STEP BY STEP GUIDE 1. How to Access KRAOnline Services

1.1. Visit the KRA website on http//www.kra.go.ke/portal The KRAOnline Portal will be displayed as shown below, please click the Icon ‘Online Services’ on the top right corner.

1.2. Access to KRAOnline Services

After the above steps, the following available Online services will be displayed. Please choose by clicking on the desired service ‘e.g. Taxpayer Registration’

1.3. How get Tax Registration (PIN) and User Password for Existing Taxpayers.

The screen below gives options for applying for new tax registration number (PIN), assigning passwords for existing taxpayers and assisting in recovering forgotten passwords. Click on the desired service required.

1.3.1. How do I choose the appropriate option?

(A). ‘New Taxpayer’: This option is for New Taxpayer (Taxpayers without PIN).

(B). ‘Get Password for Existing Taxpayer’: This option is for existing taxpayers who want to get passwords and become users of KRAOnline Services (existing taxpayers ’have PIN’ but not users of KRAOnline Services).

(C). ‘Forgot Password’, please click the ‘Forgot Password’ option. You must have registered as a KRAOnline user previously.

1.3.2. Requirements for Taxpayer Registration

(A)Resident Individuals : National Identification Number (B) Non – Resident Individuals: Alien Registration Number (C) Companies and Partnerships: Certificate of Registration

2. New Taxpayers - Obtaining PIN

2.1. Who should apply for PIN?

(a) Resident (b) Non-Resident (c) Company (for registered companies or partnerships) After clicking on the link New Taxpayer in the previous screen, please follow the steps below;

In the screen below, tick the availed options as appropriate.

After choosing the appropriate Option, please click the button Validate or clear.

2.1.1. PIN Registration screen for Individual - Residents

2.1.2. PIN Registration Screen for Company

On the above screen, all the fields marked with a red asterisks are mandatory and have to be filled with the correct information. After filling all the mandatory fields, click on validate to continue.

3. Existing Taxpayers (residents and non-residents).

Choose the link for Existing Taxpayer. On the screen below, enter your PIN and thereafter click on resident if you are a resident otherwise do not tick the ‘Resident’ option.

3.1. Provide your PIN

Then click ‘Get Signature’ or ‘Clear’. If successful, the following screens will appear, otherwise an error message is displayed.

3.2. Validate your Information

3.2.1. For Existing Taxpayers (Individuals), please provide the information requested by the system as shown in the screen below. Please ensure the information provided is accurate.

Click on the ‘Get Signature’ button to continue.

3.2.2. For Existing Taxpayers (companies), please provide the

information requested by the system as shown in the screen below. Please ensure the information provided is accurate.

Companies will be required to input valid ‘Registration Certificate Number’ as issued by the Registrar of Companies. Please ensure the information provided is accurate.

3.3. Completing the Registration Application

For all cases of registrations (New or Existing), a Taxpayer Registration Form will be required to be completed as shown in the screen below. Mandatory fields are marked by red asterisk, and must be filled. All applicants must choose the appropriate obligation applicable to them. The applicants are required to provide a secure e-mail address whose password is only known to them since all subsequent communication from the system will be sent through this address.

4. Submission of the Form

Upon successful completion of the form with the correct Taxpayer Registration details, the system will allocate the ‘PIN’, ‘Password’ and ‘Security Stamp’. These will be sent to you through the e-mail address you have provided above.

• PIN – Taxpayer Personal Identification Number • Password – your secret access number to use the system • Security Stamp – your secure number generated by the system.

5. First Time Login

A taxpayer will be required to Login in the System using the ‘Login Page’ and enter the personal credentials earlier sent through the E-Mail as follows:

• User Identification – enter PIN Number • Password – enter password generated by system • Security Stamp – enter security stamp generated by system as an

attachment. – This is required only first successful login. The security stamp will be activated by clicking on the Icon next to the ‘Security Stamp’.

• After providing the Login credentials, change your password allocated by the system immediately before carrying out any activities in the system. The password policy requires a minimum of 6 characters of which atleast 4 must be letters and 2 must be Numbers (alpha numerical) – e.g. ab3cd5

Once the password has been changed successfully, your will be able to use the system. The Main Menu Screen will appear, please click on the service required and continue as guided by the system.

NB:

• For subsequent log-ins, you will be required to input your PIN as the ‘User Identification’ and your new password. You may choose to change your password any time as desired.
