Haverford College announced

this fall that it has chosen the

Kuali Financial System

(KFS) as its new enter-

prise financial system.

After an extensive selec-

tion process, the team at

Haverford determined that

KFS best met their needs and

The Kuali Foundation is pleased

to report that the University of

Arizona went live with the

Kuali Financial System (KFS)

version 3.0 on their cam-

pus. The UA implementation

delivered a comprehensive

campus-wide set of modules

including General Ledger, Ac-

counts Payable, Purchasing,

Capital Assets, Labor Ledger

and Accounts Receivable.

Arizona has been a member of

the Kuali Foundation since

2005 and a partner with the

KFS and KC project. Kuali is a

primary example of how insti-

tutions can contain costs in

higher education through inno-

vation and collaboration by

using open source software

solutions. UA joins other uni-

versities who have already

implemented KFS, including

Colorado State University, San

Joaquin Delta Community Col-

lege, Michigan State University

and Cornell University.

Conference Appearance

At the HEUG conference on

Tuesday, March 20, Navigator

presented on its Kuali Finan-

cials version 4.1 implementa-

tion at Haverford College. The

primary implementation con-

sists of General Ledger/COA

and Purchasing/AP. The project

is being executed over a very

short timeframe using the Agile

implementation methodology,

and will leverage an open

source BI solution, Jaspersoft,

to address financial reporting.

Once Kuali goes live and has

stabilized at Haverford, the

notion of Kuali as a viable alter-

native for small institutions will

be proven.

Billing for contracts and grants

requires an invoicing process

that is significantly different

from invoicing for goods and

services. With that knowledge,

a consortium of 8 institutions,

Cornell University, University

of Hawai’i, Colorado State

University, UC Davis, Universi-

ty of Connecticut, Iowa State

University, Michigan State Uni-

versity, and University of

Marylan contracted VivanTech

to add this much needed func-

tionality to KFS.

Vivántech has enhanced the A/

R functionality in KFS to auto-

mate the creation of invoices

for contracts & grants. Users

define how and when CGB

invoices are created, how

draws are made against letters

of credit, and applies them to

the invoices.

At the end of 2011, Vivántech

was able to deliver the first of

two phases on time and budg-

et. “Vivántech’s team members

made every effort along the

way to ensure that their contri-

bution of the Contracts and

Grants Billing enhancement

exceeded our expectations.

Contracted contributions are a

new frontier for KFS, and

Vivántech proved a valuable

partner in one of our first such

efforts. WE would be very

happy to work with Vivántech

in this capacity again in the

future,” said Ailish Byrne, the

KFS P ro j e c t Man age r .

Vivántech is currently working

on phase 2 of the CGB project,

which will support the post-

award administrator’s efforts to

timely collect the debts.

In order to do

justice to these

growing

responsibilities,

we at the

Foundation are

reorganizing the

past and present

members of the

staff to better

complete these

tasks, as well as

enlisting some

part-time talent

to bring a laser

focus to targeted

issues.

Announcement Staffing Changes Throughout Kuali, we often talk

about the reality triangle: balanc-

ing time, resources, and scope.

As the Kuali Foundation grows,

so too do the number and size

of the duties before our organi-

zation. New members and new

projects not only bring new

perspectives and new resources,

they also bring a myriad of finan-

cial, technical, and communica-

tions tasks.

In order to do justice to these

growing responsibilities, we at

the Foundation are reorganizing

the past and present members of

the staff to better complete

these tasks, as well as enlisting

some part-time talent to bring a

laser focus to targeted issues.

Here’s a quick look at the changes

we’re making to better serve the

Kuali community:

Familiar Faces

Leah Drichel, the current Kuali

Foundation Administrative Assis-

tant, will be expanding her duties

to include accounting operations,

including booking revenues and

expenses, paying invoices, pro-

cessing checks, doing some fi-

nancial reporting, etc. Amanda

Ritchie, our Kuali Accountant,

will then be able to focus more

of her time on the overall ac-

counting, oversight of the books,

quarter-end and year-end close,

and the audit.

We welcome Cheryl Medley

back to the Foundation! Kuali

Student has agreed to let us

borrow her part-time to help

with some of the Communica-

tions duties. She will be assisting

with website management, social

media, newsletters, onboarding new members, and other duties

related to maximizing the com-

munication efforts of the Kuali

Foundation.

New Team Member - Mike

Allmendinger

We also welcome Mike All-

mendinger to the team to add

professional polish to some of

our creative content. He will

work with Cheryl and Jennifer

on creating content for the web-

site, videosharing, events, etc.

Mike has 25 years of professional

multi-media and graphic design

experience. He was a television

documentary and live-event

producer/director at Cornell

University from 1991 to 2009

and at Oklahoma State Universi-

ty prior to that.

