INCORPORATING DIGITAL PHOTOGRAPHS INTO MICROSOFT
WORD DOCUMENTS
Find the folder that contains the photograph you want to insert. Highlight it and click ‘Insert’ or merely double-
click on the thumbnail.
So, you want to insert a digital photograph. In a Word document on a blank page, click on ‘Insert’, drop down
to ‘Picture’, and drop over to ‘From File’.

You cannot manipulate the photo just yet. Right click with your mouse within the image for this menu to appear:
Format Picture will open the menu below. The Format Picture toolbar will remain open (you can move it out of
the way) until you close it. Click on the middle tab ‘Layout’ and click the second dog from the left, ‘Square’.
The photo can then be moved on the page (or anywhere within the document). This is an important step!

Next, click on the Size tab. Under Size and Rotate type in a number in the Height box. Click OK. You don’t have
to type anything in the Width box—proportions will follow suit. Don’t even think of typing in arbitrary numbers
in these boxes – Word has its own proportions it insists on applying. If I’m inserting two photos per page with
one text box in the middle, I use “4” in the ‘Height’ box. You don’t need to type in the inches (“) symbol. Four
inches works for both vertically and horizontally aligned photographs if you’re using two photos per page.

Next, insert a Text Box. The icon is the third from the right in the Drawing toolbar. Click on the icon and draw
the Text Box to the size you want it. You can move it around on the page (as well as the photographs) and resize
it at will. Use the corner circles to enlarge the entire box or photo. Use the circles in the middle (horizontal or
vertical sides) of the photo or Text Box to enlarge just the width or height. I use smaller text boxes to letter (or
number) each photo. For interest I use another font (in this case Comic Sans MS) inside the box.

To add an arrow, choose ‘Auto Shapes’ from the Drawing toolbar, drop up to ‘Block Arrows’ and drop over to
the shape of arrow you want to use. Little cross hairs will appear. Click on the general area where you want the
arrow and a large arrow will appear. You can re-size it by dragging one of six points. To add color, make the
arrow active and choose the fill color you want from the palette on the drawing toolbar. You can move the arrow
wherever you want it on the page.

To draw a line as in the above photo, go to ‘Auto Shapes’ on the Drawing Toolbar, drop up to
‘Lines’ and drop over to the symbol for line. Draw the line through the object you want to
modify. To change its appearance, make the shape active, put the mouse pointer exactly over it,
and right click to bring up the following menu:

You can change the appearance of the line, the style, line weight, and color, all within this menu. The smaller
boxes are merely Text Boxes.
