WELCOME TO WATER AND WOODS FIELD SERVICE COUNCIL GRAND BLANC - CUB SCOUT DAY CAMP 2016

Cub Scout InvestigatorWe would like to introduce you to all the fun and excitement that Day Camp has to offer each and every one. It is our pleasure to present this guide to you, to explain our overall program as well as the programs at our Day Camp. It is our goal to help answer your questions and any questions your cub parents may have. Our goal is for everyone to have a Great Experience at CAMP.

This guide will provide information that pertains to both Cub Scout Day Camps. You will also find information for each individual camp. Each of our camp locations has the same theme: Cub Scout Investigator. Yet, each location has a different Camp director, staff and resources and each camp has its own special touches.

This year we are proud to hold traditional Day Camp at Bicentennial Park in Grand Blanc. Bicentennial Park is a THREE day camp (Monday through Wednesday)

Camp is planned and conducted by a Certified Volunteer Camp Director and a Program Director. Camp is conducted with the assistance of volunteers such as yourself. This guide will explain the role that the leadership of your Pack will play in order to make Day Camp a valuable experience for everyone involved.

It is important to know that all Water and Woods Field Service Council Day Camps meet the National Standards that are set by the Boy Scouts of America. Each camp is inspected to confirm that all mandatory standards are met, which ensures the safety of all campers.

If you have questions about Day Camp in general, or questions about an individual camp, then please contact the Day Camp Directors.

Thank you for your support and dedication to Water and Woods Field Service Council Cub Scout Day Camp. We know from experience how much the boys really enjoy themselves and appreciate your involvement.

Welcome all to “Cub Scout Investigator” – Day Camp at Bicentennial Park!

We will be doing an early Check-in, Pack orientation AND REQUIRED shirt pick up on Sunday, June 26tht, at 6:30 p.m., at Bicentennial Park, 1505 E Grand Blanc Rd Grand Blanc Township, MI 48439.

What to bring to orientation: Health Forms (Section A&B only) for ALL attending Camp, registration confirmation, if you would like to bring a wagon and cooler feel free. We will store them for you in an unlocked room at the Park, as we have never had an issue with theft in the past, however if they come up missing Day Camp is not responsible to replace them. During the orientation and shirt pick up, we will cover all safety measures for camp, a Den Roster will be provided, if a Pack is sending more than 15 boys we may split the Den up with another Pack so everyone can have fun. We ask that you have the appropriate adult coverage for each rank that you send to camp. If you do not have enough adult coverage, then please let us know and we will pair your pack up with other packs in the same situation. One person needs to come from each pack, but if more leaders or parents wish to come, they may. At this time, we will make any paperwork corrections as needed. There will be NO on-site registration. Online registration closes on June 19th. If you are unable to meet this date and want to attend you must contact the Day Camp Directors to see what your options are.

Monday morning (June 27nd), check in will start at 8:30 a.m. all bag lunches will be placed in coolers assigned to individual dens. Opening Flag ceremony is at 9:00 a.m. All campers are required to participate in the Flag Ceremony. Closing Flag Ceremony ends at 4:00 p.m. We only need 1 leader/adult from each pack to do the check in, at the registration table, to collect the attendance sheets. Our scouts participate at camp in their respective Packs. We require that ALL Tiger scouts have someone with them. While at camp, each Den will be working on skits and songs and den yells. Lunches will all be inside the Pavilion. If a scout needs to leave early, or arrives late, they MUST check in and out at our Camp Registration Area. If a Scout is ill, or not coming, please call or we will be calling you. We are responsible for every Scout and youth on the property and we take that responsibility seriously, and will follow all National Standards to ensure the safety of our youth. If a Scout is missing, we will follow all BSA guidelines.

Tuesday morning (June 28th), check in will start at 8:30 a.m. at your designated Den location all bag lunches will be placed in coolers assigned to individual dens. The Flag ceremony will start at 9:00 a.m. and camp will have a closing ceremony ending at 4:00 p.m. If it rains, we will have alternate activities under the Pavilion.

