It set me thinking though, and the first question to pop up is: What does it really take to sustain this kind of performance? The period covered by this issue of the KB Newsletter is witness to a wide-ranging series of activities carried out in my capacity as CEO for the Kingston Bookshop and Custos for the parish of Kingston. Gratefully, I am now at my own desk at 74King Street where I am most comfortable.I want to begin my talk with you on a HIGH NOTE – KB’s no-loss run in the Business House Football competition! What a run! Six matches, NO losses! It is the stuff real success is made of; congrats team!!!!!!It set me thinking though, and the first question to pop up is: What does it really take to sustain this kind of performance?I want to mention a few things

that come quickly to mind:

Talent - that innate, God-given ability to do something better than somebody else. It is clear that our guys have talent and they are making good use of it.

Camaraderie – I cannot express this better than award winning sports writerSteve Silverman, who said “ Players who get along and respect each other are likely to play hard for each other and give maximum effort every time they take the field. Players who want to succeed because they care for each other have a much better chance of succeeding.” Don’t miss the camaraderie on and off the field.A teachable spirit – Making yourself available to learn new methods and ways of doing things. Being talented is great but being receptive to training serves to

enhance it,bringing out the best.

Quality leadership – that abilityto develop trust between leadership and team members; to keep people working together and to to inspire them toward their goals (excuse the pun). All of the above, and more, are present in our football team–management and members. This is not to say we expect 100 per cent at all times but it would seem that clear expectations have been set and together they are working to achieve them.

This brings me to my next question: What can we all learn from our football team as we face the economicand other challenges of our time? I do not think all the teams KB played were pushovers. There were some challenging matches but with the right attitude and a good team spirit they overcame. Cont’d on page 6

DEPARTMENTALNewsACCCOUNTS DEPARTMENT

The staff of the Accounts department is expressing best wishes for a pleasant Independence period to the management and staff of KB. We hope you will find a little time to reflect on our nation’s past while looking forward to a brighter future.

A brief look into the accounts department.

Head of the accounts department is Ms Tamara Dolphy, Financial Controller , There is a complement of nine staff members: Mr. Omar Bishop, Snr. Accounts Payables Officer; Mr. Vivian Herridge, Accounting Clerk; Mr. Devon Fray, Accounts Receivables Officer; Mr.O’Dwayne Knight, Jr Accounts Receivables Officer; Ms. Anika Tulloch, Accounts Payables O f f i c e r -F o r e i g n ; Ms. Roberta Black, Jr. AccountsPayables Officer, Mrs. Annece Bryan-Wilson; Jr Accounts Receivables Officer-cash and Ms. Vinnette Herridge; Accountant.

The department’s main function is to ensure that all KB’s financial Activities are recorded in an accurate and timely manner by applying appropriate

accounting principles in adherence to International Financial Reporting Standards (IFRS). IFRS provides general guidance for the preparation of financial statements.

The department has two major areas

Accounts Receivables and Accounts Payables.

Accounts receivables is concerned with the cash inflow from receipt of all cash, and, or credit sales transactions whilst Accounts payables is concerned with the cash outflow of payments to our

suppliers of goods and services on a cash or credit term basis. As a whole, the department aims to provide customer service at the highest level to both internal and external customers.

Our Fun timesWe have been interacting with other members of staff on a social level through the admin Flexes, the annual Sigma 5K run that saw our own O’Dwayne Knight and. Tamara Dolphy topping the KB group; we organized the fun filled domino competitions that took place in September last year that saw O’Neil Lynch and Curtis Anderson emerging winners and walking away with $5000!The football competition organized by the purchasing department saw the men from our department participating as well. Accounts Happenings:A baby shower was held for Ms.Anika Tulloch on March 4, 2011. We are happy to report she is now back at work having delivered a beautiful baby girl.

Welcome back Nika! The entire a c c o u n t s d e p a r t m e n t participated in the annual stock taking exercise for the first time as you might have seen d i f f e r e n t i n d i v i d u a l sfrom the department at the various

locations as we embarked on an independent sample count activity.

