The outcome is a deeper understanding of how specific Mobile Productivity capabilities (including protecting corporate data) maps to their business priorities and a recommended approach to deployment with clearly defined next steps.Suggested additional activities to undertake in this engagement include:

Detailed planning workshops by workload to understand project objectives, challenges and success criteria of a mobile productivity deployment

Setup of a ‘POC’ environment to help stakeholders familiarize themselves with capabilities of office for mobile and may include but not limited to extensibility scenarios (sample Office Add-ins) and data protection scenarios (Intune and Azure RMS)

Technical workshops to address specific customer concerns Complete detailed Preliminary Deployment Plan

5, 10, or 15-day Mobile Productivity Envisioning WorkshopEngagements of this length builds upon what is provided in a 3-day engagement to deliver and implement a proof of concept Office Add-in and/or EMS solution that addresses one or more of the business problems identified in the 3-day engagement. The outcome is to allow the experience how mobile productivity can be used to address their organisation’s business problems and helps to identify and address potential challenges with implementing such a solution in their organisation. The length of engagement will be dictated by the effort (in terms of complexity and/or quantity) required to implement the proof of concept solution(s). Aside from getting a Preliminary Deployment Plan, the customer will also get a POC solution that has been built for them by the partner. At the end of each engagement, customers will be provided a Preliminary Deployment Plan which provides an overview of the business benefits of deploying mobile office applications, and

in addition a plan to get office mobile deployed to their organisation (the level of detail will depend on the length of the engagement).

Suggested Engagement OutcomesThe engagement’s primary intent is to help the partner gain a better understanding of the customer’s goals and/or understand the current state of their IT assets.When you deliver an engagement, regardless of the length, the following activities are recommended. However, you may design the engagement to fit your customer’s needs, so long as the outcomes outlined in the Required Outcomes section are completed and submitted. Suggested engagement track:

Create a demonstration environment with which the capabilities of office for mobile and data protection (EMS) could be demonstrated

Spend time understanding customer business objectives. Clearly define criteria for success of a mobile productivity deployment. Technical validation of service integration in customers’ landscape.

Required Engagement OutcomesThe following are the required outcomes that must be completed and submitted:

Deliver Deployment Plan and review findingsThese items must be submitted to Microsoft as proof of payment (see Deliverables required for payment for more information).These engagements should enable the partner to map out a deployment plan to accelerate deployment of mobile productivity and build a service roadmap for the customers’ ongoing adoption of the service.

Engagement Delivery OutlineThe Mobile Productivity engagements deliver a specified set of customer activities to rapidly and predictably deploy office for mobile productivity solutions. The engagements deliver planning, envisioning and identification of potential stumbling blocks for onboarding and user adoption.As mentioned these engagments can be customized to fit the customer’s current environment, areas of interest, requirements and preferred engagement length. The following is the suggested outline of activities. These activities are detailed in the Deliver an Engagement section of this document. Although meetings will often be split across multiple days, the length of the agreed engagements will determine how much and how deep you can cover activities identified below.

For engagements longer than 3 days, the remaining days will be spent implementing the proof of concept solution(s) that the customer can use to experience how office mobile productivity solutions can help them solve their business problems.

Partner/Consultant RequirementsPartners and consultants delivering these engagements are expected to be familiar with all the materials in this document, Office on iOS, android and windows phone (service descriptions and public roadmap), Enterprise Mobility Suite (EMS) and Office Add-In capabilities. This will allow the facilitator of the engagement to make recommendations, build trust in the partner, and demonstrate the services’ ability to meet the customers’ business objectives. The requirements found below are provided to outline expectations during an engagement. Partners should ensure they have access to provision a demonstration environment via http://fasttrack.microsoft.com or https://www.microsoftofficedemos.com before the engagement begins.

Business ObjectivesDuring an engagement, a portion of the first day should be determining the customer’s strategic and tactical business objectives. Obtaining the customer’s success criteria is the recommended way to ensure that the customer and partner have a mutual and verifiable way to evaluate the planning engagement’s success. Successful engagements start with the right audience. It is important to ensure that you have key stakeholders and/or evangelists. Some of the roles most often involved in successful planning are:

IT Decision Makers Business Decision Makers Line of Business leads that can articulate the business challenge that they envisage Office Mobile capabilities

can help solve e.g. extensibility scenarios that automate or connect to LOB applications Early Adopters

It is recommended that the partner work with the customer several weeks before the engagement to request the appropriate level of stakeholders be available for the engagement. If high-level decision makers are not available for the entire engagement, request that they can attend the kickoff session so that at least their success criteria and business objectives can be discussed.

