Welcome to Iowa State University -
My team and I wish to welcome you and are excited to be hosting 120 FIRST LEGO® League teams and 24 FIRST LEGO® League Junior teams during this two-day event.
We hope your team will take advantage of this unique occasion to network with other teams while you learn about engineering, discuss best practices in project and inquiry-based learning, visit one of the nation’s fifty most beautiful campuses, and get a warm welcome by the Iowa State College of Engineering.
Our college offers 12 majors and five minors through eight engineering departments and has the 8th largest undergraduate enrollment in the country with 9645 students this past fall. Our facilities and research are some of the most innovative in the world. We hope you will take time to look around the college.
We will be offering some optional events while you are here. Though we understand that your time for judging sessions and robotic rounds are priority, we do hope you will also take part in the outreach activities, Global Innovation presentations and check out the FLL Junior Expo for additional learning and enjoyment.
The Championship can be rigorous and fast-paced. Please reach out to our Planning Team members, Information Desk volunteers or myself if you need anything or have questions throughout the day.

If you have questions or concerns leading up to the Championships, please email Iowa FLL at [email protected].
If your team is unable to attend the event, please let us know as soon as possible so that we can fill your spot with another team. If you need to reach Iowa FLL the day of the event, such as if you will be late, or unable to attend, please call Camille at 515-291-0003.
Preparation (Appendix A)
Your team will participate in the same three Judging sessions and Robot Game rounds as during your Regional Qualifier. Continue to work on your Project presentation, Core Values, and programming.
We track everything by team number, so make sure all your team members (and spectators) know your team number.
It is also incredibly valuable to prepare your team for the atmosphere of the event. This event is across several campus buildings and is much larger than the Regional events. Speak to your team about the importance of staying together and always being with an adult. Review the schedules and check your email for any updates. And, don’t forget to get plenty of sleep the night before!
Check out Appendix A for a list of what to bring, and not bring.
Emails
Prior to the Championships, Iowa FLL will communicate with all teams via the email address provide for each coach. It is important that you read all emails as we will share important information and updates. We will email multiple times in the week leading up to the event with reminders and any last minute changes.
Traveling to Ames
First, check the road conditions by visiting the Iowa DOT website at http://511ia.org/. Teams staying in Ames can view a list of hotels and rates here: https://www.isek.iastate.edu/files/2014/12/Ames-Hotels.pdf
Please review the Iowa FLL Inclement Weather Policy ahead of time, in the advent of bad weather. In the case the event has to cancelled, we will contact all coaches via email, at a minimum.
Parking
Parking is available in general parking lots on the ISU campus at no cost on the weekends. However, there are many restricted and metered spaces that are enforced 24/7, so be sure to read the signs to ensure you are in an allowable parking space/lot. Doors to the tournament open to the public and teams at 7:45AM. We ask that teams not plan to arrive until 7:45 or later to allow the ISU FLL Planning Team to finalize tournament preparations and so that our volunteers can arrive and be ready for teams. No spectators or participants will be allowed in before 7:45AM!

Check-In
The team’s coach is the only person that can check them in. As soon as you arrive, one coach should go to the “coach check-in table” in the building your pit is located in. Coaches must provide their team number and name to check-in. We ask that only one coach checks in the team. The other coach or a parent/mentor can help the team find their pit space while the coach gets them checked in.
If team members are arriving separately, it is a good idea to pre-arrange a meeting point (such as your pit area) so that you can ensure your whole team has arrived.
Doors to the tournament open to the public and teams at 7:45AM. We ask that teams not plan to arrive until 7:45 or later to allow the ISU FLL Planning Team to finalize tournament preparations and so that our volunteers can arrive and be ready for teams. No spectators or participants will be allowed in before 7:45AM!
Team Pits (Appendix B)
Each team is assigned a pit space. Pits are intended for teams to store their belongs and meet as a team during the day. Remember to be Gracious Professionals in your pit space as these are small, shared spaces.
Now might be a good time to pull out the name tags you got at check-in and fill them out for every team member, coach, and mentor (please only first name and team number only).
A listing of assigned pit spaces and policies can be found in Appendix B.
Team Helpers
Each team has a volunteer who will act as your Team Helper for the day.
Your Team Helper will meet you in your pit space when you arrive. Team Helpers are not allowed in the lower level of Howe Hall for opening or closing ceremonies. Please make plans to meet up with your volunteer after the opening ceremony.
These awesome volunteers will cheer on your team, help you get around, and can answer questions your team might have about ISU. Team Helpers are not authorized to take custody of youth participants. The coaches, mentors, or parents who are on site to supervise the team should remain with the team at all times.
Practice Tables
Practice tables are located in 0120 Design. Teams are limited to one ten-minute session at the practice tables. Teams can sign up for a time slot on the sign up sheet in the same room. There is no programming or downloading allowed at the practice tables.
Schedule (Appendix C)
It is very important that you are familiar with your judging and match schedule. We may not be able to accommodate teams that are missing or late for their matches or judging sessions. Make sure you have left enough time to get to all of your required activities throughout the day.

