    REPORTS AT CABINET MEETINGS

    Cabinet Officers and Chairs must submit their written report to Governor Randy and Cabinet Secretary Marj at least ten days prior to the Cabinet meeting. Governor Randy will be advising a chair if they will not be required to report orally. If a District Officer or Committee Chair cannot attend a cabinet meeting, the Governor and Cabinet Secretary must be advised and their report will be presented by the Region Chair or Vice Governor overseeing that area of Lionism.

    ReportingProceduresWEB MONTHLY MEMBERSHIP REPORTS (WMMRs) The procedure for completing the WMMR online is available from the Lions Clubs International web site at www.lionsclubs.org. An identification number and password are required. If you are a new user, there is a spot to enter your membership number and a password will be sent to you. (Note, the LCI data base must show your correct email address.) These electronically filed WMMRs must be completed by the last day of the current month. As a club makes changes to their membership online, these changes occur automatically. Changes can continue to be made during the month. Note that a club cannot file reports for future month(s). If the report is missed for a month, the transaction is included in the next month’s paper submission or entered into the WMMR for the next month. The President and Secretary are able to modify club information, view club statements and generate reports. Club Treasurers are able to view member data, print reports, view club statements and make payments. The Governor, Cabinet Secretary, and membership chair are able to retrieve the information which is filed, therefore it is not necessary to send copies of the MMR to them. ACTIVITIES REPORTS Activities reports for a Club can be completed online at the LCI website at www.lionsclubs.org. It should be decided who will be responsible for doing this work in your club. You will be asked to indicate the amount of money donated and an estimate of the volunteer service hours. It is not necessary to send copies of the activities reports to any District Officer as this information is available online. CLUB OFFICER REPORT FORM (Formerly PU-101): This form should be completed immediately after the Club elections are held and copies sent to International or the form completed online. The form is due at LCI by May 15th. Failure to complete this form means that newly elected Club Officers will not receive their information and materials for their year, nor can they be listed in the International or the District A-12 directories. If the incoming Officers are not shown, they can’t obtain passwords for the LCI website. Since the names are added from the LCI data base, please make sure the correct address, phone number, email address and name of the spouse are shown on the LCI website for each Club Officer.

    LionsClubDues

    All of these Club dues must be paid from the Club’s Administration Account. LIONS CLUBS INTERNATIONAL (LCI) $43 annually billed twice a year in July & January at $21.50 per member, based on membership numbers on record at LCI on June 30th & December 31st . It is imperative that Club Secretaries provide up-to-date information to LCI for added or dropped members on their Monthly Membership Reports. Lion Clubs International includes “Canada Payment instructions” with each statement they send to a Lions Club. Payments are to be mailed to a Toronto lock box at: International Association of Lions Clubs PO Box 2425, Station “A” Toronto, Ontario M5W 2K5 OnlinePaymentOptions:Inadditiontopayingbycheque,CreditCardorPayPalisnowanoptionforClubTreasurerswithavalidMyLCIUserIDandpassword.ClubTreasurerscanvisitMyLCIontheLionsClubsInternationalwebsite.AfterloggingontoMyLCI,chooseClub,Statement,andselectPayPalorCredit/DebitCard. A Club which has an unpaid balance in excess of US $20.00 per member or US $1,000 per Club, whichever is less, outstanding past 120 days is suspended including the charter, right, privileges, and obligations of the Lions Club. In the event the Club does not reach good standing within the 90-day suspension period, their charter is automatically cancelled. A Club with any amount in dues outstanding is not allowed to vote at any convention. For Lions Club International dues questions, contact the LCI Accounts Receivable Department at [email protected] MULTIPLE DISTRICT “A” $14.50 annually per member, billed once a year near the beginning of Lions year based on the August 1st MMR figures. District A-12 is conducting a pilot project for 2017 – 2018 to collect and submit Multiple District “A” dues from the clubs of District A12 on behalf of Multiple District “A”. Clubs will be invoiced along with their A-12 dues and payments will be submitted to A-12 Cabinet Treasurer at the address provided on the invoice. No adjustments are made during the year either for dropped or added members. A Club with any amount in dues outstanding is not allowed to vote at any convention. DISTRICT $10 plus a $6 LLW assessment, billed once a year near the beginning of the Lions year based on the number of club members according to Lions Clubs International records as of August 1st. Payments are to be mailed to the Cabinet Treasurer at the address on the dues invoice. A Club with any amount in dues outstanding is not allowed to vote at any convention.

