Martial Arts

Martial Arts Applications are used to set up and keep track of Martial Arts Student Information, Testing, and Attendance. *To set up AAC Front Desk for Martial Arts, perform these tasks first: Install and Configure Software, Set up Ranks, Set up Classes, Set up Contract Templates, and Add members.

Rank Manager

The Rank Manager is accessible through both the AAC Check-In Application and the Point of Sale Application. In either application, click on the “Front Desk Menu” “Martial Arts” “Ranks”. This application is used to enter the martial arts ranks that will be assigned to each individual member. These ranks will also be used in martial arts class settings.

Rank Manager Fields

Figure 22-8.

Rank Id: Identification numbers for each Martial Arts Rank. Once saved, this identifier cannot be changed. Make sure the id is in order for rank advancement and that each id is spaced apart for additional entry at a later date. An example would be spacing them five numbers apart (001, 005, 010, 015, etc.)

The spacing of Rank Id’s is important in regards to Martial Arts Testing. If the ranks are not in advancing order according to the Rank Id, then the students will not be advanced properly after testing. Make sure each rank has proper spacing for expansion in the future.

Rank Code: The rank code can be used as another identifier for each rank. The rank code may be letters or numbers, and can be no longer than three digits.

Rank Description: Detailed description of the belt for identification.

Rank Title: Association title or something helpful to determine the belt type in reporting.

Testing Fee: Enter a testing fee if one is charged for testing.

Classes Manager

Class Categories

Before classes can be entered into the system, at least one Class Category will need to be set up. Each class entered into the software is required to have a category. These categories are used to help track class usage and are used for reporting purposes. This category should be a scheduling category since it is not an inventory item.

To add a new category click the ‘Add new record’ button or use your [Insert] key. Enter the category information,

then click the ‘Save’ button or use your [F3] key to save.

To edit a category click on the ‘Edit record’ button or use the [F11] key. The Category Description is the only

information you will be able to edit. Click the ‘Save’ button or use your [F3] key to save.

Category ID: A unique name for each class category. It can be up to 10 characters long and any combination of numbers, letters and spaces may be used. * This field is required for each class category.

Category Type: The software makes use of 2 types of categories; INVENTORY and SCHEDULING. Choose SCHEDULING from the drop down list. * This field is required for each inventory category.

Category Description: This is a brief explanation of the current category. It may be up to 30 characters long and use any combination of numbers, letters and spaces.

Period Length: This is the default length for classes in the category being added. Its purpose is for backwards compatibility.

Click the “Save” button when finished entering all information.

Class Setup

Set up class information quickly and easily. Any type of class can be set up in the Class Manager. Some examples of classes include aerobics, martial arts, and kickboxing. Open AAC Check In or AAC Point of Sale and click on the Configuration Drop-Down Menu. Choose Members and then Classes. This will open up the Class Manager.

Class Id: Create a unique id for each individual class. This id cannot be changed after the record is saved.

Description: Brief description of the class.

Category: Attach classes to specific categories. These categories are used for reporting purposes. If a category has not been created, click on the Category Manager Button to create one.

Class Fee: Enter a fee for the class.

This is a Martial Arts Class: Check this box if the class is a martial arts class.

Youngest Age/Oldest Age: Set the age range for the martial arts class.

Lowest Rank: Set the lowest rank that can attend the class.

Highest Rank: Set the highest rank that can attend the class.

The list located on the left hand side of the Class Manager Window is a list of all available members, guests, or contract templates that can be attached to the selected class. The list located on the right hand side of the Class Manager Window shows members, guests, or contract templates currently attached to the selected class.

Members: Add members to the class.

Contracts: Add contract templates to the class. If a contract template is attached to a class, any member added through Contract Wizard with that template will be automatically attached to the class.

Click “>” to add a member, guest, or contract template to this class. Click “>>” to add all members, guests, or contract templates to the class.

Click “<” to remove the selected member, guest, or contract template from this class. Click “<<” to remove all members, guests, or contract templates from this class.

REMEMBER: Once members are added to classes, a class window will appear at check-in time. A class may be chosen or it can be skipped for a regular check-in. If a customer cancels and they will not be attending a class anymore, make sure they are removed from the “Add Items to Class” tab in the Class Manager. This way all reports will be correct.

Adding a New Martial Arts Student

Follow the situations below to determine how to properly enter a member for billing and/or for martial arts training.

