Reports Home Screen: After logging in you will arrive at the Reports Home Screen.

This screen provides the Users Main Menu where you can select from four options:

Map Reports: Allows user to view results of GPS data on Street View map or Satellite Image Map or Hybrid View which is a combination of both.

Text Reports: Allows user to create tables of GPS data, print and save text reports, or export to excel spread sheet.

Add Records: Allows user to upload GPS data collected from vehicle to MiniTRACK data base.

Log Out: You should Log Out at the end of each session or when you will not be accessing your data, to avoid tying up your data base. Other users using the same user ID and Password cannot login if the user name is currently logged in.

After you Log Out you will be returned to the MiniTRACK home Page, you can minimize this page and return at any time .

User Tip: Your session has a “Screen Idle” time out function. If you have not logged out and your screen is not in use for more than 60 minutes the system will automatically log you out. To log back in you must re-enter ID and password

Downloading and Uploading GPS Data

Flash Memory Drives: With the purchase your MiniTRACK GPS Data Management System, you should have been provided with Flash Memory Drives labeled GSA data retrieval. The provided Flash Memory Drives have been loaded with GPS data retrieval software. Do Not format these Flash Memory Drives, the retrieval software will be deleted and the drive will not Download GPS data from the DVR. Instructions for Flash Memory Drive maintenance are at the end of the manual.

Downloading GPS data to Flash Memory Drive: With the key on and the DVR completely powered up, insert the flash memory drive into the USB slot (see pictures below) on the front of the DVR. On 400 series DVR, insert the Flash Memory Drive into one of the USB slots on the front of the DVR. Next, observe the light on the Flash Memory Drive; rapid flashing indicates data is downloading. DO NOT remove the Flash Memory Drive until the Record light on the Event Marker begins to flash. When the Record light begins flashing, download is complete. On 500 series DVR, insert the Flash Memory Drive into the USB slot on the front of the DVR and observe the green led light below the USB slot, do not remove Flash Drive when light is flashing. (If light is not viewable leave Flash Memory Drive in for 10-15 seconds before removing.

Series 400DVR: Use any of the three available USB ports.

UpLoading retrieved GPS data to MiniTRACK data base

Log on to your MiniTRACK data base as previously described. After logging in select the Add Records tab.

Next: Insert the Flash Memory Drive with downloaded GPS data into a USB slot on your computer. (cancel any windows dialogue screens that may open)

Next: Click the +Add button on the: Uploading GPS Data add records screen

A dialogue box will appear, from here select the location of the USB port where the Flash Memory Drive is located.

User Tip: Flash Memory Drives are indicated as ‘Devices with removable storage, in the example the correct drive is (H).

If the Flash Memory Drive USB location is not displayed, double click on ‘Computer’ under favorite links to access all drive locations.

After selecting the correct Flash Memory Drive USB location a new dialogue box will open. If you have 400 Series DVR’s, select the folder gps_log_tme_01 as indicated below.

On 500 series DVR’s, double click the GPS Log Converter icon, this will create the gps_log_tme folder. Next select the gps_log_tme folder as described above. (NOTE: if the gps_log_tme folder is deleted it will be recreated when you repeat these steps at the next download, if the folder is not deleted, the new gps log files files will be added to the existing folder when you click the GPS Log Converter.

All available downloaded GPS data files on the Flash Memory Drive will be displayed in the dialogue box. Double click on the desired file to select for upload.

After selecting the desired file, the file will be displayed on the Uploading GPS Data Screen in the +Add Upload box. You may choose to add more files by clicking on +Add button or Click on the Upload button (indicated by the red arrow below) to upload the selected file(s).

Downloaded Files will be moved into the Uploaded Files Info dialogue box. Successful uploads will be indicated by text “Upload Complete”.

Unsuccessful uploads will be indicated one of the following:

1. Exist at the database; cannot be uploaded. (see example) This indicates the selected record has been previously uploaded.

2. Unsuccessful upload; vehicle does not exist in data base. This indicates the vehicle ID on the flash memory drive is not in the MiniTRACK database.

3. After clicking Upload, ‘Done’ appears under the Downloaded File name but the File does not appear in the Uploaded Files Info box. This indicates there was no GPS data recorded in the file log for that date.

Successfully Uploaded files can be viewed immediately after upload by selecting the Map Report or Text Report tab.

Uploading Multiple GPS Log Files To upload multiple files click: Launch a stand-alone application for uploading GPS logs data, If your system asks for ok to proceed click yes.

Next enter your user Id and Password

Click on the file source selection button and select your USB GPS data retrieval flash drive

Select the location of your GPS data retrieval flash drive (example: Drive H) and Click Open

Click – Load Files to download all GPS log files on the flash drive to the Upload Screen

Next: Select the GPS log files to be uploaded: Select the upper most check box to select all log files or select individual log files by clicking the check box next desired file.

When you have selected the desired log files Click – Upload.

To Exit the java Upload screen, Click on the file tab in the upper left corner and select Exit.

Flash Memory Drive File Maintenance GPS data log files take up very little memory on the Flash Memory Drive, therefore it is not always necessary to delete these files after uploading to the MiniTRACK data base. If you prefer to delete uploaded files from the Memory Flash Drive use caution not to delete the pre -loaded operations software.

Back Up: We strongly recommend you back up downloaded files before deleting them from the Flash Memory Drive. Create a folder to store the log files and open the gps-log-tme-01 folder on the Flash Memory Drive, select (highlight) the files to back up and right click on the selected files to cut and paste (removes files from Flash Memory Drive)or copy and paste (created a copy but does not remove file from Flash Memory Drive) to the created folder. Folders can be created for each vehicle or store all vehicle data in the same folder. All vehicles must have a unique number to store all files in the same folder.

