T his year we decided toapproach our recruiting andretention efforts in a more

systematic and businesslike fashionthan we had in the past. Over theyears, with our stable membership,we had come to rely on the casualefforts of members to bring possiblerecruits. As we faced normal attri-tion due to transfers, changes in lifesituations and, even, death of ourmembers, we realized the need toinvolve all members in the quest fornew members to round out our rollsand bring new energy and focus toour activities.

We started by designing and pro-ducing a new membership brochurewith a contemporary look. This bro-chure, headlined with “Make A Dif-ference!” includes information aboutRotary International as well as spe-cific information about the RotaryClub of Herndon and its activities.Another member developed a docu-ment that explains the way the Clubmeetings are conducted, the specificprojects undertaken by the Club andthe criteria by which members areselected. Both pieces stress the “Ser-

Herndon Rotary Institutes “Drip Program”vice Above Self” and are designedto appeal to potential members whoare looking for a way to give back totheir local and world communities. The printed materials are augmentedby regular submission of press re-leases to highlight the ongoing workof the Club and its members.

At the heart of the recruiting andretaining program is a Drip program.Members are asked to submit thenames and contact information often possible recruits. These possiblenew members are then sent a copyof the “Make A Difference!” bro-chure and a short note asking themto consider Rotary membership. They are invited to take a look atthe website (under revision by a taskforce) and to contact a member ofthe board for more information. In-quiries are followed up with the sec-ond printed piece (most often sentvia email) and invited to join us fora regular meeting. The Drip programcalls for a regular contact with thoserecommended for membership mini-mally each quarter. They are alsosent a copy of our Newsletter as it isdeveloped.

Retention is reinforced withregular member emails, a Newslet-ter with pictures of speakers andmembers and an ongoing educationprogram conducted during thecourse of regular meetings. The fire-side chat, a separate educationalevent where each service area is dis-cussed and reviewed as a way of edu-cating new and old members, is an-other vehicle for member retentionthat has been effectively used in thelast few years.

By far, the most effective way tobring more members, who have adesire to serve, is to keep the nameand faces of the Club in front of thecommunity. Fortunately, our Clubmembers, as a whole, take prominentpositions within the business com-munity and their work is reported inthe local papers. The activities ofour Club members and the contin-ued reminder to look for possible newmembers form the heart of our Club’sgrowth. The Drip program assistswith follow up and provides a data-base that can be massaged, devel-oped and continued from one yearto the next.
