WHAT IS THE MOBILE-FRIENDLY CANDIDATE EXPERIENCE?

The Mobile-Friendly Candidate Experience is built to improve the candidate experience, conversion rates, and help you reach the widest pool of applicants. These new enhancements include updates to two areas: Career Sites and Application Workflows. Mobile-Friendly refers to these pages being easily accessible and viewable on any device. Whether you’re on a mobile device or on a desktop, the experience and content will be the same.

GETTING STARTED

ENABLEMENT

Users in the System Administrator Security Role can self-enable the Mobile-Friendly Candidate Experience. You can self-enable from the Career Site Management page (Admin > Tools > Recruit > Career Site). We recommend enabling in your Stage or Pilot environments before your Production environment.

From the Career Site Management page, you’ll see the self-enablement option at the bottom of the page. When Accept and Enable is clicked, a pop-up appears to confirm you want to enable. Once confirmed, the new Mobile-Friendly Career Site and Mobile-Friendly Application Workflow will be available in your portal. Any existing Application Workflow Templates that qualify as Mobile-Friendly (e.g. does not contain Forms or Assessments), will automatically be changed to the Mobile-Friendly Application Type when they are published to a Career Site that has Mobile Optimized turned off. Once enabled, you cannot revert the newly added features. It’s recommended to enable and test in Stage or Pilot prior to Production.

PERMISSIONS

There are no new permissions related to the Mobile-Friendly Candidate Experience. All existing permissions for career sites and application workflows apply.

Once enabled, all existing functionality will continue to be available. You do not need to create a Mobile-Friendly Career Site to take advantage of the Mobile-Friendly Application Workflow and vice versa.

CREATING MOBILE-FRIENDLY CAREER SITES

After enablement, the Career Site Management page will automatically refresh and you’ll see a new option Add Mobile-Friendly Career Site. Click Add Mobile-Friendly Career Site to create a Career Site.

The creation of a Mobile-Friendly Career Site page will look almost identical to the Standard Career Site, with the main changes appearing in the Edit Layout section at the bottom of the page. In the Edit Layout section, you can add your own Banner Image and Text. This lets you easily customize your Career Site with or without HTML. Additionally, you can utilize the Custom Content section below the Banner Image, where you can provide applicants with more information about your organization and why they should apply.

You can upload a Banner Image using the gear icon on the top right corner. Once clicked, a pop-up appears letting you upload an image from your desktop. You can also add text to the area using the HTML Editor above the image. This would apply the text appear over the image.

Additionally, you can upload a Banner Image to the Job Details page. This lets you further customize and brand the application experience for applicants.

To provide an enhanced search experience for applicants, you can add Requisition Custom Fields to your Career Site. The Add Custom Requisition Field option lets you add any previously created custom requisition fields. Once added, you can have one of the custom fields appear on the main search bar by selecting the Include in Main Search option. This will include the specified custom field on the main search bar, any additional custom fields added will appear under the Filters section.

To help you reach the widest pool of applicants, the Allow search engines to Index site option lets you have any active jobs posted to your Career Site appear on Google and Indeed search engines. Once enabled, jobs will begin to appear after the search engines crawl happens. The search engines periodically crawl the web, so the time it takes for a job to appear can vary. You can add a logo using the Logo Image for Search Engines dropdown. If no logo is configured, Google will attribute a default logo to the job post based on the first letter of the organization’s name.

After creating a Mobile-Friendly Career Site, applicants will be able to access the site from any device and easily navigate around. Applicants will see the Career Site as you configured it. The Banner Image, if added, will always appear at the top of the page and the job openings will appear below. Any additional content added will appear in the middle of the two.

Applicants will be able to use Predictive Search in the Keyword and Location search field. Predictive Search lets applicants start typing letters in the search field and have results begin to appear. For example, typing ca in the Location Search, will show locations with the letters ca in the dropdown. The career site URL will update as new search criteria is defined, including both the entry of keywords in the job and location sections, as well as the application of filters, so that recruiters may share multiple openings directly with applicants.

When applicants click on a job title, they’re redirected to the Job Ad page. From here, applicants can view the details of the specific job. The details shown here are based on the information from the External Site and Internal Site tabs on the Job Ad section of the Requisition. The Mobile tab of the Job Ad section does not pertain to Mobile-Friendly Career Sites. Applicants will see the Apply Now button at the top and bottom of the page. This lets applicants apply for the job immediately when they get to the page, or later after reading through the details and deciding they want to move forward with the application. Using the Share dropdown, applicants and recruiters can share the job posting via Email, LinkedIn, and Facebook.

