Executive summary

Wahid Fans is one of the largest manufacturers of quality fans in Pakistan. Wahid Fans, under the leadership of Muhammad Adnan, its chief executive, was also the pioneer in electric expert from Pakistan. Since its first export sales in 1999, with a modest quantity and value, Wahid Fans is now exporting its products to the tune of 4 million dollars each year to more than 3o countries worldwide. Wahid Fans has become an instant success for their quality and durability in all markets stock have been introduced including these countries in Asia, Middle East, Africa and Europe.

There are several departments working in Wahid Fans include;

As by the requirement of course offered by the University of Gujrat I choose Wahid Fans for internship. I was assigned to the marketing department for first five weeks and then was rotated to different departments.

It was a great experience for me to do internship at Wahid Fans. I learned many things about the marketing strategies and long term planning of the Wahid Fans.

Part I

Chapter No.1

1.1. Introduction:

My purpose of writing this internship report and do internship in Wahid Fans is to get information and learn that how they are managing their resources and what strategies are applied by the organization. As an internee I spent more of my time in Marketing department., and I learn many things about the dealing with the dealers, discount rates given by the company to the their dealers and a common man.

1.2. Brief history:

Wahid Industries Ltd The history of PAK brand is as vibrant and brilliant as the products themselves. The company traces its origins back to 1936 when Mr. Abdul Wahid, the founder and the president of the Company started its operations as the manufacturer of light engineering and utility products. The setting up of this project is a pioneering achievement of Mr. Abdul Wahid as the time when there were no facilities, assistance of guidance in this part of the sub-continent. He simply took it as a challenge, undeterred by the initial difficulties and sticks to his mottoNo compromise on Quality. As a result of product innovation, exceptional quality and through distinct marketing strategies, his determined efforts were soon crowned with success and Pak Fans become the leading fan manufacturer in Pakistan.

1936: started its operation as the manufacturer of light engineering and utility products.

1945: the Company for the first time embarked on the manufacturing of the Electric Fans before the independence of Pakistan (1947).

1962: the Company cemented its position among the top companies in Pakistan.

1970: the Company extended its product range, introduced different models and then kept on increasing the range over the years.

1981: a modern automatic Japanese Plant was installed to manufacture Enameled Copper wires of top international quality and marketed under the brand name PAK SUPER.

1989: to live up to its progressive image the Company keeps itself abreast of the latest technological developments around the world. And this enables the Company to continually introduce ever new concepts in electric fans, the remote controlled fans.

1990: towards its role as a responsible corporate citizen Wahid Industries keeps on encouraging and contributing to social uplift programs. At Gujrat, it set up a modern hospital equipped with latest facilities and top notch medical personnel.

1992: latest CNC machines and injection molding machines were installed to make company more self reliant in its production.

1993: the Company diversified its operations and started manufacturing washing machine with plastic as well as metal body.

1997: Wahid Industries took off another project and started manufacturing driers and room air coolers.

1999: in the year 1999-2000 Pak Fan achieved highest international quality award ISO-9002 certified company. Pak Fan also won the FPCCI Trophy 1999-2000.

2000: the Company exported fans for the first time and marked its international presence.

2001: the Company won the highest export trophy award from that year, it is continuously achieving this award.

2007: automated paint plant was installed to improve the finish of the product as well as reduce environmental pollution.

1.3. Vision Statement

Our goal is to go beyond the expectation of our customers by providing them, products of outstanding quality and greater value, to extend presence in international market through innovative technology and make the PAK brand an icon and symbol of quality on the map of this world.

Our mission is to fulfill the needs and expectations by delivering reliable, world class yet affordable products consistently to our customers.

1.5. Quality Policy Statement

Quality policy of Wahid Fans is to produce such quality products, which provide our customer the entire satisfaction the world over. to meet this obligation, we continually update employees skills by introduction of new technologies.

1.6. First mover advantage

Wahid Fans is enjoying first mover advantage as firstly it started export fans to other countries. Thats the reason the company won export trophy for 8 times.

Wahid Fans being the most popular brand as for the electric fans in Bangladesh most of the fan manufacturers in Bangladesh are using "Wahid Fans" trade mark beside the manufacturers of China who are exporting their electric fans to Bangladesh with the same Trade Mark. To stop the manufacturing and selling of fake Wahid Fans which are registered vide Trade Mark Registration No. 62674 dated 22.11.1999 the Chief Executive of the company.

