Welcome to the 134th Annual MichiganAssociation of Fairs & Exhibitions Convention!

Welcome to the 134th annual MAFE Convention. What a great way to kick off the year 2019. Our theme this year is Honoring the Past and Looking into

the Future. The Michigan fair industry has such a rich history we all should be proud of, but by attending the MAFE Convention you are showing a dedication

to continue to move forward into a bright future. Thank you to all our sponsors for making it possible for us to again be at

the beautiful Amway in Grand Rapids. I would also like to thank the MAFE board for your year-round support

and work to make this convention possible. A big thanks is also due to all the volunteers for their time and dedication to the association.

As always, if you have suggestions or new ideas, please let me know. I hope you have a fun and educational experience at the 2019 MAFE

Silent AuctionThe Silent Auction is located in the Trade Show in the Ambassador

Ballroom. Please make a note of the Trade Show hours above for your bidding times. Donations will be accepted starting at 10:00 am on Thursday in the tradeshow area. The final auction will take place on Saturday, January 12 at 12:30 PM. It has truly become a convention highlight and we encourage all members and spouses to frequent this area. All money raised goes toward maintaining the Michigan Association of Fairs & Exhibitions programs throughout the year and our presence in Lansing.

Active Shooter Preparedness Training: Grandview RoomMike Baker, Protective Security Advisor (PSA), U.S. Department of Homeland Security - PSA Baker will present the DHS Active Shooter Preparedness training. The ultimate goal of this training is to teach your staff members what they can do in the event of an active shooter attack. The training addresses the following topics: Previous active shooter incidents; Evolution of police response; Current FBI Joint Intelligence Bulletin statistics; Recognizing indicators of the Pathway to violence; and How to react to an active shooter situation.

High Tech Fairgrounds: Pearl Room Mike Frushour, Cass County Fair & Ken Kuespert, Berrien County Youth Fair - Learn about updating your fairgrounds including paging systems, Wifi, grounds card access, general sound, lighting, video and more

Campground Requirements: Atrium (lower level) David Graves and Sarah Rottiers, DEQ Campgrounds and Pools - Learn about Michigan campground requirements. This session will also discuss pertinent campground regulations, things on the horizon, and what fairs need to do in order to have a successful campground.

11:00 am - 12:00 pm Round Table Topics Meet your Legislators: Thornapple Room Mandy Tomich, Dodak & Associates - Question and answer session with State of Michigan officials. This is a great opportunity to build further relationships with your legislators and learn about legislation coming down the pike.

Rules for Concessioners: Heritage Hill Room Michael Smith, Ionia Free Fair - Discussion on concession rules as they pertain to out-front signage including sandwich boards, exclusivity of selling goods, exclusivity of buying goods, vender layouts and more.

How to Attract More Exhibitors: Berkley Room Chris Ruemenapp, St Clair County 4-H and Youth Fair - Attracting new exhibitors can enrich your fair and increase attendance. What partnerships can you forge to bring in new exhibitors? Are their contests that seem to work to draw a new pool of participants? What groups can you tap into to increase participation?

H2B Work Visa Program: Haldane Room Doug Burtch, TJ Schmidt Carnival - Learn about this important work visa program, what it means to the carnival/fair industry and why it important for everyone to understand.

2:00 pm - 4:15 pm Extended Learning Session Service Animal Session: Atrium (lower level) Sharon Alston Ellis, lawyer and former State of Michigan Compliance Director for the Americans with Disabilities Act (ADA), will present information on the ADA and Michigan legislation regarding service animals. She’ll discuss ADA basics, the rights and responsibilities of fair and exhibition presenters and service animal owners, the differences between service and other support animals, and answer questions.

2:00 pm - 3:00 pm Workshops Running an Effective Meeting: Grandview Room Jason Scramlin, Michigan Farm Bureau - Running an effective and efficient meeting is not always as easy as it seems. Board meetings can sometimes get lengthy and that can drive some members away. Come to this session for ideas to run quick and efficient meetings that will help your organization stay on track and get board members out in a timely manner.

