Dean’s Message

This moment in time can be seen as a golden age of libraries. We believe that a positive learning environment is essential and that it’s vital for us to anticipate and respond to the needs of our users in a timely and agile way. 2017 was full of examples of the Library’s quest to meet those varied and changing needs. Our amazing staff and Friends of the Library worked tirelessly to deliver a wide range of programming, including multilingual tours, outstanding collections, e-resources, 3D printing, data visualization, workshops, art tours, lectures, exhibitions, a brand new seed library (the first of its kind at a Quebec academic library) and so much more. With a successful SSHRC Connections Grant, the newly formed unit, ROAAr (Rare and Special Collections, Osler, Art and Archives) geared up for a full slate of new programming aimed at creating moments of discovery with our unique collections. This included teaching and learning opportunities for the McGill community as well as the chance to welcome the general public into our spaces. This would not have been possible without collaboration between units and an openness to trying something new. As we look back at 2017, we also look forward. In December, every Library staff member participated in a strategic planning session. It was an opportunity to brainstorm and to vote on the ideas that were raised. This is the third time that we’ve done such an exercise and each time it results in a new set of priorities, a new direction. This time around the priorities included: transforming spaces; delivering innovative Library support; enhancing online access to our collections; empowering staff to provide service excellence; fostering a healthy environment for staff and preserving and sharing our unique treasures with the world. Keep your eyes peeled on our website to chart our progress.

The future of libraries is bright and we move forward, now more than ever, with a strong commitment to bringing Fiat Lux and our goal to reimagine the McGill Library to fruition. Our users have told us what they need and we’re working towards achieving it for them. For you.

Teaching and Learning

In late 2017 the first two Michele Larose-Osler Artists-in-Residence mounted exhibitions of the work produced as a result of the program. Lucy Lyons (2016 recipient) and Loren Williams (2017 recipient) also worked closely with the students of ARTH 675, offering hands-on workshops. The classes were highly interactive and one of them involved students using medical and historic maps of Montreal to tour the city and create medical-themed cyanotypes, which were later displayed. Both Lyons and Williams engaged students of multiple disciplines and helped open up new opportunities for interaction with and interpretation of rare collections.

Each year, the McGill Library offers innovative, pertinent teaching and learning opportunities. The following are a selection from 2017.

The Library continued to provide a wide variety of information literacy workshops, including sessions on software programs such as Rayyan and EndNote as well as the reference management tool, Zotero. Workshops also included timely subjects like copyright, predatory publishing and fake news. MyResearch, the popular workshop series for graduate students was offered and its undergraduate counterpart, Keys to Success was further developed and integrated into a new McGill-wide program called SKILLS21. As a result, its content was adapted to fit the needs of all undergraduates, regardless of their area of study. A total of 118 students attended 12 Keys to Success workshops.

The Library participated in the Canada-wide initiative, Science Literacy Week, for the third year running. This edition included a range of programming that shed a light on scientific discovery. Events included a coding workshop by HackMcGill, a tour of the Marvin Duchow Music Library’s Phonomenal! exhibit, visits to the Schulich Library beehives and lectures on the subjects of fake news in science reporting and the history of the Maude Abbott Medical Museum. Presented in collaboration with Let’s Talk Science McGill and the Redpath Museum, it provided interdisciplinary learning opportunities for the McGill community and broader public.

The Islamic Studies Library offered a range of unique programming throughout the year, including a two-hour workshop on Islamic book art and manuscripts (ISLA 345). The workshop was very well-received and generated interest for a more extensive training in Islamic Paleography and Codicology to be held in the fall of 2018.

Throughout 2017, the Library’s interactive Touch Tables ran 15 experiences, many of which accompanied and augmented exhibitions. The technology has proved a wonderful teaching and learning tool and has helped promote the Library’s unique collection to McGill students, faculty, staff and alumni.

Two students tied for first place for the 2017 Pam and Rolando Del Maestro William Osler Medical Students Essay Awards. The program involves matching medical students with faculty mentors who see them through the entire process of producing a conference-quality research paper, refining a topic, undertaking research, writing and presenting the results. The top candidate receives funding to attend and present at the annual meeting of the American Osler Society.

