Position

The position will be known as: Property Supervisor - Caretaker. (the Employee)

Job Description Property Supervisor/Caretaker Responsibility for the property and caretaking that property and assets of HDYC vested in the care of the elected members of the Management Committee. (MC) General Responsibilities The following is provided as a guide to the responsibilities of the caretakers. and should be read in conjunction with the Employee Handbook and Letter of Engagement.

¤ The position is based at Hamilton Downs Youth Camp. ¤ At all times to act in the best interests of the Management Committee in the

management and operation HDYC. ¤ To work as directed by the management committee. ¤ Adhere and be aware of all laws, regulations and rules that may be applicable

to the best practice of good management of HDYC. ¤ Agree to provide the MC with a National Police Criminal History Record

Check including any spent convictions. (Employment is conditional on a ‘nil’ conviction including any spent convictions)

¤ Agree to obtain and provide the MC a Northern Territory Working with Children Card (Ochre Card)

¤ Provide authority for the MC to seek a current medical report. ¤ To provide security and general daily maintenance of the buildings and

grounds of the Camp. ¤ To maintain and keep up to date a daily work / activities journal. ¤ To maintain and keep up to date a vehicle log book. ¤ To keep a daily reading of weather information as may be required. ¤ Maintain a record of all bookings and reservations received. ¤ Maintain a record of all guests and casual visitors. ¤ Maintain an accurate record of all telephone, facsimile, email and written

correspondence. ¤ Transmit or advise the treasurer of all guests staying at HDYC for invoicing. ¤ Maintain records of all petty cash expenditure and reimbursement and

receipts. ¤ Maintain an accurate record of all purchase orders and any corresponding

quotes. ¤ Maintain an accurate record of all other business transactions or other

records as may be required by law, regulation or Management Committee and bring these matters to the attention of the MC at the first possible opportunity.

¤ To provide recreational, educational and training programs for guests. Maintain a current list of assets of all equipment, buildings, machinery, tools etc.

¤ To maintain all sporting and recreational equipment, outdoor sporting and recreational areas, buildings, ablution facilities, vehicles, machinery, tools in good repair and condition.

¤ Ensure adequate supplies of gas, diesel fuel, firewood, cleaning supplies are maintained to meet the seasonal requirements of visitors.

¤ On site attendance required at all time of guest stays. ¤ With approval of the Management Committee develop new walks, activities

and programs. ¤ To maintain all maintenance workshops in a clean, tidy and safe condition.

¤ To maintain Power & Water Solar power and water equipment as required. ¤ To maintain mobile fire unit in ‘ready to use’ state ¤ To report on a weekly basis to the Chairperson. ¤ Provide a written report on a monthly basis. ¤ If requested attend the monthly meetings.

Job Description – Details NOTE. This whole section is virtually a duplication of General Responsibilities with a few added words. The two sections should be combined into one.

• At all times to act in the best interests of the management committee in the management and operation of all facets of the Hamilton Downs Youth Camp Inc. camp.

• To provide security and general daily maintenance of the buildings and grounds of the Camp, with an emphasis on neatness, cleanliness and safety.

• To keep a daily work / activities journal. The journal to maintain details of daily activities, travel, time at the camp and elsewhere.

• To maintain and keep up to date a vehicle log book with details of trips, mileage and maintenance of vehicles.

• To provide recreational programs of a range and degree of difficult to suit the requirements of all age of groups using HDYC as authorized by Management committee.

• To maintain all sporting and recreational equipment, outdoor sporting and recreational areas, buildings, ablution facilities, vehicles, machinery, tools in good repair and condition.

• Maintain a record of all bookings and reservations received for use of HDYC facilities.

• Maintain a record of all guests staying at HDYC. • With approval of the Management committee to develop walking trails, of varying

difficulty, emanating from the homestead. (And to articulate and print, rules for bushwalkers, of all ages).

• To be responsible for the expenditure of petty cash and to maintain records by way of a petty cash ledger of such expenditure and to maintain a cash float to the satisfaction of the management committee.

• To maintain all maintenance workshops in a clean, tidy and safe condition. • Maintain an accurate record of all telephone, facsimile and email

correspondence pertaining to the operation and management of HDYC.