Since 2009, Mike has been serv-ing as the Campus Readiness

Lead for the KFS at Cornell

implementation project. There

he oversees the development

and execution of the KFS team's

communication and outreach

plans. He also owns and oper-

ates his own video post-

production facility, PostAll Pro-

ductions.

Mike says, "I'm excited about the

opportunity to create a con-

sistent look and multi-media

presence across the Kuali Foun-

dation's many communication

platforms. I look forward to

meeting and working with many

of you to make this effort hap-

pen."

New Team Member - Scott

Wilson

Scott Wilson will be joining the

team part-time as a web devel-

oper to assist with some of the

more technical aspects of our

website management. Farooq

Sadiq will be helping to train and

manage Scott’s time, hopefully

freeing up some time of his own

for his Infrastructure work!

Scott is delighted to join the

Kuali team. He brings over 10

years of web design and develop-

ment experience, and is enthusi-

astic about working with the

o r g an i z a t i on t o e v o l v e

and grow its site and overall

presence. Scott believes in and

strives for an "open Web" -- one

that embraces standards, privacy,

and accessibility to all. No new-

comer to the higher education

community, Scott works for

Indiana University's Information

Security Office.

New Team Member – Mark

Norton

We welcome Mark Norton, who

will be assuming the role of Li-

censing Steward, and oversee all

our licensing activities. Many of

you will begin hearing from Mark

soon as he works with the vari-

ous teams to promote and com-

municate best practices that will

help us all.

Some of you may remember

Mark, who has worked with

many Kuali projects over the

years, and was the first Chair for

the Application Roadmap Com-

mittee (ARC). We welcome

Mark back to the Kuali family!

Please join us in welcoming

our new team members !

OpenCollab is a privately-held South African

company based in Cape Town. Since 1999 the

team at OpenCollab has delivered projects

that span administration systems, learning

management systems and reporting solutions.

OpenCollab’s biggest contribution has been

the development, implementation, and pro-

duction support of an end-to-end Java-based

Student Administration System at North-

West University (NWU).

OpenCollab has a long-standing relationship

with NWU, leading to the introduction of

OpenCollab to Kuali in 2008. Active partici-

pation in the Kuali Community started in

2010 when OpenCollab and NWU travelled

to the U.S. to meet some of the key players in

the Kuali Community. NWU committed to

the Kuali Community by joining the Kuali

Student project in early 2011, which opened

the doors for further collaboration between

OpenCollab and NWU on Kuali related pro-

jects.

Since early 2011, OpenCollab has collaborat-

ed with NWU in growing Kuali skills by in-

volving key resources in Kuali Student Release

2 and Kuali Student Release 1 implementation

projects; by using Kuali Rice to build applica-

tions; and by participating in the KRAD Rice

development team (this participation will

continue through to December 2012).

Clearly seeing the value of the community,

and its vision of software “by higher education

for higher education”, OpenCollab joined the

Kuali Foundation as a Commercial Affiliate in

November 2011. Shortly thereafter, in Janu-

ary 2012, OpenCollab organized and present-

ed the first ever official Kuali Financial System

Developer and User training in South Africa,

using the services of Implmentor (Jay Sissom)

and Damon Dorsey of Indiana University.

OpenCollab will also be presenting the first

KRAD training in South Africa in April 2012.

Internal projects include experimentation with

Kuali Mobile Enterprise.

One year in, OpenCollab proudly states that

their “Kuali skills measured in people have

grown to 19”. This lays the foundation for

OpenCollab to actively participate in Kuali

internationally and to execute on strategies

aimed at introducing Kuali to institutions

throughout South Africa. This growing Open-

Collab team incorporates Java developers, IT

Architects, Business Systems Analysts, Data-

base Administrators, Project Managers and

Project Advisors. Skills and experience cut

across systems design and architecture, devel-

opment, support, project management, train-

ing, integration, migration and implementa-

tion.

OpenCollab has a well established service

model for supporting geographically dispersed

clients, in remote areas. Operational systems

have proven very effective in overcoming the

challenges of distance, which have scaled well

to enable close collaboration with clients in

other time zones and locations.

OpenCollab is a brand that clearly expresses

a continued commitment to using collabora-

tive methods and open source technology to

deliver world-class services and best-fit solu-

tions. Its strength lies in the personal partner-

ships built with clients to ensure their success

in business.

“Joining the

collaboration

list is a great

way to become

an active part

of the Kuali

Coeus

community!”

Kuali Coeus (KC) 3.2 was re-

leased in December 2011. This

internal release includes the

remaining IRB Catch-up work

to meet equivalency with

Coeus 4.5. It also provides a

preview of several new mod-

ules including Conflict of Inter-

est, Subawards, Negotiations,

and Report Tracking.