In the fall of 2017, a Liaison Librarian at the Nahum Gelber Law Library, developed and taught a new three-credit master-level course, GLIS 636, Government Information at the McGill School of Information Studies. The course covered a range of topics, including the structure of governments and the nature of government information. It made use of Library resources such as statutory databases, statistical and data resources and subject guides. One student had this to say about the experience: “The search assignments for this course were excellent - they forced you to actually engage with all the sources we were supposed to be learning to use”.

In 2017, the McGill Visual Arts Collection (VAC) hired an unprecedented number of students. In total, they trained 11 students: four Max Stern Fellows at the M.A./ PhD level; five undergraduate interns, two of which were ARIA (Arts Research Internship Award) interns, and two graduate students (a Research and Project Assistant, and an Art Education Assistant). Haley Eaves, one of the Max Stern Fellows, received particular attention for her work on the exhibit Through Tragedy We Transform: The Metamorphosis of the McGill University Campus in the Aftermath of the Great War (1914-1918), appearing on a CBC segment for Remembrance Day and speaking to the National Post Fund. One of the ARIA Interns, Catherine LaRivière, also received attention for her research, together with the VAC’s Director, Gwendolyn Owens, on the Montreal artist, Marian Scott. Her research has been featured in the McGill Reporter, and she has appeared on several other platforms promoting ARIA.

The Library’s extensive collection is always expanding and includes over five million titles and six point five million items, with the number of e-journals and e-books increasing dramatically in recent years. In 2017, notable e-resource acquisitions included major groups of new collections and digital back files from Brill Scholarly Publishing, Cambridge University Press, Duke University Press, GeoScience World, Oxford University Press, Sage Publications, University of California Press, John Wiley & Sons Publishing, Routledge/Taylor and Francis Group and much more.

In 2017, Digital Initiatives oversaw a study by Students’ Society of McGill University (SSMU) funded student, Casarina Hocevar, that examined impact and methods for supporting open textbook initiatives. Her report is available in eScholarship and is entitled: Challenges & Opportunities: Open Educational Resources (OERs). As a first outcome, the unit created a guide to open textbook resources.

Involvement in the CommunityThe Library’s staff, services, collections and resources directly impact the McGill community-at-large and beyond. In 2017, the Library partnered with a number of diverse organizations, including other universities, cultural and heritage organizations, public schools, alumni groups and library associations. Community engagement activities of impact included the selection below among many others.

2017 was the inaugaural year for the Macdonald Campus Seed Library. It launched on March 20, the first official day of spring, and has proved an excellent way for the Library to connect and engage with the McGill community and local farms. There were 449 seed packets available at the beginning of launch day and only 183 at day’s end. Much of the original seeds came from generous donations by seed companies and local farms eager to take part. It is the first academic seed library of its kind in Quebec and third nationwide. With access to over 130 varieties of seeds, the initiative quickly gained popularity and is now in its second year. As of December 31, 2017, the Seed Library had 292 registered users: 194 students, 89 faculty/ staff and nine alumni.

McGill Library’s journal publishing service expanded in 2017. The Journal of Indian Ocean World Studies published its first issue in October. Revue Littératures : la périodique départementale de la Département de langue et littérature françaises, a publication of McGill’s Department of French Language and Literature, moved its back file to hosting with the McGill Library. Education Libraries from the Special Libraries Association (SLA) moved to hosting at McGill. In addition, we implemented Digital Object Identifiers (DOIs) to make McGill-hosted journals easier to cite and to locate.

McGill’s meteorological history dates back to the 1863 founding of the McGill Observatory. To provide researchers with that historical weather data, the McGill University Archives together with Dr. Victoria Slonosky, Renee Sieber (Geothink), Stéphan Gervais (Centre for Interdisciplinary Research on Montreal), Professor Eun Park, Gordon Burr (the McGill School of Information Studies) and Frédéric Fabry (Department of Atmospheric and Oceanic Studies) launched Data Rescue: Archives and Weather (DRAW). This “citizen science” initiative invites the public to participate in meteorological data transcription and seeks to preserve a valuable piece of McGill and Montreal history.

