OVERVIEW & OBJECTIVES
The A endance Wizard tool allows the a endance office to quickly create or change a end‐ance data for a group of students using a variety of modes. During this lesson, the learner will learn how to:
* Create a endance events for a given day
* Edit exis ng a endance data using the wizard
Naviga ng to the A endance Wizard
In the Index, expand the A endance module.
Select A endance Wizard
The current date will automa cally be entered in the date field. It can be changed to any
date needed.

Using the Daily Mode
Search for students you need to mark. You may search by name, grade, a endance code,
student number, course and sec ons, or use an exis ng Ad Hoc filter.
Search results will appear in Column B. Choose the student(s) you need by double clicking
on the names so the student moves to Column C. You can remove a name by clicking on the
name in Column C.
Select the correct a endance code for the situa on.
Enter any addi onal informa on in the comments field.
Select comment handling op on if needed. Append comments will leave any exis ng com-
ments and add the user-entered comments at the end of the filed.
Click the Save A endance bu on.

Using the Period Mode
Once the date is selected, choose the Period mode for marking students absent.
Search for the students by name, grade, a endance code, Student number, course
and sec on number, or an exis ng Ad Hoc filter.
Search results will appear in Column B. Click on the students you need to mark and
they will move to Column C.
A er students are in Column C, select the period to create an A endance record for
and the correct a endance code. Enter comments if needed.
Click the Save A endance bu on.
Using the Batch Mode
Once the date is selected, choose the Batch Mode for marking the students absent.
Search for the students that you need to mark.
Search results will appear in Column B. Select those you need and they will move to Col-
umn C.
Select the correct a endance code for the situa on.
Enter the date for when to start applying the absence code in the From area and the last
date for that code in the To area.
Enter any addi onal informa on in the Comments field.
Click the Save A endance bu on.
Daily — marks selected students absent for en re day.
Period — marks selected students absent for specific period.
Batch — marks selected students absent for a range of days.

OVERWRITE EXISTING DATA explana on: The Overwrite Exis ng Data check box will erase any exis ng
a endance data for that date or period and replace it with the code and comments entered in the Wizard.
The DEFAULT is to overwrite. This box may be unchecked or le checked depending on the need. For ex-
ample, if a group of students is on a field trip and this data was entered into Campus earlier, the box
would be checked when entering students who will be absent all day as the result of a parent call. This
will remove the indica on that the student is on the field trip and replace it with the indica on of an all-
day excused or unexcused absence. Conversely, if the all-day absences have been entered first and the
field trip list comes in later, the box would be unchecked when the field trip list is entered into the system
to preserve any records of students who were absent for an en re day.
Using the Edit Mode
To edit a endance from previous entries, select the date you wish to edit and then select
the Edit Mode.
Students who have an a endance event for that day will appear in Column B.
To make changes to one par cular student, click on their name in Column B and it will move to Column C.
Mark the a endance changes for the par cular student and select Save A endance.
If the change should be applied to all subsequent periods of the day, click Fill Down and
then Save A endance.
To do a mass change, search for the students who have the common a endance event,
like students marked unknown from first period.
Edit Mode ‐ is used to edit exis ng a endance marks, as in taking all unknown absences
from first period and changing them to unexcused. The IT Dept. does this nightly for all
unknown absences.

Using the Batch Edit Mode
Choose the Bach Edit mode and search for the students you need to mark absent. You can
search by a number of different fields or use an exis ng Ad Hoc filter.
Search results will appear in Column B. Select the students who will need to have a end-
ance events created. Select the correct a endance code for the situa on.
Enter the date range and choose which periods.
Enter any addi onal informa on in the comments field and save.

OBJECTIVES
* Navigate through the screen and understand the different on-screen colors and op-
ons.

To Use the Daily A endance Tool
Expand the A endance module.
Select the daily a endance tool from the Index outline.
The tool automa cally loads today’s date but you can change it to any date you need by
pu ng in the date and clicking on Refresh.
Events that have been created by the A endance Wizard or by manual edits on the stu-
dent’s a endance tab will show the code and a color-coded status.
Any a endance that has been entered by a teacher will show just the a endance type of
Absent or Tardy with a yellow background because they are an unknown type.
Hovering over an a endance event will cause a pop-up window to display, showing the
meaning of the code, the person who entered the event, and any comments that were en-
tered.

