Spring Test Administration - SATSpring Test Administration SATSAT will be administered the first day of the Michigan Merit Exam for which all three days of testing are required.

The SAT administration is: April 12, 2016All students testing in the standard room are required to test on this date. This includes students without accommodations and any students with accommodations that dont impact timing where the students test in the standard room. For example, large-print-only test book.

The College Board is looking at offering a short window (April 1215) for students testing with school-based accommodations. These accommodations include braille, reader script, assistive technology compatible, MP3 audio, and students testing over two days (100% extended time). Dates for 50% extended time are still in discussion. More information will be available in Spotlight and discussed in the MME Webinar.

The SAT makeup administration is: April 26, 2016

- Accommodated students who test in the standard room, will be required to test on 4/12 with the other students. These are typically students using large print books or other accommodations that and dont impact timing and use the standard form. - Accommodated students who test with school-based accommodations, will have 4/12 through 4/15 to complete their testing, which aligns to our national test day policy as well. These accommodations include braille, reader script, assistive technology compatible, MP3 audio, and students testing over 2 days (100% extended time.) One thing to note, is the students who test over multiple days, must test on consecutive days. If for some reason they miss the second day, they will be required to take the makeup exam.

Spring Test Administration PSAT 8/9 & PSAT 10

Spring Test Administration PSAT 8/9 & PSAT 10All Michigan 9th- and 10th-graders testing in a standard room are required to test on either April 12, 2016 or April 13, 2016.

Schools can elect to administer the test to 9th-graders on one day, 10th-graders on the other day, or test both grades on the same day. All students in the same grade must be tested on the same day. Schools can choose which date April 12 or April 13 works best for them.

Students with school-based accommodations that require separate rooms, can test April 12, 2016April 26, 2016. These accommodations include braille, reader script, assistive technology compatible, MP3 audio, and students testing over 2 days (100% extended time). More information will be available in Spotlight and discussed in the MME webinar.

The makeup administration is: April 26, 2016, or April 27, 2016, for students testing in standard rooms.

All student testing must be completed by April 27, 2016.5

- There is not makeup date for school based accommodated students because they can test anytime during the window.5

Roles and Responsibilities at Participating SchoolsThe principal is our main instructional contact at the school and is responsible for:

Receiving and distributing general information about the Official SAT Practice through Khan Academy.Receiving the schools allotment of School Day Fee Waivers for distribution to eligible students.Enlisting the aid of other staff, but the principal will be the College Boards main contact.

Associate Supervisor(s) are accountable for everyone in the testing room and everything that takes place in that room, including managing all testing materials, conducting the testing, and monitoring test-takers to ensure a fair administration. We recommend using current or retired teachers, counselors, administrators, or other educators who are familiar with test administration and/or classroom management.Each room requires one Associate Supervisor.

Roles and Responsibilities at Participating SchoolsProctor(s) and Hall Monitors are responsible for assisting the Test Center and Associate Supervisors.Proctors do not administer the test, but they do help set up the testing area and monitor testing. Hall Monitors patrol the hallways during testing to make sure the testing area remains quiet and secure. Proctors and Hall Monitors may be members of the school staff or other adults who have been trained to help Test Center Supervisors and Associate Supervisors.12

Attending Institution (AI) and Test Center EstablishmentThe College Board will ensure that all Michigan schools have an attending institution (AI) code and test center codes to support spring testing. We will be relying on the Test Coordinator contact information from the EEM for several important communications later this fall.The College Board will provide a notice to the Test Coordinator contacts confirming that your school is ready to test. We will be providing more information about submitting an off-site testing location request for schools requiring off-site testing locations. The College Board will be reaching out to private schools to determine intent to participate in the spring testing window so that we can make sure these schools are set up appropriately. Private schools that intend to participate in the SAT must participate in all three days of MME testing.14

Pre-ID Labels

The College Board will determine your material order based onThe students pre-IDd in the Secure Site.The students approved for accommodations via College Boards online system.

Labels will be shipped to each school for all students who were pre-IDd so they may be affixed to student answer sheet and Student Data Questionnaire in advance of test day.

The College Board will ship a small overage of test materials to account for standby test-takers, typically students who are last-minute transfers into the school, etc. These students must be pre-IDd in the Secure Site before testing, and schools must generate a pre-ID label onsite to affix to the answer sheet.The College Board will ship a supply of blank labels so schools can generate labels on site for standby test-takers.

Each school will receive a shipment of Student Data Questionnaires (SDQ), instruction booklets, and pre-ID labels to be completed in advance of the test date.

While completing the SDQ, students can choose to participate in the Student Search Service.Student Search Service helps connect students with colleges, universities, and scholarship opportunities that match up with students interests and needs.Participating in Student Search Service is entirely optional.

Instruction booklets that must to be given to each student contain:Instructions for completing the SDQ.Important information about the SAT, such as Terms and Conditions.

SDQ takes between 30-45 minutes to complete.

We recommend that teachers read through the questionnaire and booklet prior to doing this in class with students.16

Requesting Accommodations

Requesting AccommodationsWe encourage everyone to start early!