In order to deliver the Mobile Productivity engagement, partners must Be enrolled in the Cloud Deployment program Sign the Microsoft Online Services Partner Agreement (MOSPA) Have an active status in Cloud Accelerate to participate in the Cloud Deployment program Have Silver or Gold Cloud competency in Enterprise Mobility Management or Desktop Deployment.

Consultant RequirementsIn order to deliver the Mobile Productivity engagement, consultants must

Have successfully completed one or more of the technical assessments for the Enterprise Mobility Management competency

ExpertiseThe delivery consultant must be fully prepared for the engagement and is expected to be a subject matter expert in the office for mobile productivity capabilities (including but not limited to the office mobile apps focusing on iOS, android and windows phone; Enterprise Mobility Suite; Office-Addin capabilities), public roadmap, cloud adoption and change management. This guide provides the starting point for consultant readiness and offers best practices in delivery of the 1, 3, 5, 10, or 15-day engagements.

About the EngagementThe Mobile Productivity Planning Engagement provides customers structured envisioning, planning and enablement workshops focused on accelerating their path to deploying mobile office applications. This guide enables the partner to deliver the engagements in a managed but flexible way. The partner should strive to gain an understanding of how the customer plans to use mobile office applications (including how they want to protect corporate data) and the potential roadblocks, while the customer receives partner expertise and a deployment document.These engagements should be considered a starting point for a customer’s deployment of mobile office applications. The service and the work completed as part of the engagement can be used to directly move from planning to execution of the envisioned mobile productivity deployment. The partners delivering the engagement are key to successful onboarding and adoption of Office for Mobile.

Recommended Pre-Engagement ActivitiesEngagement kickoffThis section covers the activities the partner should complete to prepare for an Envisioning Workshop. Below is a pre-engagement list that can help ensure the engagement is well communicated and expectations are properly set before the consultant engages directly with the customer.

Pre-engagement tasksTypically, planning engagements are delivered onsite with a customer during consecutive days in the same business week. The following checklist can be used to ensure that the engagement gets started on the right foot and proper expectations are set.

Have an initial discussion with your customer to discover their current mobile productivity landscape. This will help you tailor the content and structure of your workshops. Things to consider in your discussion may include (but not limited to):

o What are your expectations from the mobile productivity engagement?o What does the mobile device environment look like? BYOD vs. company managed devices; iOS vs.

android vs. windows phoneo What proportion of your users are considered Mobile Users when compared to Office Users and Work

from Home Users?o What proportion of your users would consider a mobile device (smartphone or tablet) as their primary

work device when compared to users who use desktops and laptops? e.g. field engineer vs office worker in the head office

o How does your workforce collaborate on documents inside and outside the office? Are there any controls around where documents are stored when they are shared with different people? e.g. documents are often emailed, and stored locally in a user’s unmanaged device. This puts the corporate data at risk when the unmanaged device is lost or compromised.

o How many supported applications do you have in your business, and what proportion of those can currently be accessed by users outside the office (without the use of VPN)?

o Of the applications supported by the business, how many of them have a great demand from users to be accessible outside the office (without the use of VPN), and what appetite does the business have in fulfilling the demand if appropriate measures are put in place to protect the corporate data?

o Does the business have any security requirements with regards to making corporate data accessible on mobile devices (whether that requirement be due to legislations, regulatory or internal policies)? Do you currently use a tool to manage BYOD devices?

Send a pre-engagement e-mail ahead of the engagement specifying the stakeholders who should be in attendance.

Request that the customer book conference rooms and space for the partner team to work and ensure AV equipment and internet access is available.

Ensure the consultant has a customized kickoff deck and engagement agenda and that both have been shared with the customer before the engagement.

Make sure all scripts, content, process and resources are organized and familiar to the consultant before going onsite with the customerUnderstand the customer’s purchase status and find out whether they have an Office 365 tenant setup prior to the engagement. The below information will provide more information on setting up a demonstration environment required for you to demonstrate the capabilities of Office for Mobile.

Demonstration Environment for Office 365It is highly recommended that you demonstrate the mobile productivity capabilities of office 365 as it allows the customer to see and potentially experience what you have talked about in your presentation. You are encouraged to either use the FastTrack Partner Portal or Microsoft Office Demos to provision a demonstration environment.Although both environments will help you provision an Office 365 demonstration environment that includes EMS, there are differences between the two. It is worth noting that unlike FastTrack, demonstration environments created via Microsoft Office Demos are for partner demonstration purposes only and cannot be handed over or shared with the customer at the end of your session.

