    LITERARY AND PUBLIC SPEAKING CLUB 

    IIM LUCKNOW

    1. INTRODUCTION 

    This is a proposal about the Literary and Public Speaking Club and its activities over the

    year. The document contains details about the following: 

    ❏  Objectives of the club

    ❏  Responsibilities of the members in the club❏  Details of the events that shall be organized

    ❏  Implementation details of the respective events and the possible issues

    ❏  Budgets related to the events

    ❏  Association with other clubs and committees

    ❏  A calendar for the activities of the club

    ❏  A suggested logo for the club

    2. OBJECTIVES OF THE CLUB 

    1. To help students hone their public speaking skills, in the process making them good andeffective communicators, leaders and fast thinkers

    2. To provide a platform where people with similar literary interests can come together todiscuss, debate and participate in a variety of competitions and events

    3. To provide a platform for everyone to express their opinions and share their thoughts ondiverse subject matters

    4. To provide assistance in GD preparations for summer placements process to PGP1students

    5. To enable people to present themselves and their ideas in the best possible manner to

    any audience6. To arrange workshops by external agencies on corporate public speaking and business

    communications

    7. To conduct language workshops to help students learn the basics of different languagesacross the globe; keeping in mind the global outlook and work required to be done bymanagers these days

    3.0 ROLES OF CORE MEMBERS 

    3.1 President: 

     All activities of the club fall under the purview of the President. 

    ●  The President shall be responsible for keeping the institute management updated

    about the activities of the club and obtaining official permissions

    ●  The President should ensure that events are conducted by the club in a timely and

    efficient manner according to the event calendar

    ●  The President should act as the trouble-shooter within the club and sort out any and

    all issues pertaining to the club’s activities 

    ●  The President is expected to effectively lead the club and ensure that it grows in

    popularity and participation

    ●  The President is also responsible for initiating the creation of a plan for futureexpansion of the club along with the other core members

    ●  The President has the task of selecting new core members for the club from PGP

    first year, with the support of the other PGP second year club members

    3.2 Vice-president PR 

    ●  Liaising between the Literary Club and all other clubs/committees on campus

    especially the Students’ Council, Varchsava, Team Disha and MCC for various

    activities including but not limited to IIMPulse and working with Disha to identify

    students who need individual focus and particular attention

    ●  Communicating with Students’ Council and Var chasva committee for conducting the

    public speaking and debating events in Varchasva and Camaraderie

    ●  Promoting the club and all its events extensively and ensuring high attendance

    ●  Maintaining a positive image of the club within the IIML community and getting their

    suggestions for and expectations from the club

    ●  Working with the other core members for overall smooth functioning of the club and

    deciding on the future scope

    ●  Interacting with the IIML student community to find out about their requirements from

    time to time so that the club can respond effectively to their needs

    3.3 Vice-president Education 

    ●  Bring in discussion topic(s) to the meetings regarding activities and events

    ●  Ensure club fulfills its objective and members achieve their development goals

    ●  Make sure that every member is present during meetings

    ●  Gather material of E-newsletter

    ●  Collect report from Vice President Membership

    ●  Decide activities with other members and come up with a set of activities that helpthe members in improving their management, written and public speaking skills

    ●  Evaluate people who have shown their skills and give them recognition

    3.4. Vice-president Membership 

    ●  Design events and competitions in a way that they are crowd-pulling and value-

    adding for the participants

    ●  Work with MCC, Varchasva, Manfest etc. to design events for these fests such that

    they synergise with their themes and mood

    ●  Ensure regularity and versatility in the events, particularly the ones which involvecoming together of literary enthusiasts periodically so that they stay motivated and

    zealous

    ●  Collect report from the Vice-President PR about the expectations of the IIML student

    community from the club and design events and contests accordingly

    ●  Ensure equity and fairness across all the events and competitions conducted by the

    club

    3.5. Corporate Engagement Manager  

    ●  Arrange for workshops/general talks by famous authors and literary personalities

    ●  Work with IIC and AlCom and rope in industry experts to conduct workshops on

    corporate public speaking

    ●  Communicate with alumni to rope in sponsorships for the flagship event of the club●  Communicate with external agencies like the British Council and arrange for a

    workshops on public speaking in a corporate environment and business

    communications

    ●  Be the point of contact for literary and public speaking events in other colleges

    4.0 DETAILS OF ACTIVITIES 

    The details of the events of the club have been discussed with the potential problems that

    may arise in conducting these. 