Wednesday morning (June 29th), check in will start at 8:30 a.m. at your designated Den location all bag lunches will be placed in coolers assigned to individual dens. The Flag ceremony will start at 8:45 a.m. and camp will have a closing ceremony ending at 4:00 p.m. If it rains, we will have alternate activities under the Pavilion.

Wednesday (June 30th) Closing Flag Ceremony, We ask that parents and visitors arrive at 3:00 p.m. for our closing ceremony and show. Dens are encouraged to have a skit or song prepared. Theme based (Cub Scout Investigator) are encouraged and preferred. Show will commence at 3:15 p.m. and continue until 4:00 p.m. The Den that has done the best service project of the week will get a surprise. Scouts who have stepped above and beyond will be recognized - from EACH DEN. So please take note of which scout(s) has shown true Scouting Spirit. Each Den will be asked to present their Den flag to someone of their choice. Advancement information sheets will be handed out to each Pack. ALL medical forms MUST be picked up by the packs or they will be destroyed at the end of camp.

Camp Activities Will include: Scout Skills, Nature Hike, BB Guns, Archery, Games, STEM, Scout Craft, and so much more….

LOST and FOUND items will be found in the Camp Office. Please put name and pack # on each item at camp. Anything left over AFTER Camp is over, will be taken to the Flint Council Office.

Directions:From 23 - Take the Grand Blanc Road exit off US-23. Proceed east on Grand Blanc Road approximately 1.5 miles you will go over I-75 the park is on your left. Drive through the Park back to the Large Pavilion#1. Park in the gravel lot by the Pavilion.

REQUIRDED PACK LEADERSHIP

IN ORDER FOR YOUR SCOUTS TO ATTEND AND REMAIN AT DAY CAMP, YOUR PACK WILL NEED TO PROVIDE ENOUGH ADULT LEADERSHIP TO ACCOMPANY, ASSIST AND SUPERVISE YOUR PACK'S DAY CAMPERS.

CAMP P R OMOT I ON, REGIST R ATION COOR D I N A TOR or CUBMASTER

You’re Pack Camp Promotion & Registration Coordinator or your Cubmaster is the primary contact that the Camp Directors will use to contact your pack for all its promotion & registration needs, as well as the contact person for any shirt pick-ups. This can be a leader or parent that has attended the Leader Kick Off and has extra registration materials on hand or can forward materials to any of the parents that may need them. This person will also be responsible for answering simple questions regarding camp and deadlines, and getting the forms filled out and forwarded to the council. The responsibilities can be split between two people, whatever works best for the pack.

CAMPER - DAYWALKERS

• Your Pack will need to provide two adults for the first 5 campers and one adult for every a d d i t i o n a l 5 campers thereafter.

• If your Pack is sending both a group of Webelos Scouts and Cub Scouts to the camps, at least one adult must accompany, assist, and supervise each age/rank group.

• Pack adults that choose to work on the Day Camp Staff will NOT count as Pack assistance and supervising adults.

One adult must be the designated as the on-site Pack / Den Leader each day.o Pack / Den Leader are responsible to check the boys in each day as well as to stay until all boys

are picked up.o Pack / Den Leader are responsible to ensure the group is at each station on time and assist with

keeping the boys well behaved. Submit the final version of your Pack's Daily Leadership to the Camp Director on the first day of

camp. If adult leadership is unavailable for your child, you will need to contact the camp director to explore available options.

CAMPER H EALTH A N D S A F E TY

Potentially severe weather may cause local officials to order the closure of Day Camp for the day. The Day Camp Director will notify all onsite Leaders of any emergency procedures and closures. The designated on-site Pack Leader must have an emergency c o n t a c t list, including the names and valid phone numbers of both parents or guardians and emergency drivers.

Each camper's health form must be filled out, COMPLETELY. This includes all adults, and scouts attending camp.

• If a Scout from your Pack has a condition that requires emergency medication to be given immediately upon an occurrence (e.g., bee sting, etc…), the camper's health form must reflect who is allowed to carry and administer the medication to the Scout. That person must identify themselves to the Camp Health Officer upon check-in.

• All campers leaving EARLY, or arriving late, need to check in at the Camp Registration area. All missing scouts will have parents called. Each camp is required to keep track of all campers and to report missing campers to the police, after parental notification.