1.7. TYPE of Company

Wahid Fans Is a manufacturing company which produces fans, air coolers, geezers and iron. It also exports a large quantity of fans to the other countries and is taking part in development of the economy of the Pakistan.

1.9. PESTL analysisPolitical:

Political instability is not a good sign for fans industry because with continuous changing in the politicians the Government strategies will be change. When new man comes to power he will make the changes according to his viewpoints he will make the changes in the budget and other trade polices he can make an indifferent law about import and export of the electric pasts. So, political conflicts may cause the Wahid Fans bad performance

Economical:

The economic position of the electrical fans market is worse the prices of the raw material is disturbing the whole economic chart of the Wahid Fans. The price of the essential raw materials used in production fluctuates.

Economic instability may cause the Wahid Fans to go down because Wahid Fans is a big represents at roof the Pakistan if economic problems will occur defiantly it will make problem for fans industry.

Technological:

A new technology can be very useful for them because in the improvement in the technology the quality of the product will increases and cost will decreases. So, Technology plays very important role in the success of the industry. If Wahid Fans uses the technology that other firms do not have then defiantly their demand will increase. Wahid Fans using the high technology Fans manufacturing machinery.

2.1. Number of employees

Wahid Fans has employed about one thousand employees and workers. All of them are well experienced and specialized in their fields.

2.2. Companys Departments:

To run a large scale business every organization needs different departments. The business of Wahid Fans is not at very large scale as larger companies. But has enough business that cannot be handled by only one or two departments. Management of Wahid Fans has distributed its work in different departments. To run the workings of company efficiently these departments are required. There are following 9 departments are working in the organization.

4. Marketing and sales department

5. Accounts and finance department

6. Internal audit

7. Import & Export

2.2.1. Purchase department

Purchase department has very importance in the organization. It is responsibility of this department to provide raw material to production department. Production department is dependent on this department. To produce quality goods and cost saving products it is also responsibility of it that it should has to purchase raw material from a place where it can find less expensive material with good quality.

In Wahid Fans raw material is also purchased from outside. Thats why there is a need of this department. This department purchases raw material for production department. It is also responsibility of this department to provide quality raw material within minimum cost.

By domestic purchases raw material is purchased from different cities within Pakistan.

Almost every dealer in raw material and spare parts has business relation with Wahid Fans. Where there is any requirement of material, that supplier is selected who provides material at reasonable price. Purchase department negotiates with its suppliers about rates and quality material. Sometime rates are taken as fix for some period. When new order is prepared first latest rate is checked otherwise old rate is used in purchased order.

In domestic purchases company makes purchases from Gujranwala, Gujrat, Lahore and Karachi.

Sometimes material or parts which are used in manufacturing of fans and washing machines are very expensive in Pakistan. Because due to lack power resources and other resources the production cost of such material or parts become very high. Some parts and material are low in quality. To reduce the production cost Wahid Fans imports material outside the Pakistan. Importing is done to keep the standard of production high and provide products at reasonable price.

The material that in included in imports of Wahid Fans are

2.2.2. Inspection department

Organizations that dont compromise on the quality always have an inspection department.

Wahid Fans has an inspection department which deals with the entrance of the material. A copy of purchase or is sent to the inspection department. The person who is responsible for inspection, he checks the material and tally with the purchase order. He is also responsible for checking then quality of material or parts. If there is any discrepancy between the standard quality that is mentioned in then purchase order, this department doesn't give permission to enter such material within the boundaries of organization and material is returned as it is.

In Wahid Fans there is an in charge for the inspection of raw material and it is his responsibility to make sure that the purchase made for organization is for that material which is of best quality.

This department restricts the entry of such material that is either of:

2. Defective

3. From unauthorized dealer

4. Not useful

5. Best Quality

6. Contains no defect

7. From authorized dealer

2.2.3. Production department

Production department has very importance in an organization. Because the quality, working, performance, profitability is depend on this department.

In Wahid Fans all products are manufactured in this department. It is the department where forces of organization either in the form of finance or in the form of labor is applied on the material and transformed it in the finished goods those can be sell in the market. Well trained and experienced workers provide their services in production of quality products.

Like other organizations Wahid Fans. is also paying attention on the production and selling department. Coif the organization knows that how much important these departments are. He believes that these are the only departments which are the main sources of profitability of the company.

