Global Terms A client side plug-in that allows editors to select terms, from a list, such as Company Fax Number, and insert them into the page content. The term can then be changed once globally (by an administrator) and the change will be reflected across all instances of that term in the site.

Index Server Search Provides fast and accurate searching of your site. It enables searches not only of page content but also of the content of linked documents.

List Menu Creates a very simple horizontal or vertical menu based on the child pages of a specified page. Output formatting is configurable by a designer.

1 The Blog plug-in can be integrated with Immediacy Deployment Server (DS).

2 The Flash Object plug-in can be integrated with Immediacy Web Asset Manager (WAM).

Log on/Log off Allows site visitors to log into an Immediacy site from a public page. This will allow them to view menu items restricted to specified membership groups without first navigating to a restricted page to log on. The plug-in will also allow site visitors to log off, and hence log on with alternative membership credentials. At runtime the plug-in appears as a link, where the text is configurable. Usually it will display "log on" if the user is not logged on, and "log off" if the user is logged in.

Menu Top Displays drop-down menu in a fixed position using DHTML.

Multilingual Allows site visitors to switch languages at runtime.

Newsletter Allows site visitors to subscribe to a newsletter via a Newsletter Subscription page. Newsletters are published as child pages of the Newsletter Subscription page. The plug-in is used on a separate Newsletter Admin page. This is a password-protected hidden page in the site which can only be accessed through the Immediacy Manager. Administrators use this page to preview and email newsletters to all subscribers. To use the Newsletter plug-in you must first install and configure the subscription plug-in.

OpenSearch Provides a means to search a website without the having to access it directly. Internet browsers IE7 and Firefox2 natively support OpenSearch. Websites can be configured to indicate on the browser interface that they support OpenSearch. This in turn alerts the user to the fact that they can add that website as a provider instance to the browser interface.

Page Counter This is a .Net control which is used by existing plug-ins and can be used by newly created

plug-ins. It is intended for use as a child control of other plug-ins that need to implement

pagination. The control provides first page, previous page, next page, last page and jump to

page functionality. It renders pagination links but allows click events to bubble up to the

parent control which should handle the events in the appropriate way.

Page Properties Allows designers to insert a page property into the page content. The supported page properties include the page title, author, last update date, keywords and description. The plug-in gives the site visitor the most updated information about the page. For instance, the last update date will give the end user confidence that they are getting the newest information on, say, government policy, from the website. When the page is updated, this date is automatically updated so that designers do not have to remember to do it manually.

Parent Properties This plug-in is similar to the Page Properties plug-in, except that it displays the properties of the parent page.

PDF Output An optional module allowing users to dynamically create and download a PDF version of any page in the site by clicking a link.

Related Links Provides a hierarchical tree view of related links for an Immediacy page and allows you to create a structured list of pages containing metadata categories that match the metadata categories of the current page. This plug-in is based on the standard Immediacy base menu plug-in, so the templates and properties used here are the same for the standard menus.

Robots.txt

As an administrator of your Immediacy CMS website, you may have found that your site was indexed by a web indexing robot (often known as robots, crawlers, bots, spiders etc), or that areas of your website you don‘t want indexed are being done so. Many web robots as a result of this respect the robots exclusion protocol, which allows a site administrator to indicate the parts of their site which should not be visited by a robot. This is implemented by the site administrator providing a specially formatted file in the root of their website, robots.txt. The Immediacy Robots.txt plug-in automates the process of creating and administering a robots.txt file, and keeps it up to date on a scheduled basis.

RSS Feeds An RSS feed is an XML document in a format that can be understood by an RSS reader or RSS enabled browser. It usually represents a list of articles, often news articles, with details of each article such as a description, link to the article, publication date, author, and so on. Most browsers can display an RSS document in its native XML format, but this is not very readable. However, if the document contains a reference to an appropriate XSLT stylesheet, the information can be displayed in a readable format. The Immediacy RSS plug-in allows the creation and consumption of RSS feeds into and out of Immediacy websites. It currently supports RSS Version 2.0. RSS feeds displayed on Immediacy websites can come from a static XML document, a dynamically created feed including from an external source, a dynamically created feed from a database, or dynamically created from the pages in an Immediacy Metadata category. (cf Article Index plug-in)

Scroller Enables content contributors to add a scrolling list of links to pages, such as a news ticker, into a web page.

Search Provides fast and accurate searching of your site. Search ranks pages by relevance and can limit searches based on categories. An optional advanced search mode can search based on date last updated and order results by date or in alphabetical order. Combined search (CMS and WAM) - means you can search across CMS and WAM repositories Configurable document properties displayed (inc icon) - much more configurable, templated and customised layout, search terms used logging, In-line help on plug-in help configuration dialog.

Search Engine Meta Tags Embeds the Meta Keywords and Meta Description into the <head> section of a page to help with search engine optimisation.

Shared Content Enables content contributors and designers to display the content from an editable area of one page in another. The plug-in provides an easy way to re-use content between pages and is particularly useful when the shared content is changed frequently. Note that if a page is accessible only to authorised members, Immediacy does not prevent this content from being shared and viewed in another public page. Designers should therefore carefully check the shared content's membership settings before sharing it.

Site Map Provides a hierarchical site map view of your Immediacy site.

Style Picker Allows pre-defined styles to be changed by a user at runtime, allowing them to customise the look and feel of the site they are browsing based on their user preferences or accessibility requirements. These choices apply across pages and can be stored in cookies to allow users to store their preferences to run in subsequent browser sessions.

Subscription Allows site visitors to subscribe to a page.

Tree Menu Generates a cross-browser, CSS-driven drop-down menu, which is configurable by editing some simple parameter files. Uses callback functions to allow developers to extend the menu functionality. Can be used to build the site map for example.

User poll A user poll appears to the site visitor as a question, a set of answer choices as radio buttons, and a "vote" button. When the site visitor has voted, a cookie is set on his or her machine, and poll results to date will be displayed instead.

What‘s new Generates a list of the newest pages on the site. The number of pages displayed can be limited either by specifying a maximum number of pages or by using a cut off date - ie. the maximum number of days to go back..
