The Apartments ReceptionThere is one Apartments Reception for all residents. It is

beside the Village Apartments Office. The Resident Assistant on duty in the reception can help

Daily Drop In Hours: Mon-Thurs: 10am-12pm, 2-4pm, 5-9pm.Fri: 10am-12pm, 2-4pm

Resident Assistants (R.A.s)Resident Assistants are students who live and work in

the residences. They work in the apartments reception and are also on-call in the residences at night, at the weekends and over the Christmas and Easter holidays.

When the reception closes for the day (9pm Monday – Thursday and 4pm on a Friday) the R.A.s on-call are there to help you with many things including:Medical emergenciesWelfare issuesNoise complaintsLockoutsMaintenance Emergencies

The on-call numbers for the R.A.s are available from the apartments reception office or in your residences handbook.

Check-in: Before you ArriveHave you printed off a copy of your

occupancy agreement and returned a signed copy to the Residence Office?

Have you paid your deposit? Have you paid your rent for semester one? Have you read the list of check-in times to

see when you can pick up your key?

Please note: You will need a copy of your deposit and rent receipts* or proof of payment and your campus occupancy agreement for check-in.

* Receipt for a bank draft or printout or the ‘successful payment’ page from the TCAS online booking system

Check-in: Where does it happen?Check-in for all Residents on campus (Rye Hall,

River Apartments & Village Apartments) will take place in the Apartments Reception.

The Apartments reception is beside the Village apartments office on the north campus.

Please note that you can only check-in and collect your key during one of the allotted times.

It will not be possible to gain access to your apartment before the 15th of September at 12pm.

Check-in: When you get hereWhen you arrive at the apartment reception,

please have your supporting documentation ready (CAO or student number, photo I.D., receipts/proof of payment, Medical Form & Occupancy Agreement). You can then visit the following check in stations:

Stations 1: Check documentationStation 2: Sign in, collect handbook Station 3: Collect your key card, smile for the

camera

Please note that certain check-in times will be very busy and you may have to queue.

Moving In: What you need to bringInternational apartments are supplied with a

small supply of kitchen utensils and crockery. If you think you are missing items, please call into the reception for assistance.

Bedding (mattress cover, single duvet, pillow) is provided in international rooms. You will need to bring your own sheets.

Televisions: there will be a limited supply of televisions available for River and Rye for residents who can produce a valid television licence.

Healthy Living ApartmentsThere will be healthy living (HL) apartments from September

2013. Low alcohol as well as smoke freeGreen thinkingCommitment to clean and hygienic apartment living– Regular

spot checks.Community minded: consideration of flatmates and neighboursQuiet, study orientated apartments. Residents in apartments that retain HL status for the full year

will be given a place to live on campus for the coming year (as long as they are still registered full time students). Places are limited.

Apartments can apply for HL status up to 1st October 2013. All residents in an apartment must sign up for HL status.

Communal Living: A Few RulesAll apartments on campus are non-smoking.

Residents who smoke in their apartments, or allow their guests to smoke inside their apartments, will be subject to disciplinary measures.

Pets are not allowed in the apartments. Bicycles should not be stored inside your

apartment as they may obstruct an evacuation route.

Do not overload electric circuits in apartments. The use of kettles and hot plates in bedrooms is not allowed.

Ball games are not to be played in and around the apartments.

Communal Living: NoiseIt is very important that you are considerate of others

when you are living on campus. Remember that there are people who are trying to

study and sleep, even if you are not. Be conscious of noise levels at all times but

particularly between the hours of 10.30pm at night and 8.30am in the morning.

If noise can be heard from outside the apartment or if what you are doing impacts on your flatmates’ sleep or study time, it is considered a noise disturbance.

Residents, or their guests, who are responsible for noise disturbances will be subject to disciplinary measures.

Communal Living: CleaningKeeping your apartments clean if the responsibility of all

residents. You are responsible for your own room (and en-suite

bathroom if you have one).All residents are responsible for cleaning communal areas:

Kitchen, hall, boiler rooms and bathrooms if they are shared. Do not let bins accumulate in your apartment. Agree on a

rota with your flatmates for taking out the rubbish and recycling.

