Function Description

Detail1: Process Management

The Process Manager supports the Process Owner (PO) on a daily basis for the pragmatic implementation and the run of the Process and ensures the coherency within the Quality Management System (QMS).

He/she ensures that all process activities are being performed:

Knowing: Helping the PO for design, support, coaching, communication, publication… of the Process and related Procedures. He/she plays the role of relay between the PO and the field.

Measuring: With the PO, defining, collecting, reporting, and publishing the quantitative and qualitative indicators of the Process dashboards.

Controlling: Monitoring and analysing the indicators, verifying its operational application within the organisation and suggesting appropriate remediation or improvement actions in partnership with all Stakeholders. This includes the follow-up of the contribution of collection of evidences for the measurement of risks that are linked to the process execution.

Improving: Supporting the PO in the continuous collection of improvement opportunities and related actions and providing the needed input to help the PO to take decisions. This means also leading some of the improvement until the end by using methodologies such as Lean.

The Process Manager prepares and participates to process compliance audits: to control the compliance of actual process execution and report the findings to various stakeholders. Standards in use are the ISO/IEC 20000 standard and internal BNP Paribas Group standards or other requirements from regulatory bodies

The Process manager facilitates process improvement workshops following Lean or other improvement methodologies by identifying quick wins to achieve process compliance.

The Process manager uses general business awareness and strong interpersonal skills; he/she is able to interview key process stakeholders to understand their critical success factors for the processes they are responsible for. He/she analyses existing documentation & data, and process flows to identify pain points and areas of inefficiency and reports monthly to the different governing bodies the relevant KPI’s of his/her processes.

The process manager is a process repository librarian in being responsible in the participation to the development of functional specifications, user acceptance tests, management of improvement initiatives, and in liaising with the support teams on any system or performance issues. As such, he/she is the gatekeeper for all process documentation entering the central repository. All documentation will be reviewed for compliance with BNPP Fortis documentation standards.
