Our team at w.illi.am/ would like to thank you for this opportunity to present Concordia University with our proposal for the Concordia.ca and C-space responsive project. We had the pleasure of collaborating with you recently following the launch of Concordia.ca, which enabled us to work closely alongside your Web Communications and Instructional and Information Technology Services (IITS) teams, and we would be honored to do so again. Our previous consulting mandate for Concordia University was a valuable learning experience on a number of different levels. In particular, it enabled us to acquire a strong understanding of your organization’s strategy and stakeholders. Not only did we collaborate closely with your internal teams, but we also worked with multiple stakeholders including faculty members, departmental resources, students and staff. Through our collaboration, we discovered and embraced your mantra of innovation, excellence and passion, which is very much aligned with our core values. The website’s redesign into responsive is also in line with our company’s mission, which is to create useful, business-enhancing, digital products with a human-centered approach. Our vision is a tool that is intuitive and effective, and one that reflects the needs of the user while providing a seamless experience on different devices. Just as important, platform improvements in the form of workflows, reports and a staging environment will benefit your content creation team, which will serve to improve the platform efficiency and help reach your communication objectives. Concordia students, parents, faculty, alumni and employees will surely benefit from the improved accessibility of the site up to par with digital best practices. It also places Concordia on the right path to start building an enhanced experience around the complete university experience. We believe that together we can achieve great things. We propose to start exploring such a future with a partnership for developing this vision with a workshop, on us. Built on common values of excellence, innovation and human focus, we strongly believe that our partnership would evolve Concordia’s main site and Intranet to the next level. We are ready and excited for the challenge. Kind regards, Damien Lefebvre, Co-president

Current situation Concordia.ca and C-space have been successfully running on AEM for over a year, yet the sites’ usability on multiple devices must now be improved to widen Concordia’s reach. Mandate Improve the performance of the platform and make the sites responsive by adding features such as workflows, reporting and a staging instance. Scope Divide the project into two streams that can be tackled by different experts in concurrent phases, with the main objective of getting the internal resources to be self-sufficient.

Responsive Design

PROJECT PILLAR

The web’s moved beyond the desktop, and it’s not looking back. The number of devices we’re designing for is growing just as quickly as mobile traffic.

- Ethan Marcotte, Responsive Web Design Guru

© 23.02.15 w.illi.am/ Confidential- BRP – Intranet Redesign Proposal 26 /

Responsive Web Design is Not Only a Matter of Design!

Responsive design is a key consideration at every step of our projects. Users access the web through various devices (computer monitors, mobile, tablets) which all come in different screen sizes and capabilities (e.g. geo-localization, touch screen etc.).This trend will only continue to increase in the coming years. w.illi.am/ has been employing responsive web design to almost all of its projects in the last years, creating digital experiences that adapt content seamlessly to suit every user’s device context. All experts at w.illi.am/ takes RWD in consideration when planning website content and functionalities. We adapt copywriting with mobile in mind and use tools specifically designed to build wireframes and mock-ups for varying screen sizes and capabilities.

More websites are being built in Responsive Web Design (RWD), which optimizes websites for desktop while providing an “app-like” experience across all other devices (smartphones, tablets etc.).

© 23.02.15 w.illi.am/ Confidential- BRP – Intranet Redesign Proposal 27 /

Responsive Web Design is a Process

Steps to building a responsive website include: 1. Defining key content for different devices 2. Designing multi-device layouts and navigation 3. Prototyping and testing with users 4. Design and interaction QA across all devices

With proper planning, a content-centric approach to responsive web design, and the ability to rapidly prototype and test, we can help Concordia with the main website and intranet that are engaging for visitors and employees across all devices.

More websites are being built in Responsive Web Design (RWD), which optimizes websites for desktop while providing an “app-like” experience across all other devices (smartphones, tablets etc.).

The Project Our Approach

© 23.02.15 w.illi.am/ Confidential- BRP – Intranet Redesign Proposal 32 /

w.illi.am/ proposes to:

• Incorporate the role of a team lead to manage a team of diverse subject matter experts to execute the project in clearly defined phases.

• Have two AEM resources working in parallel − One remote resource from our partner for the development of the responsive

templates and components − One in-house for the development of the platform improvements and being the

liaison with the remote resource

• Leverage our resources with Concordia experience for this project. The expertise gained through our past projects will accelerate the integration with the Concordia team of the new resources.

