iTrent User Guide This guidance provides an overview of how to navigate the Council HR Payroll system, iTrent. Access must be requested by your line manager through askHR.
It is recommended that you use Internet Explorer when accessing iTrent as some functionality does not work in other browsers.

Search for an Employee
#
Search for Leavers by
selecting the three dots
then ‘include leavers’
from the dropdown
before entering the
specific search criteria
eg Payroll Reference.
To Search for more than one
criteria select the three
navigation dots from the left
menu bar. Select ‘Advanced
Search from the drop down, this
will enable you to search by more
than one criteria, eg Forename
and Surname
Effective Date
You may be prompted to enter an effective date when
navigating to some screens- this allows you to view
information in the past, present and future
Select the date you with
to view information for,
for todays date enter ‘t’
and press ok.
You can change the effective date from a screen using the
date in the title bar.

Additional Search Options
1. Select ‘Employee’ from the section link
2. Select the Information you need to view- eg
Contact Details.
3. Enter the Search criteria for the employee
& use the magnifying glass to search

Basic Search Once in a screen click the employee name to access their full
record
Clicking ‘Menu’ will display the other pages within the folder
to allow you to navigate to these pages without returning to
the employee main page.
If more than one employee matches your search criteria they will be
displayed at the bottom of the navigation menu on the left hand side.
Select the employee name to display their record.

When you have selected the
employees record you will see
some details in the cards at the
top of the screen.
If an employee has more than
one position scroll through
these in the Employment Card.
The scroll option will only
appear for employees with
more than one position.
If there is more than one option available, for example an employee
holds more than one position, these will be displayed in the left hand
Navigation Menu.
Select the option you need to view and the details will be displayed in
the main screen.
Navigation Tips
To view more information use the Folders in the Links section at the bottom of the
page
The different folders you select will change the pages you can select:
Select the page with the information you need to view, eg Hours and Basis:

Viewing Position, Post, Unit information-
1.Select ‘Structure’ from the home page links
2.Select the folder for Position, Posts or unit
from the links
Select the information you wish to view from
the pages displayed:
If more than one option meets your criteria
these will be listed on the left hand search
pane.
Expand the information by using the menu tab.
Select the post, Unit or Position to view.
This will be displayed on the main pane.
Effective Date
You may be prompted to enter an effective date when
navigating to some screens- this allows you to view information
in the past, present and future
Select the date you with to view
information for, for todays date
enter ‘t’ and press ok.

title bar.

Position, Post, Unit Navigation- Mini Explorer
From Position, Post or Unit screens you can use mini explorer to view the next level in the structure. Mini Explorer is not available in the employee screens.
To look at an employees post details: First search for the employee under the Position folder as above. Then use the mini explorer as below to navigate to the post
level.
Once you have looked up your starting
Position, Post or Unit (as above) you can
see where it sits in the structure by using
the three dot menu from the left hand
pane and selecting Mini Explorer.
An additional list will appear at the
bottom of the left hand search pane:
This example is using mini explorer from a position, by selecting the arrow to
‘Go up 1 level’ it takes you to the Post that position is in.
From here you can then select the Post title to be taken to the post details.
Alternatively you can go up another level to view the unit that post and position
are in.
Expand and collapse the structure
using the plus and minus symbols.

As you navigate through the Mini Explorer the main pane will move
through the Position, Post and Units folders in line with the part of
the structure you are in. You can then select the specific pages you
need to view.

To Do List/ Processes

Find iTrent Pages
In addition to using the navigation trails above you can search for pages in iTrent using the ‘Find iTrent Pages’ option from either the homepage links or the
top of the navigation menu bar.
A link to a list of page titles is coming soon. You can still search by the type of information you are looking for eg if you type in ‘Absence’ this will return a
list of Absence Screens you have access to. Clicking on the screen name will take you to that screen.
When you select this option a window will open showing your To Do list and
Processes. You can navigate between your To Do List and Processes using the
tabs at the top of the screen.
Your to do list and
processes are accessed
from the news carousel on
the iTrent homepage.
The number of outstanding
Tasks and Processes will be
displayed in the brackets.

Running Reports
1.To run a report in iTrent select ‘Reports’ from the section links
on the homepage.
2.Select the type of report you wish to run from Absence, People
and Structure.
3. A List of reports available to
you under that section will be
displayed on the left hand
menu bar.
Select the report you need to
run.
The report search criteria for your
selected report will display in the main
pane.
Complete the fields as required for the
report.
Select the output type, CSV should be
selected for Excel Spreadsheet output.
Select ‘Run’.
You will receive an email when the
report has completed. This will
appear in your Processes section of
your homepage.