REC R UITI N G

We encourage all the packs to recruit new Scouts prior to day camp, especially new Tiger Cubs in May. As long as the Scouts are registered with BSA, they are eligible to attend Day Camp. Please contact your Unit Serving Executive at the Boy Scout Office to schedule a time for a Spring Roundup. If a new Scout turns in their Day Camp registration with their BSA membership application after the early bird deadline, the early bird fee will be honored.

Your Day Camp Checklist January At your leaders meeting set date, time and arrangements for your

Blue & Gold Celebration. If you would like us to come out and do a Camp Promotion please contact us and we would be happy to arrange something for the Blue and Gold or a Pack Meeting.

February Start sharing Camp dates and times as well as cost to the Parents to get them to start thinking about Day or Resident Camps.

March If you have not already scheduled a Day Camp Promotion night DO SO NOW, with theDirector of the Camp you wish to attend.

If you attend one of the roundtable meetings located around the council, your Pack will get general information regarding all of the Water and Woods Field Service Council Day Camps.

Select 1 person to be the Camp Contact. This person will coordinate the registrations for the pack, and contact information to the Camp Director of the Camp you wish to attend.

April Record each youth and adult wishing to attend camp and use the check list to secure all forms necessary for a complete registration. Recruit adults along with the boys to attend camp.

May Set up a Recruiting event at your neighborhood schools for graduating Kindergarteners, it is a great time to promote Cub Scouting and any new cub scout can register for Day Camp at the same time they register for scouting and are entitled to the early bird fee for camp.

Continue to recruit boys for camp. Continue to recruit adults to attend camp and arrange for carpools to get boys to camp.

Do a final promotion for camp for those that have not registered yet. We do not want to leave anyone out of the fun and excitement of camp.

Frequently Asked Questions

I am a brand new Leader and I ha v e n o idea where t o start. Not a problem and you are not alone; each year new leaders ask this same question. This year we have worked very hard to get our materials out earlier. We have also added more information about getting started for the first time. We also have the phone numbers and e mail‐ addresses of the camp directors. They would be happy to answer any of your questions.

I would like t o send my son t o cam p , can I just registe r him myself. The quick answer is YES! That would be fine. You do not have to have your Den or Pack attend camp in order for you to attend. We always recommend that you talk with your Den Leader or Cub Master to see if the pack is going. Sometimes it just takes someone to start the ball rolling. The Den’s or Pack's participation does help with providing leadership at camp.

I would like t o send my son t o cam p , bu t when I asked his Den Leader she di d not k n ow much about camp, what d o I do? We are making an all‐out effort to get the word out about our Cub Scout Day Camps. All our material is on the Michigan Crossroads Council Website specifically under Water and Woods at https://scoutingevent.com/?dcgrandblanc Day Camps are also being promoted at district roundtables. Day Camp directors will be at each of the meetings so that you can get a load of information and please bring your day camp questions and we will do our best to answer them.

We are a small Den and want t o come t o c a mp but we d o not have enough adults We have several suggestions. First it is not necessary for the same adults to be at camp each day. Several adults can share the days of camp. One parent attends the 1st day and a second parent the 2nd day and a third parent the 3rd day. The adults that come with the boys can be a parent, grandparent or perhaps an aunt or uncle, or another adult, age 18 or older. We have found that if we can get at least one adult with a small group of boys, things go a lot easier for that group. We will take these small groups with incomplete leadership and match you up with others in the same situation. In cases where leadership is not available, please contact the director of the camp you wish to attend and they may be able to help you make arrangements. We will work together to provide two or more adults at all times.

Why d o I h a ve t o fill out so many forms, they a r e long, and why shoul d the adult s hav e t o fill out a health form, I really d o not remembe r when I had s o m e of those shots. We know that it seems like there are a lot of forms. They are more important than you will ever probably know. Our health form is coming directly from the Boy Scouts of America, and multi‐language forms are something we will have soon in all areas. These forms are a good example of the steps the Boy Scout of America have gone to in order to protect our youth in all possible ways.

The health form is necessary for adults! This is required because, if there is a health problem with an adult, we will not be trying to find out whom to call from your son. The HEALTH FORMS FOR ADULTS AND YOUTH DO NOT NEED TO BE SIGNED BY A PHYSICAN.

