USING THE SYSTEM AS A STUDENT

In your student role, you function as a professional interpreter signing up for jobs hosted by an agency. You can browse available jobs and sign up for the ones that interest you.

*Please note: You cannot cancel jobs for which you have signed up, nor can you sign up other individuals for jobs. Therefore, please choose jobs carefully and be completely committed to the job before signing up.

After you log in, you will be taken to the Dashboard view. On this screen you will find all available jobs, and you can navigate the site from here. The calendar on the left allows you to view jobs for specific dates.

Events are displayed in the Available Jobs list. Both the name of the event and its location can be found under the Location column.

To sign up for a job, select the orange arrow to the left of the job ID number. Choose Select to accept the job. You do not need to confirm. The status of the job will change from open to assigned in the far right column, which indicates that you are signed up for the booking.

You may view your bookings by selecting either Calendar or Jobs from the Quick Links menu on the left of your Dashboard view (see page 2*) or from the black ribbon at the top of the screen.

Your jobs may be viewed in either a calendar or list format. If you prefer the list view, click twice on the Tabular View button on the top right of your screen.

USING THE SYSTEM AS A CI OR CLASS LIAISON

In your CI/Class Liaison role, you function as an employer entering jobs for which you need interpreters. Use your assigned CI account, not your personal MIIS email, to login for this role.

*Please note, as a CI you can see who has signed up for your jobs, but you are not able to cancel sign ups.

After you log in, you will be directed to the Dashboard view. On this screen, you will see only the jobs you have created, not all jobs that are in the system. You may view the jobs in a Calendar view or in a Tabular format. Choose the view you prefer from the top right of the screen.

To Create a New Booking:

1. To create a new job, choose the Create New Booking button from the top of almost any screen in the system.

2. You will need to enter all information in the fields with a red asterisk. Use the down arrow next to the X to access dropdown menus.

3. Under Booking Basics you must enter the following information:

Language: Always ENGLISH unless the event is for only one specific language.

Requested by: Always Laura Burian *Make sure to delete her email from the notification email slot!

Booking Details: Enter specifics such as info on the topic, presenter, venue, etc. here. This field is only visible to those who sign up for the event.

Location: Always 460 Pierce Street, Monterey, CA 93940

4. Under Service Location:

Place of Appointment: This field displays on the Dashboard under Location. It is how your fellow interpreters browsing for jobs will know what the event is and where it is located.

Enter the classroom and event title in the following format:

Irvine: MLP MG102: Policy Class V499: Guest Speaker Golden St: Pres. Speech

*It is imperative that everyone follows the Location: Event Title format for consistency!

Files & Downloads: Upload any documents associated with your event here.

5. Under Job Information:

Expected Start Date & Time: Enter the date and time of your event here.

Duration: This is a decimal field. Times may only be entered as 1.0, 1.25, 1.5, 1.75, etc. Please round the expected duration to the nearest 15-minute interval. The following formats are NOT permitted: 1 ½, one hour, 1:00, or 1 hour.

6. Click the Create button at the bottom of the screen. You should see a pop-up Success message in order to move on. If you see an Error message, address the problems listed and try again.

7. Adding Interpreters:

At this point, you have created a job with only one seat for one interpreter. After you have received the Success message, scroll up to the Jobs Calendar section. First, click the Jobs link to reveal the View Interpreter(s) option. Then, select the gear on the right and click Edit Job.

8. On the next page, scroll down to the Interpreters section.

9. Determine how many seats you need and how many of them will be for Chinese interpreters.

Example 1: V499 has two seats. Click the Add Interpreter button. You will see another line populate under the Interpreters section.

Example 2: There are nine seats in Irvine. If you need six English spots and three Chinese, click Add Interpreter five times until you see six lines of English interpreters. Then use the drop down menu in the grey box to select Mandarin. Click Add Interpreter three more times. Click save at the top or bottom of the page.

Tip: If your event takes place more than once, you do not need to create a new booking for every session. You can make it recurring (for many iterations of an event, such as a weekly class) or make one or two follow-up occurrences (for a weekend workshop).

Use the Job Actions button on the top of the screen next to Parent Booking to access these functions.

How to Edit Bookings

As a CI/Class Liaison, you have the ability to make changes to the bookings you create. For example, you may need to add seats, your event details may change, you may realize you made an error, or you may wish to add documents for the job.

1. From the Dashboard view, find the event you wish to edit. Select the orange arrow on the left of the ID, and choose Edit (in full).

2. Before editing any information, choose Parent Booking at the top right of the page. Any changes you make should be done in this page.

3. Edit the items you need to change/add. Click Save Job at the bottom of the page.

* Please note: CIs are not able to delete bookings. You may cancel a booking you have created, but it will still appear in the system. If you wish to delete a job, you must contact the Administrator.

*You are also not able to change the language of an existing seat. You must cancel the spot you do not want and recreate the seat with the correct language.

Why can’t I cancel a booking after I’ve signed up for it?

Remember that Interpreter Intelligence is an application that is in use in businesses in the real world. In a professional environment, you will be expected to honor events to which you have committed. Although things do come up and everyone needs to cancel an event from time to time, you are encouraged to only sign up for those events which you are committed to attending. If you do need to cancel a sign up, email the administrator to help you.

Why can’t I see more booking details before I sign up for an event?

According to the developers of Interpreter Intelligence, this is largely due to privacy issues. The main clients of the system currently are legal and medical businesses who sometimes list client/patient names in the Booking Details area, so it would cause a privacy concern for individuals who do not sign up for the job to see a name and/or other personal details.

Why are partner bookings so difficult? Why can’t two people sign up for the same slot?

The system is not currently designed to allow for two people to sign up for the same booth. This may become an option in the future, but for now, we need to use separate sign ups for each person. Again, considering that this system is designed for use by real world clients, the developers are interested in using their resources for innovations that will serve the majority of their clients. Currently, they do not see utility in allowing a pair to sign up for one job as they feel that is a rare situation in real interpretation contexts.

Our current work-around is for pairs to communicate their intention to sign up for a job, then for each person to sign up separately. Alternatively, one person may sign up for two spots, then email the administrator to change the name on the second spot. Either method is acceptable.

Why do I have to email the admin to change the name on the second partner spot?

There is a reporting feature in Interpreter Intelligence that shows how many jobs/ hours of interpretation that each student has signed up for. If one person takes two spots and the other person isn’t represented in the system, it will appear as if one person did more events/hours than he or she really did and the other person will appear to have not participated in the event and to not be accumulating as many hours.