Note: if you decide to leverage FastTrack to provision a demonstration environment for your customer, a FastTrack success plan will not be required to be submitted for this engagement (see the Required Deliverables section in this section for more information on what deliverable is required).

from aka.ms/dpssow). Mobile Device Management for Office 365 EMS capabilities e.g. manage applications with Intune, information protection with Azure RMS

e.g. iPad, Android….o Sample Document – Zip file with sample documents you can use for your demonstration.

Planning workshop invitationsPlanning is a vital part of any successful office mobile productivity deployment. There are factors in the planning phase that can boost your success rate and the adoption of the service. Ensuring the key stakeholders and service evangelists are in the room while you are conducting the engagement is the first step. Some considerations for who should be in the room are IT Decision Makers, Business Decision Makers , Line of Business (LOB) leads that can articulate a business challenge that Office for Mobile can help solve, and Early Adopters.

Conducting the EngagementWhen delivering an engagement, it is important to construct an agenda ahead of time. Recommended agendas based on the number of days the customer has available to use are outlined below. It is important to note, however, that you can customize the agenda to further meet your customer’s needs, etc. Keep in mind that the more customized the partners makes the offering, the more effort will be required from you to:

Manage the customer’s expectations. Define a scope, agenda and deliverables that can be completed in the allotted time. Stay within the overall intent and guidelines of the Envisioning Workshop and meet the required outcomes

(deliverables)

Be aware that the customer will fill out an evaluation form; you must manage expectations and deliver as promised to have a satisfied client while meeting the required engagement outcomes.

Engagement Agenda ExamplesDuring an engagement, the partner should become comfortable with the customer’s overall environment, being able to call out any potential blockers or high-risk areas. Additionally, you should be able to determine business drivers and goals. Below is the recommended schedule for running a mobile productivity engagement (Schedule will depend on the length of engagement selected). Day 1:

Kickoff Define stakeholders, influencers and approvers for the project. Define decision-making process for the project. Office Mobile: What is it? Review customer business requirements

o Review strategic business requirements and understand customer objectives.o Review business scenarios covered in the introduction into Office for Mobile capabilities and determine

focus areas for the next meeting e.g. Is focus on extensibility of office? protection of corporate data?Criteria for Success – Define what’s important to the customer.

Day 2: Deep dive demonstration and discussion on focus areas agreed on in the previews meeting e.g. Office Add-ins,

Azure RMS, Microsoft Intune. Discuss and define high level requirements around focus areas discussed e.g.

o Office extensibility – explore opportunities for Office Add-ins to solve business challenges encountered by the business.

o Data security – explore level of protection required by the organization to feel secure with their corporate data on mobile devices office is deployed on

Hold technical discussions to address customer concerns around focus areas discussed. Review high level requirements discussed in the workshop and prioritize impact and performance to the

business. Define and confirm high level roadmap for the deployment of Office Mobile based on prioritized requirements. Review criteria for success. Complete engagement output/deliverables to present in the next meeting (after customer workshop).

Day 3 Build high level business case for deployment of Office Mobile based on prioritized requirements and defined

high level roadmap Present and review engagement output/deliverable with customer team. Confirm next steps and timeline. Finalize engagement output/deliverables incorporating customer feedback (after customer workshop).

Completion and ResultsRequired DeliverablesThe required deliverables for this engagement are as follows:

Engagement Findings and Recommendations Document . This is a mandatory requirement to secure payment for the engagement. The partner must download the template from the partner portal and complete the output recording topics discussed and actions taken in the engagement as well as the deployment plan as agreed with the customer

Planning Services Completion Report . This is a mandatory requirement to secure payment for the engagement. Someone with knowledge of the voucher numbers assigned and voucher submission process should help the consultant complete this step

Next StepsOnce you have completed the engagement and completed the Engagement Findings and Recommendations document, the delivery is complete. However, this is the start of the partner opportunity to engage, expand and evolve the planning engagement into a full-service deployment (that may include multiple office add-ins scenarios). Obtain an agreement on execution of the Deployment Plan. Go over next steps to empower the customer to fully experience the Office for Mobile capabilities. Build a timeline you and the customer can agree to for each workload. Make sure each workload is clearly mapped out and follows best practices.