Staff of production department is highly skilled people. They are not well educated but they have great experience in their field. 2o people are of management and other 9oo-1ooo people are the labor. They are the true assets of the company.

In Wahid Fans production department is divided into further sub departments as:

2.2.4. Marketing and selling department:

Selling and marketing department is very important for international organizations as well as local companies. A proper department is working in Wahid Fans for marketing and selling. Mr. Nabeel the son of CEO Mr.Adnan is the director of this department. Marketing manager is Mr. Abdul Rehaman who report to Mr. Nabeel.

It is the responsibility of this department to make relationship between the customers and the organization. It is also duty of the department to realize the needs trends and choice of the customers and provide them quality goods according to their demands.

Wahid Fans has well educated and well experienced employees who know the needs and market situation and give suggestions to the manager about marketing, when and where to sale goods.

In off season Wahid Fans also sells fans by offering special discounts. It also helps in promotion of the company. In a survey it is realized that in Karachi 4o% of market share of fans industry is captured by well-organized and registered firms and 6o% by non-registered firms. 2o% included in 4o% is handled by Wahid Fans. it is a great achievement and it is market leader of fans industry.

A large quantity of fans is also exported to foreign countries. Huge amount of money is earned by exports. In 2o11 Wahid Fans was the largest exporter of fans in Pakistan.

2.2.5. Human resource management:

Human resource management is the management of work force and it is responsible for attraction, selection, firing and awarding the employees. Human resource department is actively working in Wahid Fans. Basic responsibilities performed by this department are as follows:

4. Maintaining the appraisal reports

5. Maintaining employees record

2.2.5.1. Hiring:

In human resource management there is a proper process of selecting employees, which are as follows.

1. Need Analysis

2. Job Requisition

3. Job Advertisement

4. Sorting the Applications

5. Initial Interview

6. Testing

7. Second Interview

8. Final Assessment

9. orientation

10. Training

Reference base selection:

Sometimes employees are hired by the references of actively working employees. They can provide better information about potential employee. They are called for interview on the bases of reference.

2.2.5.2. Firing

If an employee is not following the rules and regulations of the company and do not work properly HR manager motivates him to work effectively. Instead of this if he doesnt achieve the required target he will be fired due to his low productivity.

2.2.5.3. Employee training and development:

HR manager is also responsible for training of new employees and making development plans for employees. For this purpose newly hired employee is trained by active working employee. If there is any new innovation in the system or in machinery, he conducts training session for experienced workers to increase the efficiency of the employees.

2.2.5.4. Assessment of training needs:

Training needs for workers and staff are identified by the duties and work they perform and by the respective head of the department.

For new employees training needs are specified in the job description.

For existing employees in case of workers training need is identified in TNA (training need assessment) form by the related head of the department. In case of staff members training needs are assessed on ACR form that is filled by the head of the relevant department.

Training needs are identified in Wahid Fans to enable the employees to do the routine tasks efficiently and effectively. The purpose of this is to enhance the capabilities knowledge, enable all workers to their full potential and to introduce the new techniques and to develop and enhance the professional skills of workers and staff members and to increase the efficiency and effectiveness of company.

Training:

2.2.5.5. Evaluating training:

Department heads to follow the training affected coaches. After tests and get good recommendations on learners coaches, department heads evaluate the training. Evaluating the effectiveness of training employees (staff) is in their annual confidential reports. Evaluating the effectiveness of training (non-managers and workers) is the training plan.

2.2.5.6. Training Records:

Training record is maintained in the Human Resources Department. The Human Resources Manager is responsible for keeping records of employee training.

These training records are obtained in the files until retirement or transfer of an employee.

All managers and employees are aware of the quality objectives of the departments and the role of its activities and its contribution to achieving the goals.

2.2.5.7. Maintaining the appraisal reports:

Assessment report is an assessment of employees, which is done by the department heads. At year end, head of the department makes appraisal report for each employee (Staff only) works in concerning department. The assessment goes on, managers continue to manage these reports with the comments made by the chief of staff HR. Be updated in accordance with note-taking staff. Evaluation decides the rate of increase in salaries of employees or for promotion. Report will also decide if the employees do not need any training or.

2.2.5.8. Maintaining the record of employees:

Manage employee records is the responsibility of the human resources. When the worker is hired all its data and documents are stored in a file and that file is stored. The employee data is stored on your computer by assigning a numerical code. Now, with the passage of time all new documents, including certificates of training and evaluation reports are updated in the employee records. Record of each employee has the same number which is the code of the employee's computer.