KC 4.0 will also be released as

an internal release and is cur-

rently scheduled for comple-

tion in March 2012. The prima-

ry objective for KC 4.0 is to

provide a version of KC that

runs with the latest version of

Rice (Kuali Rice 2.0.1). This

release will also include com-

pletion of the Subawards, Ne-

gotiations, Report Tracking,

and Conflict of Interest mod-

ules.

KC 5.0, scheduled for release

in May 2012, will be the next

public release of Kuali Coeus.

KC 5.0 will be the version of

KC that is functionally equiva-

lent with the Coeus 4.5 re-

lease. New features will in-

clude the IACUC module, BIRT

reporting, and conversion

scripts for schools converting

from Coeus to Kuali Coeus.

KC 5.0 will run with Rice ver-

sion 2.1 including integration

with the new Kuali Rules Man-

agement System (KRMS) for

managing workflow and busi-

ness rules. KC 5.0 is consid-

ered the “golden” release of

Kuali Coeus with a large num-

ber of implementations planned

over the next two years and

beyond.

New Internal Release—Kuali Coeus 3.2

We’re happy to report that

many Kuali Coeus implementa-

tions are underway! A list of

KC implementation plans can

be found at our website.

These implementations are

active and great discussions are

taking place on the KC imple-

menters collaboration lists. The

true functional and technical

experts on Kuali Coeus partici-

pate in these discussions and

share their answers with every-

one.

If you’re interested in joining

one of the KC collaboration

lists, you can find out more at

http://www.kuali.org/kis/collabs.

Please note that you will need

to create a Kuali Information

System (KIS) account to join

and begin participating. To

create this account, follow this

step-by-step guide. Joining the

collaboration lists is a great

way to become an active part

of the Kuali Coeus community .

Kuali Rice

public wiki space

After two years of work and

over 1300 Jiras addressed, Rice

2.0 was released on 2/24/12.

The Rice team worked tire-

lessly in the face of enormous

scope and large change to build

a new foundation upon which

to build the next generation of

Kuali applications and more.

The Kuali Rice community has

supported this work through

code contributions, participat-

ing in the beta test, and work-

ing with the Rice team on de-

sign and review of various com-

ponents. This has truly been a

community effort!

The primary architectural goal

for this release of Rice is to

position the platform for cross-

version service compatibility

moving forward. With the in-

crease in the number of appli-

cations (both internal and ex-

ternal to Kuali) that are inte-

grating with the Kuali Rice

middleware platform, the ability

to provide for compatibility

across different versions of

Kuali Rice has risen to the fore-

front within the community as

a critical need.

The end result is a platform on

which institutions can build

applications without worrying

about major forced upgrade

paths for all integrated applica-

tions whenever they deploy a

new release of Kuali Rice. An-

other major effort that was

undertaken in support of com-

patibility work was improving

the modularity of the various

components of Kuali Rice.

In addition to the architectural

efforts supporting compatibility

and modularity, Kuali Rice 2.0

introduces two new major

modules: Kuali Rapid Applica-

tion Development (KRAD) and

Kuali Rule Management System

(KRMS). Through close collab-

oration with other Kuali pro-

ject teams, KRAD and KRMS

are already changing the way

applications look and feel as

well as how business rules are

implemented.

View more about the new &

changed functionality, useful

links, and access the upgrade

guide in the Release Notes and

try out Rice 2.0 on our test

drive/demo site. Or go straight

to the release by downloading

in our maven repository.

Rice 2.0 Released

Currently the Rice team is

working in close collaboration

with the KC and KFS teams on

their Rice 2.0 upgrades and bug

fixes for the Rice 2.0.1 release.

In parallel, work is continuing

on performance testing and

small features for the Rice 2.1

release, as well as KRAD en-

hancements and analysis for

OJB replacement for Rice 2.2.

Collaboration work with KS is

also in process as they look at

enhancing the KRMS to meet

their rules management needs.

In a collaborative effort with

Internet2, Jasig, and a few inter-

ested universities, the Kuali

Rice team has worked to forge

a partnership that will identify

any existing gaps in the open

source Identity and Access

Management (IAM) space and

will build virtual project teams

to deliver the necessary solu-

tions. The end result would be

a collection of IAM products or

services that can be used in a

multitude of combinations,

based upon the needs of an

institution or organization.

The following work streams

have been identified as most

pressing and will be the initial

focus of the partnership: Identi-

ty/Person Registries, Access

Management, Provisioning and

Authentication. In an effort to

expedite these solutions, both

the Kuali Rice and the Inter-

net2 Board have jointly funded

the hiring of a combined Uni-

con/rSmart consultant team,

the result of a public RFQ pro-

cess. The goal of this multi-

month engagement is to build a

comprehensive business justifi-

cation aimed at interested ex-

ecutives at institutions across

the nation, and potentially the

world, articulating the value of

contributing to such a partner-

ship. The business justification

is expected to be completed by

the end of April 2012.

