Journal Manuscript Reviewers’ Instructions

Downloading Reviewer’s Copy – Tracking Changes – Uploading Reviewer’s Copy The following instructions are provided to facilitate your reviews of manuscripts, including:

• Processes for downloading a reviewers’ copy of the manuscript, • Using “track changes” in MSWord, • Saving your comments in multiple formats, and • Uploading the comments with your review using the Manuscript FastTrack™ online submission

and review system. We realize that not all word processing programs have the same interface as portrayed in the following screen shots. Please consult with your local computer support person regarding variations in MSWord and/or Internet browser programs. You should print these instructions for future use until you become familiar with all the processes explained below. 1. After receiving an e-mail for a “Request to review a submission to…” use your assigned User ID

and Password to login to the Manuscript FastTrack™ system. Click the “My review assignments” tab, and select “Get review copy of article.”

2. Save the review copy to your local hard drive, giving it a new name; file can be saved to the desktop.

2

3. Check the File-Properties to remove your name and other information. Click the Summary and Custom tabs in the Properties menu for information; re-save the file.

3

4. Open the View-Toolbars in MSWord; click the Reviewing toolbar to activate.

5. Click the Track Changes button on the Reviewing toolbar.

4

6. Use Insert Comment, highlighted text, etc., to edit the reviewer copy; re-save the changes.

7. Open File-Print, then choose Adobe PDF as the printer source. Converting the file to *.pdf removes

the viewers’ ability to “see” who inserted comments into the document, although all edits will be preserved in their original format, as seen in MSWord.

5

8. When printing as *.pdf, you will be asked to Save the file; be certain to remember where it is located when saving so you will be able to find for uploading to the Manuscript FastTrack™ system.

9. After saving the *.pdf file, Adobe Acrobat Reader should open automatically to view the file. As

seen in the following screen shot, all comments and highlighted text are preserved, but not “who” inserted the edits.

6

10. Since the same identification issues that were evident in the MSWord version of this file can be traced to the Adobe file properties, you should open File-Document Properties-Description to ensure that you have removed all identifying information.

11. Clear any identifying information in the file, then re-save it.

7

12. Now you are ready to complete the manuscript review and upload your reviewer copy to the Manuscript FastTrack™ system. Click the Review this article in the Actions section of the My review assignments tab.

13. Complete the review, clicking all the radio buttons for all questions and providing your overall

comments in the textboxes provided; now click the Browse button under the Attach a file option.

8

14. Choose the reviewer copy you converted into a *.pdf file to upload to the Manuscript FastTrack™ system.

15. If you are uncertain about your abilities or are unable to convert an MSWord document into a *.pdf

file, then upload the MSWord file you created for the reviewer copy. You will have to trust your editor has the ability to convert the file to *.pdf so your comments cannot be attributed to you.

9

16. After selecting the appropriate file, click the Open button to upload to Manuscript FastTrack™. You should see the reviewer copy file name appear in the Attach a file section of the reviewer form. Click the Submit completed review button to finish your review.

17. Successful manuscript review and reviewer copy uploaded file can be determined by clicking the

My review assignments tab, and then clicking the Show review under the Actions header. You will see your ratings, comments from the online reviewer form textboxes, and the attached reviewer copy file, in whatever type of format you uploaded.