Deleting Log Files from Flash Memory Drive: Go to My computer and go to the USB Flash Memory Drive. Open the gps_log_tme_01 folder. This folder contains all downloaded GPS data log files. Select (highlight) desired log files and delete. DO NOT delete the gps_log_tme_01 folder from the Flash memory Drive.

Map Reports Map reports can be used to view the actual street location of the vehicle during specific events. To enhance the viewing capabilities Satellite Views can be over laid with a street map.

Map Report Main Screen: By clicking on the Map Reports tab you will arrive at the Map Reports main Screen.

From here you can select: Vehicle ID, Time Type, Deselect or Display Icons, Set Event Duration Parameters, Select Map Type, Navigate Map Using Zoom and Pan

Use the controls in the upper left corner of the map to Zoom In and Out and Pan to different locations on the map.

Map Types: Use the buttons: Map, Satellite and Hybrid in the upper right corner of the map select from three map view types:

MapView: Displays street map with street names and event icons.

Satellite View: Displays a Satellite image of the map and locations of event icons in great detail.

Using the Satellite view, you can clearly see the location of the vehicle on the road; this example indicates an idle event with detail selected and a bus stop near a dangerous intersection.

Hybrid: Displays a Satellite Image with the Street Map overlay, which gives street and highway identification.

Creating a Map Report Start: Use the drop down menu in the Vehicle ID field to select the desired vehicle.

Next: Select Time Type: All Day, Time Range or Time Point.

All Day: (default) Creates Map Reports for a 24 hr period on one day. Enter desired search date in From Date:

Time Range: Creates Map Reports based on beginning and ending dates as well as beginning and ending time in hours and minutes and will display all available GPS data points between beginning and ending times for selected dates.

Time Point: Creates map Reports for a specific date and time, and displays single GPS data point for the nearest point, before the selected minute .

After selecting vehicle, time type and desired date and time, click to retrieve GPS data, a map with all available GPS events will be displayed.

Deselecting Event Icons: If the map appears cluttered or only specific event icons are desired, searches can be filtered or the screen view cleaned up by deselecting unwanted icons.

Icons are deselected by checking the box next to the Icon name .

Time Saver Tip: Unwanted Icons can be deselected before or after clicking Generate the first time

Selecting Parameters: By entering time duration parameters you are able to narrow searches and identify events by time priority.

Filtered Map with Parameters Set: Below is an e xample of a filtered map with all icons except Idling deselected and Idle parameters set to search for only idle events over five minutes. You can readily see the location where the vehicle is sitting and idling longer than five minutes on the selected day.

Data Tip: By clicking on the icons on the map, detailed information about the event is displayed.

Printing Maps Printing Map Images: Map images can be very useful when building and maintaining routes or when investigating problems such as, tracking routes over railroad grade crossings or bus stops too near busy intersections. You can print map Images of any map by using a right click of the mouse when the cursor is positioned off the actual map (indicated by red arrows below) and selecting the print option or, by going to File on the Explorer tool bar and selecting the print option.

Text Reports

Text Reports Main Screen

Click on the Text Reports tab to arrive at the Text Reports main screen. From this screen you can generate reports from GPS data for: Idle, Stop, Park, Bus Stop, Speed Violations, Event Marker, Operating Time and optional Impact which provides collision force data.

Creating a Text Report: Select Vehicle, and then select the Report Type: Reports are available for eight GPS data events. The default report type: ‘ALL’ will generate reports for all events where the vehicle is not moving, (i.e.) Park, Bus Stop, Idling and Stop.

Other reports available are Event Marker initiated, Speed Violation, OA (vehicle operating time) and Impact

Data available from Idle, Stop, Bus Stop and Park Reports include: Date and time of stop, duration of stop and record of stop type. You can also view the map location of the event by clicking on “Go to Map”, there you have the ability to look at the street map location of the stop event as well as a satellite and hybrid image of the location.

Data Tip: In the lower left hand corner of the text report is a summary of the data retrieved.

Using the Go to Map Feature: By clicking the Go to Map button at the end of a text line, you can access all of the features available from the Map Report screen.

After viewing the map from Text Reports, click on the Back to List button to return to the text report.

Speed Violations Report: The text report Speed Violations allows you to search uploaded GPS data for speed violations or validation of vehicle speed for any reason.

After selecting the Vehicle, select the Report Type Speed Violations enter the desired search speed in the Speed Limit field, next enter the search period time and date. After you have entered desired search data, click Generate. This entry

The red arrow (lower left) indicates the number of occurrences above selected speed limit.

Columns with blue column title headings can be sorted ascending or descending by clicking on the column title.

Printing and Saving Text Reports Printing Text Reports: After generating your text report on screen, you can print the report by clicking on the ‘Print’ icon in the lower right corner of the screen.

Saving and Exporting Text Reports: To save a Text Report as an Excel file click on the ‘Export to Excel’ icon in the lower right center of the screen.

You will be prompted to ‘Open’ or ‘Save’ the file.

Open: By clicking the Open button you can view the report contents before choosing to print or save.

Save: By clicking the Save button you will arrive at the ‘Save As’ dialogue box without viewing the contents. You may choose to keep the default file name settings or change the file name before saving, as in the example below. The default file name includes the Bus number, date and time the report was generated. After selecting the file name click Save to save the file as an Excel spread sheet.

Accessing Saved Excel Report Files: Go to your My Documents folder or open Excel workbook. Select the report name desired. Reports should be saved with names that help identify the report, as in the example below.
