Dear parentYour toddler (born in or before 2017) will be two and a half years old soon and can go to school for the fi rst time. This is a big step. Or maybe you want your older child to change schools.In that case, the information is this brochure is very important for you.Choosing a school is an important decision, so do take the time you need.If you want to, you can also visit the school or the classroom beforehand.

We have started working with an electronic registration system for all the schools in Leuvensince last school year. This brochure provides information about when to register and enrol your child in a nursery or primary school in Leuven, Heverlee, Kessel-Lo, Wilsele and Wijgmaal.All these schools have made agreements about this.This way, we want to make it easier for the parents and give everybody an equal chance toenrol in a school of their choice.The schools in Leuven welcome you and your child!

How to register and enrol?IMPORTANT!YOU HAVE TO REGISTER FIRST AND ENROL LATERRegistering and enrolling your child in a nursery school in Leuven is done in 3 steps:

STEP 1: Registering: you can register your child for the schools of your choice on the website: https://meldjeaan.leuven.beSTEP 2: You will receive an e-mail with the contact details of the school where you can enrol your child..STEP 3: Enrolling: You make an appointment with the school to enrol your child. The enrolment is only complete once you have signed the student enrolment card in the school. This means that you agree with the school’s regulations and the pedagogical project.

Next: the fi rst day in school:For the older children who are changing schools, this will be on the 2nd of September 2019.

For all these entry dates, you have to register and enrol your child, even if he or she is not going to school in the near future.If your child is 3 years or older, you can disregard these entry dates.

When do you have to registerand enrol your child?Period 1: Priority for children with a sibling in school and children from staff membersRegistration: January: from Tuesday, the 8th of January through Tuesday, the 22th of January 2019Notifi cation: February: Thursday, the 21nd of February 2019Enrolment: March: from Friday, the 1th of March through Friday, the 29th of March 2019Period 2: All childrenRegistration: March : from Friday, the 1st of March through Friday, the 29th of March 2019Notifi cation: April: Monday, the 29th of April 2019Enrolment: May: from Monday, the 6th of May through Friday, the 24th of May 2019Periode 3: Registration period for the children who have not yet found a school:From Tuesday, the 28th of May 2019.

Important:: Make sure to check the registration date and register in this period. During the registration period, you can also modify your particulars.

Period 1: priority for siblings and children from staff membersYou have another child who is already enrolled in a nursery or primary school in Leuven?Or you are a member of the school staff ? In that case, you have priority in that school

STEP 1: Register your child When? From Tuesday, the 8th of January 2019 through Tuesday, the 22th of January 2019 until 5pm. Important! If you register after that period, you are no longer entitled to priority. Siblings are all the children who are living at the same address or who have the same father and/or mother, even if they are not living at the same address.STEP 2: You will receive an e-mail On Thursday, the 21th of February 2019, you will receive an e-mail. You can also fi nd the results in a message in your personal mailbox on https://meldjeaan.leuven.be. In case you did not receive a message on Thursday, the 21nd of February 2019, please send an e-mail to info@meldjeaan.leuven.be or call 016 27 27 11. It is possible that a school does not have enough vacancies and puts you on the waiting list. You can then register your child for another school from Friday, the 1th of March 2019 through Friday, the 29th of March 2019.STEP 3: Enrolling your child Even though your child is registered, it is not yet enrolled. You will still need to go and enrol your child in the school which is mentioned in the message that you received. When? From Friday, the 1th of March 2019 through Friday, the 29th of March 2019 after you have made an appointment with the school.

Period 2: Registration and enrolment for ALL childrenBeforehand: Select a number of schools before registering your child

How? You will fi nd the complete overview of all the nursery and primary schools in Leuven in the list of schools included in this brochure.

Make your list below of all the schools you would like to enrol your child in. The number of vacancies in the schools can be found on https://meldjeaan.leuven.be (tab “information about schools” in the upper right corner) from the 28th of February 2019. You can list as many schools as you want. It is important to select several schools, to increase your chances to fi nd a place.This will not aff ect your top choice.

List the schools in the order of preference. Always put your favourite school on number 1. For the fi rst three schools, you automatically have an additional chance for a place when the vacancies are allocated.