Each semester, the Library Orientation Committee and a team of volunteers come together to welcome new and returning McGill students. Annual activities include Parents Tent, Discover McGill and a variety of workshops and tours. In 2017, the Library hosted its first-ever Ice Cream Social, which offered students a warm welcome while providing the opportunity to interact with two Library staff from different branches and departments. The event made a lasting impression. When asked to describe it in one word, “fun“ was the most frequently mentioned by students, followed by “informative“.

In the fall of 2017, the Sustainability Projects Fund and the McGill Library came together to create McGill Little Free Libraries (LFLs), a sustainable literacy initiative across the downtown campus. Visitors are free to take a book and keep it, or return it to any of the five LFLs on campus. Goals of the project include fostering a sense of community, promoting a love of reading and developing a space for McGill students, faculty, staff, and alumni to revitalize and recycle books. The project received positive feedback and is expanding to more locations including the Gault Estate and Macdonald Campus in 2018.

In February 2017, the Library celebrated its first ever Kindness Week, initiated by the Staff Citizenship Advisory (SCA) Group. Conceived of as a way to spread kindness throughout the Library (both internally and externally), the week included activities such as a cooking demonstration, a candy bag station and the donation of over a hundred pairs of socks to Sun Youth and Burrito Project Montreal. In addition, close to three hundred “sercret kudos“ were written by hand and delivered to Library staff. The themes for each day of that week were: be kind to yourself, be kind to your colleagues, be kind to our users, be kind to your community and be kind to the planet.

McGill’s Visual Arts Collection developed new partnerships and deepened existing ones across the Montreal community in 2017. These included a new collaboration with the Montreal Museum of Fine Arts for the monumental Balade pour la Paix exhibition in honour of Montreal’s 375th anniversary and a partnership with Montréal en Lumière for Nuit Blanche events. Together with the Campus Planning and Development Office, a partnership was also forged with the City of Montreal on the new Promenade Fleuve-Montagne for sculpture and activities on McTavish Street. The VAC also continued partnerships with the McCord Museum, Journées de la culture and Art Public Montréal.

In 2017, the new unit, ROAAr (Rare and Special Collections, Osler, Art and Archives) continued to flourish. With a successful SSHRC Connections Grant, ROAAr embarked on a series of public and community-oriented events to promote its collections. These events proved very popular and in October 2017, a Quebec food-themed lecture was offered twice in response to popular demand. Two SSHRC-funded student positions were created in November 2017 to keep up with the unit’s many projects and events.

On March 1, 2017, construction workers discovered a time capsule in the Roddick Gates. It was transferred to the McGill University Archives and a conservator was brought in to remove the contents in front of a small audience consisting of Library staff, central McGill communications staff and student reporters. Due to the fact that the lead casing was damaged, the contents, which consisted of French newspaper clippings, were in quite poor condition. A new capsule was placed in the Roddick Gates for future generations to discover.

In April 2017, the Islamic Studies Library again hosted, One Book Many Communities, an annual international reading campaign, in collaboration with Professors Michelle Hartman and Laila Parsons of the Institute of Islamic Studies. A French event was also held at the Université de Montréal in collaboration with Professor Dyala Hamzah from McGill’s History department and Catherine Bernier from the Bibliothèque des Lettres et Sciences Humaines.

The Library was host to a number of visits from local high schools in 2017, including Royal West Academy, Vincent Massey Collegiate and LaurenHill Academy. One of these outreach activities was Mapping Montreal, a collaboration with the English Montreal School Board to bring digital content and digital literacy skills to secondary school students. Three workshops were held, hosting a total of 90 students. Participants visited ROAAr units to see special collections and viewed digitized materials related to industrialization in Montreal and Expo ’67. They then pinned these materials to online maps to create a virtual landscape of the past. This work was a notable example of campus engagement with the community as part of Canada150 and addressed McGill’s Strategic Academic Plan objective to “connect with our communities.”