To Process an A endance Event for a Student
Select the event you wish to edit by clicking on the code.
In the drop down select the a endance code.
Enter any new comments in the Comments field.
If the change should be applied to all subsequent periods (as in a parent calls excusing an
en re day), select the “Fill Down” op on.
If the en re day need to be marked as present (as in the case of clerical error), click Clear.
Click SAVE when finished.
To View a Student’s A endance History
Click on the A endance tab under Student Info.>General and it will display on screen for
that school and year.
No ce that the le side of the screen shows a endance totals broken down by terms and
periods.
To return to the daily a endance tool, click on the daily a endance tab at the top of the
screen.

CLASSROOM MONITOR
The Classroom Monitor will show a endance from the point of view of the teacher including
if the teachers have taken a endance. In addi on, it allows the user to rapidly enter a end-
ance for subs tutes, provided a roster or other list is submi ed to the a endance office.
OBJECTIVES At the conclusion of this lesson, learners will be able to
*Monitor teacher a endance process compliance.
*Monitor individual classroom a endance trends.
*Take a endance for subs tutes teachers. To Open Classroom Monitor
Expand the A endance module and select Classroom Monitor.
It will open for the current date or you may change that date.
If you change the date, click refresh to reload it for that par cular date.
The Classroom Monitor will show a endance from the point of view of the courses, in-
cluding if teachers have taken a endance.
Any sec on highlighted in green with the number of students present out of the total
number of students in parenthesis indicates that a endance has been taken for that sec-
on and a pink background without a number of students present indicates that a end-
ance has not been taken for that sec on.

Contact Op ons for a Teacher
The email address and work phone number for a teacher as entered on their Census>Person
demographics may be obtained by hovering over the icons in the contact column next to
their name. Clicking on the email icon will open a new message in your email program.
Viewing A endance Data for a Par cular Student
The Classroom Monitor grid has the course and sec on for a specific teacher with the total
number of students in the class over the total number of students present on that date.
Hovering over the sec on will display the name of the course. Clicking on the sec on will
open the a endance tool for that sec on showing specific students and their a endance for
that period for that day.
Taking A endance for a Subs tute Teacher
If a teacher is gone and has a subs tute and that subs tute is given a class roster and turns
it in to the office, the a endance office can enter the a endance by clicking on the sec on
in the classroom monitor and can then enter the a endance data as needed. When fin-
ished, clicking save will mark a endance as taken in that period for that teacher. Their en-
try on the classroom monitor will then show as green.
ATTENDANCE LETTERS
OVERVIEW
The a endance le er tool is used to generate le ers to no fy parent(s)/guardian(s) of a endance issues about their children. The district has a le er template for all schools to use.
OBJECTIVES

Naviga ng to A endance Le ers
Navigate to the INDEX.
Select A endance Le er (New). The following window will open.
Log in with the following creden als:
User Name: reportreader
Password: a@1b@2c@3
Either of the following two security messages will appear.
Select No when this Security Warning appears.
The following message may appear and will be at the bo om of your computer
screen. Click Show all content.

Click on A endance Le er (New) again to open the a endance report. The re-
port interface will open as shown below
High Schools select the appropriate term T1, T2. Middle and Elementary Schools
the value will be All.
Add Signer and Signer’s Title.
Select which Le er sequence you are running the report for. Please no ce the
Default Trigger value for each le er. If these numbers are incorrect, please up-
date to the correct value and no fy the Infinite Campus mailbox of the new trig-
ger values. ([email protected])
Run the report with Yes selected. The A endance Le er Sent Tab will automa cally up‐
date with the date the report was run and your name.
To output le ers for prin ng, choose PDF from the drop down menu and Export. Two pages
per student will print. One is the le er, and one is the A endance Summary.
Repeat this process for Le er 1, Le er 2 and Le er 3. The le er will be generated in either
English or Spanish based on the ConnectEd language populated on the student’s
Demographic page.
