Why do we send the grads only file? Because of this disagreement in how NSC automatically confers graduate status from the DV file. They use one method, we use the other. Both methods are acceptable, but only one method can be used. Subsequently, we give NSC the DV file for Degree Verify, and the Grads file for reporting to make sure that the effective dates NSC generates are overwritten with our effective dates.

However, the process we use is not necessarily specific to NSC, so rather than talk about SFRNSLC, we’ll just talk generally about generating data. 2: There are 2 periods in which we can make changes to correct our data. Before it is generated, and after. 3: Before data is generated, we can remove things, while after it is generated we can edit things. 4: Attributes/markers can be placed on populations that should not be pulled into the report, while edits can be either automatic or manual.

• Populations that you know have a high chance of error

• Individual students experiencing difficulties

• Students in the NSC/NSLDS errors & rejects

• Pull records directly from the CLR / GRAD file.

• Use manageable selection sizes

• Scale up based on NSC/NSLDS errors & rejects

Quick Tips

Graduates & Graduation Dates• DV Files auto-generate Graduation Effective Dates

to be equal to the last date of attendance.

• If a student was set as WITHDRAWN before graduatingthen a DV file will NOT mark them as graduated.

• If a student is graduated for a previous term after the conferment period, track them.

• Just use a GRAD file at the end of the term!

• The difference between a CLR and GRAD file in SFRNSLC is the ‘Report Flag.’ Y = CLR, N = GRAD

Backdates & SSCR Data• NSC will not redact attendance.

• If a student appeals their attendance, set their date withNSC to withdrawn before first-day. Update NSLDSwith the correct dates.

• NSLDS only requests data on select students. They do not request information on ALL students.

• NSLDS must have 2 updates of ‘withdrawn’ to stop requesting a student’s data from NSC.
