Blytheco Client Embraces Automation - Roth Distributing is a high-end, luxury appliance distributor with showrooms in Denver, Kansas City, Minneapolis, Salt Lake City and St. Louis. Their line of appliances includes Sub-Zero, Wolf, Asko and Best.

Roth had a growing dilemma. They needed a way to update delivery dates, at the purchase order line item level, in their ERP system. The problem was that they received a very unfriendly (non-standard interface) email from their vendor containing this important information. It appeared to be impossible to automate the process; therefore, the only alternative was to have a real, live person update potentially thousands of line items by sifting through the emails,which came every few days. There was barely enough time in between these batches of emails to process the last batch.

Errors were introduced as this information was reprocessed from one system into another system using manual labor. At other times, schedules simply didn’t permit the completion of this activity. This had a ripple effect down the line with regard to inventory management and setting customer expectations.

From their perspective, the task of solving this problem was daunting. Fortunately, Roth already had a relationship with Blytheco and one of their CRM consultants was made aware of the situation. Using Workflow and Alerts Automation, he was able to take a challenging and chaotic workflow issue and standardize it without requiring Roth’s vendors and wholesale customers to change their processes. Essentially, inbound emails are monitored by the tool to look for a certain file attachment name. That file is then intercepted, opened and compared to the original purchase orders, logs any mismatches and sends the new report to the original recipient. Thus, the original recipient only has to deal with a handful of mismatches as opposed to a potential of thousands. It goes without saying that this recipient is one very happy person and Roth is able to operate more efficiently.
