Logging Calls in VSA

Two things that are really important to consider are two-way communication and specific documentation.

Texts CAN count as monthly calls if the parent prefers such contact AND has replied back. If I do not hear back from a

parent, it can't count as a monthly call. Until the text is replied to, it will simply be logged as a text.

Emails CAN count as monthly calls if the parent prefers such contact AND has replied back. Just like with texts, if there is no reply from the parent, it will not count as a monthly call.

Until there is a response, it will simply be logged as an email.

Logging with Mail Merge

• When using Mail Merge, please log the update that was sent as an email. It is necessary to copy and paste the individualized email you sent into VSA rather than logging the letter template or a general "Mail Merge sent with update.”

• This is important because it gives an account of the student's progress at that time in the class and is useful for teacher/IL conversations with students and parents. Mail Merge can only be logged as monthly contact once the parent replies back.

• What we type in VSA should tell the story of that student's experience in the class. Stories need details! If you've ever been given the gift of transfer students, you are very aware of how much you rely on VSA logs to help you understand that student's history.

Call Logging Examples When logging calls, please explain what was discussed and what will happen

as a result of the conversation.

Spoke to mom and William. William is behind pace in week 6 and has an 84. He is stuck on reading his novel for Fear 8. He will continue to read his book and start working in Betrayal so that he can begin to catch up. He will complete Betrayal 1 and 2 by Friday.

Please avoid non-specific information: Alexandra is behind and needs to catch up.

Or Update was sent about student's grade, pace, and weeks behind.

Being given the freedom to use texts and emails as monthly calls is a great