Situation 1: The member is an adult and will be paying for their own martial arts training. Solution 1: Enter them through Contract Wizard as a regular member with martial arts information.

parent as a martial arts student. Then enter the child as a Non-Responsible member in Contract Wizard with martial arts information and attach them to the Parents account.

Situation 3: The Parent and Child will both be attending. Solution 3: Add the parent in Contract Wizard with payment information. Mark the parent as a martial

Adding an Existing Member as a Martial Arts Student

Use the Martial Arts Student application to add and remove existing members in the system to and from the Martial Arts Student List. Martial Arts Student information may also be edited in this application.

After the correct students have been selected, click on the Check-In Button to begin the check-in process.

If there are any problems with a student, a prompt will appear in check-in. They may be allowed entry or denied. The class check-in window will show all members who successfully checked in as green and all whdid not get checked in as red.

After clicking on the “OK” button in the Batch Check-In prompt, a new prompt window will open asking if a

problems report should be viewed. Click “Yes” to view the report and No to cancel out and return to the Class Check-In Window.

Access the Martial Arts Testing Application by clicking on the Front Desk Menu. Choose Martial Arts and then Testing.

Time: Scheduled time of the test.

Set: If the test is in a particular set, it will be specified.

Students Tab

Use the students tab to select students for a particular test. Students may be selected individually or as a whole. Use the Last Name section to search for a particular student.

All Martial Arts Students: Lists all martial arts students available for testing.

Students Selected for Test: Shows all students who have been chosen for a particular test.

Individual Select: Select students one at a time.

Auto Select: Select students for testing based on a chosen criteria.

Save Selection: Save the current student selection.

Cancel Selection: Cancel the current student selection.

Print Roster: Print a student roster for the selected test. This roster will list each student testing with their martial arts id, current rank and title, testing rank and title, testing fee, and whether they have paid or not.

Print Grading Roster: Print a student roster with all of the above information. This roster will also include checkboxes for passing/failing and a place to write their score.

Print Grading Sheets: If grading sheets are available, they will print out with each member’s information showing. They may be printed for an individual or all students. Blank ones may be printed as well. Each sheet will show the member’s name, club number, martial arts id, current rank, current title, testing rank, testing title, instructor, testing fee, if they have paid, and a place to write notes on the student.

Grading Tab

Use the grading tab to grade each student after the test has been given. Remember to mark the test given at the top of the Martial Arts Testing window. This will allow grading to be done. Also, make sure the correct test has been selected.

Use the Grid Button to change the grading view. The Edit Button will allow student testing information to be changed. After editing, click the “Save” Button to save the changes or the “Undo” Button to cancel changes.

Last Name: Use this section to search for a particular student. This option is helpful if many students took the test.

Student Name: Name of martial arts student who took the test.

Rank: Current rank of the student before testing.

Pass: Mark this box if the student passed the test.

Fail: Mark this box if the student failed the test.

Score: Enter the students score on the test.

Next Rank: Rank the student will advance to if they passed.

Fee: Enter the testing fee if one is charged. Mark paid here if the payment will not be charged through AAC Point of Sale.

Payment: Enter the amount paid by the student for the test.

Update Ranks: Check this box if the system should update the ranks automatically. If not checked, the ranks can be updated manually in the Martial Arts Student application.

Adding a Test

There are two ways to add a martial arts test: Click on the “Add” Button or right click on the testing grid and choose ADD TEST.

Enter the test date, time, length, description, and room (if needed). Select the instructor who will be administering the test. Notes may be added as well.

Once all information has been added, click on the “Save” Button to save the test.

Clear the Test form and start over. Print information sheet for individual test. Clear out the instructor information.

Selecting Students for Testing

After the test has been created and saved, the students who will be testing need to be attached to the test.

Three options exist for student selection. First, they may be individually selected. Second, all students available may be attached to the test. Finally, they may be selected through a query by the system. Each of these options will be described below.

These reports contain information about tests set up in the Front Desk System and the fees owed by students for testing.

Date Range: Choose a date range for the system to query. This may be a day or range of days.

o Roster: Show each test scheduled in the selected date range with students listed under the appropriate test. Each test has a total count and an overall count is shown at the bottom of the report. Usage Reports

Usage reports may be used to monitor student attendance. View reports by any date range. The reports can be based on class attendance or the students’ last attendance date.

Report Type: Choose the type of report that will be viewed or printed.

o Usage w/Demographics: Lists all members who have checked in during the selected date range. This information includes the student’s name, rank, title, age, gender, number of classes attended, and the last attended date. It also breaks down students by age and gender.