Summer worker Shanique Simpson is back with us in Accounts Receivables until next month. Good to have you back Shanique!!

IT DEPARTMENT

The first quarter has been very busy for the IT Department. From upgrading servers and “chasing” viruses(literally) to carrying out maintenance forall units, each

member has had an overflowing plate these past months. To give an update, we have secured a new provider for the company’s offsite data backup and we have also installed task management software in the Purchasing Department, which we expect to improve their operations. In an effort to standardize and improve the time it takes to complete graphic work, we have implemented a more

structured system that makes you (our in-house client) more aware of the completion time for each piece of work requested.

We had the opportunity to train a few cashiers in March. We thought it went very well, and we look forward to more opportunities for training

We, along with other members across the organization, had a role to play in this past Stocktaking. We find that the process this year was a better one, and we strive to improve every year. Hopefully there will be a

time when these first, second, and third counts will be of the past, and we can simply print our inventory balances!

The members of the IT Department are always discussing and researching different ways in which we can improve the use of technology throughout the organization. We welcome your feedback, so if there are any suggestions for streamlining or improving the company’s operations, please feel free to contact us.

OFFICE EXPANSION

The I.T. Department has benefited from a much needed office expansion. In the past, what was an open office environment is now a secure and enclosed office. Located at the 80 King Street building, the expansion is completed with a glass partition, a glass door and two new office desks. The Office is shared by Ms. Shari Thompson and Mr. Qwayne Savage, and they are grateful for the improvement.

The expansion is one that will improve productivity, minimize the distraction of personnel who make the commute on the corridor.

It will also improve the focus on tasks being executed and ensure that private and sensitive information is more secure.

We would like to thank the director of Corporate Services who approved the expansion of our new office.

From the MD’s Desk Cont’d from cover

I want to suggest that as we face our own challenges at KB we take hold of, and display these very qualities at our work stations.

For many of our employees the idea of this company having economic challenges seems farfetched because all our commitments to the staff and otherwise, are being met. But, KB is facing difficult times. What are some of these challenges? Two spring to mind immediately: Loss of jobs resulting in fewer customers and Non-traditional Competition.

More and more people are joining the ranks of the unemployed. This is not unique to Jamaica. Unemployment in the diaspora has severely impacted remittances which is one of our major cash sources for low income families. Less money in the hands of even fewer persons means less ability to buy books and stationery which are the mainstay of our business.

With respect to competition, I want to focus on the non-traditional competition which centres primarilyon technology. I draw to your attention a statement from Hanno Ronte, Snr Partner in Monitor Group (London) in a presentation during a conference under the theme‘Blinded by the E-Light’. Here is what he had to say:

“Technology today, more than ever, has a disruptive impact on publishing. The Internet, printing - on -demand and the e-book are the main drivers of change, impacting all aspects of the publishing value chain - from the way books are published (authors can go direct to the reader), distributed (electronic marketplaces), sold (etailers) and read (electronic books).”

We cannot fight technology. It is coming, not going. Our only recourse is to keep abreast of what is happening around us and where we can, get ahead of it. In this regard I draw on one of the valuable lessons learnt from our footballing colleagues: Let us seek to acquire, embrace and exercise a teachable spirit at all times.

Over the past 18 months tremendous work, at tremendous cost, has been put in to training for all levels of staff. Customer service and leadership have been targeted because the company is aware of the importance of these two foundation stones in our operations. I trust we have all used the opportunities wisely and that we will continue to make ourselves available to learn new things and new ways as they arise (More on this in our next issue).

God bless you all.

The Warehouse & Wholesale Department is often regarded as the hub of the company with main responsibilities in the areas of inventory control and distribution. There are 33 members of staff carrying out these responsibilities. They are under the supervision of Mr. Jason Hylton - Manager, Mr. Sheldon Welsh – Warehouse Supervisor, Mrs. Georgia Francis – Administrative Officer and Mrs. Stephanie Ripley – Warehouse Supervisor Trainee.