CREATING MOBILE-FRIENDLY APPLICATION WORKFLOWS

Whether you’re creating a new Application Workflow Template or building an Application Workflow from scratch, the Application Type will default to Mobile-Friendly once you have self-enabled the Mobile-Friendly Candidate Experience. You can adjust to the Standard Application Type by using the Application Type dropdown. If you do change from Mobile-Friendly to Standard or Standard to Mobile-Friendly after you’ve added at least one Action Item, the Application Workflow will refresh and remove the previously added Action Items. In this case, a pop-up message appears to notify you of the impact of the change.

You’ll notice the process of creating a Mobile-Friendly application is similar to Standard, with the exception of page breaks and available Action Items. Previously, Application Workflows were broken down by Sections and Percentages. With Mobile-Friendly applications, Sections have now been replaced by Pages and no longer include Percentages. To add a page break, simply click the Add Page button. If you decide to use the Standard application, Sections and Percentages will continue to appear.

When creating Mobile-Friendly application workflows, the following Action Items are available:

Upload Attachments is where resumes, cover letters, and additional attachments will be added by the applicant. Selecting the Edit Icon allows you to choose if the resume and cover letter are required or optional, as well as configure the resume parsing options.The Additional Attachments will include one optional additional attachment section by default. However, this can be deleted, made required, or more additional attachments may be added.

Prescreening Questions can be marked as optional or required in mobile friendly workflows. The defualt setting is optional.

Branched Prescreening Questions provide a better candidate experience by only showing follow-up questions based on the previous response. For example, if you want a candidate to provide more information on a particular skill they have, you can configure the question to have a follow-up if they reply with either yes or no.

The Mobile-Friendly application workflow provides an intuitive and modern experience for applicants completing an application. If it fits your organization’s need, you can have the entire Application on a single page. For example, you might want to provide applicants with an easy and quick experience by simply inputting their First Name, Last Name, Email, Uploading a Resume, and Submit their application.

When applicants click on a job title, they’re redirected to the Job Ad page. From here, applicants can view the details of the specific job. The details shown here are based on the information from the External Site and Internal Site tabs on the Job Ad section of the Requisition. The Mobile tab of the Job Ad section does not pertain to Mobile-Friendly Career Sites. Applicants will see the Apply Now button at the top and bottom of the page. This lets applicants apply for the job immediately when they get to the page, or later after reading through the details and deciding they want to move forward with the application. Using the Share dropdown, applicants and recruiters can share the job posting via Email, LinkedIn, and Facebook.

Tip: By using Question Categories, you can add multiple Pre-Screening Questions to an Application at once. When adding questions to the Application, simply filter questions by a category and you’ll have the option to select multiple questions.

The Thank You is a new Action Item that will always be added to an application workflow. This new feature lets you customize a thank you message for applicants and let applicants easily create a profile if they’re applying as a guest. If you customize the Thank You page, the Create Profile and Back to Search buttons will appear below your custom text.

Q: If I only want to use Mobile-Friendly Application Workflows, do I also need to use Mobile-Friendly Career Sites? A: No, you do not need to use Mobile-Friendly Career Sites to be able to use Mobile-Friendly Application Workflows.

Q: Can I have both Mobile-Friendly Career Sites and Standard Career Sites?A: Yes, both types of Career Sites can be used in parallel.

Q: Can someone who has not logged in or created an account save their progress in the Application Workflow? A: No, if an applicant is not logged in and clicks “save” they will be prompted to create an account or log in.

Q: When an applicant returns to their application after saving their progress, where do they begin?A: They will be taken to the top of the page where there is an unanswered question.

Q: Will jobs only be displayed after a search is made?A: When an applicant lands on the Career site, a null search will be run. As a result, all posted jobs will be shown by default when landing on the page.

WHAT’S NEW WITH THE MAY ‘19 RELEASE

LINK TO PRESET CAREER SITE SEARCHESThe career site URL updates as new search criteria is defined, making it easy to share specific job search criteria such as, all Sales jobs in California. The updated URL includes both the entry of keywords in the job and location sections, as well as the application of filters. The URL can then be copied and shared, or linked to from other pages.

ADDITIONAL ATTACHMENTS IN RESUME SECTIONResume sections in mobile-friendly career sites always have an optional “Additional Attachment” in the workflow by default which can be removed or edited if no one has applied to the application.