Our p a ck is coming to camp and we h a ve a l ot of p eop le coming, do we have to all get there t o ge t h er, an d if we don't, how do we f i nd e a ch o t her? We love to have lots of packs of all sizes attend camp. We also know that everyone cannot get to camp at the same time. Each camp will have locations for each of the packs to meet and will offer a gathering activity to keep the boys busy until everyone arrives. The gathering areas will be marked for your Pack or Den. Please be sure you and the Scouts know your Pack # as that will help you find each other.

If we n e ed to bring our l u nc hes how do we g et t h em wh e n it is time to eat? We encourage each den or pack to bring a cooler to keep their meals together and cool The Camp will also have some coolers available. Each person should have their name and pack number on their lunch bag. The coolers will be stored in a cool area and the den or pack can get them at meal time.

Do we n eed a l ot of e q ui p ment to c o me to c amp? No special equipment is necessary to attend camp. Some dens and packs find a cooler and perhaps a wagon work well to keep everyone's stuff together. A blanket or two may be helpful to spread out at meal time there are also picnic tables for each den under the Pavilion. If a cooler is not available, please let us know and we will try to help. Some adults bring camp chairs to sit in.

I applied for a Campership fo r my Scou t ‐ w ha t do I need to do? You will be notified by Council if you have been granted the Campership. You will need to contact Council regarding how much you will need to deposit and when the final payment is due. All monies must be reconciled before Camp. Scouts who have sold popcorn and who’s Pack has had a FOS presentation will get first priority. And all Camperships are based on need. Campership forms can be found on the Council website and all spaces must be filled out by the family and mailed to the Council Office.

PACK LEADERSHIP AT DAY CAMP THAT ACCOMPANIES AND ASSISTS FORMIn order for y our Sc o uts to attend and remain at Day Camp, your Pack w ill need to provide enough a d u l t leadership (aka Day Walkers) to accompa n y, assist and s upervise y o ur Scouts.

O At Bicentennial Park, a minimum of one adult for the first 5 campers and one adult for every 5 campers thereafter is required. Call your director if this is a problem.

O A minimum of 2 adults per Pack must accompany, assist, and supervise your Scouts at Camp each day. Scouts will eat lunch with their Packs or Dens, under that adult supervision. Each adult at camp is RESPONSIBLE for correcting the behavior and maintaining discipline within the den structure. Scouts who do not behave will be sent home.

O Adults may not smoke or swear in the presence of the Scouts or youth. No alcoholic beverages are allowed. No illegal substances are allowed. No guns are allowed, unless you are a police officer and have prior permission from the camp staff. If you must have a cigarette, please ask the Camp Director(s) for a designated area. There is no Smoking in the buildings, or in the portable bathrooms.

O Each Scout will use the buddy system. No Scout may travel alone. Adults will be required to make sure that the Scouts respect the property that we are camping on. Please make sure that the bathrooms are kept clean and that the Scouts do not harm the trees, the flowers, the plants and grounds. All trash MUST be picked up.

O At least one adult must accompany, assist, and supervise e a c h group of Scouts

your pack is sending. For example, if your pack is sending 5 Webelos and 4 Cub Scouts, 1 adult leader will need to accompany the Webelos and 1 adult leader will need to accompany the Cub Scouts.

O Pack adults that choose to work on the Day Camp Staff do not count as accompanying, assisting or supervising adults for the youth.

O If two deep leadership is a problem; then contact the Camp Director for the camp you wish to attend, to discuss your available options.

1. Call the Day Camp Director to schedule a Pack Promotional Presentation.

2. Attend the Leader information night and roundtables.

3. Collect the completed registration forms, medical forms and fees from the Scout's guardian.

4. Recruit parents to accompany, assist, and supervise your Scouts at Day Camp.

5. Ensure all parents and accompanying adults understand the following:• T-shirts are used for security and are to be worn every day.• Scout discipline is a Pack responsibility.• The walkers directly supervise Scouts before and after camp and during lunch.• The walkers will need to assist the camp staff at nearly every station, but should not

do projects for the Scouts. We want the Scouts to be successful and to have fun!