    OfficialVisitstoClubsAll clubs will have an “official visit” from a District Officer (District Governor, Vice Governor or Zone Chair) during the year. There are certain rules of protocol that should be observed for official visits by both the District Officer and the Club. The visitation dates are listed in this directory; however, the Officer should advise you during the summer when he/she expects to make his/her official visit. A week or so before the actual date the Officer will phone the club President or Secretary and confirm the visit and the number of Lions who will be attending. At that time, the Officer will also find out if there are any activities (e.g. induction of new Lions, installation of Club Officers, presentation of awards, etc.) that you would like the Officer to perform. The Officer will also inquire if there are any particular topics that you would like to have covered during his/her presentation, and will advise you approximately how long their presentation will take. On the night of the official visit, it will be expected, of course, that regular Club business will be conducted – but there should not be any other guest speaker (unless it is with the permission of the District Officer). The Club should not charge for the meal of the District Officer. Any others travelling with the District Officer (including his/her spouse) are expected to pay for their meals. It is important that you assign a Club member (or members) to meet the guest(s) on arrival and introduce them around during the social period prior to the actual meeting. NEVER leave your guest(s) standing alone in the room. The District Officer should be positioned at the head table immediately to the right of the President or Chair and his/her seat indicated so he/she has a place to put papers. It is not necessary to have the spouse at the head table. Obtain from him/her a biography which should be given to the Lion who will be introducing the District Officer to the Club. The District Officer should be on the agenda immediately after dinner, unless other arrangements are made prior to the meeting, and be properly introduced. Be sure that a podium or lectern is available and a sound system is available if necessary. Following the presentation, he/she should be thanked and may be presented with a small token of appreciation if you wish. This could be an item from the Lions catalogue, an item of local interest, or a donation on his/her behalf to a Lions activity. DO NOT allow a motion from the floor to donate money to a project such as the Governor’s project. It will be embarrassing to both the Officer and you when Lions speak about the pros and cons of supporting this project. If a previous decision has been reached, the cheque can be presented that evening if desired. The District Officer will remain at your meeting until adjournment, unless weather considerations and a long travel distance dictate early departure.

    GuestSpeakersatClubs

    A guest speaker at a club may be any of the above District Officers or a Cabinet Chair, a visiting Lion from outside our district, or an individual from outside Lionism who has been invited to make a presentation to your Club. Having a guest speaker at your club requires certain rules of protocol to be observed. Confirm in writing – the date of the visit, how long the speaker has on the agenda, how many will be coming with the speaker, any requirements for flip chart, projector, screen, etc. On the night of the visit, the Club should make guests welcome and not charge for the meal of the guest speaker. It is important that you assign a Club member to meet the guest on arrival and introduce them to members during the social period prior to the actual meeting. NEVER leave your guest standing alone in the room. Obtain a biography which should be given to the Lion who will be introducing the speaker. Your guest speaker should always sit at the head table immediately to the right of the President or Chair. If your Club has any traditions with regard to dinner time activities, as a courtesy, let the guest know. If the guest is not a Lion, take a moment to explain the function of the Tail Twister so that the guest knows what to expect as the Tail Twister makes his/her rounds. Your guest speaker should be on the agenda immediately after dinner, unless other arrangements are made prior to the meeting. Have the guest properly introduced by a Lion responsible for this introduction. Be sure that a podium or lectern is available and a sound system available if necessary. Following the guest’s presentation, he/she should be properly thanked and may be presented with a small token of appreciation if you wish. This could be an item from the Lions catalogue, an item of local interest, or a donation on his/her behalf to a Lions fund. DO NOT allow a motion to donate money to a fund which your guest speaker represents. It will be embarrassing to both the speaker and you when Lions speak about the pros and cons of supporting this project! If your guest is not a Lion offer him/her the opportunity to leave following the presentation. It will be up to the guest to decide whether or not to stay for the balance of the meeting.

    INTRODUCING GUEST SPEAKERS

    When planning an introduction, use the T...I...S formula in organizing your ideas. T stands for TOPIC. Speak first about the topic of the guest speaker or the position of the guest speaker in Lionism. Give the exact title of the talk, if known to you. I is for IMPORTANCE. Next tell the audience why this topic or person is important to this particular group. S is for SPEAKER. Give the audience the speaker’s qualifications. As the final two or three words of your introduction, give the speaker’s name. Be sure to say it clearly and distinctly. Be brief. It is not necessary to speak longer than sixty seconds – preferably less. Speak informally – just as you would across a dinner table. Be enthusiastic about your assignment. Be alive. Make your introduction sparkle. You owe it to the person you are introducing and to your audience to put a lot of zip into your introduction. Show that it is a real privilege to introduce this speaker. Avoid inside jokes and reminiscing. This is not fair to the speaker or the audience. If you and the speaker have experiences from the past – leave them there. Above all, be warm and sincere. It is discourteous to be otherwise!