Our Approach

© 23.02.15 w.illi.am/ Confidential- BRP – Intranet Redesign Proposal 33 /

Why work with a team lead?

The multiple phases of the project along with the Concordia separate structure between the Web Communications and the IT team may create some gaps in communication and ensure proper knowledge transfer. The team lead takes the role of the project owner and will be present during the duration of the project. He will ensure that the integration to the project per phase and the communication between the experts and the client is efficient and timely. He is the keeper of the strategy and oversee the progress.

Centralized Highly involved and knowledgeable central point of reference for the multiple stakeholders. Efficient Ease the ramping up process for new resources. Easy in, easy out. Collaborative Interdisciplinary project requires multiple experts and ongoing contact with you throughout the project.

THE BENEFITS

© 23.02.15 w.illi.am/ Confidential- BRP – Intranet Redesign Proposal 34 /

Why work with an external partner?

AEM resources demand is at an all time high. As a proactive measure, w.illi.am/ recently partnered with a near-shore firm to provide additional resources on demand. Our fruitful partnership has already been tried and proven successful. Our selected resource has both front-end expertise and AEM expertise. This rare combination is a perfect fit for the requirements of this project and will no doubt bring benefits to the integration project.

Experience front-end + AEM Experience in integrating front-end directly on AEM allows for a faster integration phase Cost effective Remote resource with lower rate allows to offset the hours required for the team lead. Flexible availability Assurance that the resource will be available for the project timeframe and for any unexpected delays

• We believe that the effort required to complete the phase two – UX/UI Design is directly impacted by both the number and complexity of the component and template features. Without visibility of the current vs. desired functionalities, we have to assume that the timing is correct, however based on our experience in developing responsive websites, the effort may be revisited during phase 1.

• In a similar fashion, without a full comprehension of the state of the front-end development and quality of the code, the integration and development efforts may need to be revisited during the project.

• w.illi.am/ provides a costing based on the 588 hours allocated for the full project, however a better

estimate should addressed at the beginning of the project.

• With regards to the team lead, we want to reinforce that we do not need more hours because we are being more efficient with the use of an external front-end developer, which gives us the ability to use those hours for the team lead.

• Given the estimated 588 hours, our projected timeline goes beyond April 30th which should be addressed at the beginning of the project.

Bombardier: More Than a Redesign CASE STUDIES

Creating a robust global platform in an iterative manner to improve and standardize processes.

With over 30 digital properties around the world, Bombardier – a multinational aerospace and transportation leader with an annual revenue of $30 billion – reached out to us for a solution to on how to best manage and advance its global digital landscape. At the time, Bombardier online consisted of a myriad of fragmented, disparate sites built and financed on different platforms. By identifying core business and operational requirements, and through a process of prototyping, we were able to select the ideal CMS (Adobe Experience Manager) that met Bombardier’s needs on a global scale. We then performed a complete redesign of the existing site that defined and unified branding, set up the global infrastructure, and finally, after a series of usability-focused iterations, deployed the new and improved Bombardier.com. Results: Regained global governance of digital initiatives Streamlined internal process Saved costs with a centralized global infrastructure Provided a platform to support corporate brand unity

Hydro Quebec: Access for Millions CASE STUDIES

An efficient, responsive experience that improves communications to millions of people.

Responsible for the production and distribution of electricity for the entire province of Quebec, government-owned Hydro Quebec (HQ) employs over 21,000 people and earned a 2012 revenue of over $12 billion. As a provider of a services that touches nearly 9 million users, HQ needed a way to effectively diffuse corporate and customer messages. The HQ corporate hub consisted of 20 sites and 19,000 pages. In its redesign, we prioritized a standardized structure with an effective design for users accessing information on different devices and in different situations. Through a process of research and data analysis, we ultimately selected the appropriate technologies for HQ to efficiently manage all its sites and defined a new information architecture. Moreover, we designed in responsive and built in accordance to Quebec’s accessibility standards. Finally, we validated our product with user tests prior to launch. Results: An improved experience for millions of users due to responsiveness & accessibility. Standardized technological platforms for more efficient site management. Standardized structure & design for numerous sites implemented.