Marijuana Businesses and your Event: Pearl Room David Revore, Bauckham Sparks Thall Seeber & Kaufman PC. With changing legislation related to marijuana in Michigan it is important for fairs and festivals to be aware of how that impacts your event. This session will discuss how this topic as it relates to vendors and sponsors. What do you need to consider when developing policies? Come prepared with questions.

Animal Health Q&A with State Veterinarian: Emerald Room Drs. Nora Wineland, Nancy Barr, and Jim Kober, MI Department of Agriculture and Rural Development - This will be an opportunity to interact with the State Veterinarian and Assistant State Veterinarians regarding animal health at Michigan Fairs/Exhibitions. Bring your questions, ideas, or thoughts and hear what the leaders of Animal Health have to say.

MSU Extension Fair Relationship Panel: Imperial Ballroom (Pantlind side) - MAFE Ad Hoc Committee - In the Spring MAFE sent out a survey to fairs and MSU Extension/4H staff. Come to this session to learn about some of the key take-aways and next steps to build better relationships.

2:00 pm - 3:00 pm Round Table Topics Ask the Attorney: Berkey Room Gary Howell - Sponsored by Eastern Michigan State Fair - Come prepared with legal questions to ask an attorney.

Goats with Horns: Heritage Hill Room Sheryl Howe, Western Michigan Fair - What are your rules for horns on goats? Breed standards continue to change, so do you make allowances for certain breeds? Are their exceptions? Come prepared to discuss. When to get the Police Involved: Thornapple Room Brian Kuemin, Cass County Fair - Boards and planners are use to handling challenges, but sometimes it is time for authorities to get involved. Come with examples of how things worked well involving law enforcement, ways you have fostered relationships with police, things you have learned or guidelines your board uses.

MDARD Grant Session: Haldane Room Cinda Karlik, MDARD - Come prepared with questions about the MDARD Capital Improvement and Livestock grants offered by MDARD

3:15 pm - 4:15 pm Workshops Board Goal Setting: Grandview Room Jason Scramlin, Michigan Farm Bureau - Operating without goals is like wandering the woods without a map or a compass. Defining clear and specific goals can help set the direction of your organization. Goals help to drive change and advance your mission. This session will provide resources and key elements to setting and executing goals that will aid in driving your committee/organization forward.

Master Planning for your Fairgrounds: Pearl Room Bill Zaske, TowersPinkster and Trish Steele, Midland County Fair - What will your fairgrounds look like in 10 years or 20 years? It is important to have a plan for your grounds so projects can be placed in a responsible manner and won’t cause heartache down the road. This session will walk through areas you should consider when coming up with a plan to guide you through improvements and grant opportunities.

Protecting People, Pigs and the Public: Emerald Room Beth Ferry-MSUE, Dr. Madonna Benjamin-MSUE, Melissa May-Mill-erick-MSU College of Human Medicine - The focus of this session will be to help county fairs and exhibitions understand what biosecurity practices can be implemented to help decrease the spread of disease between animals and between animals and people at public venues. Session presenters will discuss different biosecurity practices that can easily be implemented for all species of exhibition animals, disinfection protocols and products and how ventilation practices can influence the spread of disease. This session will also cover different strategies for decreasing the risks of influenza outbreaks at county fairs and exhibitions and talk about upcoming research projects. Session participants are encouraged to participate as current biosecurity practices at county fairs and exhibition will be reviewed.

3:15 pm - 4:15 pm Round Table Topics Presales of Tickets and Credit Cards: Berkley Room Chris Miller, Genesee County Fair - Selling tickets to your events beforehand can make a big difference. What are the pros and cons? What has worked and what hasn’t worked? What is the benefit? What systems are you using for pre-sales? How are you handling credit card sales before and during your event?