    THANKING GUEST SPEAKERS The speaker should be thanked by a Lion Member who has been notified well in advance and not by a last-minute choice. Quite often Members are embarrassed by these last-minute chores. This will not occur if a President has his/her meeting agenda planned and arranged well in advance. The thank you should be brief. A highlight of the presentation may be mentioned, but there is no reason to repeat most of the speech! A warm and sincere thank you with a formal presentation of a gift or certificate if planned should be carried out by the Lion doing the ‘thank you’.

    ToasttoPartners-In-ServiceAt a Lions charter night, it is sometimes desired to have a toast to the partners in service. Note that we no longer “toast the ladies” in Lionism. An appropriate toast would be: “Would all the Lions present rise and join me in a toast to those Partners-in-Service who are not Lions but who support us…”

    ClubBoundariesEach Lions Club has a geographic service area within which it should operate with regard to fund-raising. From time to time a Club may wish to embark on a fund-raising project which, in order to be successful, would appear to require a larger target group than their own territory offers. If your Club wishes to raise funds in an area outside its own service area, it is a courtesy to obtain the permission of the Club whose area is to be used. Requests should be in writing as should the response from the Club receiving the request. Usually most requests for fund-raising outside of a Club’s service areas will be permitted; however, if a Club refuses a request, the Club requesting permission should accept the decision of the Club from which they were asking cooperation.

    ZoneMeetings(DistrictGovernorAdvisoryMeetings)The Zone Chairperson convenes two or three Zone Advisory Committee meetings during his or her term. The President and Secretary of each club in the Zone form the District Governor’s Zone Advisory Committee, however any Lion is welcome to attend. At some “Zone Business Meetings” the President and Secretary only may be invited to meet with the Governor or Vice Governor. The goals of these meetings are to meet, share ideas and information and advise the District Governor on any resolutions or actions. District Chairs also like to take these opportunities to explain their programs.

    RegionRalliesHeld twice yearly with all clubs in the Region represented. They are usually held in March or April and during the A-12 convention. This is an evening of fun and fellowship with campaigning and speeches by Lions seeking District office at the Region Chair, Vice Governor and District Governor levels. Regional Meetings (Rallies) are called by the Region Chair with the Region Chair presiding.

    CabinetMeetingsHeld three times yearly, chaired by the District Governor and hosted by various clubs in the District, selected by the District Governor. The Club President is expected to attend with the Club Secretary, Vice presidents and any interested member. District business is discussed and reports are given by Cabinet Officers and District Committee Chairs.

    BorrowingofClubParaphernaliaAlthough the “borrowing” of Club paraphernalia by visiting Lions can add to healthy inter-club rivalry and can build lasting friendships, it can also cause friction when inappropriate items are removed. The practice of “borrowing” is neither endorsed, nor discouraged; however, if it is to take place, we strive to have this activity benefit fellowship, not cause rifts or friction of any nature. The following guidelines are intended to form the basis for an understanding of what is “appropriate” and what is “off limits” when considering “borrowing” items belonging to another Club. Items which are “off limits” and not to be taken are the flag set, banner, charter, podium/speakers stand, picture of the Queen, Club awards, all items hung on walls or displayed in a case, and any items having historical or sentimental value. Items considered appropriate and OK to “borrow” are the gavel, gong, a stuffed animal or any other small item not vital to the Club’s operation. Clubs are urged to purchase a gong and gavel for everyday use, and put away their charter gong and gavel. Also make sure your Club name is clearly engraved onto each piece of

    FlagProtocolWhen there is one Canadian flag, it should be positioned to the left of the speaker – as seen by the audience. Where there are two flags, the Canadian flag should be on the left of any other flag – as seen by the audience. Where there are three flags, the Canadian flag should be in the middle of the three. When there are four or more flags, the Canadian flag should be on the left – as seen by the audience. When used in connection with the unveiling of a statue or monument, the flag should form a distinctive feature during the ceremony, but the flag itself should never be used as the covering for the statue or monument. The flag of another country should not be flown unless someone from that country is present.