6. Designate an on-site Pack / Den leader for each day.

7. Ensure that the on-site Pack leader is Youth Protection Trained and will carry the Pack's emergency contact list.

8. Make sure you have the completed medical forms, and Day Camp registration forms for each scout, adult, and sibling attending, and submit to the council office by the proper due date. Incomplete registrations do not qualify for Earl y Bird Rate.

9. Coordinate the Pack's transportation to and from camp.

10. Make sure that you are available by phone or email before the Pack attends camp and that a person attends the Camp Orientation and picks up the Camp T-shirts to distribute to campers before the first day of camp.

Day Camp Terms & Definitions

Council Camp Promotion Nights: There will be promotions held across the Council at the district roundtables that will present all the information regarding opportunities for Cub Scouts to attend Camp for 2016. We will have the Camp Directors for each of the camps available, as well as all promotion material available for packs to promote Camp within their own pack.

Camp Ho s t : Is: A Den Chief or older Boy Scout that will help each group of Campers to go to the correct area each day at camp. Generally a Camp Host/Den Chief will accompany the group for the entire 3 days of camp. Each Den Chief will have a job to do - please support.

Area Dire c to r : Each program area has an area director that is responsible for the Program and Safety for that individual program area.

Camp Directors & Staf f : Each of the Camp Directors, Program Directors, Assistant Camp directors and/or Business manager are trained. All key staff members have attended National Camp School and have been certified by the Boy Scouts of America for Day Camp.

Camp Leadership/Walker s : Camp leaders and walkers are pack leaders, or parents, or other adults that travel around camp with the unit/group. They help to keep the boys together and are responsible for the discipline of the group. The Camp Staff is responsible for the program, but the unit leaders and walkers are responsible for the campers.

Camp T-Shirt Distributio n : For Bicentennial Park a Pre-Registration will take place on Sunday June 26st for all Campers where their T-Shirt will be handed out. Our T-shirts are used as a security measure and all registered Scouts MUST wear their shirts each day to camp.

D a y Camp Certification : It is necessary for each Camp to be totally inspected by a group of trained individuals that will go over each of the program areas, programs, safety and emergency preparedness of all aspects of each camp.

Day Camp Placemat s : We have put together an exciting placemat that is 11"x 17" and is the perfect size to use at each place for your Blue and Gold Celebration. It has word puzzles and games all related to the Day Camp Theme “Cub Scout Investigator”. It will also have dates, location, and camp director contact info. These placemats are free and you just need to request them from the Council office.

Individual Camper s : It is possible for a cub scout and their parent/guardian to attend camp without their pack attending. This youth and adult partner will be assigned to a larger group or paired with other individual campers.

Gathering Area : We know that no pack always arrives together. To give each pack and groups of campers a place to meet, each camp will have a designated gathering area where campers can meet to wait for everyone from their units. Generally there is some activity going on in this area to occupy the campers while the rest of their unit gathers.

Leaders Guide : This is the handout put together to provide information regarding general camp information, material specific to individual camps, check lists, Registration form, health form and organization information that will be helpful in getting your pack ready for camp. It also contains all the contact information for the Directors of each of the Flint Area – Water and Woods Field Service Council, Cub Scout Day Camps.

Quiet T i me : Each day after a meal, it is a requirement of our Camp certification that we have a quiet time. Each of the campers and leaders/walkers has an activity or quiet time that does not require any physical activity.

Postcards: Mailed to each registered Cub Scout family. This piece also includes the link to the Website for registration. Health forms are available online and can be downloaded online at our Council site: We do have a supply for additional handouts.

Day Camp Coordinator : This person is selected by the pack to coordinate and communicate the Pack information and forward those forms to the council office in a timely fashion. It is also this person that the camp will notify with information regarding T-Shirt pick-up or any last minute information regarding camp. This can be more than one person in larger packs, perhaps one person would take care of the forms, another might take care of t-shirt pick up and distribution, and a third person may take care of transportation. It is up to the pack to distribute the responsibilities. The camp will just need the name and contact information for one person that will be the main point of contact with the camp.