    4.1 FLAGSHIP EVENT 

    The flagship event of the club shall include several sub-events which are discussed in detail

    below. 

    4.1.1. RHETORICA: The Debate Competition

     A 30 minute long Oxford style debate between two teams of two members each. Teams for

    the final round shall be chosen on the basis of a write-up submitted by them on the issue

    followed by a preliminary round before the day of the event. The debate shall begin with an

    audience poll regarding the issue to record their initial opinion. Each member of the

    proposing and opposing teams shall speak for 5 minutes. Following which rebuttals and

    questions from the audience shall be taken. One member from each team shall answer the

    rebuttals in a single 2 minutes speech. The debate ends with a final audience poll. The team

    that succeeds in swaying opinion the most between polls wins.  

    Venue: Samanjasya 

    Venue for prelims: Any classroom, two days before the final event 

    Budget: No separate budget. Certificates for winning team. 

    Judges: (70% weightage) R.L. Raina, Payal Mehra and other members of faculty, (30%

    weightage) peer review 

    Promotion: Part of the flagship event promotion

    4.1.2. VOICE YOURSELF: A Public Speaking Competition 

    Speakers can speak for up to 10 minutes on anything or any event they feel very passionate

    about relating to (any place, event, person etc.) the life at IIM L. Topics can vary from some

    event in their life which has left a mark, to something they feel should change. Speakers

    shall be chosen on the basis of a write-up and an interaction about their speech.  

    Venue: Samanjasya 

    Budget: No budget. Certificate for winner. 

    Promotion: Part of the flagship event promotion 

    ●  Promotion of the event on Facebook

    4.1.3. JAM: Just a Minute 

    Panellists shall be given a topic 5 minutes before the event on which they shall have to

    speak. The first speaker shall begin speaking with the aim of completing his speech in one

    minute without repetition, hesitation or deviation (digressing from the topic). The other

    panellists shall score points by hitting a buzzer and pointing out any of these three errors in

    the speech. However, if the challenge is deemed incorrect, the challenger loses a point. A

    correct challenge wins the challenger the right to speak for one minute, from the point of the

    challenge, and so on. A bonus point is awarded to any speaker who can complete one full

    minute of speech without any correct challenges from the other panellists.

    4.1.4. Literary Treasure Hunt 

    Treasure Hunt with clues based on popular literary works. There will be five clues placed in

    different locations across the campus. Participants have to register in teams of four and

    solve a clue which will indicate the location of the next clue and so on. A volunteer will be

    stationed at each location to provide copies of the next clue. Call for participants andvolunteers will be done through email. 

    Budget: Rs. 200 (Rough estimate assuming participation of ten teams) 

    Logistics: Printouts of questions, Permissions for using various institute locations

    Promotion: Part of the flagship event promotion 

    ●  Promotion of the event on Facebook

    Issues: Obtaining official permissions for conducting the treasure hunt in various locations

    across the campus 

    4.1.5. LIT POT POURI: 

     A three-round event with each round testing participants on different grounds 

    Round #1: Pictionary (Duration: 30 minutes)

    ❏  A set of picture clues will be given for a particular personality, character, movie, book

    etc. The teams will have to identify it and write it down on the given sheet of paper.

