This informative session will dive into many areas of SharePoint from
an IT perspective. It will also emphasize the importance of delegation
in SharePoint for the various duties performed.
Many companies have SharePoint but are not utilizing it because
they haven't seen it in action the way it was designed. Roles will be
defined, and the expectations of those roles, and the courses
pertaining to each role.
Walk away with a better understanding of what it is, how it is used
more effectively and how IT can drive that functionality forward.

Introduction to SharePoint 2013
What is SharePoint
SharePoint Roles
What is SharePoint? A web based collaboration platform
A project management tool, specifically, to manage
the timelines and flow of documents in a project.
A document storage system or Enterprise Content
Management System (ECM).
A multi-tiered line-of-business application.
A powerful search platform to find people, documents
and specific content in those documents.
A Web-based Collaboration Platform
Using any web browser, project members upload
documents, adjust to-do lists, modify calendar items and
contribute to blogs, wikis and discussion boards.
Any device, anywhere, anytime.
Each SharePoint team site is a collaboration project.
Each project has a selected group of employees to contribute
and get the project done.

Using a Project Calendar
Using select, invited members

Enterprise Content Management
Currently an ECM encompasses three main components:
Document management: for check-in/check-out, version control,
security and library services for business documents.
Records management: for long-term archiving, automation of
retention and compliance policies, and ensuring legal, regulatory
and industry compliance.
Web Content Management (WCM): WCM for controlling the
content of a website through the use of specific management tools
based on a core repository. It includes content creation functions,
such as templates, workflow, change management, and content
deployment functions that deliver prepackaged or on-demand
content to Web servers.
ECM defined as a
strategy can help
enterprises take control
of their content and, in
so doing, boost
productivity, encourage
collaboration and make
information easier to
share.
ECM defined as
software consists of
applications that
interoperate, but that can
be sold and used
separately.

SharePoint Roles
There are specific roles in SharePoint requiring different
levels of training and skills:
• SharePoint Architect (planner)
• SharePoint Developer (programmer)
• SharePoint IT Administrator (server farm)
• Site Owner (individual site collections)
• End User (content contributor and consumer)
IT Administrator
The skills for an IT Admin can be learned in a 5 day
course at the minimum. Skills needed are:
• Understand the network infrastructure
• Install SharePoint and Office Web Apps (server)
• Use Central Administration
• Administer managed metadata (SharePoint Taxonomy)
• Use PowerShell to administer SharePoint
• Activate SharePoint Features

vs
PowerShell
SharePoint can be installed on a
Windows 8 Pro workstation with
Hyper-V (for practice or dev)
Guidelines for OWA Installation To minimize the complexity of the deployment install all office web apps roles on
each server instead of distributing the roles on servers.
Office web Apps 2013 does not require SQL database.
PowerShell is used to define Office Web Apps topology, by using New-
OfficeWebAppsFarm command with the master server (the first server in the farm)
and by using New-OfficeWebAppsMachine command to join more machines to the
farm.
PowerShell commands connect the SharePoint farm to Office Web Apps farm.
When installing updates and patches , the Office Web Apps server should be
disconnected from the Office Web Apps farm then joined again after finish the
patching.
SharePoint system account cant render office web apps (by design for security)
NLB Tips
Consider using NLB for high availability
Make sure to enable NLB server affinity

Activate Features & Solutions
It’s our job to take features and
solutions built by developers and
install, then activate them.
Delegation of Site Ownership
IT can’t do it all!
What does the Site Owner do?
Site Owner
IT Can’t Do It All!
• We design the farm
• We install the farm servers
• We configure Web Applications
• We configure Site Collections
• We design the Taxonomy
• We install features and solutions
• We fix
Site Owner
Site Owners
• Managers take control of their Site Collections
• Department Managers and Project Managers
are given the permission of “Site Owner”
• As a Site Owner, they can make more sites and
• Modify the current site web part placement
• Modify the look and feel of the site (theme)
• Change menu items
• Add or insert web parts, apps and
audio/video
• Add or remove libraries and lists

With little training, Site
Owners can easily manage
the permissions of the
members of their site.

Site Owners Summary
Are not IT personnel
Are given a 2 day course
Are given owner permission to site(s)
IT can “take ownership” to help
Are responsible for the lifecycle of each site.
Can make more subsites as needed.
(each IIS server can house 250,000 sites.)
Edit with a browser, not SP Designer!
IT’s Job in Setting the Stage
Set expectations from the start.
• You might be the architect and the IT implementer but get
the roles defined early in the deployment.
• Developers might be needed for custom solutions.
• Help your company understand how big this endeavor is.
• Delegation is key. IT can’t do it all. We cannot be modifying
100,000 sites for everyone.
• Have specific training for IT, Site Owner AND End Users.
• Once Site Owners and End Users learn how
and why, they drive acceptance!
SharePoint Courses
There are many courses available through CTE Solutions
• SharePoint Architect (planner)
• SharePoint Developer (programmer)
• SharePoint IT Administrator (server farm)
• Site Owner (individual site collections)
• End User (content contributor and consumer)