The Library also hosted fourth-grade students from East Hill Elementary School in April of 2017. The students first attended a lecture by David Lank, curator of the philatelic exhibition, Every Stamp A Story and received art instruction by renowned artist, Claudio D’Angelo before breaking into smaller groups. They then each had the opportunity to draw their own stamp and receive an in-depth tour of the exhibition. The collaboration went beyond the visit itself, with students conducting research in advance on the history of stamps, wildlife, geography and much more.

The Friends of the McGill Library organized a wide range of events in 2017, including their annual lectures that help shine a light on the Library and its collections. In February, the Friends welcomed Anna Maria Tremonti, host of CBC Radio One’s, The Current, for the F.R. Scott Lecture and a timely discussion about the state of journalism. In April, the 2017 Hugh MacLennan Lecture was presented in partnership with the Blue Metropolis Literary Festival and featured author and historian, Charlotte Gray’s reflections on Canada’s 150th birthday. In the fall, Scott Wentworth spoke candidly about his work as a Stratford actor and director. The Shakespeare Lecture was presented in partnership with the Stratford Festival. In addition, the Friends organized a few smaller-scale events, such as their Annual General Meeting, where Cecil Rabinovitch was named Friend of the Year for her amazing leadership and invaluable contributions over many years.

In 2017, new initiatives were implemented to enhance communications and outreach activities across the Library system. The first involved Envoke, a web-based marketing platform that also acts as a data-management tool and provides flexible templates for email campaigns. From event invitations and newsletters to holiday greetings and announcements, the platform allowed the Library to create visually exciting communiqués that increase audience engagement and foster greater connection with a wide range of stakeholders. The Library has also been experimenting with streaming live events and with Facebook and Instagram ads to promote a variety of activities, including workshops, special events, exhibits, lectures and resources. The goal is to increase awareness of Library services, build engagement, and ultimately grow an active online community that encapsulates the Library’s many different audiences.

As of January 1, 2017, the McGill Library and Archives staff consisted of 60 librarians and two curators, 24 M professionals & excluded staff and 79 library assistants. The Library hired six new assistants and associate librarians, hired five M professionals & excluded staff and ten library assistants. Three assistant librarians were granted tenure and promoted to associate librarian, and two assistant librarians were re-appointed for an additional term. Eight staff members retired and four left the University.

In December 2017, the Library engaged in a two-day Strategic Planning initiative in which all Library staff members participated and where six new strategic priorities were identified:

In 2017, the Fiat Lux project team (the Trenholme Dean of Libraries, Planning and Resources and Communications staff, University Advancement, Planning Department, VP University Services, Shepley Bullfinch and EKM Architects) produced the following deliverables:• Library visits, tours and follow-up with the Principal’s International Advisory Board (PIAB).• The development of a philanthropic marketing PowerPoint presentation in partnership with

University Advancement.• Friends of the Library philanthropic initiatives and relationship building with student groups.

Royal Victoria Hospital planning team• The Trenholme Dean of Libraries and the Senior Director of Planning and Resources represented

the Library to ensure that its needs were understood and incorporated into the Dossier d’opportunité.

Selected branch refurbishments• In collaboration with the Associate Dean of ROAAr, the staff of Rare Books and Special Collections

and the McGill University Archives, the Library developed a staff integration strategy for the renovated space on the 4th floor of the McLennan Library Building. The space plan and furniture solution ensured that the primary initiative of the ROAAr Cyclical Review was met on time and on budget.

• The Rare Books Reading Room was refreshed with improved sightlines and electrical “Thread” solution.

• The McLennan Library Building Reading Room was refurbished with new flooring.• Seating improvements were made throughout the Humanities and Social Sciences Library, including

the Redpath Conference Room and Redpath “Fishbowl“.• The Osler Library of the History of Medicine received a ventilation upgrade.• The Marvin Duchow Music Library Open Lab received an upgrade (audio/video recording equipment

portable lab).• A security audit was conducted in the Islamic Studies Library.• The elevator was replaced in the Schulich Library of Physical Sciences, Life Sciences, and Engineering.

