Logging on to the Instructional Data Warehouse (IDW) A Guide for Teachers and Administrators

Competing Needs—Access versus Security There are two competing needs in granting access to the IDW. The first need is for ease of access for teachers and administrators. Equally im-portant, however, is the security of student and teacher records.
The procedures outlined below (and on the following page) balance these two needs. Every individual granted access by district officials will have a unique password which will be cancelled when that individual leaves the employ of the district or is otherwise no longer entitled to that access. In addition, an IDW Account Manager, typically the head of Instruction-al Technology for the district, is in control of the logon process, includ-ing who has access to what level of data.
The IDW Account Manager determines who has access to all district data and who has access to just school level or teacher level data. Teacher Access Ideally, all teachers should have access to the previous test scores of their current students and to the test scores those students achieve when the school year is completed. Unfortunately, due to changes in the New York State registry system this year, our ability to link all teachers with their current students has been hindered dramatically.
Currently, therefore, all ELA and Math teachers will have direct access to their grade 3-8 scores via the Teacher Interface, but only Math teach-ers will have direct access to Regents scores via the Teacher Interface. Of course, all administrators and supervisors will retain access to teacher level data, and they can easily make copies of these data for teacher ref-erence. It is our hope to resolve the teacher/student linkage issue shortly and allow all teachers to see Regents results via the Teacher Interface.
Overall Access to the IDW The procedures outlined on the following page should be retained for future reference. They detail all logon procedures for the IDW. As always, IDW personnel are available to provide telephone assistance and in-district training for any district seeking to learn more about this newsletter or about other best practices for the IDW. Instructional Data Warehouse (IDW) – Login Guide
All Teachers, Supervisors and Administrators will need a
personal IDW User ID and a Password to log on to the IDW.
If you know your IDW User ID and Password, log on using this address:
https://idw.nasboces.org
If you have never logged on to the IDW before, you will need your School
(or District) Credentials and Password. They can both be obtained from a
school administrator or from your district’s IDW Account Manager (usually
the head of Instructional Technology). After obtaining your School (or
District) Credentials and Password, go to http://nbas.nasboces.org/Logon
to create your new account by following these two steps.
1. Enter the School (or District) Credentials and Password. A new screen
will ask for personal information (including your Teach ID number).
Once submitted (including a valid district email address), you will
receive your IDW user name and a temporary password. (User names
typically consist of first initial and last name—all lower case).
2. Then go to https://idw.nasboces.org to log on. You will be prompted to
create your permanent password. Don’t forget to keep a secure record
of this password. (In some cases, your IDW Account Manager may have
already created an account for you. In such cases, you will get an error
message, and you will have to contact your Manager to log on.)
If you have logged on before but don’t remember your password, go to
http://nbas.nasboces.org/PasswordRecovery to get a temporary password.
You will need your User ID (first initial, last name in lower case letters) and
your district email address.
If you are not sure whether you have logged on before to the new log-on
system, contact your IDW Account Manager to verify your status. Then
proceed as indicated above.
If these procedures fail to log you on to the IDW, contact your IDW Account
Manager.