Requests for accommodations should be submitted by the SSD Coordinator by February 16, 2016.

Any student who participated in the October 2015 PSAT/NMSQT and received approved accommodations will not need to reapply unless his or her accommodation needs change.

New for spring PSAT 8/9 requests for 9th-grade state-sponsored testing in the spring will be submitted via the SSD Online system, and more details will follow this fall. This is new and different from what you may have done for fall or heard previously.18

Requesting Accommodations

Schools should request College Board accommodations for all students, with the exception of the following accommodations types:Reading content and test questions in the students native language.Use of a bilingual word-for-word, nonelectronic translation glossary for English language learners.Signing of the content and test questions in American Sign Language (ASL).Student responds in American Sign Language (ASL).

These are considered State-Allowed Accommodations. More information will be provided in a webinar later this fall.

SSD Accommodations and Testing Rosters

Schools will use Secure Site to create a roster of all students testing.

The SSD Coordinator should confirm the following by March 29, 2016: That all students requiring accommodations, who submitted by the Feb. 16, 2016, deadline, have been approved for accommodations via SSD Online.

The number of students who will be testing outside of the standard room in order to finalize room needs, staffing, and scheduling.

That all students appear correctly on the Non-Standard Accommodations Roster (NAR) within the SSD Online system to verify accommodations. If a student does not have the appropriate accommodations listed on the roster or the NAR, contact SSD Support.

Planning for Schedule on Test Days

Note this is just testing time. Were still finalizing suggested admin activities time, likely an additional 30-45 minutes.

-School start time/ breakfast some schools choose to start school earlier and provide all students with breakfast.-Bus Schedules some schools choose to alter bus schedules to have students arrive earlier to participate in breakfast and to make sure busses arent help up in traffic, etc.-Lunch Periods lunch must follow testing-Bells must be silenced. If a school is co-located with another school in the same building, bells need to be silenced for all students. This is one that must be investigated before test day (lots of schools dont really know how to do this), and make sure more than one person knows how to silence the bell system in the event the main person is delayed or unable to attend that dayDismissal times some schools choose to alter dismissal times to be earlier so that students do not have to attend class, etc. after taking the test23

Planning for Testing Rooms

Size of cohort testing and size of rooms used for testing determine number of rooms needed.

Options for rooms include:Larger spaces, such as auditoriums and gymnasiumsSmaller spaces, such as classrooms

Location of testing rooms within the buildingSeparated from other classes/tests on different schedules or taking different assessmentsMinimize noise and other disruptions when classes or other assessments break Area where there will be minimal noise/distractions from outside the buildingAccess to restrooms

Things to keep in mind about room size:-Larger rooms can be great because they typically mean fewer staff members are needed. However, especially in these types of spaces, schools need to make sure appropriate seating/desks are used and that there is appropriate distance between students in these setting (details in testing manuals, esp. important if using an auditorium with raised seating). Also make sure that there are clocks visible and a place for Associate Supervisors to write important information like start and end times that all students can see. The downside of larger spaces if there is an irregularity (such as a mistiming) it can affect a large number of students for which make-up testing must be supported.-Smaller rooms typically mean more staff, since one Associate Supervisor is needed per room. We recommend rooms that can seat at least 25 students at the required spacing intervals so that staffing does not become onerous. If using classrooms, make sure to cover up any instructional materials in the room. Good news if there is an irregularity like a mistiming fewer students are affected.

Seating requirements students must be separated by 4 feet left to right, measured from center of desk to center of desk. This is equivalent to ACTs requirements, just stated differently. Next slide has detailed info directly from manual.25

Use chairs with backs.Face seats in the same direction.Place chairs directly behind those in the preceding row.Separate each student by a minimum of four feet from right to left (measure from center of desk).Ensure unimpeded access to every student by staff.Seat only one student at a table measuring six feet in length or less.Seat students at least four feet apart and facing the same direction if tables longer than six feet are used.Provide a large, smooth writing surface, preferably desks or tables.Tablet-arm chairs must have a minimum writing surface of 12 x 15 inches.Study carrels, lapboards, language laboratory booths, and tables with partitions or dividers are not acceptable.26

Planning for Staffing Needs

The size of cohort testing, number of testing rooms, and number of students in each room determine number of staff needed.Formulas available in Test Center Supervisor Manual

Test day staff must meet the following requirements:Not employed by an outside test-prep company.Have not taken the SAT within 180 days of the administration date.Does not have a household member taking the test at any site on the same date.Test day staff does not have to be comprised only of teachers.Check with your school/district for their own policies about this.Some schools utilize aides, paras, substitutes, coaches.

Regarding staff not being employed by an outside test-prep company staff can teach school-run test prep classes (either during school or before/after school) but cannot work for an outside test prep company (like Kaplan, Princeton Review, etc.).

When choosing staff, make sure you are following any school or district policies, as they may differ from College Board policies.Testing staff dont have to be teachers, but they must be able to keep control over the situation/have classroom management skills.

Test Center Supervisors are required to read all Supervisor manuals in advance of test day.

