www.posta.co.ke SPECIAL UPDATE Issue No. 04 April Easter 2014 POSTA ACQUIRES AN ENTERPRISE RESOURCING PLANNING SYSTEM (ERP) FOR BUSINESS OPERATIONS 1 T he Corporation has engaged TechnoBrain and Reason Solutions consortium to implement an Enterprise Resource Planning System commonly known as ERP. This was through a competitive tender- ing process, which commenced from October 2013. The implementation of the ERP will take an estimated period of about one year with effect from 15 th April 2014. ERP is a system that is intended to automate front and back office business operations with a view of making processes efficient and effective. The system will auto- mate end-to-end postal business operations, that is, from the counter all the way to the back offices. The following functions have been earmarked for full automation: Finance and Accounts Department Human Resource and Administration Department Retail chain processes (Front and Bask Office Busi- ness Operations Area) Supply Chain Management/Procurement Strategy and Performance Management System Benefits for Implementing the ENTERPRISE RESOURCE PLANNING SYSTEM (ERP) include: i) Increasing efficiency and effectiveness of Business processes which will lead to generation of higher revenues. ii) Reduce the cost of business processes in front and back office operations. iii) Readily available Management Information/ Business Intelligence. iv) Use of Information Communication Technology (ICT) for service delivery at all levels. The Corporation currently uses a myriad of stand-alone business applications for various functionalities such as Leave Management System, Procman & Recman for Procurement of services, Payroll for staff, Electronic Funds Transfer (EFT/ Postapay) & International Financial System (IFS) for money transfer and Posta Branch Manage- ment Information System (PBMIS) for utility payments among others. All these applications are independent of each other and therefore have no centralized source of data for manage- ment information systems. With the acquisition of the ERP system, the Corporation will be able to improve its effectiveness and efficiency in all processes of business operations and hence reduce wastage. This will lead to in- creased revenues and hence profitability for the Corporation. The ERP system implementation will not lead to any loss of jobs to staff but will increase efficiency of key business operations. All Officers in key business areas will receive training before the ERP system is fully implemented. Process mapping for various functions com- menced at Headquarters/ Corporate and will be rolled out to the Field/ Regions in due course. T he Corporation Board of Directors has confirmed the ap-pointment of Mr. John Tonui as the General Manager,

Human Resource Development and Administration Department with effect from 7th April 2014. The newly appointed General Manager brings on board a wealth of experience having wit-nessed the Corporation go through many milestones over the past two decades in various capacities in the department. Mr Tonui has had an illustrious career in the Corporation span-ning over 20 years having started as a Management Trainee/Personnel Officer in March of 1993. He rose to Senior Personnel Officer in July 1999, Assistant Manager in February 2001 and Manager- Human Resource from September 2007 until August 2013 when he was appointed in acting capacity as the General Manager Human Resource Development and Administration. Mr. Tonui is a graduate of Masters in Business Administrations and a Bachelor of Arts in Social Sciences from the University of Nairobi. The new General Manager is also the Chairman of Posta Rangers Football club and outgoing Chairman of Postal Mail Sacco for the last three (3) years where he was a founder member.

Mr. David Fundia has also been confirmed as the Man-ager Internal Audit and Risk Management with effect from 7th April 2014. He joined the Corporation in December 2003 as a Postal Officer Trainee at Unionisable Grade 10. He was transferred and promoted to Internal Audit and Risk Man-agement Department as an Officer in 2007 after rigorous interviews conducted by the Management. In 2010, he was appointed as the Assistant Manager in charge of Informa-tion Systems & Risk Management. Mr. Fundia has been act-ing Manager Internal Audit and Risk Management for the last two (2) years a position he was confirmed to last week by the Board of Directors. Mr. Fundia is a practicing Certi-fied Public Accountant (CPA K), Certified Information Sys-tems Auditor (CISA) and holds a Master of Business Ad-ministration in Finance from KEMU University. He is a suc-cess story worth emulation by colleagues.

POSTA PLANTS 1250 TREES AT RUMURUTI POST OFFICE

T he Corporation Board of Directors in li-aison with relevant stakeholders planted

one thousand two hundred and fifty as-sorted tree seedlings at Rumuruti Post Of-fice in Laikipia on Tuesday 8th April 2014. This was in fulfillment of the contract with the Gov-ernment of Kenya for Posta to plant a mini-mum of one thousand tree seedlings as an Environmental Conservation initiative in the 2013/2014 financial year. The imitative is a partnership between Posta, Kenya Forest Ser-vice, Rumuruti Forest Association and the local community for three (3) years from April 2014 to April 2017. The Chairman of the Corporation, Eng. Sammy Tangus, was the chief guest accompanied by the Board of Directors and Postmaster General, Dr. Enock Kinara. In his remarks, Eng Tangus stated that it was the Corporation’s pleasure to be undertaking Corporate Social Responsibility initiatives that will go a long way in conserving the eco-system within the areas of its business operations. The Coordinator of Kenya Forest Service Eco-system for Laikipia County, Mr. Mathews Ogutu and the Deputy County Commissioner, Mr. Welfred Kinyua also graced the event rep-resenting their respective authorities. They lauded Posta for the efforts towards environ-mental conservation as a priority in the Corpo-ration’s programmes.