MAFE Ambassador Program: Heritage Hill Room Lisa Reiff, MAFE - MAFE is considering starting an ambassador program that would include state recognition and scholarship money for our fair/festival youth. Come to discuss ideas and help brainstorm this exciting new venture. How can this program benefit youth at your fair/festival? How can we align with activities already in place, including royalty at your fair or festival?

Fairs by the Numbers: Atrium (lower level) Ian Kempf, Eastern Michigan State Fair - A financial analysis of a fair. This session will outline not only the hard numbers related to a fair, but also breakdown of finances by percentages, so regardless of your fair size, it is scalable for your fair.

Livestock Auctions: Emerald Room Jessica Marks, Kent County Youth Fair - Come to this session to learn and discuss livestock auctions. Kent County Youth Fair will share about their successful livestock auction. Come prepared with questions and also to share your own successes and challenges. How to Deal with Drugs and other influences on Fairgrounds property: Grandview Room Officer Jerry Wilson, Midland Arms Defensive Solutions, and Myron Greene, Midland County Sheriff Department - With the opioid epidemic so prevalent in our society, it is important to find new ways to protect fairgoers and patrons from such bad influences. The session will touch on ways to communicate with people, build systems, what we are currently seeing in local communities and where to look for resources.

Ground Maintenance/Improvement: Pearl Room Mark Vandenbusche, Lenwaee County Fair - Come to discuss ground maintenance including do-it yourself projects, preparing the grounds for nightly events, special projects and ways to improve your grounds. Come with examples, both good and bad, to share with the group.

Berkley Room Shiawassee County Fair - Come prepared to talk about camping during fair including deciding who gets to camp, assigning spaces for exhibitor and/or venders. What are some areas of stress? What has and has not worked for your fair?

Computer Premium Systems: Heritage Hill Room Cinda Karlik, MDARD - Share experiences using your premium program and come with questions for your fellow fairs about their experiences.

First Aid Stations: Thornapple Room Matt Kempf, Newaygo County Fair - How do you handle first aid stations? Where are they located during your event and during special events such as grandstand entertain-ment? What are some things that have worked or have not worked well? How are you keeping track of people that received first aid care? Bring ideas and questions on how to start a first aid station.

Proactive Swine Health Logistics: Haldane Room Eric Frahm, Saginaw County Fair - Some fairs require all swine to be vaccinated for influenza at their fair. Come to hear how it worked for their fairs and share what you have done at your fair to improve swine health. Also come to discuss how measures have been received by exhibitors and/or the general public.

How your Event Adds to your Community’s Quality of Life: Pearl Room - Bob Thomas, Michigan Chamber of Commerce - Fairs and festivals enrich the community and help build a local brand. In fact, many communities are known more for their events than some of their local attractions! Learn how to leverage your event to attract attendance, sponsors and buy-in from local leadership.

DIy Social Media Presence: Grandview Sara Ressler, Oakland County Fair -Navigating all of the available “help options” to a DIY Social Media Presence or Campaign. This session will discuss resources available on a variety of social media platforms to help improve your online presence.

Determining your Economic Impact: Emerald Vickie Micheau, Upper Peninsula State Fair - The UPSF recently went through a process to collect data and analyze the economic impact of their fair. Come learn about the findings, the grant they were awarded, how they collected data, and their impressive results that support the positive impact fairs have on communities.

10:00 am - 11:00 am Round Table Topics yMAFE – young Professional Program: Berkley Room Dan Bonnell, CapSure Insurance & yMAFE committee chair - Open to professionals 45 years old and younger. Come prepared to brainstorm ideas for the development of the program, how it can benefit your fair/festival/business, and ideas for the future.

Transfer of Ownership: Heritage Hill Room Rod Beach, Beach Concessions - How does your event handle a vendor that changes ownership? Come to discuss policies and rules related to this topic. Feel free to bring examples of issues your event has had to handle during transition periods.