It is a good idea to arrange a rota for cleaning in the apartment each week. This should be done at the start of the year.

Sample cleaning and chore rotas will be available from the apartments reception at the start of the year.

Residents are also responsible for ensuring the apartment block is kept clear of rubbish and obstructions. 

Communal Living: Inspections Your apartment will be inspected regularly during the

year to check that it is being kept in a satisfactory condition to see if there has been any malicious damage.

Apartments that fail inspections will be re-inspected. If they do not pass the second time, all residents will be subject to disciplinary measures.

Any cleaning that has to be arranged to return an apartment back to a satisfactory condition will be charged to all residents in an apartment.

Cleaning will be judged on the following scale: 0 = spotless, 1 = ok, a light clean needed, 2 = not clean, 3 = unacceptable.

Apartments that receive a score of 2 or 3 qualify as a fail and will be re-inspected.

HL apartments must get a 0 or 1 on every inspection to retain HL status

Communal Living: Guests Overnight Guests are allowed but must be authorised. To authorise a

guest, sign them in at reception during drop-in hours before their overnight stay. Authorised guests can not be signed in after their stay.

Authorised guests must be over the age of 17. Authorised overnight guests can stay occasionally, NOT every night of

the week. All flatmates must agree if a guest is staying overnight. All guests must vacate the apartments by 11pm unless they are

authorised to stay overnight. Authorised guests cannot be left unaccompanied in the apartments after

11pm. They must stay in resident’s apartments after 11pm if they are in the residences.

Guests must sleep in resident’s bedroom, not in common areas. You are responsible for your guests behaviour. If they break the rules,

you are responsible. NUIM is not responsible for providing additional requirements for

authorised guests.

Communal Living: Diversity on CampusDiscrimination of any form is not tolerated in on campus

accommodation. Students living on campus are from all over the world and

your flatmate may be someone from a different country, religion or ethnicity.

The experience of living with students from different cultures and countries make university life more interesting, so take advantage of the opportunity to make new friends from all walks of life.

You may live with a student with a disability. Sometimes a disability may be hidden.

Please be aware that any form of bullying is treated very seriously and may result in disciplinary action.

Make sure that you give everyone the time and respect they deserve.

LockoutsCharge for Lockouts: There will be a €5 charge for

all lockouts, day or night. Charges must be paid by using your mycard (student card) at the reception.

Look after your keycard like you would your bank card or student card.

If you lock yourself out during the day, you can get a single opening key from the reception during drop-in hours. These are keycards that allow you access to your block, apartment and bedroom once only.

If you lock yourself out outside of drop-in hours but before 9pm at night, you will have to wait until the office opens again to get a single opening key.

Lockouts ContinuedIf you are locked out after overnight or over the

weekend, you can call the Resident Assistant on duty to let you in.

You must be at your apartment block when you ring for lockout assistance.

You will be asked for your name and room details on the phone. These must be provided.

You will also be asked to provide identification before you can be let into your may. Failure to show ID may result in you not being let into your room.

Abuse of the on-call system is taken seriously and will result in disciplinary measures.

If you lock yourself out over 4 times, a written warning will be issued to you by the Residence Supervisors.

 

MaintenanceMaintenance work in the apartments is carried

out by Campus Services http://campusservices.nuim.ie/ .

If you have a maintenance item that needs attention, please call into the apartments reception office to report it. Please call down in person as we may need to ask you some questions about the issue.

There are people available to help with Emergency maintenance items out of hours. Please contact the R.A.s if any of the following happens: fire, flood, no heat, no water, sewage ingress, someone stuck in a lift.

DamagesAny damage caused in the apartments will be charged

to residents. Residents can pay for damage by using their mycard (student card) at the reception. Where the person responsible cannot be identified, damage will be charged to all residents in an apartment.

Residents are responsible for the payment of any damages caused by their guests.

A community charge will be applied to either an individual apartment or an entire block (as needed) when no resident claims responsibility for the following:Malicious damage where repair work needs to be carried

out.Additional cleaning is needed to return an apartment or

block to a satisfactory condition.

