Improvements to Uploading and Downloading Files Last Updated 3/10/2017 Page 1 of 16 IMPROVEMENTS TO UPLOADING AND DOWNLOADING FILES As part of a multi-step plan to permanently resolve the document viewing and printing issue, all documents uploaded into WCAIS will be accepted only in Portable Document Format (PDF) beginning in mid-March 2017. This document describes how to: Convert Microsoft Word or Microsoft Excel files to PDF so that they can be uploaded to WCAIS Download files from WCAIS via Internet Explorer, Mozilla Firefox, or Google Chrome Additionally, a table of exceptions is provided below which highlights the areas within WCAIS where Microsoft Word documents or Microsoft Excel spreadsheets are still able to be uploaded. CONVERT FILES TO PDF TO UPLOAD TO WCAIS

This section provides step-by-step instructions to convert Microsoft Word documents and Microsoft Excel spreadsheets to PDF. Although the screenshots provided are for Microsoft Word, the instructions apply to Microsoft Excel as well.

MICROSOFT WORD OR EXCEL 2016

1. With your document open in Microsoft Word, select the File menu (top left-hand

corner) from the Ribbon that displays across the top of the screen.

2. Select Save As from the menu that displays, and then press Browse.

3. Select a specific location on your computer where you would like to store and access the file, and rename the file if necessary.

4. Select PDF (*.pdf) from the Save as type drop-down menu, and then press Save. The new PDF version of the file is saved in the location you selected and is now ready to be uploaded to WCAIS.

DOWNLOAD FILES FROM WCAIS

This section provides step-by-step instructions to download files from WCAIS. The steps differ based on Internet browser, file type, and whether or not the document or correspondence has multiple attachments.

• Download Scenario 1 – Documents/correspondence without attachments: Selecting the Document Type link will begin the download process.

• Download Scenario 2 – Documents/correspondence with attachments: Selecting the Document Type link will load the View Document/Correspondence screen in a new tab or window from which you can select to download each individual document. As needed, you will repeat the steps provided below to download each file listed on the View Document/Correspondence screen.

NOTE: To return to your WCAIS session after downloading the document(s) or correspondence, press X to close the browser’s tab or window which opened to display the View Document/Correspondence screen.

NOTE: If you attempt to download a PDF file from WCAIS and it replaces your WCAIS session in the Internet browsing window, download and save the file to your computer before logging back into WCAIS. To keep the PDF file from overwriting your WCAIS session, please contact your organization’s IT department or the WCAIS Helpline at 1- 800-482-2383 or (717) 772-4447 for assistance with removing the Adobe PDF Reader plug-in or add-on from your selected Internet browser. This will then force PDF files to automatically save to your computer instead of opening in your browser window.

MICROSOFT INTERNET EXPLORER – DOWNLOAD A PDF FILE VERSION 11.0.9600.18537

1. After accessing a screen from which a document or correspondence is available to

download, select the Document Type link (e.g., Letter to the Judge). The PDF file will open in a new tab or window of your Internet Explorer browser.

2. Press the Save icon in the Adobe Viewer window. The Save As pop-up window displays.

3. Select a specific location on your computer, rename the file, and then press Save.

NOTE: The file will download with a generic name (e.g., DocumentContentHandler.pdf). When selecting the location on your computer, you may also want to rename the file with the Document Type and Matter Type (e.g., Letter to Judge_Claim XXXXXXX).

NOTE: To open and view the document outside of your Internet Explorer browser once it is saved to your computer, navigate to the area where the file was saved.

4. Press X to close the Internet Explorer browser tab or window where the PDF file originally displayed to return to your prior WCAIS session.

download, select the Document Type link (e.g., Request Proof of Service). A new window and Internet Explorer pop-up window displays.

2. Press Open. The file will open with the appropriate software (e.g., Microsoft Word, Microsoft Excel, etc.).

Press Save As, and then select a specific location on your computer where you would like to store and access the file, rename the file, and press Save.

1. After accessing a screen from which a document or correspondence is available to

download, select the Document Type link (e.g., Letter to the Judge). The PDF file will open in a new tab or window of your Mozilla Firefox browser.

3. Select the Save File radio button and press OK to download the file to a folder on your computer. The progress of the download displays in the Mozilla Firefox browser bar. When the Download icon turns blue, the document is ready to be accessed.

4. Press the Download icon and then select the document from the drop-down list. The file will open in Adobe Reader on your computer.

NOTE: The file is currently saved to a download folder on computer with a generic file name (e.g., Document.pdf). To save the file to a different location, use the software’s save functionality and select a specific location on your computer. When saving, you may also want to rename the file with the Document Type and Matter Type before saving (e.g., Letter to Judge_Claim XXXXXXX).

5. Press X to close the Mozilla Firefox browser tab or window where the PDF file originally displayed to return to your prior WCAIS session.