For the period January – February 2011, the Warehouse undertook a major distribution exercise to supply textbooks to 792 primary schools across Jamaica under the Ministry of Education / Macmillan contract. This exercise was completed one week ahead of schedule, due to the hard work and dedication of teams led by Mr Welsh and Mr. Dwayne Sutherland (Dispatcher). Both teams committed to seven-

day work weeks to ensure that all books ordered were packaged and delivered to schools within the shortest possible time. Mr. Christopher Graham, Manager of the Ministry of Education Media Services had high commendation for KB and staff for their efforts in delivering efficient and exemplary service to his Ministry.

Our warehouse at 95 Church Street was set up to facilitate better management of our inventory. As a result Non-Textbooks have been separated from textbooks. This

separation will allow each warehouse to monitor inventories more efficiently. Warehouse 95 houses Non-Textbooks and Stationery bulk items. Mrs. Stephanie Ripley is the Supervisor trainee for the operation; she is assisted by Messrs Kishawn Smith, Davian Stephenson, Michael Jones and Lennie Hanse. Given the seasonal nature of our Textbook market and the competitive environment in which we operate, it became necessary to embark on sales activities to create an awareness of the Non-textbooks items that KB supplies. Mr. Clarence Raikes has undertaken this

initiative which has yielded some positive results as evidenced by improved sales figures for the period. We will continue to work on this venture while maintaining our focus on customer satisfaction. Our Warehouse staff is committed to improving the products and services that we offer to our customers and to fostering good relations that encourage loyalty.

OUP SUPPORTING LAW FACULTIES

The Oxford University Press (OUP) recently awarded three prizes at the 2011 Awards ceremony for the Law faculty at UTECH. The company has offered a fourth prize for next year. One of this year’s winners was Miss Kerine Dobson.

2. Respect for Time. This was a big thing from day one. Today I am driven to respect time - my own and that of others.

3. Leadership by example. “Take your work seriously, but not at the expense of building healthy relationships. The team functions at its best when the leader leads by example. Know how to balance the workload with some fun.” This was the message I learnt during my tenure as a summer worker at the warehouse.

I am forever grateful to leadership of KB for giving me the opportunity to gain experience and to aid in my development as a young man.

Its official!! Kingston Bookshop (KB) Football team is the envy of the other 47 teams that are currently participating in this year’s Business House Five A Side Football Competition, Division Two. As a result of the hit-man like goal scoring ability of Kemar Woodley who so far has scored 6 goals, Goal Keeper Omar Syers’ ability to fly and the “thousands” of loud supporting fans with their Vuvuzelas, Kingston Bookshop has found it relatively easy in dismissing their opponents and are now unbeaten after 6 rounds of matches.

There are four zones in D2 each

comprising twelve teams and KB leads zone 3 with a maximum of 18 points with five (5) matches remaining in the first round. Kingston Bookshop is entering this competition for the first time in over a decade.

Coach Steadman Fuller Jr. who is ably leading the team to glory, is the most sought after coach has everyone seeking the formula for the success that KB is currently experiencing.

KB Newsletter sought to get a response from Coach Fuller on the ingredients of his formula. He revealed in a recent interview that the secret is a combination of three important variables that the team has to recite before every game. These are “teamwork, communication and movement”.

This coupled with the enthusiasm and physical ability of the 15 member team is the formula for success and if they continue on this path then the results of the remaining five matches will be similar to the six matches already played.

The team is ably managed by Mrs. Shauna Fuller Clarke who was inspired to register the team in the competition by members of the stationery Department. Mr Damani Johnson is the assistant coach and PR Officer and team driver is Mr Dwayne Sutherland.

The team is comprised of Shemiah Darling (captain), O’Neil Lynch ( vice captain), Jermaine Simms, Suwayne Fuller, Jahmoy Bruce, Tyrone Levy, Kemar Woodley, Marvin Marshalleck, Richard Parchment,

Omar Skyers, Damani Cohall, Rupert Morgan, Sheldon Welsh, Lorenzo Burke and Orlando Henry.