Coach Meeting
A mandatory coaches meeting will take place in Hoover Hall in the Kent Stine Foundation Auditorium at 8:30 am—8:50 am.
Only ONE coach per team should attend. Team members should not attend the coaches meeting. Please arrange for parents, mentors, or other coaches to bring your team to the opening ceremony during this meeting.
Each team will receive two Coach buttons at check-in. These buttons allow access to Howe Atrium for opening ceremony. It is OK if a mentor or other trusted adult fills in for a coach to accompany the team during the opening ceremony. For this reason, the coach that attends the meeting should not have one of the coach buttons.
Emergency Response (Appendix D)
Your safety on campus is the first concern during the Iowa FLL Championships. In the event of an emergency, please contact ISU Police Department at 515-294-4428 or Ames Police Department at 515-239-5133. If 911 is dialed on a campus phone, you will be connected with ISU PD. If 911 is dialed from a cellular phone, you will be connected to Ames PD or State Patrol Center in Des Moines. The police will not automatically know your location: provide this information immediately.

Facilities
This event takes place across several campus buildings. Robot Game matches take place in Howe Hall. Judging occurs in Howe Hall, Hoover Hall, and Sukup Hall. Outreach activities and demonstrations will take place primarily in Black Engineering and Marston Hall. Team Pits are located in Town Engineering and the College of Design building.
Thanks to your team for helping to keep our facilities clean by picking up your trash and respecting ISU buildings/property. Notify the info desk attendants if there are any facility concerns (locations are marked on floor plans). We ask that you only enter rooms designated for the tournament. Posted signs will aid you in finding your way around and knowing which areas are designated quiet zones.
Gracious Professionalism
In keeping with the FIRST® LEGO® League Core Values, we expect all coaches, team members, spectators, and volunteers to exhibit good Gracious Professionalism throughout the event. We thank you in advance for following the instructions of queuers, traffic control, and other volunteers who are working hard to make sure the event runs smoothly and is safe for all in attendance.
Dining (Appendix E)
Teams have several options for lunch/snacks and a full listing of on-campus options is available in Appendix E. Dining options for the Championship include on campus dining centers, ABE Harvest café (located in Sukup Hall), food trucks, and pre-ordered pizza. Please also review the guidelines and policies regarding eating on campus, including our allergy policy.

Opening
The Opening Ceremony takes place in Howe Hall and is the kick-off to the day. This is not to be missed.
Teams will receive bracelets at check-in for their youth team members and two coach buttons. These need to be worn for admittance to the lower level of Howe Hall for the Opening Ceremony. There is limited space available for spectators to view the ceremonies at the railings overlooking the Howe Hall Atrium. To ensure safety and adherence to Fire Code, there MUST be clear aisles in all walkways. Please encourage parents and other spectators to view the Ceremonies in the Howe and Hoover Hall Auditoriums.
Volunteers
We can’t say enough to thank the AWESOME volunteers who make this, and all other FIRST events, possible. Volunteers will be wearing white t-shirts with a LEGO® head on them.
Thank you for your Gracious Professionalism in listening to volunteers’ requests and directions.
Technology (Appendix F)
While there is guest Wi-Fi access on campus, we encourage teams to have a backup plan in case they are not able to connect. With the high volume of visitors connecting on these days, it is possible to have difficulties. Please see Appendix F for a summary of what technology is available in Project rooms.

