1.WHATISANINDIVIDUALSTUDYPLAN?WhenadmittedtothePhDprogram,thePhDstudent isadmittedtoaspecificsubject.Foreachsubjectthere isaGeneralSyllabusforThird-CycleStudies(PhD).Thissyllabus–orgeneralstudyplan-describesingeneraltermsthecontentofthePhDstudieswithinthespecificsubjectarea.In addition there is an individualstudyplan,which should contain the specific contentof thePhDprogram for the individualPhDstudent.ThisplanconstitutesanagreementbetweenthePhDstudentandthesupervisorconcerningthecontentoftheresearchstudiesandhowtheyaretobepursued. Theindividualstudyplanisintendedtoserveasabasisforthestudentandthesupervisorintheongoingprocessofthestudies.Forinstance, it includesasummaryof thescientificproject, literature,courses,supervisionandotherresourcesthatarerequiredforthestudiestobecompletedefficientlywithinthestatedperiod.2.ISITCOMPULSORYTOESTABLISHANINDIVIDUALSTUDYPLAN?TheHigherEducationOrdinancestatesthatanindividualstudyplanmustbedrawnupforeveryPhDstudent.ThePhDstudentandthesupervisormustdothis jointly.RegulationsatLundUniversitystatesthattheindividualstudyplanmustbeupdated/revisedat leastonceayear.Therefore,yes–anindividualstudyplanmustbeestablishedwhenaPhDstudentisadmittedtotheprogram.Theindividualstudyplanistobeupdatedcontinuouslyduringthecourseofyourstudiesanditmustbereviewedandupdatedatleastonceayear.TheindividualstudyplanistheonlydocumentinwhichthePhDstudentandthesupervisoragreeonthecontentofthePhDstudies.Both parties have to sign the study plan (electronically) and it also has to be approved by the Assistant Head of the DepartmentresponsibleforPhDstudies.Astudyplanisimportantinmanyways;

• itcanbeviewedasasteeringdocumentmappingwhatshouldbeincludedinthePhDprogrammeforthespecificPhDstudent;• itincludesatimelinemakingtheprocesseasiertomonitortomakesurethatthestudiesareprogressingaccordingtoplan;

• ifanydisagreementwouldoccurbetweenthePhDstudentandthesupervisorregardingthecontentofthestudies,theindividualstudyplansetsthebasisforwhathasbeenagreedon.

3.HOWTOUSETHEWEB-BASEDSYSTEMFORINDIVIDUALSTUDYPLANS

1. OnceadmittedtothePhDprogramme,thePhDstudentreceivesanemailwithinstructionstologintothefollowingwebpageusingtheLUCATID:http://www.individuellastudieplaner.med.lu.se

2. Inthestudyplanthereissomeinformation,whichhasbeenretrievedfromtheprojectdatabase(wherethesupervisororiginallyfills in information regarding the project) which cannot be edited. Fill in the remaining sections in the study plan. Tomakechanges,clickon“ändra/change”.Onceyouhavefilledinthetext,clickonsave.

3. Oncetheplanhasbeenfilledin,thePhDstudentchoses”yes”toapprovethestudyplan.Thesupervisorisnotifiedbyanemailmessagethatthereisastudyplanforapprovalandcanlogintothesystemandaccesstheplan.

4. Whenthesupervisorapprovestheplan,itcontinuesinthesystemtotheAssistantHeadofDepartmentresponsibleforPhDstudies.Ifthesupervisordoesnotapproveoftheplan,itisrejectedandsentbacktothePhDstudentwithcomments.

5. WhentheplanhasbeenapprovedbytheAssistantHeadofDepartment,aPDFisgeneratedwiththe“establishedversion”oftheindividualstudyplan.Thisversioncannotbeedited.IftheAssistantHeadofDepartmentdoesnotapproveoftheplan,itisrejectedandsentbacktothesupervisorandthePhDstudentwithcomments.

6. TheestablishedversionofthestudyplanisarchivedelectronicallyatthePostgraduateStudiesOffice.7. Whenitistimetorevisethestudyplan,theestablishedversionwillformthebasisandtheplancanbeupdatedandeditedto

generatea“revisedversion”ofthestudyplan.OncethePhDstudentapprovesoftherevisionsinthestudyplan,theprocedureisthesameasfortheestablishedversion,i.e.theplanissenttothesupervisorandAssistantHeadofDepartmentforapproval/rejection.

4.WHAT TOWRITE IN THE DIFFERENT SECTIONS OF THE STUDY PLAN ANDHOWTHE INFORMATION IS LINKED TO THELEARNINGOUTCOMESOFTHEPHDPROGRAMMEAsstatedearlier, therearesomesectionsthatarenotpossibletoedit inthe individualstudyplansincetheyreflect informationthatshouldnotbechanged.Thesesectionsaremarkedinblue.Thesectionsthatshouldbefilledinandupdatedyearlyaremarkedingreenandincludeadescriptionofwhattypeofinformationisexpected.ThereisalsoacolumndescribingwhichofthelearningoutcomeforPhD studies from theHigher EducationOrdinance that the specific information relates to. You can also find this information in thesystemfortheindividualstudyplanhoveringthequestionmarkafterthetitles(?).