    For instance: 

    ❏  Identify the popular sitcom character: 

    [Ans: Robin + shoe + basky = Robin Scherbatsky (from How I met your Mother)]  

    Logistics:  A room with seating arrangement, a computer system with projector, A4 sized

    sheets of paper  

    Promotion: Coloured print-outs on A4 sized sheets, online promotion 

    Budget: Negligible 

    Round #2: Motley (Duration: 20 minutes) 

    ❏  Only top 15 teams from round 1 will qualify

    ❏  A written round having a variety of questions.Types of Questions: 

    o Guess the movie: e.g. Actors and Actresses not at home: Cast away  

    o Crack the anagram: e.g. ‘Lob da man in sea’: Osama Bin Laden 

    o Thesaurus Bee: For each asked difficult words . The teams will be required to give

    their appropriate meanings.6 words for each team. 

    o Word hunt: Search for palindromes in a given box of jumbled letters  

    o Rhyme and Reason: Suggest two rhyming words which correspond to the

    phrases given e.g. a compulsive habit of doing something: a shelf to keep stuff =

    knack: rack 

    Logistics: A room with seating arrangement, 15 printed questionnaires 

    Promotion: Coloured print-outs on A4 sized sheets, online promotion

    Budget: below INR 800 

    Round #3: 20 Questions (Duration: 30 minutes)

    ❏  A personality given to one member of each team

    ❏  The other member has to guess the personality by asking a maximum of 20

    questions to his/her partner to which he/she can reply only in YES or NO

    ❏  Scoring will depend on the number of questions needed to answer correctly and the

    time taken in case of tie. Only 1 wrong guess allowed in the process.

    Logistics: A room with seating arrangement 

    Promotion: Coloured print-outs on A4 sized sheets, online promotion 

    Budget: below INR 800 

    4.1.6. VALENTINE CONVIVA: 

    It is a relay speaking round in teams of two. One of the team-mates will be given a random

    topic on which he or she will start speaking. A buzzer will be pressed at random intervals

    (based on change of colour of the slide of the ppt in background which will be on automode). Instantly, the non-speaking member has to take over and start speaking such that it

    is in coherence with the previous speaker. This process will continue for 4 minutes. The

    most interesting and coherent relay speech will win. 

    Logistics:  A room with seating arrangement, a micro-phone, a projector and computer

    system 

    Promotion: Coloured print-outs on A4 sized sheets, online 

    Budget: below INR 600 

    Judges: Judgment is subjective for this event. Thus, IIML faculty would judge the event. 

    4.2. CROISES: 

    It is an online crossword event with hints related to books, authors or characters from books.

    People can download the crossword (.doc/.docx) from the club’s facebook page, solve it,

    and upload the solution within a stipulated time. The fast and correct entries will be adjudged

    winners. 

    Logistics: Internet 

    Promotion: Coloured print-outs on A4 sized sheets, online 

    Budget: negligible

    4.3. LITERARY QUIZ

    About the Event: Three rounds. Team of 2 or 3. No elimination. Open only to students of

    IIML (both years). All questions in all rounds will have a time limit. 

    Round 1: Buzzer round. All the teams will be shown a clue that points to some famous

    literary personality. That personality could be a character from a book, a poet or an author.

    Clues can be anagrams, incomplete pictures or straightforward (and unique) facts about the

    personality. Let’s say 3 teams and 6 questions and +10 for each correct answer. Questions

    will be passable. No negative marking. +5 for correctly answering a passed question. 

    Round 2: all 3 teams will be shown categories. They have to pick one. And they will be

    asked a question from that category. Team at the lowest total at the end of round 1 will get

    the first chance to pick. Categories can be “Harry Potter”, “Shakespeare”, “Philosophy”,

    “Poetry”, etc. Questions will be passable. No negative marking. 2 chances for each team.

    +10 for each correct answer. 

    Round 3: Teams can play for points. If they choose to play for 5 points, they will be asked

    an easy question. No negative marking. If they choose to play for 10 points, they will be

    asked a difficult question. -5 for a wrong answer. If they choose to play for 20 points, they

    will be asked a very difficult question. -10 for a wrong answer. Questions to be asked from

    the categories they picked in round 2. 2 chances for each team. Questions not passable.

    In the end, team with the highest total wins. 

    Logistics: Classroom, projector, computer, buzzers. Since the format is such that not very

    many teams can play it simultaneously, we can make it a tournament and divide teams into

    groups and conduct quarterfinals, semi-finals and finals. 

    TimeLine: Each round can be completed in 15 mins. The entire event should not take more

    than an hour. So, if we have 3 hours, we can play 9 teams in a single day and assuming

    total initial registration of 80 teams, we can conduct the entire tournament over two weeks. 