Kuali Student

Kuali Student released Curricu-

lum Management 1.2 this No-

vember. This second release

builds upon the innovative cur-

riculum management capabili-

ties of the first release, which

included integrated manage-

ment of courses, programs, and

learning objectives.

We’re happy to report that five

schools are implementing and

four schools are taking steps

towards implementation.

University of Maryland is wind-

ing down much of their imple-

mentation work, and looks

forward to bringing back to the

project some of their “lessons

learned,” as well as some of

their tools for helping to clean

and upload legacy data.

University of California, Berke-

ley, has also seen big advances

in their implementation project.

To see a demo of their work

so far, checkout this short

video on YouTube.

Curriculum Management 1.2 Released Nov. 2011

After the completion of our

extensive business require-

ments review process, Kuali

Student has begun the develop-

ment of our Enrollment Mod-

ule. To accelerate the develop-

ment of our software, we are

taking a new “parallel delivery”

approach, with a handful of fully

staffed delivery teams across

Kuali Student partner schools

around the world. Right now,

we’re making sure all of our

teams are fully staffed and be-

ginning to plow through the

first milestones.

For more information about

the Enrollment module, check-

out our website, or you can

watch a set of trainings on

YouTube. These trainings cov-

ered such topics as an over-

view of the Kuali Student pro-

ject, the enrollment environ-

ment, course and course offer-

ings, programs and program

offerings, holds, exemptions,

academic record, academic

planning, and the role of Uni-

versity of Washington’s MyPlan

in Enrollment’s development.

Enrollment Module Coding Begins

The Kuali Student is partnering

with two other efforts to sup-

plement current development

and accelerate the delivery of

the software, University of

Washington and Sigma Sys-

tems.

We’re happy to announce the

partnership of the Kuali Stu-

dent Project with Sigma Sys-

tems, a company who has for

decades been building student

financial applications for Higher

Education. Sigma is graciously

donating their extensive intel-

lectual property in this field as

well as much time and re-

sources to help develop the

Kuali Student Accounts mod-

ule. University of Maryland,

College Park and University of

Southern California will be

contributing resources to this

effort and working closely with

Sigma’s team during a two

Phase process. Sigma will col-

laborate with Kuali Student to

take the schools’ business re-

quirements and build out the

basics of the KSA module.

Sigma has finished the initial

steps of Phase I, the gathering

of business requirements from

their target institutions for KSA

-Receivables Management, as

well as the gathering of input

from other Kuali Student part-

ners.

We look forward to seeing

what comes of our partnership.

KS cont’d

The University of Washington

(UW) is working closely with

Kuali Student to develop an

academic planning tool called

MyPlan within the Kuali tech-

nical stack. By leveraging the

Kuali Student and Rice plat-

forms, the UW is able to ad-

dress critical systems gaps that

will immediately improve the

student experience while also

contributing to completion of

the KS Enrollment Module..

MyPlan will be released in pro-

duction at the UW in August

2012 and contributed back to

community via the KS Contri-

bution Model prior to the first

release of the Enrollment Mod-

ule. The MyPlan project has

been an early adopter of

KRAD, stretching its capabili-

ties, contributing feedback and

sharing lessons learned. The

MyPlan team has been particu-

larly appreciative of the collab-

orative spirit of both the Rice

and KS project teams.

For more information on My-

Plan, checkout their website.

An excerpt is included below:

Coming Summer 2012, UW

students will have a new online

tool to help with the planning

needed to declare a major or

apply to graduate under a recent-

ly funded project to modernize

student academic planning.

“MyPlan” will enable students to

chart a single quarter or multi-

year academic plan, map out

courses of interest, explore aca-

demic scenarios (such as what

happens if they change majors)

and assess their progress towards

a c a d e m i c r e q u i r e m e n t s .

The Kuali Foundation is a non-profit organization that coordinates the efforts of colleges and universi-

ties to sustain and evolve administrative software that meets the needs of all sizes of higher education

institutions, from small colleges to large research universities. The Kuali Foundation began in 2004 as

a cooperative effort among partners with a grant from the Andrew W. Mellon Foundation to develop

an open-source, community-owned financial system. Success with joint development of the Kuali Fi-

nancial System has led to additional pooled investment projects, including Kuali Coeus for Research

Administration, Kuali Student, Kuali Rice, Kuali Open Library Environment, Kuali People Management

for the Enterprise, Kuali Mobility, and Kuali Ready, with coordination by the independent, not-for-