The Global Innovation Award is sponsored by XPrize and seeks to recognize teams for their innovative solutions. One team from each Regional in Iowa will present their Projects for a panel of reviewers in the Sukup Atrium from 1-3p each afternoon. Come check out their awesome ideas and support your fellow innovators. One of these teams will be chosen each day to submit their idea for Global Review.

We know that teams are in for a hectic day. However, we encourage you to check out all the outreach activities and demos as you can as they only serve to enrich the value of this day. Be gracious, professional, encouraging, and energetic, and we will all have an awesome time!

Deliberations and Clean Up
There will be a span of time between the end of competition and the beginning of the Closing Ceremonies. Howe Hall will be completely closed to teams during deliberations from 2:30-3:30p. During this time, the judges are discussing teams for recognition at Closing Ceremonies.
Teams should use this time to pack up and clean their pits and transport belongings to vehicles. You can also check out the awesome Outreach options and relax after a fun day of FLL.

Closing (Appendix H)
The Closing Ceremony takes place at 3:45pm in Howe Hall where we celebrate the accomplishments of the teams and recognize the hard work of the season.
Team member bracelets and coach buttons are required to enter the Howe Atrium for the closing ceremony. Team Helpers are not allowed in the lower level for the ceremony, so be sure to say thanks and goodbye before going downstairs.
To ensure a safe and orderly transition, we ask that teams do not line up early for the closing ceremony. With 60 teams in attendance, we have upwards of 720 kids/coaches descending into the Atrium. We won’t start until teams have been seated. We also project the closing on screens, so that no matter where your team sits, they can see what is happening. Thank you in advance for displaying patience and Gracious Professionalism during this time and for keeping walkways clear.
We again ask that you encourage your team’s parents and other spectators to view the ceremony in the Howe Hall or Hoover Hall Auditoriums. If spectators are watching the ceremony from the balcony area, please let them know that walkways MUST be kept clear and that leaving the area surrounding the staircase clear helps us get all of the children downstairs and seated safely.
Each team will be given a bundle of 10 medals to distribute as a celebration of participation. For a listing of which awards will be given out at the Championships, including special team-nominated awards, see Appendix H.
Departure Whether you are going across town or the state, we wish everyone safe travels when leaving the event. While on campus, please be aware of crosswalks and pedestrians. Please ensure to take all of your items with you!
Tips and Advice
Dress: Appropriate dress for this event is dependent on the weather. Your team will be outside for periods of time when moving between buildings. Make sure to plan appropriately for jackets/sweatshirts, if needed. Comfortable shoes are a must. You will do a lot of walking. Many teams wear team t-shirts or fun hats, though this is not required.
Atmosphere: Teams should expect loud music and cheering! However, near the judging rooms, teams and spectators are asked to be quiet so to not adversely affect teams in their judging sessions.
Open to the Public: The Championships bring in a significant number of people to campus. We follow both FIRST and ISU standards for youth protection. However, this event is open to the public. Please make sure your team members know that they MUST be with an adult at ALL TIMES.

Appendix A What to Bring/NOT Bring
Before you head out, it is a good idea to make sure you have everything you need (but we recommend that you do not bring expensive personal items – we are not responsible for lost or stolen property). Here is a

Appendix D Emergency and Evacuation Notes
One of the most common mistakes in emergencies is the delay calling 911 to activate emergency responders and to notify key volunteers. It is best to have emergency responders on the scene as soon as possible, even if the incident has resolved itself by the time they arrive, than to delay calling and risk further injury and damage.
The primary goal in an emergency is to protect human life. The safety and needs of people will be paramount. Communication is essential when responding to an emergency. Stay calm, and speak clearly.
Knowing what to do in an emergency is not overly complicated. Key volunteers will quickly assess the situation and determine a plan of action to best provide for safety and protect property.
Situations where we will evacuate all people include but are not limited to the following:
Fire
Civil unrest
Explosion
Gas leak
Hazardous materials incident
Major earthquake
National security emergency
Terrorism
Transportation accident
Situations where we evacuate (such as a fire alarm) would include an announcement that would be repeated at least twice: “ATTENTION EVERYONE – Please listen closely. We need everyone, including all participants, spectators and volunteers to evacuate the building(s) immediately. Coaches – please account for your team members outside and proceed calmly to an outside area. Please evacuate now.”
Coaches and adult mentors should account for their teams outside the buildings. Key volunteers will make the announcement that it is safe to return to the building upon emergency management issuing the okay to return to activity and re-enter the building(s). People would be allowed to move about freely and return to the building upon the “all clear” announcement. Situations where we will stay inside the buildings include but are not limited to the following:
Explosion
Hazardous materials incident
National security emergency
Severe weather
Transportation accident
Civil unrest
Police pursuit
Terrorism
The following announcement would be repeated at least twice: “ATTENTION EVERYONE – Please listen
closely. We are asking that people stay inside the building. We are asking that anyone outside the
building come inside immediately.” (Key Volunteers would be sent to notify those outside to come inside)

