Abstract
UrbanWater is a project co-funded by the European Commission under the Seventh Framework Programme for
Research and Technological Development of the European Union.
According to the DoW, a final video should be released presenting the project main goals. However, during the
ICT4WATER Annual cluster meeting held in Brussels the 4th February 2014, it was decided to launch a common
video in order to disseminate the main goals of the ICT4WATER cluster of projects as a whole. The UrbanWater
coordinator, ATEKNEA-C, proposed to lead and fund this initiative taking advantage of their already assigned
dissemination tasks to develop the project video. This is the reason why this present deliverable is in fact an
ICT4WATER video deliverable.
The video presents the ICT4WATER cluster projects and identifies and describes the main goals and objectives of
the 15 projects that conform it. The script of the video was prepared with the collaboration of all the projects,
coordinators, which participated actively in the decision-making process led by the UrbanWater coordinator. After
a first version of the script was approved by the FP7 projects in October 2014, the video was presented in occasion
of the ICT4WATER Annual cluster meeting held in Brussels the 19th March 2015. In this meeting, all the present
projects plus the EC representatives decided to include the new H2020 funded projects in the final versions, as
well as shorten the video length.
This deliverable presents the final version of the video, with the new H2020 projects included and with all the
changes proposed by the rest of the project coordinators so far. The present document shows in detail the video
production process, from the preparation of the script until the inclusion of the voiceover and the final images.
This video will be a useful tool for the ICT4WATER cluster projects in the process of dissemination their goals and
objectives, jointly with their websites and other dissemination material, and to attract significant attention from the
end-users interested in the solutions and technologies proposed by the 15 sister projects.

1 Introduction
1.1 Objectives of Deliverable 8.8
The objectives corresponding to this report are defined by the Description of Work (DoW) document, concretely in WP8, Task 8.4 – Dissemination activities (lead by ATEKNEA-C). The general objective of WP8 is to carry out dissemination activities to raise the awareness of the community to project objectives, achievements and final results. In that sense, these objectives can perfectly by translated to the development of a cluster video which promotes, disseminates and raise the awareness of the community to the existence of 15 European-funded projects (including UrbanWater) aimed at improving the efficiency in the field of water management. The main objective of the present Deliverable 8.8 is to contribute to the dissemination activities of the cluster by presenting its concept and its technology from the general audience standpoint. It also serves as a basic tool for the different partners to assist their dissemination and exploitation activities and the successful engagement of their technologies and solutions with their end-users, especially water consumers. This video will be uploaded in public websites, project official YouTube channels and it will be shared in the social networks (mainly in Facebook, Twitter and LinkedIn). Each project coordinator can disseminate the video according to the rules and the goals of their consortiums. The video does not include any confidential information; its content is completely public and its tone is perfectly compatible with the knowledge of the general public regarding water management and ICT solutions.

This video could become one of the main assets for the ICT4WATER projects dissemination, as it is focused to
raise awareness among the general public as well as to attract the attention of potential users towards the solutions
proposed by each one of the cluster projects. Therefore, the project coordinators have worked in close collaboration
to obtain a good result in line with their expectations. For this purpose they have decided to outsource an external
marketing agency named Kerko Média Ltd. (www.kerkomedia.hu) – with a wide experience in developing similar
project videos - to get support in providing a high quality video and to reach a wider public.
ATEKNEA-C, as UrbanWater project coordinator, took the role of communication between the project coordinators
and the video designer. Since October 2014, they all have concentred their effort to share ideas and content to
develop this promotional video. With the main support of ATEKNEA-C and the marketing agency Kerko Média Ltd,
the project coordinators have collected their needs, their knowledge and experience to produce a common message
that represent the essence of the 15 sister projects.
The script was a document raised by ATEKNEA-C but completed and validated by all the project coordinators in
order to stablish a content structure for the video clip. This document also details the key messages to be included
and proposes some images to be shown. The final version of the script (28/04/2015) has been added to this report
as an Appendix.

The project coordinators have widely commented the proposed voiceover and script before the video production.
They have also agreed not to disclose any sensitive information about their technologies, but at the same time the
main focus has been to obtain a tool that assist their future marketing activities.
Apart from the basic communication through e-mail, a specific conference call was organized by ATEKNEA-C
during the production process in order to agree a common script (see Appendix). The project coordinators shared
the different script version with their respective consortiums, a factor that has eventually delayed the execution of
the video, although it has ensured that all the partners participating under the umbrella of ICT4WATER agree with
the video content. During the production process, continuous feedback between the marketing agency and the
project coordinator (ATEKNEA-C) has been established in order to ensure the partners agreement on all the video
contents.
The final video version lasts 2 minutes and 30 seconds.
2.2 The ICT4WATER video voiceover
With the aim of communicating the main non-confidential messages about the ICT4WATER initiative and supporting the footage, the below voiceover was prepared and agreed by all the project coordinators:
The context of the ICT4WATER projects “Water is vital for us. Water covers 70% of the Earth, but only 1% of it is freshwater. Water demand is steadily increasing: by 2025 two-thirds of the world’s population are expected to be living in water-stressed regions. Urban water infrastructures in Europe are ageing and deteriorating, making operation and maintenance costs higher for water utilities”.
Main goal of the ICT4WATER projects “The main goal of the ICT4WATER projects is to increase efficiency in water management and to enable greater cooperation among water regulators, operators and users by deploying solutions provided by Information and Communication Technologies (ICT)”.
The needs covered by the ICT4WATER projects “Water authorities and water utilities need better tools to improve their efficiency in resource management and control of their operations. Another challenge is to provide customers with real-time information about their own water consumption, comparison with other people’s consumption, related costs and information on domestic water
usage efficiency”.
The benefits of the ICT4WATER projects “Projects Benefits are threefold:
To enable authorities, customers and the society as a whole to save money while preserving the
environment
To have a positive impact in water usage habits, thereby optimizing water consumption.
To achieve more sustainable and habitable cities”.

2.4 The ICT4WATER video dissemination
Once finalized, the video file needs to be firstly provided to all the project coordinators and the EC members for
final approbation.
The current version, which has gathered all the suggestions made from the projects coordinators during and after
the Annual Cluster meeting of March 2015, is temporarily uploaded in the UrbanWater channel:

3 Conclusions
The present deliverable details the production of the ICT4WATER cluster video as a dissemination tool to
complement each project’s dissemination activities. The promotional video was prepared to ensure that the
ICT4WATER initiative is well-known and reaches a wider audience beyond the consortium. Moreover, through this
video, each project will have a useful tool to assist their dissemination activities in order to promote their solutions
and technologies to their end-users (specially water consumers).
The video has been technically produced with the support of an external agency, although all its content, structure
and goals have been previously discussed and validated by the coordinators of each of the 15 projects that conform
the ICT4WATER cluster, plus the suggestions and advice of the European Commission.
The video clip is planned to be available on Youtube and it will be disseminated by the ICT4WATER members via
their specific promotional channels.