2.2.6. Internal Audit:

Internal audit is conducted to check the working of accounts. Mostly it is done to prevent discrepancies in cash intentionally or unintentionally.

Adnan Industries has its internal accounts department thats works under the supervision of internal auditor Mr. Tafheem. The work of this department is to show the actual position of the company. As there are chances of fraud and misappropriate in every organization. It is the responsibility of this department to prevent these tries.

2.2.7. Export& Import Department:

This department is a source of revenue for the organization and ensures that the organization is gaining the market. This department is responsible for the delivery of products on the market, where the organization wants to compete with and beat the market by offering customers with their quality.

Wahid Fans depend on the strength of this department. Department is made up of highly trained and experienced people to perform their duties and to increase exports to the standard structure.

This department is a source of income for the organization and ensures that the organization is changing marketplace. This department is responsible for the delivery of products to the markets in which the organization wants to compete and capture the market by meeting the quality of their customers.

Wahid Fans depends on the strength of this department. The department consists of highly qualified and experienced people to fulfill their obligations, and to increase exports to the developed structure.

Head of the Department is MR.Shahid Ali. This department is responsible for contact with foreign suppliers of raw materials, the search for new suppliers as needed, to import all the raw materials required in the production department. When the company began to export, was not designed to process. But now, after growing a company uses the latest technology for export. This department also has an important role in creating a global market and is engaged in the import and export of all of today's major challenges under the responsibility of the company's strategy and policy department and try to raise the export channel. Wahid Fans is the first company to export its products in America. Exports are an important part of what distinguishes it from other companies.

2.2.8. Accounts Department

Accounts Department in any organization is important because of his work. It shows the progress of the organization and the department will allocate the amount of purchase department purchases. It also pays rewards to other factors of production in the form of rent, wages, and interest on loans, electricity bills, and payment to suppliers, accounts, etc.

Wahid Fans accounting department manager works under the responsibility of Mr. Shahid-ur-Rehman, who is the CEO of the organization.

This department is responsible to allocate the amount approved by the chief executive in various departments of the need. The department has also decided to pay the appropriate wage labors.

Wahid Fans in the accounting department has set a production method of wage labor overtime SYSTEM. This department prepares annual reports for the organization in September of every year, as September is the last month of the year, the department is also responsible for the distribution of the Wahid Fans in bonuses to employees and mitigates the CEO confirms them.

2.3. Comments on the organizational structure

Overall structure of the Wahid Fans is good but technically there are some problems which I observed during doing my tasks in accounts department and visiting other departments. There is no well-organized communication system in the department. In accounts department there is a problem that an employee can access the others authority without proper authorization. Finance is also handled by the accounts department which should be separate from accounts departments. A person who is making the entries of payments is also handles the cheque book. This can be cause a fraud. one thing is that I observe that there is an unity of command. It is better for the organization.

There is one more problem in the structure that there is more centralization. It is very difficult for the top management to understand the problems of the workers and office staff. But heads of the departments and supervisors do so. In accounts department there is a lot of burden on the employees. Thats why they are unable to complete their tasks in time. There is need of at least two or three more employees to share their work. They asked Mr. Ijaz, the director to hire a new employee abut he didnt do it. So Human Resource Management manager is also bound by the top management in hiring new employees.

3. Field of activities:

My field of interest is marketing. I start my internship on 25th June and ended it up on 5th Aug.Mr. Shafeeq send me to the marketing department to learn how to manage dealers, making deals with the dealers and making interest adjustments etc.I worked under the supervision of general manager of Wahid Fans for 6 weeks. 5 weeks in marketing department and last week in observing other departments. In observation period I observed the working of other departments like finance department, sale and purchase, Human Resource Management.

It was a great honor for me to work under the supervision of general manger of Wahid Fans Mr.Ali Raza. He is responsible for all records of the company. He is hardworking and honest man and never compromise on his duties.

I prepared my internship report after completing my internship at Wahid Fans. But I used to write important points in my notebook for the purpose of completing my report. In this report I discussed all departments and their functions in detail. Most of my time was spent in marketing department. I will show all operations and functions of marketing department with their critical analysis and suggestions or recommendations.

Accounts department has no well-defined communication system in the organization. I observed this model of communication in accounts department.