• Transmit or advise the Treasurer and Chairman of all guests staying at HDYC for invoicing and charging.

• To maintain mobile fire unit in `ready to use' state. • To be cognizant with all laws, regulations and rules that may be applicable to the

best practice of good management of HDYC. • To keep records, on a regular basis, of temperature and rainfall. • To maintain an adequate supply of firewood, for use by visitors. • To be responsible to, and report to (in writing and on a monthly basis), the

management committee. • To attend the monthly meetings of the management committee as requested. • To work as directed by the management committee. • Report losses or damage to camp property due to theft or vandalism.

Daily jobs: • Keep a daily work diary • Visually check level of water in tanks by observing the floats on a daily basis. • Clean toilets and showers. This maybe required twice daily when guests are in

camp. See separate detail of cleaning. • Empty bins and dispose of rubbish. • Hand water trees - plants. If the water in the tanks get very low water every 3 days. • Keep areas around 1913, 1920 & Smoke house clean tidy. Rake area. Empty

rubbish bins.

Prior to Guests arrival • Wipe down bunk mattresses with disinfectant • Clean bunkhouse rooms and dust windows etc. • Clean Toilets & Showers. Ensure supplies of toilet paper etc are available. • Clean wash tubs & washing machine. • Clean urinal • Clean 1913 house -Kitchen • Clean 1920's house - accommodation • Clean Smokehouse • Ensure areas around all buildings is clean & tidy • Put rubbish bins out at strategic spots. • Turn on gas supply • Check kitchen utensils against list • Put clean tea towels in kitchen • Turn on refrigerators. • Check lights are working. • Put out solar lights on path to toilet block.

On arrival of guests:

• Inspection tour and sign acceptance of state of buildings, kitchen utensils etc. Complete form and have guests sign.

• Obtain list of guests names. If school ensure that a list of names of teachers and children is also obtained

• Explain fire safety drill and assembly point. Main gate.

During Guests stay: • Clean showers & toilets on at least once a day basis. May need additional

cleaning if large number of guests. Ensure adequate toilet paper etc. • Vacuum bunkhouse on a minimum of twice weekly basis if guests staying more

than a week. • Clean (Sweep etc) 1913's and 1920's house accommodation areas only. The

kitchen is the responsibility of guests and must be left clean and tidy on departure.

• Empty rubbish bins on a minimum of daily basis. May need more if a large number of

guests. • Provide recreational equipment as required. Must be entered in book on hand

over and receipted on return. Any missing or damaged items are the cost of the guest.

On departure of guests: • Inspection tour and note any damage or missing goods, equipment or kitchen

utensils. • Sign form that acknowledges the above. • Provide the number of guests for each night of guests stay and fax or email to

Chairman. Hard copy by hand when next visit to Alice Springs. • Turn off gas in kitchen • Turn off gas in toilet blocks. • Clean and turn off refrigerators in kitchen building. • Turn off all lights • Count all kitchen plates, utensils, chairs etc. any losses report to Chairman.

Weekly jobs • Start and run Datsun truck • Start and run tractor • Check and start pump on the fire trailer. • Check and run petrol generator • Check and run gas generator • Record all of these checks on record chart • Check Gas tank for leaks with soapy water spray • Check gas tank levels and reorder by calling Chair when levels fall below 25% • Vacuum and clean bunk house and other houses and buildings on regular basis

even if no guests.

• Wash tea towels before gents arrive • Turn off gas in showers after guests leave turn on before guests arrive • Turn of fridge's and clean if needed, when guests leave. Turn on before guests

arrive • Check to see if any thing is broken when guests leave. If serious tell Ren • Count kitchen utensils and chairs after guests leave any missing tell Ren • If sports equipment is borrowed get them to sign for it.

Monthly • Using the Hilux Utility, drag tires on the road around 22nd every month. Try and

do this is conjunction with trip to Alice Springs; Or it takes several hours in a one off situation; Take lunch and water. Ideal set up is 4WD low range, second gear, 2000RPM.

Other Work • Refer to the current schedule of works that the Association's Management

Committee has approved.
