Increased SharePoint User Adoption…
6 Things Mom Always Said…
Agenda
• Brief Introduction
• 6 Things Mom Always Said…
• Q&A
• Wrap Up & Next Steps
About Us
• Originally founded in 1984
• Best of breed systems provider focused on integrated solutions to meet real business requirements
• Microsoft ISV Partner – Winner of Business App of the year in “Not for Profit” category (1997), Impact Awards Finalist (2010)
• Based upon client projects we have built repeatable solutions that reduce development costs and satisfy business requirements
Setting the stage
• 2011 – 20,000 new SharePoint users added per day
• Quick Poll…
• Only 17.6% of organizations felt that the SharePoint user experience met their needs
• Biggest challenges for user adoption – Time and effort to build and implement applications, User Training
• Someone mentioned one of mothers’ sayings – Decided to put together webinar to share our insights
Saying #1“Where are you going? Who else is going to be there? Will his/her
parents be there?”
Know your users, and how they work…Involve in
process
• Engage with users to understand the key products and processes that they use each day
• Find out how they are measured
• Follow around one or two key members for a day
• Involving them in the process = more engagement
• Do not be afraid to say “no” if does not meet business needs
Saying #2“You have two hands…pick it up
yourself!!!”
Make it easy for them to use themselves…
• Use the information gathered. Ignore at your own risk!
• Outlook/Email is one of most used systems
• Mobile Devices
• Use workflows to automate common processes
• Incorporate LOB applications…but only what they use at least once per week
• Find opportunities for one or two immediate efficiencies Ex. Lync
• Benefits = More adoption, Lower learning costs, Lower productivity loss
An Example…
Saying #3“You can’t find it? Well, if you
would put things back where they belonged, you wouldn’t have this
problem…now would you?”
Structure that makes sense…
• One of biggest issues we have seen is when users do not know where to put their information, or where to find it when they need it
• Isolate and group around how your business is structured. Don’t try and reinvent the wheel
• Use team/project sites and folder structures that are intuitive
• Incorporate document types, metadata, and profiling into how they use their current tools
An Example…
Saying #4“What do you mean you need a
ride? When I was your age, I walked to school through 6 feet of snow…you can walk too, just put one foot
in front of the other…”
Build and deploy iteratively…
• SharePoint is a development platform. Not a solution by itself. Use development methodologies and best practices (requirements management, release schedules, version control, etc.)
• Too many organizations try to do too much all at once
• Build requirements based upon what drives business value for the organization (+/- Time or Money)
• Try to include at least one new productivity enhancement in each release
Saying #5“…wait until your father gets
home…!”
Executive Support Involvement…
• Quick Poll
• There is big difference between Executive Support and Executive Involvement
• Utilize governance, decision workflows, and issue resolution, and approval processes to ensure execs are using system
• Leverage organizational KPI’s and metrics
• If users know that management is using for monitoring and managing people and processes…they will use it
• Will ensure long term executive support (usage and funding)
Saying #6“You had better share that with
your brother/sister!...”
The Point is to Share…
• Use the social components within SharePoint (Ex. I Like It!, Noteboard, Ratings, etc.)
• Incorporate appropriate content like pictures from events, etc.
• Knowledge Explorer and Silverlight for visual exploration
An Example…