Mr.Mudasir is the marketing manager gave me the overview of the marketing department. He told me all rules and regulation of the company. At first day there was no work for me to do. But I observe the structure of the marketing department. There was no well-organized communication structure of the department.

Learning summary:

It was a great experience for me to do internship at Wahid Fans. I have learned a lot of skills that would help in future. All staff members were do cooperative and taught me very well about the all functions of the department. I also learnt about the organizational behavior.

Most of time was spent in marketing department. I completed several tasks given to me in time. In this department I learned about the interest rate given to dealers on which circumstances. Choosing a best supplier and negotiation with him about setting a rate is useful in placing a purchase order. Purchase order is placed on the requisition of the production department. Then order is given to the supplier. After delivery of goods GRN and purchase order is matched.

Research and development department is very important for the organization. It brings new innovations and ideas in the organization. It Is the age of competition so it is necessary for an organization to make innovations new give new idea to the customers. But in Wahid Fans this department is not working so effectively. There is no innovation in the design of the fans. But at international level big competitors like Japan, china and USA are making new innovations in their products.

Company relies on production department. Production management is very good of the Wahid Fans. But there are some problems in quality management. Some workers are working at contract of per unit wage. There is possibility of faulty products. They can neglect the faults in the mean to earn more money.

I critically observe the departments of the organization which helped me out to learn reasons of different kinds of problems. First of all management of the Wahid Fans is very strong they are managing their resources very well in the benefits of the company. But on the other hand they neglect the benefits of the employees.

What skills and qualifications you think that you have gained from the internship

I have learned many skills from the internship. An organization requires something from the employees that is a good behaviour. In starting days I showed non-serious attitude. But Mr. Imran told me that I have to show a professional attitude towards the company. I made my behaviour better as require by the organization. After that I learned the tools of marketing department.

In purchase department I learned about the placing an order. All procedure of purchase has been told me by Mr.Mushtaq. Now I know how to access data of suppliers from the data base and how choose the supplier for placing an order.

1. What kind of responsibilities you have undertaken during the internship period?

During my internship period following tasks were assigned me

1. First task which is assigned to me is in the shape of survey

2. Calculation of discounts rates to the consumers is the another task

3. I have recorded all the entries in my book of the dealers credit

4. Competitors information is the main part of any company, so my manager gives the responsibility to gather all the information about the competitors.

2. How do you think the internship will influence your future career plans?

I have a lot of future plans. To implement these ideas I must have an experience and lot of management skills. This training is not enough for it. But I think I have some idea about the management and problems that might be faced by a management. It is a base upon which I will build the whole building in future.

3. How do you think the internship activities that you carried out are correlated with your classroom knowledge?

Yes most of the activities are related to our class room knowledge. For example marketing strategies, advertisement, promotion tools etc.

3.1. General observations about the departments of the company:

During working in marketing department I observe some problem that staff was facing. It was the burden of the work. There was no well-established communication structure as it should be in well-known organizations.

Marketing and selling department is also not working as effectively as it should. Today is the age of electronic media. Well know organizations use this opportunity to expand their business. Wahid Fans has a lot of resources but they do not avail this opportunity for the promotion of the organization. If they are doing so, but as compared to its business size advertisement is very minor.

Human Resource Management department is managing the sources of the Wahid Fans very well which increase the effectiveness of the organization but on the other hand it only thinks and get the benefits of the Wahid Fans not about the benefits of the employees. There is no renewal of salary packages for a long period of time. Thats why there is low commitment in the employees with the Wahid Fans and it shows the job dissatisfaction. It reduces the effectiveness of the organization. If an employee in dissatisfy it results in low productivity or neglect errors.

Research and development department is very important for the organization. It brings new ideas and innovations. But in Wahid Fans this department is not working so effectively. It is providing the same ideas that other competitors are offering in the market.

In production Wahid Fans is following the concept of production for a long period of time nit the quality concept thats why it brings no innovation for the betterment of the position of the organization.

4. Wahid Fans has very limited target market it should expand its market.

5. Salary packages are not very attractive to the employee. It should be reviewed.

6. Appraisal report should be prepared on the basis of merit and not on personal biasness.

7. For the purpose of promotion Wahid Fans should use modern ways of advertising like electronic and printed media.

8. For the purpose of setting prices company should conduct the survey to find out the demand and the purchasing power of the customers.

9. Wahid Fans is currently targeted only a small number of markets, and there is still a large segment of the market, which can be explored.