    Prize: Certificate of Participation to all (increases participation). A copy of any book of theirchoice to the winning team and the runners-up. 

    Promotion: Through mails, posters, word-of-mouth, other clubs/committees, social media,

    etc. 

    Budget: Certificates and posters are negligible costs. Even buzzers can be do away with.

    Books as reward is the only real cost. The entire event can be conducted with Rs 2000. 

    Potential Difficulties: Getting a quizmaster if necessary

    4.4. ACTIVITIES ON THE FACEBOOK PAGE

    Facebook page maintained by the club. The following activities will be conducted through the

    page: 

    ●  Launch event would include a competition where each participant recommends a

    book that he/she thinks others should read. The entry with maximum likes wins

    ●  The page will also be used for online promotion of the various activities conducted by

    the club

    ●  The page will be promoted as a forum where enthusiasts can share their views as

    well as literary works, blogs, articles, etc.

    ●  Online events may also be conducted through the Facebook page

    Budget: None 

    Logistics: None 

    Promotion: On Facebook 

    4.5. Talk by Literary Personality 

    Event: Talk by alumni such as Ritesh Sharma (‘Joker in the Pack’) and Amit Haralalka (‘The

    Fresh Brew’), who are authors of bestselling books. 

    Budget: Rs. 5000 per talk 

    Logistics: Arrangement of accommodation, Travel arrangements, Permission for hall where

    talk will be conducted 

    Promotion: On Facebook page, through emails, posters in the mess and hostels 

    Issues: Budget allocation for travel accommodation, arranging the talk taking into

    consideration the speaker’s schedule as well as the IIM Lucknow calendar in a way that

    ensures maximum participation

    4.6. GD preparations in association with Disha 

    About the Event: Team Disha starts the GD preparation for summer placements slightly

    late. This club will assist them and start providing GD practice (with feedback) to PGP-I from

    July itself with the aim that each student sits in at least one GD once ever y two weeks. We’ll

    track the progress made by every single student and report to team Disha.

    TimeLine: July to summer placements. 

    Venue: Classrooms for 2 hours every week until placements 

    Promotion:  through mails, posters, word-of-mouth, other clubs/committees, social media,

    etc. 

    Budget: zero as we are not planning to bring in any expert from outside. 

    Potential Difficulties:  Getting people from PGP-II to give feedback so regularly and

    frequently. Getting PGP-I to come to these GDs in the super-hectic first term. Gettingpermission to use classroom(s) so frequently albeit during night time. 

    4.7. Fortnightly meetings 

    About the Event: A club meet once every two weeks open to all students of IIM L who want

    to hone their skills in elocution. There shall be activities like GD, book reviews/discussions,

    extempore and most importantly, individual speeches. We shall give feedback to speakers

    and general tips to improve communication, GD, and public speaking skills. We can also

    have fun activities like group games and exercises. 

    TimeLine: Any time in the evening. Preferably on a weekday. 

    Logistics: One classroom for 2 hours or hostel common rooms 

    Prize: Best speech of the day award. Best orator award. (Just symbolic)  

    Promotion:  through mails, posters, word-of-mouth, other clubs/committees, social media,

    etc. 

    Budget: zero. 

    Potential Difficulties: Getting PGP-I to come to these meetings in the super-hectic first

    term. Getting permission to use classroom(s) so frequently albeit at night.

    4.8. E-NEWSLETTER 

    The club shall release an E-newsletter once in a year during the end of Academic calendar.

    This letter would detail about the activities carried out by the club as a whole. It contains

    details of all discussion topics and the summary of it that has happened, since the induction

    of the club for that academic year. We will take inputs from the students regarding book

    reviews, movie reviews, and their contribution like small poetry with a page limit.

    Budget: Not required 

    Timeline: Start making letter from beginning January and float it during February last week 

    Availability: We will make it available via email 

    Difficulties- Might be difficult to get as many inputs as possible from students 

    Logistics: None 

    4.9. Short story/poetry writing: 

    This is an on spot activity, for which a topic will be given viz., book character, common word,

    cartoon character, generic topic, current affairs, and topics about campus and so on. The

    students must express their views about the topic in the form of short story or poetry. It will

    be evaluated based on the spontaneous creativity in their content and the grammar in their

    writing. 