STEP 1: Registration of your child When? From Friday, the 1th of March 2019 through Friday, the 29th of March 2019 until 5pm.STEP 2: You will receive an e-mail or letter On Monday, the 29th of April 2019, you will receive an e-mail. You can also fi nd the results in a message in your personal mailbox on https://meldjeaan.leuven.be. In case you did not receive a message on the 29th of April 2019, please send an e-mail to info@meldjeaan.leuven.be or call 016 27 27 11. If there is no place for your child, you will be added to the waiting lists of all the schools you registered your child for. A place may still become vacant in one of these schools. If this is the case, the school will contact you.STEP 3: Enrolling in the school Even though your child is registered, it is not yet enrolled. You will still need to go and enrol your child in the school which is mentioned in the message that you received. When? From Monday, the 6th of May 2019 through Friday, the 24th of May 2019 after you have made an appointment with the school.

Period 3: All the children who have not yet found a schoolYou have not found a place during the previous periods?

On Monday, the 27th of May 2019 you can fi nd an overview of the vacancies in the schools on the website https://meldjeaan.leuven.be (tab in the upper right corner “information about schools”).

From Tuesday, the 28th of May 2019, you can go to a school which has vacancies to enrol your child. Please make an appointment with the school fi rst.

How to register?In practice: Go to https://meldjeaan.leuven.be Watch the video to fi nd out how the registration system works Choose a password and a user name Do not forget your password and user name. You will also need these if you want to verify of modify your details. Follow the instructions on the screen

What do you need? List of schools (or the school in the priority period for siblings and children from staff members) where you want to enrol your child and the corresponding postal codes. Your child’s national identifi cation number (see ISI+-card, the back of the kids-ID or the stickers from the health insurance fund) If your child does not have a national identifi cation number, contact one of the organisations listed from page 20 onward or send an e-mail to info@meldjeaan. leuven.be or call 016 27 27 11. If you do not have a computer, one of the organisations listed on page 22 onward can help you or one of the schools in Leuven.

How will the places be allocated?Indicator and non-indicator student status and predefi ned criteria are taken into account.

1. Indicator and non-indicator studentsThe school determines in advance how many places it reserves for indicator students and how many for non-indicator students. Information can be found on the school’s website. The intention is to create a social mix within the school: students from all types of families can have a place there.

Your child is an indicator student if:

children from your family were entitled to an education allowance in the school year 2017- 2018 and/or 2018-2019

and/or

the mother does not have a diploma or certifi cate from secondary education

2. Distance and preferenceThe schools will rank all the children who have been registered on the basis of two criteria: thedistance to the school and the preference for the school. Each school determines for itself whether they will focus more on children who live close to the school or on the parents’ preference.To do so, schools can choose one of the following 3 possibilities to allocate the vacancies: 70% based on preference and 30% based on distance, 30% based on preference and 70% based on distance, 50% based on preference and 50% based on distance.

Distance:For the top 3 schools you selected to register your child for, you have an extra chance whenthe places are allocated.

Afstand:To determine the distance, the child’s offi cial address and possibly the workplace addressare taken into account.Distances are calculated as the crow fl ies.The computer will allocate each student to a school. A bailiff will be present during the allocationto monitor the procedure.If you want more information, please check the website https://meldjeaan.leuven.be, underthe tab “Frequently asked questions” or watch the videos on the website.

How to enrol?1) Make an appointment with the school that is mentioned in the e-mail.2) Go to the school to enrol your child.3) The enrolment is only fi nal if you agree with the school’s regulations and pedagogical project.

What to bring?If possible, bring your child’s kids-ID or ISI+ card. If your child does not have any offi cial documents, the school will look for another solution.If you receive an education allowance, bring proof such as a letter or a bank statement.Your child’s details will be registered on an enrolment form.

What happens if your child cannot be enrolledin a selected school?If one or more of the schools you have selected does not have any vacancies anymore, your child will automatically be added to these schools’ waiting lists. You will receive a ‘mededeling(en) van niet-gerealiseerde inschrijving’ (declined enrolment statement).This is an objective proof that you are on a school’s waiting list.The waiting list is valid up to and including the 7th of October 2019.For toddlers born in 2017,the waiting list is valid up to and including the 30th of June 2020.

The waiting list is based solely on the criterion “distance from the child’s offi cial address tothe school”. The preference criterion is no longer taken into account.

If a place becomes vacant in one of these schools, the school will contact you. If you wantto, you can still enrol your child in this school, even if in the meantime your child has alreadybeen enrolled in another school.