Refurbishment spotlight• In the summer of 2017, thanks to a generous gift from the Joan and Clifford Hatch Foundation, the

Colgate Room in Rare Books and Special Collections was given a facelift. The space was transformed into a multi-purpose classroom and conference space for engaging students and the general public with rare materials. From August to December 2017, 1,097 students had classes in the Colgate Room and 1,043 people attended special events in the renovated space.

Fiat Lux was front and centre in the McGill Library’s 2017 fundraising endeavours. Working towards this goal, staff collaborated closely with a cadre of very talented and committed volunteers. The Library would not be nearly as effective in fundraising, events coordination, university and Library advocacy were it not for this group.

The Friends of the Library contribute their time, expertise and resources to a range of fundraising projects. They spend countless hours working on behalf of the Library and are actively involved in developing messaging around Library fundraising in addition to enhancing community outreach through an outstanding annual lecture series.

A number of fundraising highlights from 2017 include:

• A $70,000 disbursement from the estate of the late Harold Goodman, in addition to an earlier disbursement of $90,000 in 2016 .

• A multi-year pledge from the Joan and Clifford Hatch Foundation towards the renovation of the Colgate Room in Rare Books and Special Collections. This project brought together rare materials with innovative technology to create a high-quality learning experience.

• An anonymous gift to support the restoration of important Arctic materials in Rare Books and Special Collections related to Sir John Franklin’s 1845 expedition in search of the Northwest Passage.

• Annual gifts from McGill graduates and parents of McGill students totalling over $470,000.

Student support of the Library is also a very important source of funding. The SSMU Library Improvement Fund and matched contributions from University Advancement contributed a total of $700,000 to Library initiatives, including capital projects, student contract staff, technology enhancements and special projects.

Similarly, the Post-Graduate Students Society (PGSS), with matching funds from the university, contributed almost $100,000 to the Library. In addition, the Arts Undergraduate Society (AUS) contributed $70,000 to the Library for various projects.

In addition, approximately 82 artworks were placed across McGill campuses through the redesigned Campus Loan Program, in public spaces, classrooms, shared student or administrative spaces, and private offices. The VAC was also involved, by the very nature of its Collection, in as many as 19 campus construction and renovation projects, requiring de-installations, moves and re-installations.

Nine artworks were loaned to the Visual Arts Collection in 2017, each for a period of a year, renewable (two sculptures from the Balade pour la Paix exhibition remained on campus for an extended period of time thanks to loans negotiated with the original lenders; seven artworks from the University Club of Montreal were loaned).

Appendix DSelected Rare & Special Acquisitions

Visual Arts CollectionThe Visual Arts Collection acquired 71 artworks, ranging from paintings and sculptures to textiles from well-known artists, including Marian Dale Scott, Yves Gaucher, Jon Rafman, Melvin Charney, and Pierre-Auguste Renoir.

Rare Books and Special CollectionsIn 2017, Rare Books and Special Collections acquired a wide variety of unique items, including the Jean Drapeau Collection consisting of photo albums and publications from Jean Drapeau’s library related to significant events that occurred during his mandates as Montreal mayor (1954 to 1957 and 1960 to 1986). The unit also acquired a number of multi-media items, such as pen and ink drawings and a ledger of the North West fur trading company in the original binding.

Osler Library of the History of Medicine2017 acquisitions covered a wide range of topics and helped to both deepen and compliment the Library’s history of medicine holdings. They included volumes such as Études d’anatomie a l’usage des peintres by Charles Monnet (1769-1776), An essay, philosophical and medical, concerning modern clothing by Walter Vaughan (1792) and Anatomie du gladiateur combatant by Jean-Galbert Salvage (1812) as well as an extensive collection of books on alternative medicine from local collector, Mort Friedland.

McGill University ArchivesThe McGill University Archives acquired several interesting fonds in 2017, notably those of world renowned religious studies professor, Arvind Sharma. The Archives have also received numerous offers and started the process of acquiring a selected few fonds from donors in 2017 which will result in completing our holdings in the next year.