    Budget:  A4 Sheets, which is a negligible cost as we expect at most 80 students to

    participate. Certificates for top 3 winners. 

    Timeline: This would be part of second month activity as per our year calendar  

    Promotions:  Have a small creative story about campus displayed on each classroom

    desktop. Posters, and facebook promotions are part and parcel of it

    Difficulties:  It might be difficult to expect participation from PGP1 as they are busy with

    summer preparation. 

    Logistics:  Just couple of A4 sheets and a classroom for 30 to 40min. Certificates for

    winners

    4.10. Workshops: 

    We plan to organize on workshop on how the mock parliament goes and a practice mock

    parliament session to all participants, OR We would like to organize face reading workshop

    which helps students in reading people which is an important talent in this business world.

    For this, fees will be collected from students who plan to participate. Fees might be around

    Rs. 500/- per head which will cover basic face reading techniques. 

    Budget: Fees payed to the guest conducting workshop and his hospitality. 

    Timeline: This would be organized in the month of November  

    Promotions: Facebook, posters, videos showing advantage of knowing how to read face

    over not knowing 

    Logistics: Classroom or Samanjasya for 2 hours depending on count of students enrolled  

    5.0. ASSOCIATION WITH OTHER CLUBS AND COMMITTEES: 

    ●  Work with the Students’ Council and Varchasva committee for conducting the

    public speaking and debating events in Camaraderie and Varchasva,

    respectively

    ●  Work with IIC and AlCom to get industry experts on campus to conduct

    workshops on corporate public speaking

    6.0 TOTAL BUDGET 

    Summing up all the budgets as stated with the respective events,  

    Final Budget: INR 15,000 

    The Budget details of individual events can be found in the Events section. The above figure

    is the maximum amount, accounting for all possibilities. We have categorized our

    requirements as: 

    ❏  Events (judges, guest speakers) 

    ❏  Contests (prizes – cash or books or vouchers, certificates) 

    ❏  Logistics (if any material required for carrying out the event) 

    ❏  Promotion (Posters, Leaflets, Flyers, Tent Cards, Danglers, etc)

    7.1. HIGHLIGHTS

    January: Preparations for the launch event as soon as club members are finalized  

    ❏  Preparations & promotion of the launch events for two weeks 

    ❏  Selection rounds for the speakers and final teams for the two events in the launch 

    ❏  Preparation of E-newsletter

    February: Flagship event of the club 

    ❏  Promotion for the flagship event post mid-term from 10th until the event, scheduled on

    23 February (Sunday) 

    ❏  Plan, conduct the selection rounds and finally conduct the event 

    July - August:

    ❏  GD preparations for PGP 30 batch in association with Disha

    ❏  Mid July - Croises

    September: 

    ❏  Work with the Students’ Council &  conduct the extempore speech and/or debating

    event in Camaraderie ‘14

    in Varchasva ’14 

    ❏  Conduct practice GD sessions for PGP30 batch as a part of summer placements

    preparations

    7.2. DETAILS OF MEETINGS

      Fortnightly meetings for 9 months i.e., during Jan, Feb, March, June, July, Aug, Oct,

    Nov, Dec 

      Education president will bring in the editor’s topic for discussion in first meeting / one

    expertise talk 

      Second meeting will have a activity chosen by Education member but in consensus

    with club members 

      The activities during second meeting include  –  Mini Debate, Elocution, Poetry,

    extempore, JAM, short story writing, Word games, skit, Quiz on History of Literature 

      1 workshop on calligraphy/face reading/Mock parliament 

      Every meeting starts by president’s welcome speech with meeting’s agenda  

      Membership President will have to submit post meeting report to the club 

      We would extend our support to Team Disha in preparing first year students for their

    Group Discussions by organizing mock GD’s 

      Last month of every term i.e., Mar, Aug, Dec has only 1 meeting to review clubactivities & its benefits availed, club progress & members activity