Additional announcements would be made that may include, “ATTENTION EVERYONE – Please listen closely. Please move away from windows and doors.”
People would be allowed to move about freely upon the “all clear” announcement.
In the event of a serious emergency, it is possible that we may have to reunite some youth participants with their parents or adult coaches/mentors. For example, this might happen if a police situation forces us to quickly lock down or evacuate the building. Volunteers will then stay with the child until a parent/guardian/adult coach or mentor comes to claim the child. Never leave a youth participant alone in the event of an emergency.
In the event of an extreme immediate danger, volunteers should use and encourage use of the ‘duck, cover, and hold on’ self-protective action which is a protective action to keep one’s self safe from debris or flying objects such as in the instance of an earthquake or explosion. It would be appropriate in this instance to kneel and place your hands over the back of your neck until the “all clear” announcement is made. Check for injuries of yourself and others to make sure everyone is safe and protected.
Guns or Weapons are not prohibited on campus. The possession or use of weapons is prohibited on campus and in the course of university-related activities unless authorized through DPS. A weapon is a knife, firearm or similar appearing device that could be used to inflict harm. When in doubt, phone the Department of Public Safety (DPS) by dialing 911. This number is continuously monitored by trained communications officers. It should be used to report an incident where an immediate response is required by police, fire or paramedics. If using a cell phone, be sure to state: “This is an ISU emergency.”
Call 911 when:
Someone is hurt or very sick.
You see a fire or smell smoke.
You see something suspicious or someone committing a crime.
You need emergency help for any reason.

Appendix E Eating on Campus
The following are options teams have for eating on campus. Teams can eat in their pit areas, or any of the common spaces in the buildings utilized for the Championships. As team pits are designated for coaches and youth team members only, please do not
allow parents and other spectators “set up camp” in your pit area, or set up pot lucks during lunch.
Teams may wish to bring a sack lunch and are not required to utilize the concession options. However, there are no crockpots, popcorn poppers, microwaves, or other small household kitchen appliances allowed at the event. Please be mindful that there will
be youth and adults in attendance with peanut and other food allergies. To ensure a safe environment for all participants, consider ‘nut-free’ options and/or wash your hands after eating. Wipes will also be available at the competition tables for teams
to wipe the edges of the table prior to use, if they choose. If your team has a member with allergies, it will be your team’s responsibility to use the wipes on the tables to ensure participant safety. Some buildings have microwaves for use by Iowa State
students. These should not be used by teams during the events.
Pre-Order Pizza
Teams had the opportunity to pre-order pizza from Little Caesar’s for $7. Pre-orders are now closed. Pick up for pizza orders will be in the Town Engineering Building at 11:30a. Teams should bring cash or check to pay for pizzas ordered. Teams are responsible for providing their own beverages. Plates and napkins will be available.

Food trucks Macubana, Finley’s Curbside Beastro, and El Mexicano will be parked between Hoover Hall and Black Engineering Building during lunch. These trucks take cash and some may take credit cards.

Appendix F Technology
Project Judging Room Technology
All project judging rooms have computers with projectors, Internet access, and PowerPoint
2010. However, teams only have 5 minutes to present, which includes set up time. Your team may
choose to not hook up to our university system (this can be timely) and utilize an alternate presentation
method. You should bring your presentation on a USB drive. If you created your presentation on a Mac,
you will need to bring your computer and connectors (just in case). Sound may or may not be available for
the computers in project judging rooms, so please plan accordingly. If your presentation requires sound,
you should plan to bring a laptop with built-in speakers. All projectors have a VGA connection available.
All project judging rooms will also have a small table and several movable chairs at the front of the room.