Immediately upon receipt of the information, the Lion Member should phone the Memorial Chair, Jim Hilt, or in his/her absence, the Webmaster, Tim Holmes, and IPDG Len Day. If unable to contact any of the above, then contact 1st Vice District Governor Byron McLellan or Cabinet Secretary Marj Lewis. The District officer receiving the information should note the what, who, when, where, about the information and be prepared to telephone as per the following diagram. The Past District Governors’ Association Director immediately notifies all other MD “A” Past District Governors’ Association Directors, the MD “A” Secretary, and the Chairman of the Governors’ Council. The information should include the name and year of service of the deceased and other details as may be available at the time, i.e., visiting and funeral arrangements, Lions Service, etc.

    LionsCampsCAMP HURONDA A camp for children and youth with type 1 (insulin-dependent) diabetes, owned and operated by the Canadian Diabetes Association, since 1971, is located on a beautifully wooded peninsula on Lake Waseosa near Huntsville, Ontario. Medical and dietary care are under the direction of doctors, with nurses and dieticians on staff throughout the summer. Camp Huronda operations are dependent upon support from foundations, private, corporate and service clubs and the Lions Family. Each year, carefully planned day and evening programs provide summer adventure of fun, activities, new skills and health care to 368 children between the ages of 8 and 15 years and a Counselor in Training program to 16 year olds. The two-week long camping sessions that Huronda provides are often the start of children taking responsibility for their lifelong daily diabetes management. District A-12 has a long history of camp support. Over 25 years ago the A12 Lions family built new shower houses, then raised funds for the expansion of the camp dining room and medication room, We purchased a 15-passenger van, a water trampoline and surfaced the basketball court. Lately A12 has provided funds to upgrade the craft shop (The District A-12 Lions’ Creative Centre) and funds for the archery range, kayaks and a rope challenge area and most recently helped to construct a new Lions Learning Centre. The Honorary Lions Guardian Funding Program has enabled the Camp to purchase equipment and make renovations to facilities. The camp was founded in 1974 by Lion Sandy Ailles and the Dorset Lions Club and Lion Herb Walpole (Deceased) and the Hamilton East Lions Club. In April 1978, after 4 years of planning and fund-raising, construction began.     CNIB LAKE JOSEPH HOLIDAY CENTRE

    Lake Jo is located 30 km south of Parry Sound on the east side of Old Highway 69, 5 minutes north of MacTier. The Centre operates from May to September. Not-for-profit groups such as hospitals, retirement homes, youth groups etc. are hosted during May and June. Seven weeks of the summer are filled with CNIB clients, both adults and children. Children with kidney disease, the Lung Association and Deaf/blind adults also have the opportunity to enjoy the camp. The land was an old train station where travelers would come by train, stay the night sleeping in the berths and be picked up by the boats the next morning. The manager’s cottage is an original building that was the living quarters of the station manager and his family. The gazebo on the hill on the far side of the camp at one time was a restaurant for the train passengers. In 1961, the Lions clubs of Ontario, the Canadian Council for the Blind and the CNIB merged resources. The Lions Clubs purchased the land and CNIB bought it from them for $1.00. In addition, the Lions Clubs donated over 80% of the funds required to erect the original buildings. In 2002 the camp closed for a year for a major rebuilding and an aggressive fundraising initiative was launched, with the Lions Family of MD “A” pledging $1 million. The Governor’s project for both PDG Dave Hewitt and PDG Kathy Daoust raised funds to rebuild and furnish the new District A-12 medical centre at the camp.     BOB RUMBALL CAMP OF THE DEAF Situated on 400 plus acres surrounding two private lakes, 12 km south of Parry Sound, the camp provides a camping experience for deaf children and their families. Rev. Bob Rumball started the camp in 1960 as an outreach of the Ontario Mission of the Deaf. In 1974 the Lions Family District A-12 became involved in a major project renovating existing buildings, building new structures, improving water and hydro services and major landscaping. With the help of the Toronto Argonaut Alumni in 1992, construction began on a year-round lodge with the existing District A-12 Recreation Hall as the cornerstone of the new building. In 1996 the boys’ dorm (built by the Lions in 1973) was put on a new foundation. In1985,LionBryonmovedhisfamilytoSutton,thentransferredtotheKeswickLions,wherehesatonmanycommitteesandthenbecamePresident.In1989LionBryonbecameachartermemberoftheSuttonWestLionsinwhichhewasactivelyinvolvedinforming.Inthatclubhealsoservedonmanyofthecommittees,andheldseveralpositionsontheboardandservedasPresident.In2003BryonmovedhisfamilytoBarrie,wheretransferredtoTheLionsClubofBarrie,satontheboardandbecamePresidentfortwotermsandSecretary.