IT Network AccessAccess to the University’s IT network in the

apartments is wireless. You will only be able to access the network once

you have registered for your course and have been given your NUIM or SPCM logon and password.

Be very careful about what you put up on social networking sites or anywhere online. Please make sure you read the computer centre rules on responsible computer usage.

Collecting PostPost is delivered to the apartments reception

during the week. It is up to you to check for post and collect any

letters and packages yourself.Post will only be given out to the addressee.Registered letters and packages must be signed

for by the addressee. They can be collected from the post room in the John Hume building Monday – Friday.

Uncollected post at the end of the year will be returned to sender.

Outgoing post is not accepted at the reception.

Doing LaundryThere are laundry facilities available to wash and dry your

clothes.You need washing and drying tokens to operate the

machines.Tokens are available to purchase in the reception offices.You will have to provide your own detergent for washing.Please follow the instructions for using the machines. You will need your room key to gain access to the

laundries. Do not leave laundry unattended or in machines overnight. There are Laundries in the following buildings:

River: Beside River reception, Hurley, Joyce, Killary, Liffey, Moy, Nore, Potters & Quilty

Rye: opposite block C Village: Hargadon, Leavey, Mullin, Riordan

Heating and Energy ConservationThe River Apartments have gas heating. They also

have a back up immersion for hot water if needed. Rye Hall and the Village Apartments use electricity for

heating and hot water.

Be Energy Conscious: Switch off lights when you leave a room.Don’t fill the kettle if you only need a small amount of

water. Only boil as much water as you need.Don’t have the heating temperature up too high.Turn off the immersion if it is not needed to heat water.Turn off electrical items rather than leave them on

standby.Try not to use too many electrical items between 5-7pm

when most electricity is used nationally.

Security in the Apartments: 1Do not leave doors open.

Make sure your bedroom door is locked, particularly when you are not home.

Check that the apartment door is closed behind you when you leave.

Do not leave block doors open or allow tailgating into buildings. If you don’t know the person, don’t let them in.

Do not leave windows open when you are not in, particularly on the ground floor.

Make sure your possessions are insured. The University and College do not provide insurance for your belongings.

Leave your valuables in a secure location; do not leave them on display.

Security in the Apartments: 2Do not allow anyone into your apartment who you

don’t know.Do not walk home alone at night.Do not allow your friends or flatmates to walk

alone at night. Please note that there are CCTV cameras in and

around the apartments and throughout the North and South Campuses.

Fire Safety: 1Familiarise yourself with the evacuation route for your

building. There are notices in each block.Do not tamper with the door closers at the top of the

door. They are there to make sure that the door closes behind you to act as a barrier in the unlikely event of a fire.

Each apartment is equipped with a fire extinguisher and fire blanket. These are only to be used in the event of a fire.

In the event of a fire alarm activation, please evacuate the building in an orderly fashion. Do not stop to collect your belongings, wait for someone or use the lift.

There are fire drills each semester and you are expected to co-operate when they occur.

Fire Safety: 2The following items are fire hazards and are not allowed:

Candles or any device that creates an open flame.Chip pans.Portable heaters.Cookers or kettles in bedrooms.Oil lamps.

Malicious tampering of any fire equipment or false activation of a fire alarm will result in disciplinary action.

Behaviour and DisciplineFollow the rules and you should be ok:Parties are not allowed on campus.Do not create noise on the grounds.Do not vandalise or damage the buildings or

contents.Keep your apartment clean and in good shape.Respect your flatmates and neighbours.Co-operate with the staff and the resident assistants

at all times. Disciplinary measures include verbal & written

warnings and notice to quit your place on campus. Disciplinary measures may result in you not being allowed to live on campus in future years.

Your WelfareYour welfare is very important. Make sure that

that you look after your physical and mental health:Sleep: make sure you get enough sleep. Go to bed early

some nights. Nutrition: eat properly. Don’t fall into the trap of living

off take-aways.Exercise: don’t forget to get moving (and running for the

bus doesn’t count!)Drink in moderation: don’t binge drink. Pace

yourself. Do not pressure others to drink. Do not leave your drink unattended when you are out.
