RightFax - Integrating Google Apps with RightFax 10 You can use the RightFax E-mail Gateway for SMTP to integrate RightFax 10.0 with Google Apps. This article walks you through the steps. Requirements

The requirements for using RightFax with Google Apps are:

RightFax 10.0 A dedicated Google Apps mailbox with POP3 enabled Outgoing port 995 enabled for POP3, and ports 587 or 465 enabled for SMTP (required by Google Apps)

Configure Google Apps

Create a mailbox exclusively for RightFax.

1. Log on to the Google Apps management console.

2. Under "Organization & users," create a new user. In these instructions, the name of the new user is RightFax.

3. Reset RightFax's password to a permanent password.

4. Log on as RightFax, and then accept the Google Apps End User License Agreement (EULA).

5. Click Mail Settings, and then, under Settings, click Forwarding and POP/IMAP. Enable POP for all mail.

Configure Google Apps to use a catchall account (if necessary). The RightFax E-mail Gateway examines the email recipient information to obtain fax addressing information, including the recipient's fax number. The format of the fax recipient address depends on the RightFax SMTP addressing scheme in use. For information on supported addressing schemes, see Additional Information below. The following addressing schemes require the creation of a catchall account:

Simple SMTP Addressing Scheme

IETF Addressing Scheme (required for Microsoft Outlook fax extension) Other addressing schemes do not require a catchall account to be created. If a catchall account is required, complete the following steps:

1. Log on to the Google Apps Administration console.

2. Under Settings, click Mail. Enable "Forward the email to" and enter RightFax in the text box.

Configure RightFax Create a RightFax SMTP Email Gateway for use with Google Apps. See Additional Information for POP3 and SMTP settings to use with Google Apps. Complete the following steps:

1. Open the Microsoft Windows Control Panel.

2. Double-click the RightFax E-mail Gateway.

3. If an SMTP gateway does not already exist, click Add Gateway, enable SMTP/POP3, and then click Select.

4. On the SMTP tab, apply the following settings for incoming emails:

SMTP Server smtp.gmail.com

Port 465 or 587

Encryption type TLS/SSL

This server requires authentication Enable this setting.

Log on using Enter your Google Apps credentials. (You can use any valid Google Apps user ID.)

5. On the POP3 tab, apply the following settings for outgoing emails:

POP3 server pop.gmail.com

Port 995

Encryption type TLS/SSL

Account Name and Password Enter your Google Apps credentials. (You can use any valid Google Apps user ID.)

Use IETF fax addressing If you use the IETF addressing scheme, enable this setting. Otherwise, leave it cleared.

Send through this user when e-mail sender is unknown

(Optional) Enable this setting and type Default in the text box. (If you do not enable this setting, the RightFax E-mail gateway discards any faxes whose addresses cannot be resolved to a RightFax user.)

Verify that Everything Works Test inbound delivery (from RightFax to Google Apps).

1. Open Enterprise Fax Manager. 2. Click Users. On the right pane, double-click a user.

3. On the Inbound Routing tab, for Routing Type, select SMTP; for Routing Info, enter the user's Google Apps email address.

4. Send a fax to this user.

Within a couple of minutes, the fax should appear in the user's Google Apps mailbox. If it does not, examine the Windows Event logs under Application and note any error messages.

Test outbound delivery (from Google Apps to RightFax) Send a fax using one of the supported addressing schemes. For example, use the RightFax Addressing Scheme: /name=Test/Fax=555-1212/ <POP3 Mailbox> Within a few minutes, you should see the fax in FaxUtil. If you do not, check the Windows event logs under Application for any error messages from the RightFax E-mail Gateway.

Supported RightFax SMTP Addressing Schemes There are three supported addressing schemes for addressing the recipient. Choose one that suits your needs and is supported by your SMTP server. Google Apps supports all three addressing schemes, so you can use any of the three supported addressing schemes with Google apps, unless you use third-party programs that impose specific requirements. If you use a third-party program to submit emails, verify that it supports the addressing scheme you want to use. Sometimes programs are hard-coded to use a specific addressing scheme.