DAY CAMP PARENT INFORMATION HANDOUT• CAMP U N IF O RM :

Camp will provide a T shi‐ rt to all registered campers and available for purchase for adults. T shirts‐ are part of their uniform during camp and part of our security. They mu st be w o rn ev ery day! One T ‐shirt is provided with each paid registration fee. Extra T shirts‐ may be purchased at the time of registration.

• SEC U RITY: We will not always be the only groups utilizing the grounds during camp. For security purposes, all staff and registered Scouts MUST wear camp T‐shirt at all times. All Staff, Day walkers, and Scouts will be given a colored armband to signify they are part of Day Camp. Anyone in the area not wearing a armband or T-Shirt will be asked to identify themselves. If they are not participants of camp, they will be asked to leave the area. All visitors MUST register at the Camp Office and receive a visitor’s armband.

• LATE A RRIV A LS & EARLY DE PA RT U RE :Campers that arrive late must check in at the Camp Headquarters before joining their group. Campers leaving early must check out at the headquarters before leaving.

• VISITORS:Visitors are welcome but must register at the Camp Headquarters upon arrival and check out upon departure and must wear the visitor identification at all times when at Camp.

• INCLEMENT WEATHER: Day Camp will open daily regardless of the weather OUTSIDE. Where else is the weather??? During severe weather the campers will be in a shelter at the camp site. In the case of severe (Severe is inclement weather) inclement weather, campers will participate in indoor "rainy day" activities. If for some reason camp needs to be closed, the Camp Director will contact your Pack’s On Site Leader, and they will contact you or a person designated on your son's medical form. NO one is to leave without checking out with Headquarters. Missing scouts will be reported per BSA rules.

• TRANSPORTATION:Transportation to and from camp is the responsibility of the parent and/or the Pack. If car pools are used,BSA policy requires that there be a seat belt for each Scout.

• MEALS:Everyone attending Flint Area Day Camp must bring a sack lunch for EACH day of Camp! Your Pack should provide a cooler to store Scouts' lunches and a picnic blanket to sit on for lunch. Upon request, coolers can be stored in a secure location.

• TRADING P O ST: A trading post may be available for snacks, cold drinks, extra T shirts‐ and souvenirs.

• ADVANCEMENT:Your Pack’s Camp Promotions Coordinator will receive advancement sheets listing the achievements, electives, and activity badges that your Scout worked on at camp after the conclusion of camp. You can use it to update your son's Scout Book. It is a good idea to bring your scout book, a pen and note pad at camp.

• LOST AND F O UND :Label everything with the Scout's name and pack number. Any items found after camp will be at the Council Office in Flint until the start of school, or check the Camp Office during camp.

• REGISTERING FOR C A MP: Please refer to your camp’s registration form online at: https://scoutingevent.com/?dcgrandblanc for the final registration deadline for the camp you are interested in.

• PARENT AC C OMPANIMENT :BSA requires at least two adults to accompany, assist, and supervise the first five Scouts and one for every five Scouts thereafter. Campers may need helping hands at some of the activity stations and your group's adults WILL be there to provide them. However, each camper must have the opportunity to complete projects on their own.

• DENS A N D BUDDIES :Each camper will be assigned to a camp Den. Your Den needs to travel together and all campers should have a buddy who they will stay with at all times (buddy system).

• DISCIPLIN E :Discipline is a Pack responsibility. A disruptive Scout will be verbally warned to improve his behavior by any of the accompanying adults from the GROUP. If the Scout fails to improve his behavior, the Camp Director will take appropriate action. This could include calling the Scout's parents to remove their son from camp. NO physical contact, between scouts and siblings, of any kind will be tolerated or allowed at camp. No abusive language or swearing is allowed by‐ Scouts or adults.

• ITEMS NOT ALLO W ED IN C AMP: Alcohol, pets, controlled substances, fireworks, firearms, knives, and foul language are not allowed in camp.Smoking is prohibited on Day Camp property.

• ITEMS REQU I RED AT CAM P : Closed toe shoes are required, or the youth and adults will NOT be allowed on the

Ranges, per the National Guidelines of Range Safety. All range instructions and commands are given in English. Bring water bottles or containers and food daily.