Beer Barn: Thornapple Room Jeff VanderBoon, Lake Odessa Fair - What are the pros and cons of having beer at your event? How to get one started? Ways to leverage community/local support. Are you using tickets or cash? Serving draft beers or canned? Ideas on promotion and implementation of a successful beer barn, as well as navigating paperwork required by the state. If you have examples of what has not worked, please also come prepare to discuss and share with the group.

How to Engage your Local Health Department: Haldane Dr. Mary Grace Stobierski and Dr. Kimberly Signs, MI Department of Health & Human Services - Building strong relationships between fairs and local health departments is an important part of planning your event. Come to share ideas, success stories and challenges related to building those relations. Come prepared to brainstorm and discuss.

11:15 am - 12:15 pm Workshops Event Efficiencies: Pearl Room Bob Thomas, Michigan Chamber of Commerce - Are you looking for ways to do more with less? Learn about creative solutions to help reduce costs, build collaboration, and add interest to event. This is an interactive session—bring your ideas to share!

Superintendent Training: Grandview Room Diane Brazier, Emmet County 4-H Program Coordinator, Affiliated with the Emmet-Charlevoix County Fair - This session will go over training and orientation for superin-tendents, providing some tools and resources you can use at your fair. We will also discuss building positive working relationship with your superintendents. Feel free to bring a jump drive to bring useful materials back to your local fair.

Crisis Communication: Emerald Room Officer Jerry Wilson, Midland Arms Defensive Solutions, and Myron Greene, Midland County Sheriff Department - Public relations during and after a crisis. What to say and what not to say to different audience. Real life examples will be used in this interactive session including: missing children, theft, out-of-control youths, active shooter, and more.

11:15 am - 12:15 pm Round Table Topics Front Gate Cash Handling: Berkley Room Cinda Karlik, MDARD - Anytime cash is involved it can create challenges and opportunities. How is your fair handling cash, specifically at the front gate? What have you had to learn “the hard way” and how have you resolved issues? What is working well for your fair? What systems are in place to help safeguard from mishandling.

Outdoor Amusement Business Association Update from Washington: Haldane Room Doug Burtch, OABA Director - Find out what the OABA has been working on with legislators in Washington and how these initiatives may effect your fair or carnival. Also in the Q&A find out what the OABA can do for you and why membership is so important during these challenging times in Washington! Your voice counts!

City Ordinance Effecting your Vendors: Heritage Hill Agnes Shaw, Emmet and Charlevoix County Fair - Navigating city ordinances can be challenging. With food trucks becoming more and more popular, cities often have rules effecting food vendors during your event. What are other areas has your event encountered and how have you overcome them?

Small Fair Networking: Thornapple Room Walt and Karen Maki, Marquette County Fair - Come prepared to discuss issues specific to small fairs including entertainment, getting venders, funding and grounds. This session is open to everyone, but the discussion is specifically intended for fairs with attendance below 20,000.

2:00 pm - 3:00 pm Workshops Animal Health Plans: 1 year later: Pearl Room Katie Ockert, 4-H/MSU Extension - Several counties created animal health plans in 2018, in this session we will talk about success stories, challenges, and how we can improve animal and human health at fairs and exhibitions. Volunteer 101: Atrium (lower level) Alexis Bremer, National Cherry Festival - We could not put on great events without outstanding volunteers. Come to this session to learn about volunteer recruitment, retention and recognition.

Handicapable Day: Grandview Room Bruce Doll, Kent County Youth Fair, and Susan Mesak & Amy Lovely, Swartz Creek Hometown Days - Learn how to create events for people with special needs that will engage participants and enrich the community. We will talk about or programs and we will also take questions.

yQCA: Emerald Room Come to learn about the Youth for the Quality Care of Animals (YQCA) Program. What is it, how it works and the future of the program. This session will touch on requirements that fairs need to be aware of for pigs and beef from packers across the state.

3:15 - 3:45 Teen Leadership Project - Nelson Room How to take your teen leadership to the next step by displaying it at the Fair. Learn about the new teen leadership project guideline book and how you can showcase your great work in a public venue.
