APPLY FOR YOUR VISA NOW Do not delay or miss this event. While steps have been implemented to make the visa application easier, it is still very time consuming. For a list of visa-exempt countries, visit the U.S. State Department website at www.state.gov.

Requesting visas early in the year will help you get your visa. Several overseas offices of the Department of Commerce arrange official delegations to the Expo. If you are interested in attending with such a group, please contact your local United States Commercial Service office.

It is important to apply for your visa as early as possible. The following are some useful visa applications tips:

• Apply as soon as possible.

• Attaching evidence of your previous visits to the AACC Annual Scientific Meeting & Clinical Lab Expo may help shorten the application processing time.

• Attaching evidence of your intended return trip to your home country can shorten the application processing time.

• If your local U.S. Consular Office requests that you obtain a “Letter of Invitation” from AACC, please visit our website at www.aacc.org/letterofinvitation.

Please register in advance. In the past, international visitors who waited until Tuesday morning to register stood in lines for up to one hour. To avoid long lines when you arrive, register by June 11, 2020, via fax, mail or the AACC website.

HOW TO REGISTER 1. Complete the enclosed registration form* and fax or

mail as directed on the form OR visit AACC’s website, www.meeting.aacc.org and register directly for “Expo Only.” You may use this registration to apply for your visa then upgrade your registration to include scientific sessions in April when conference registration opens.

2. Using the enclosed form (or through AACC’s website), make your housing reservation and secure it with a credit card. Your housing confirmation will be sent separately.* “Expo-Only” registration is $40 U.S. until June 11, 2020. After that date,

Conference registration requires a separate form with registration fees. HOTEL INFORMATION

AACC has negotiated special rates at leading hotels in Chicago. SPARGO, Inc. is the official housing agent for the meeting and expo.

AACC will provide complimentary shuttle service from most official hotels to McCormick Place, the Chicago Convention Center. This service is not included for attendees staying at hotels outside of the official housing block.

After June 30, 2020, every effort will be made to accommodate your request, subject to hotel availability and rate request.

• Rooms are assigned in the order in which reservations are received. If your first or second choice is not available, you will be assigned a room in a comparable hotel.

• All hotel reservations must be guaranteed by a major credit card. A deposit in the amount of one night’s room rate (plus tax) will be charged to your credit card by the hotel on or after June 30, 2020.

• Written confirmation will be faxed, mailed or emailed the next business day after receipt of your request.

• Changes and cancellations should be made through the AACC Housing Service until June 30. Changes may be subject to hotel availability. If changes need to be made after June 30, please refer to your confirmation for details on your hotel’s change and cancellation policies.

• Many hotels are now imposing fees for early departures. This policy is at the discretion of the individual hotel, and the amount of the fee varies by hotel. To avoid an early departure charge, be sure to verify your actual date of departure at the time of check-in.

CANCELLATION/CHANGE POLICY On or before June 30, 2020, you must submit your cancellation or change in writing to the AACC Housing Center. After this date, you must call your assigned hotel directly about a change or cancellation. If you do not cancel at least 72 hours prior to your scheduled arrival date, you will not be refunded your first night’s deposit.

Please retain the cancellation confirmation from the AACC Housing Center or the cancellation number provided to you by the hotel. This proof of cancellation will be required to resolve any credit card disputes.

EXHIBITS-ONLY REGISTRATION POLICIES & PROCEDURES

Please register in advance. In the past, international visitors who waited to register until Tuesday morning stood in lines for up to one hour. To avoid long lines when you arrive, register by June 11, 2020, via fax, mail or the AACC website. Please note the Expo Hall is open Tuesday, July 28–Thursday, July 30, 2020, only.

Convention Data Services (CDS) is the only authorized meeting registration vendor for the 2020 AACC Annual Scientific Meeting & Clinical Lab Expo. If you are contacted by any company other than CDS regarding registration, please note that these companies are not authorized to represent AACC, nor do they have access to registration.

HOW TO REGISTER

Register for an Expo-Only badge via AACC’s website at www.meeting.aacc.org, or complete the form on pages 13 and 14. If you are registering more than one person, you may photocopy the registration form, print additional copies from the website at www.meeting.aacc.org, or contact AACC at +1.202.857.0717 (outside the U.S. and Canada) or 800.892.1400 (U.S. and Canada) and ask for Customer Service.

Registration is $40 if you register by June 11, 2020. After June 11, the registration fee is $65. AACC requires full payment at the time of registration. AACC does not accept purchase orders. CHANGES AND UPDATES

Registrants who have purchased an Expo-Only badge may upgrade to a Conference Registration and get access to the scientific sessions once full registration opens in mid-April. If you need to make changes or updates to your registration, click on the “Registration Resource Center” link in your confirmation email at any time before you pick up your badge at the McCormick Place in Chicago, IL USA.

CANCELLATION POLICY

There will be no cancellations, refunds or transfers of Expo-Only registration fees.

BADGE PICK UP

To pick up your badge on site, bring your confirmation letter to any All Badge Pick-Up counter at the McCormick Place in Chicago, IL USA. All individuals must show government-issued photo identification when picking up their badges.

GLOBAL MATCHING PROGRAM

AACC will be collecting the global matching information online. AACC will make this program available via our website in early May. Please be sure to visit our website at www.meeting.aacc.org any time before you leave for Chicago to save time when you arrive. If you do not have internet access and are unable to register online, you may complete the registration form, fax or mail it as noted, and complete your global matching information in the International Trade Center when you arrive in Chicago.

PHOTOGRAPHY

Except for photography specifically authorized by AACC, possession of video or photographic equipment is prohibited on the exhibit hall floor.
