Multiple files combined into one

• Each day we download data via EdConnect

• Most often multiple files are retrieved

• ISRS only allows us to load one file per day

• Depending on the time of year, we’re often downloading multiple files for multiple years.

Combining ISIR data files to load into ISRS & EdExpress for 2001/02 & 2002/03

I have a combine batch program that I used this year that I would like to make available ISRS users. Set up and used properly, the program will take the data downloaded daily using EdConnect and then copies into:

• 2002 subdirectory• 2003 subdirectory• a second data subdirectoryThe program then automatically:• creates a combine02.dat file in the 2002 subdirectory• creates a combine03.dat file in the 2003 subdirectory• copies all files from the daily download into the data/data subdirectory

For users that understand directory structure!

Combining ISIR data files to load into ISRS & EdExpress2001/02 & 2002/03

• The batch program that does this is called “super_combinev5.bat”.

• Download from this link: Super Combine Batch or type the following into your browser: http://groups.yahoo.com/group/HibbingFA/files/2003%20ISIR%20Combine%20Program%20%28not%20for%20student%20use%29/

• Save the file to the 2003 directory and create a shortcut on your desktop.

F:\fin_aid\iam\data

The directory structure used in the batch program and on my server for EdConnect data are as follows:

F:\fin_aid\iam\data\dataF:\fin_aid\iam\data\2002 F:\fin_aid\iam\data\2003

If your directory structure is different, you will either have to make new directories or alter the batch program using a text editor. Hint “use search and replace!”.

If you decide to try this, BACKUP your data and Test to make sure it does what you want it to do!

Process as follows:

After the EdConnect daily download (files should have downloaded into F:\fin_aid\iam\data) double click on desktop icon that executes batch program. Now load 2002 downloaded data into EdExpress. A time saver!! Instead of loading daily individual files into EdExpress one at a time, import the newly created “Combine02.dat” file. You will get the same results as loading files one at a time. After the combine02.dat file is imported into EdExpress, it is renamed combinebk.dat. The next day, the combine02.dat file will be renamed automatically combinebk.001 when imported into Express. Certain files will not load into EdExpress when you load the combine file. These files are: error files, hold files and rad files. Additionally, any files that are downloaded and are to be imported under the “Pell tab” of EdExpress will still need to be imported one at a time.

Load 2002 and 2003 data into ISRS

• Go to FA0219UG• Enter 2002 and look for the file just

loaded into EdExpress. In my case, F:\fin_aid\iam\data\2002\combinebk.091.

• Then, do the same for 2003.

Setup the Import & Export Directory Structure in EdExpress

• Go to tools/setup/global/file management• The import tab is where you’ll be changing

directories.• As you setup the directories, think where you’ll be

getting your files from!• Your ISIR data (sara, corr, eaps, sysgen,) change

the directory to (in my case) F:\fin_aid\iam\data\2003 or 2002.

• Depending on your process, you may change others too.
