WHAT DO I NEED TO DO AT LEAST ONE MONTH PRIOR?

3 Create a Flyer- We ask that you de-velop a flyer to announce your meeting. Please include your logo along with the LSP logo, tag line and PROP 63 logo and send to us at least 30 days before the meeting. Sample flyers are attached. Click here for LSP logo and PROP 63. You may develop your own flyer or use the sample flyer. Please, submit in word or pdf format and include on your flyer: RSVP.

3 Meeting Space- Ensure you have reserved a meeting space and chairs to accommodate 25-50 attendees.

3 Sign-In Table- Please set up a 6-8 foot table for member sign-in.

3 Resource Table Space- We ask that you reserve a table in the meeting room for resources. Attendees will bring flyers, guides, brochures, and business cards to set on this table. It is your choice whether to keep the unused resources or ask attendees to take them back after the meeting.

3 Video Segment- Contact Jenny Marin, at Marin Multimedia Services confirm that your questionnaire was received and schedule a date for your video segment.

LSP Meetings help members collaborate and create stronger community networks in Sonoma County. A different organization/agency offers to host an LSP meeting each month. Hosting a meeting allows the host to highlight their program(s), service(s), staff, and location. The host provides the meeting space and light refreshments accommodating anywhere from 25 to 50 attendees.

MARIN MULTIMEDIA VIDEO PRODUCTION

As a benefit to you for hosting the meeting, we produce a 1-3 minute video of your agency. Designate a representative to be available to our video production staff as the host meeting date approaches. This video will benefit community members and people who want to learn about you via our website, Youtube, and Facebook. Please, refer to the handout from Marin Multimedia Serviceson page 11-12 for more information.

Refreshments Please make arrange-ments to provide refreshments for 25 to 50 people. In the past, some hosts have requested on their flyer for members to RSVP to a staff member in order to ob-tain an approximate number of attendees. Some hosts provide a full lunch, while others choose to have light refreshments; this is up to your organization and budget.

Set Up Please have the meeting space, sign-in table, resource table, power point (if needed), refreshments, etc. set up and ready for LSP members by 11:15am. Members will be encouraged to enjoy refreshments upon arrival.Meet the LSP Representative An LSP staff member and/or volunteer will be there at approximately 11:00 am. to set up, help with last minute issues and to facilitate the meeting. LSP Members Arrive LSP members usually start arriving around 11:15am; they should sign in, find a seat and help themselves to lunch/refreshments.

Presentation to Highlight Your Agency Prepare a 30 minute presen-tation. This can be an informal presen-tation or you may choose to include a power point, You are responsible for all equipment and set up required. Your presentation can include, but is not limited to: Who you are, what you do, highlight services and/or programs, opportunities within your organization, introduction of staff, etc. Signs – Create signs that will guide attendees to the meeting room. This is especially helpful when your office or meeting room is difficult to locate.

Sign-in Sheets After the meeting, an LSP representative will collect all the sign-in sheets. If requested, we can provide you with a copy of the sign-in sheets after the meeting by email or mail after we have received permission from all attendees.

THANK YOU!!! Congratulations you have successfully hosted an LSP Meeting!

HOW DOES THE MEETING WORK?

Meeting Begins- Around 11:40am, an LSP representative will initiate the meeting by introducing themselves along with the Host and briefly welcomes the first speaker.

Host Presentation- You will have 30 minutes to highlight your program(s) and/or service(s), staff, talk about opportunities within your organization, etc. The 30 minutes includes your question and answer time. Please honor this time frame.

Round Robin- After you (the host) has introduced your program in the 30 minute time frame, attendees are given 1-2 minutes (round-robin style) to introduce themselves and share announcements from their organization or group and are encouraged to bring educational materials to share.

Closing Remarks- A LSP representative will close the meeting with any additional remarks, reminders and/or announcements. Attendees are encouraged to network and form collaborations with other LSP members.

When resources permit, Marin Multimedia Services will video tape your presentation.