Online training is not available. However, the College Board will provide a webinar in advance of test day. See Spotlight for more information.

The Test Center Supervisor is responsible for training other testing staff. We depend on you and your staff to administer the test according to this manual so that all students have the same opportunity to do their best.

Test Materials Delivery

Standard Test materials will be addressed to the Test Center Supervisor at the attending institution address and will arrive 23 weeks before testing. Somehow we need to clarify difference between this slide and next slide that materials are shipped to attention of TC Supervisor at AI, while materials are returned from TC Supervisor at TC. - Would be good to include in notes that those schools administering SAT, PSAT 10 and 8/9 could potentially receive a LARGE volume of boxes. We are working on understanding what this volume could look like, but might be good for them to start to be prepared.34

Test Materials Return SAT

On April 11, the Test Center Supervisor will receive an email from TAS with information about custom courier test materials pickup.The email may include a confirmation number, along with the date and time of the pickup.If this service is not available in your area, Supervisors will receive an email with alternate directions for returning their materials.Once testing is complete, package all materials for shipment.Detailed instructions are included in test materials boxes and in the Test Center Supervisors Manual.Prepaid shipping labels, with the correct addresses for each box, are included with the test materials.Follow packing and addressing instructions exactly.Errors in packing or shipping will lead to score delays for students.If you have any questions, contact TAS for assistance.Schools will need to return test materials separately for each assessment. Refer to each tests Supervisors Manual to ensure that your materials are returned correctly.36

We pre-arrange UPS pick-ups for schools. We try to have materials picked up in the afternoon on the day of the test, after testing has concluded. In some areas, though, UPS cannot do pick-ups later in the day and so we arrange for pick-ups to occur the next day. The email they get on 4/11 will provide all details.

If standard UPS pickup is unavailable in their area, we work with UPS to arrange third-party courier pickup and/or USPS shipping. Each of these situations is handled individually and TAS sends emails to affected customers with their pick-up specifics.

Sending materials to the wrong place can lead to delays in scores for students please follow directions exactly!36

Khan Academy Road to SuccessKhan Academy is designed to engage students in 30 minutes of productive practice on a daily basis.All questions in the Khan platform meet SAT test specifications.Four full-length SAT practice tests are available.Practice is focused on priority areas.Khan Academy question format and design mirrors the design/format of the online SAT. Each question will provide answer explanations, step-by-step solution, and hints.Coming soon, students will be able to write an essay and have it scored in Khan Academy. In the spring, students will also receive feedback about their essay.41

Score Reporting and Scholarship OpportunitiesAll students who take the SAT are eligible for 4 free score sends.

To send scores, students must log in to their College Board account and add in the colleges or scholarship organizations to which they want to send the scores.

Students have until April 21, 2016, at 11:59 p.m. EST to add score sends through their College Board account.

After April 21, 2016, students are still able to have their scores sent to colleges and scholarship organizations, but there is a fee.42

Free score sends students add them through their College Board online account. They can do this from the time their registrations are processed until TD+9.

If they choose to send scores after TD+9, it is $11.25 per score report.42

Student Search Service

Students may choose to participate in Student Search Service as part of answering the student data questionnaire.

Student information will then be made available to participating colleges and scholarship services.

Colleges and scholarship programs then use the Student Search Service to help them locate and recruit students with characteristics that they find to be a good match with their programs. This is a great way for you to get information about colleges with which you may not be familiar

Orgs that participate in Student Search agree to a number of terms. Ex:-They cannot be selling services to students (like test prep)-They do not contact students by telephone-They must send all mailings that are sent to student to the College Board so that we can monitor what they share43

SAT School Day Fee Waiver

Eligible students taking the School Day test are able to have access to benefits that students who take the weekend administration are able to access through their testing fee waiver.Students who are enrolled in or eligible for the National School Lunch Program (NSLP) are eligible.

SAT School Day Fee Waivers are sent to the principal at schools approximately 3 weeks before the test administration.Schools then distribute them to eligible students.

Student benefits included with an SAT School Day Fee Waiver are:4 free score sends to use at any time (fee-waiver code required)Access to Question and Answer Service for April School Day administration by calling Customer Service (fee-waiver code required)4 College Application Fee Waivers, automatically delivered to students online account the August before they begin their senior year

For students who are eligible for the School Day Fee Waiver -They can get a total of 8 score sends through their participation in School Day 4 that have to be send by TD+9 and 4 that can be used at any time-As part of QAS, they receive a copy of a booklet with the test questions that were part of the April test and a report that includes their scores to each question-Their College Application Fee Waivers are delivered automatically to their online account in August 2016 they do not need to go back to their counselor.

(QAS is available for all non-fee waivers eligible students for April School Day for $18)

Gaining Access to the Opportunities

Students can create a College Board account. This is the same account they will use to retrieve score reports and link to their Khan Academy account.

Students taking the PSAT10 can elect to participate in Scholarship and College Opportunities on their answer sheet.

Students taking the SAT can elect to participate by completing the Student Data Questionnaire (SDQ) in advance of test day.
